<strong>SPAM</strong> <strong>How</strong> <strong>to</strong> <strong>Use</strong> <strong>Server</strong> <strong>Rules</strong> <strong>in</strong> <strong>CommuniGate</strong> <strong>Accounts</strong><br />

Spam <strong>Rules</strong> can be configured <strong>to</strong> control how messages the system has tagged as [<strong>SPAM</strong>] are<br />

handled. Your email program (Outlook, W<strong>in</strong>dows Live Mail, Thunderbird. etc.) has been set up<br />

<strong>to</strong> use MAPI, IMAP, or POP3 pro<strong>to</strong>col. Regardless of which pro<strong>to</strong>col you use, a <strong>SPAM</strong> folder<br />

has been created <strong>in</strong> your default list of folders on the server. After January 12, 2013, email that<br />

has been tagged as [<strong>SPAM</strong>] can be sent <strong>to</strong> that folder. This replaces the old system of send<strong>in</strong>g a<br />

notification requir<strong>in</strong>g a reply <strong>to</strong> release possible spam.<br />

If you do not know which method your email client is us<strong>in</strong>g, you should check the Account<br />

Sett<strong>in</strong>gs <strong>in</strong> the client. Instructions for sett<strong>in</strong>g up an email client or check<strong>in</strong>g your account<br />

sett<strong>in</strong>gs can be found here: https://mail.jaars.org/h_setup.wssp.<br />

If your client is setup <strong>to</strong> use MAPI or IMAP you will be able <strong>to</strong> see the <strong>SPAM</strong> folder <strong>in</strong> your<br />

list of folders.<br />

If your client is setup <strong>to</strong> use POP3 you will need <strong>to</strong> log<strong>in</strong> <strong>to</strong> the WebMail <strong>in</strong>terface <strong>to</strong> access the<br />

<strong>SPAM</strong> folder. All users will have the option <strong>to</strong> receive a Daily Digest list<strong>in</strong>g of the email<br />

received each day that is tagged as [<strong>SPAM</strong>]. This is one of the options that can be changed as<br />

expla<strong>in</strong>ed later <strong>in</strong> this document.<br />

<strong>Use</strong> your full email address and email password <strong>to</strong> log <strong>in</strong><strong>to</strong> the WebMail <strong>in</strong>terface. If you have<br />

lost your password you have three options.<br />

Retriev<strong>in</strong>g Your Email Password<br />

Option 1:<br />

If you use Outlook, W<strong>in</strong>dows Live Mail, etc. <strong>to</strong> view your email you can use this option.<br />

1. Open your Internet browser and go <strong>to</strong> https://mail.jaars.org<br />

2. Click on Help! I forgot....<br />

3. Enter your full email address <strong>in</strong> the Account Name dialog box.<br />

4. Click the Email Me My Password but<strong>to</strong>n.<br />

5. Check your email program for an email from mailer-daemon@sil.org that will conta<strong>in</strong><br />

the password.<br />

Option 2:<br />

Send an email <strong>to</strong> jarmail_adm<strong>in</strong>@sil.org ask<strong>in</strong>g for your password from a personal email address<br />

such as joe_user@hotmail.com. You will receive an email ask<strong>in</strong>g for verification of your<br />

identity by answer<strong>in</strong>g a “challenge” question. If you answer that question correctly the JarMail<br />

adm<strong>in</strong>istra<strong>to</strong>r will email your password <strong>to</strong> you.<br />

Option 3:<br />

If the above methods are not possible for you, then you will need <strong>to</strong> call the <strong>JAARS</strong> helpdesk at<br />

(704)-843-6620 or (800)-215-7813 and ask for a JarMail adm<strong>in</strong>istra<strong>to</strong>r <strong>to</strong> help you retrieve your<br />

password.

This screen shot is a portion of the Spam <strong>Rules</strong> screen. Only the last selection will be checked.<br />

These are the defaults. Many of these selections are self-explana<strong>to</strong>ry. The word<strong>in</strong>g is slightly<br />

different from the screen prior <strong>to</strong> December 1, 2012, and there are some additions.<br />

Spam <strong>Rules</strong> Expanded Def<strong>in</strong>itions<br />

Friends: If selected, enter your friends email addresses as shown <strong>in</strong> the example; all email from<br />

those addresses will be delivered <strong>to</strong> your Inbox. The subject l<strong>in</strong>e will still have the tag [<strong>SPAM</strong>]<br />

added <strong>to</strong> the beg<strong>in</strong>n<strong>in</strong>g of the subject. You may enter a partial email address, for example<br />

my_friend. If your friend switches <strong>to</strong> another provider and cont<strong>in</strong>ues <strong>to</strong> use my_friend, their<br />

email will cont<strong>in</strong>ue <strong>to</strong> be delivered <strong>to</strong> your Inbox; for example, emails from<br />

my_friend@gmail.com or my_friend@hotmail.com will deliver <strong>to</strong> your Inbox.<br />

should not try <strong>to</strong> enter every name from your address book, only the ones that are <strong>in</strong>correctly<br />

tagged as [<strong>SPAM</strong>].<br />

Discard select messages au<strong>to</strong>matically: If selected, email from addresses entered <strong>in</strong> the blank<br />

will be discarded immediately.<br />

Discard select categories au<strong>to</strong>matically: If the ma<strong>in</strong> head<strong>in</strong>g is selected, then at least one<br />

subcategory must also be selected. “Message body has l<strong>in</strong>ks <strong>to</strong> blacklisted sites.” is a new<br />

selection. This is a RECOMMENDED rule for ALL users except those who are very proficient<br />

at handl<strong>in</strong>g spam and do their own spam process<strong>in</strong>g.<br />

Discard all messages with <strong>SPAM</strong> tags: The description is self-explana<strong>to</strong>ry.<br />

Discard all non-SIL messages: The description is self-explana<strong>to</strong>ry<br />

Allow non-Roman script messages: If selected, these messages will deliver <strong>to</strong> your Inbox.<br />

Move <strong>SPAM</strong> tagged mail <strong>to</strong> <strong>SPAM</strong> folder: This selection is NOT checked by default. After<br />

January 12, 2013, all messages that are flagged by SpamAssass<strong>in</strong> as <strong>SPAM</strong> will appear <strong>in</strong> your<br />

Inbox, and the word <strong>SPAM</strong> will be added <strong>to</strong> the beg<strong>in</strong>n<strong>in</strong>g of the Message Subject. You may<br />

select this option <strong>to</strong> au<strong>to</strong>matically move these messages <strong>to</strong> your <strong>SPAM</strong> folder on the server.<br />

POP3 users will not be able <strong>to</strong> view the <strong>SPAM</strong> folder and their email client. MAPI or IMAP<br />

users will be able <strong>to</strong> view the <strong>SPAM</strong> folder <strong>in</strong> their email client.<br />

POP3 users who do not receive large quantities of <strong>SPAM</strong> may choose not <strong>to</strong> select this check<br />

box <strong>to</strong> elim<strong>in</strong>ate the need <strong>to</strong> log<strong>in</strong> through the WebMail <strong>in</strong>terface <strong>in</strong> order <strong>to</strong> view the contents of<br />

the <strong>SPAM</strong> folder. The Daily Digest, described below will conta<strong>in</strong> a list<strong>in</strong>g of the contents. To<br />

actually view the emails <strong>in</strong> the <strong>SPAM</strong> folder a POP3 user has the option <strong>to</strong> either log<strong>in</strong> <strong>to</strong><br />

WebMail, or allow delivery <strong>to</strong> their Inbox.<br />

Send me a daily digest of what is <strong>in</strong> my <strong>SPAM</strong> folder. This selection is checked by default. If<br />

selected, each day a s<strong>in</strong>gle email with a list<strong>in</strong>g of messages tagged as possible spam will be sent<br />

<strong>to</strong> each user with this selection checked. The list<strong>in</strong>g will display the Date/Time, Sender, and<br />

Subject of the emails.<br />

Your <strong>SPAM</strong> folder will au<strong>to</strong>matically discard any messages older than 10 days. This list<strong>in</strong>g will<br />

give you the opportunity <strong>to</strong> review the list for any email from colleagues or friends that was<br />

<strong>in</strong>accurately marked as <strong>SPAM</strong>. You will then have up <strong>to</strong> 10 days <strong>to</strong> retrieve the message(s)<br />

before they are deleted. If you notice that some email from friends is consistently be<strong>in</strong>g marked<br />

as <strong>SPAM</strong>, you could add their address <strong>in</strong> the Friends: section described above.<br />

If you do not want <strong>to</strong> receive the daily digest list<strong>in</strong>g, clear the selection box.<br />

Save Rule(s) but<strong>to</strong>n: when you are f<strong>in</strong>ished mak<strong>in</strong>g all your changes, you must click this but<strong>to</strong>n<br />

<strong>to</strong> save the changes. When you select the "Save Rule(s)" but<strong>to</strong>n, spam rules will be created<br />

us<strong>in</strong>g the criteria you selected. Your browser will return <strong>to</strong> the <strong>Rules</strong> page, where you will be<br />

able <strong>to</strong> view or edit your rules.<br />

Please note that the actual rules created do not have spaces <strong>in</strong> the name.<br />

the "MoveSpam" rule will au<strong>to</strong>matically move messages <strong>to</strong> the <strong>SPAM</strong> folder if they are<br />

tagged as spam. This is a default rule. See the description for, “Move <strong>SPAM</strong> tagged<br />

mail <strong>to</strong> <strong>SPAM</strong> folder:” on the previous page.<br />

the "SpamExcuseSender" rule will prevent mail messages from the list of senders you<br />

specify from mov<strong>in</strong>g <strong>to</strong> the <strong>SPAM</strong> folder. This rule is setup by the “Friends:” selection.<br />

the "SpamExcuseNonWes" rule will prevent messages conta<strong>in</strong><strong>in</strong>g non-Roman script<br />

(e.g., Korean, Arabic, Cyrillic, Ch<strong>in</strong>ese) from mov<strong>in</strong>g <strong>to</strong> the <strong>SPAM</strong> folder. This rule is<br />

the result of the “Allow non-Roman script messages:” selection.<br />

the "SpamTrash" and "SpamDeleteAll" and "DeleteNonSIL" rules will silently discard<br />

messages meet<strong>in</strong>g your criteria. You will not be notified. Legitimate messages may be<br />

lost. These rules are dependent on the selections:<br />

o Discard select messages au<strong>to</strong>matically:<br />

o Discard all messages with <strong>SPAM</strong> tags:<br />

If you created Spam <strong>Rules</strong> on the server prior <strong>to</strong> December 1, 2012, these rules will be rewritten<br />

so they will cont<strong>in</strong>ue <strong>to</strong> either delete or release spam as they did <strong>in</strong> the past. Cus<strong>to</strong>m rules that<br />

you had on the server before that date may not work <strong>in</strong> the new system. When you click the<br />

Create/Modify Spam <strong>Rules</strong> but<strong>to</strong>n your screen may appear similar <strong>to</strong> the image below.<br />

The descriptions of all the selections on page 3 and 4 of this document still apply. Remember<br />

that if you make changes you must click the Save Rule(s) but<strong>to</strong>n <strong>to</strong> save your changes. Some of<br />

your exist<strong>in</strong>g spam rules will be replaced based on your changes.<br />
