The screen shots shows the list bar on the left which can be fully<br />
customised to show button and background images, colours, captions etc..<br />
All toolbars and menus can be customised using the built in form properties<br />
manager so that the most commonly used functions are available where<br />
they are most needed.<br />
Because the application runs in a Windows environment, it is very<br />
responsive and makes extensive use of Windows techniques such as drag &<br />
drop and cut & paste.<br />
<strong>TriSys</strong> employs a unique window management mechanism to allow forms to<br />
be grouped together to create custom views. This ensures that users can<br />
easily navigate their way around the system.<br />
All windows are scrollable so that the application can be accessed on all<br />
devices on all resolutions.<br />

<strong>TriSys</strong> is a customer relationship management (CRM) application for<br />
managing relationships between all of your customers, clients & candidates<br />
alike.<br />
CRM is much more than contact management or sales force automation.<br />
CRM allows you to manage every single relationship between not only you<br />
and your customers, but between all parties.<br />
Using <strong>TriSys</strong>, the business rules which govern the relationships between all<br />
client contacts, companies, addresses, candidates, requirements,<br />
placements, timesheets etc.. are built into the system. Unlike nonrecruitment<br />
specific CRM systems, <strong>TriSys</strong> understands the business<br />
relationships between your contacts and the associated recruitment<br />
processes.<br />
A typical business process built into <strong>TriSys</strong> would be the candidate search<br />
and shortlisting procedure when a recruiter is working on a client<br />

The recruiter selects how to send the CV (or CV's of many candidates) to<br />
the client for this requirement in the action dialogue. Pressing the Go button<br />
in this action invokes a series of functions which mail merges a letter,<br />
appends a CV, saves a copy of the document, attaches the letter to an e-<br />
mail, sends it to the client, records a copy of the e-mail against the<br />
requirement, client and company record, and finally creates a follow-up<br />
diary entry to remind the recruiter to call back the client to check that he<br />

The action demonstrated above is one of 31 so called 'standard actions'<br />
which comprise the base product. These actions are designed to make the<br />
recruitment process as intuitive and reliable as possible for agencies and HR<br />

<strong>TriSys</strong> - ISYS Free Text Search<br />
The award winning ISYS Text Retrieval engine is fully integrated into <strong>TriSys</strong>.<br />
The recruiter can specify any word, phrase, paragraph or combinations<br />
thereof (boolean logic) and ask <strong>TriSys</strong> to search through the entire<br />
database of CV documents. <strong>TriSys</strong> will not only find the document within a<br />
second, but will display the list of 'hits' within the CV and show the<br />
candidate details on-screen, ranked according to your specified criteria.<br />
In the example below, the recruiter has specified the free text search SQL<br />
// (Java or IEEE or Beans). This asks the ISYS engine to search for CV's<br />
where the word SQL is in the same paragraph as Java, IEEE or Beans.<br />

<strong>TriSys</strong> highlights the relevant paragraphs in the CV so that the recruiter can<br />
easily find the interesting text.<br />
It is worth noting that the ISYS CV searching is fully integrated with other<br />
searching techniques e.g. standard fields, skills, post code radial searching,<br />
lookups etc.. This means that there is only one search, which has multiple<br />
options, rather than having to do separate searches in order to find<br />
candidates.<br />
ISYS indexes the CV's in advance of searching, usually as a background<br />
process. Any CV format can be indexed and searched including Word, RTF,<br />

In order to manage the tens of thousands of new CV's which arrive via e-<br />
mail, CD, floppy or are scanned, <strong>TriSys</strong> has an in-built automatic CV<br />
recognition function. CV Auto-Recognition opens the new CV and uses an<br />
advanced CV rules-based engine to match the <strong>TriSys</strong> database fields with<br />
those found on the CV.<br />
New candidate records can be created automatically without any user<br />
intervention for fast population of the CV database. Updates to existing<br />
candidate records are handled seamlessly and effortlessly by the user.<br />
In the example below, the recruiter has identified a batch of CV's which<br />
have been received via e-mail. These are automatically copied into the<br />
recognition area on the server. The user has asked to be prompted for<br />
confirmation of the CV recognition process.<br />

or manually fill in/correct any fields which are not recognised.<br />
When the user verifies the record, it is automatically created in the<br />
database and the user moves on to the next CV. This process can take as<br />
little as 15 seconds per CV with manual interaction, or less than a second<br />

<strong>TriSys</strong> is a fully web-browser enabled application as well as a Windows<br />
desktop application. It achieves this by having a single centralised<br />
database, but multiple application interfaces to the same database.<br />
It is possible using the different 'clients', to use <strong>TriSys</strong> in a desktop, through<br />
a web browser, over the internet or on any web enabled device e.g.<br />
cellphone, Pocket PC etc...<br />
In the example below, the recruiter operating from an internet cafe, has<br />
connected to the agency web site through a web browser in the normal<br />
fashion. Once there, the recruiter has clicked on a link to connect him<br />
securely to his <strong>TriSys</strong> system running at the office.<br />

Clients can log into this site through a web browser and maintains<br />
vacancies, search for candidates, authorise timesheets. Candidates can<br />
search for vacancies, login and apply and enter timesheets. This interface is<br />
connected to the same <strong>TriSys</strong> database as the recruiters are using so all<br />
web activity can be backed up by agency workers for a very responsive<br />
service.<br />
<strong>TriSys</strong>Web is completely brandable to reflect the preferred style of the<br />
agency. Look at this example of a live site which has been branded.<br />
The final web browser interface is <strong>TriSys</strong> Lite. This is an HTML only client<br />
which can be deployed in 'hostile' environments where the agency has no<br />
control over their external communications e.g. limited bandwidth, firewall<br />
limitations, insufficient finance to purchase servers etc..<br />
<strong>TriSys</strong> Lite can be hosted by an agency, or an application service provider<br />
(ASP) to offer small companies a reliable and 'always-on' web based contact<br />
management system.<br />

<strong>TriSys</strong> contains sophisticated business rules which govern the relationships<br />
between all client contacts, companies, addresses, candidates,<br />
requirements, placements, timesheets etc.. which are built into the system.<br />
Unlike non-recruitment specific CRM systems, <strong>TriSys</strong> understands the<br />
business relationships between your contacts and the associated<br />

<strong>TriSys</strong> however, recognises that all recruitment agencies operate in<br />
different ways and are each unique in certain respects. In order to allow the<br />
existing system business rules to be modified and new processes to be<br />
added, <strong>TriSys</strong> provides designer tools to allow an administrator to maintain<br />
workflow business processes.<br />
Workflow in <strong>TriSys</strong> is a series of business stages of any particular work<br />
process. This may be sending letters, e-mailing CV's, asking for references,<br />
routeing tasks to other departments, sending diary reminders to a group<br />
etc..<br />
Workflow is orchestrated in <strong>TriSys</strong> using Actions. An action is comprised of<br />
one or more action functions. Each function can carry out an e-mail, mailmerge,<br />
note/history, scheduled-activity, capture form parameters, update<br />
the database, invoke a program and finally call another action. Because any<br />
number of functions can be chained together, a single action can fulfil many<br />
workflow processes.<br />

edited to reflect the desired branding/image of the agency. This is the only<br />

<strong>TriSys</strong> supports very tight integration with both e-mail clients and servers.<br />
<strong>TriSys</strong> can automate e-mail production to the following e-mail client<br />
programs: Microsoft Outlook, Outlook Express, Lotus Notes, Novell Group<br />
Wise. E-Mails can be rich in content including styles and graphics.<br />
<strong>TriSys</strong> can also record both inbound and outbound e-mail as Note/Histories<br />
from both Exchange Server and Outlook folders. This allows copies of all e-<br />
mails to be tagged against the associated contact ensuring that a complete<br />
history of communication is maintained, even in the case of remote e-mail<br />
usage.<br />
In the following example, the agency wishes to send out its weekly<br />
newsletter to its most loyal clients. An action is created to send an HTML<br />
format e-mail detailing the news and this is formatted using the Microsoft<br />
Front-Page editor. When the action is invoked for the list of loyal<br />
customers, each one receives a personalised e-mail newsletter.<br />

A copy of the e-mail is saved against each contact to whom it is sent.<br />
When an Exchange e-mail server is deployed, a <strong>TriSys</strong> component is fully<br />
integrated with Exchange Server to capture and read e-mails addressed to<br />
known e-mail addresses. For example by setting up an e-mail address for<br />
CVS@YourAgency.co.uk, <strong>TriSys</strong> can automatically transfer all CV's into the<br />

It is also possible to capture all inbound e-mails based upon the subject<br />
heading. For example, all candidate responding via e-mail to an advertised<br />
reference number, can be automatically added to a requirement shortlist<br />
and the managing recruiter notified by an alarm.<br />

<strong>TriSys</strong> is tightly integrated with all versions of Microsoft Office.<br />
In its simplest form, Word is used to view all CV's directly from a candidate<br />
record, or requirement candidate search results grid. Word is also used<br />
when viewing historical documents generated by the system.<br />
<strong>TriSys</strong> uses Word templates as the basis of all mail-merging. A Word<br />
template is like a normal Word document, but it can point at a data source<br />
in order to pull fields into the document from the database when an action<br />
is run from <strong>TriSys</strong>.<br />
When an action is run for either a single contact or a range of contacts,<br />
<strong>TriSys</strong> creates a mail-merge letter for each contact in the list. The resulting<br />
letter is opened in Word, data is merged into it from the database, a copy<br />
of the letter is saved on disk, a note/history linked to the letter is created,<br />
and optionally the letter is attached to an e-mail.<br />
In the following image, the Word template is customised by adding fields<br />
from the <strong>TriSys</strong> database to the template. When the action is run, Word is<br />
automated and the fields from <strong>TriSys</strong> are merged into the document to<br />
create the finished letter.<br />

This technology allows recruiters to take snapshots (or all) of their contact<br />
and calendar details with them whilst 'on-the-road' and synchronise with<br />
the <strong>TriSys</strong> database on return to the office.<br />
A mobile telephone using Pocket PC comes with a cradle and USB cable.<br />
This allows it to use 'ActiveSynch' to synchronise contacts, calendar, e-mail<br />
and tasks with Outlook (or Exchange server). <strong>TriSys</strong> does 2-way<br />
synchronisation with the phone through Outlook so that all contact details<br />
updated either in the <strong>TriSys</strong> database or on the phone are automatically<br />
synchronised.<br />
The phone featured above also comes with GPRS to connect to the internet<br />
to browse and to send/receive e-mail.<br />

A user can belong to one or more groups so for example, it is possible for a<br />
recruiter to belong to the Paris office, and work in the ERP resourcing team.<br />
Each user is granted a secure login and password, and each user can view<br />
only their own data. Groups can be setup in the same fashion so that each<br />
group member can view only their groups contacts/companies etc.. This<br />
preserves competition between divisions/offices if that is how the business<br />
is run.<br />
It is possible for each division to have their own database, but <strong>TriSys</strong><br />
recommends that the corporation uses a centralised database architecture<br />
to ensure that costs and overheads are kept to a minimum.<br />

design workflow processes. The administrator can edit or create new<br />
actions using the actions designer. An action is comprised of one or more<br />

database, invoke a program and finally call another action. Because any<br />
number of functions can be chained together, a single action can fulfil many<br />

In order for administrators to customise the layout and content of the grids<br />
throughout <strong>TriSys</strong>, the Query Designer can be used to specify which<br />
columns from what tables are displayed. <strong>TriSys</strong> Query designer also permits<br />

user for input. Query views can be customised without any programming.<br />

accessibility of Crystal Reports throughout <strong>TriSys</strong>. The Report Designer can<br />
be used to specify which reports can be invoked from which forms, menus<br />

provider in order to automate the sending of text messages direct from the<br />

This can be done either by using a suitable SMS messaging dial-up utility<br />

(e.g. O2).<br />

When the user presses the Send button, <strong>TriSys</strong> initiates a conversation with<br />
the telecoms provider, logs in and sends an XML text stream containing the<br />
message. The telecoms provider send the message to the specified mobile<br />
number.<br />
By purchasing messages in advance, agencies can save money and bring<br />
the cost per message down to a very reasonable amount (see telecoms<br />
charges for details).<br />
It is also possible to configure <strong>TriSys</strong> to fire SMS messages in response to<br />
candidates applying for vacancies on the web. <strong>TriSys</strong> can also be configured<br />
to send a batch of SMS messages to candidates signing up for job listing<br />

<strong>TriSys</strong> can read and provide very fast access to the Royal Mail Post Code<br />
address file (PAF) which contains a list of all current UK postal addresses.<br />
The PAF data can be used to provide both address look up based upon post<br />
code and also radial searching.<br />
In this screen shot, the user has entered a wildcard post code and <strong>TriSys</strong><br />
has looked up all matches in the PAF and offered the user a choice.<br />

When the user selects an address, all details are automatically completed in<br />
the contact form. This is a very fast and accurate way to fill in contact<br />
details and is available in all places in <strong>TriSys</strong> where address information is<br />
gathered.<br />
The PAF also contains the grid reference of each post code, so <strong>TriSys</strong> can<br />
provide 'radial searching' capabilities for searching based upon address<br />
details. In a typical scenario, a recruiter might search for candidates who<br />
live within a 15 mile radius of a client, in addition to having the necessary<br />
CV skills. Radial searching thus aids a recruiter in finding more suitable<br />
candidates for certain jobs where location is an important factor.<br />

When a call is received, <strong>TriSys</strong> is immediately notified and opens up the associated contact or<br />
company record matching the telephone number. The recruiter has therefore got all contact<br />
details in view before answering the telephone. This is called 'screen-popping'.<br />
<strong>TriSys</strong> does not require additional CTI components. It is possible through the standard windows<br />
telephony application programming interface (TAPI), to use standard windows diallers to allow<br />
for hands free dialling. In this example, the user simply clicks on the ellipse button to the right<br />

<strong>TriSys</strong> allows requirements to be uploaded to on-line job sites with a single<br />
click.<br />
Jobs/Requirements/Vacancies can be automatically uploaded to a job<br />
service every minute by the <strong>TriSys</strong> server, or can be uploaded on demand<br />
via an action from a recruiter. All updates to the requirement can be<br />
uploaded in the same fashion. By marking the requirement as dead or filled,<br />
the job will be automatically removed from the web site.<br />
<strong>TriSys</strong> jobs uploaded in this fashion can contain a direct web link to the<br />
vacancy in <strong>TriSys</strong> Web. This allows candidates to follow a link from the job<br />
site directly to you web site from where they can apply on-line. Alerts will<br />
automatically pop-up in <strong>TriSys</strong> and be routed to the recruiter who owne the<br />
requirement when a candidate applies in this fashion.<br />

<strong>TriSys</strong> - Active Searching<br />
<strong>TriSys</strong> has an in-built mechanism to match existing requirements with<br />
newly registered candidates.<br />
When a requirement is entered into <strong>TriSys</strong> either via a recruiter or by a<br />
client direct on <strong>TriSys</strong>Web, the requirement can be matched to existing<br />
candidates registered in the system either automatically or by specific<br />
searches. If no suitable candidates are found, the requirement may remain<br />
unfilled. <strong>TriSys</strong> offers a solution to this problem.<br />
Active searching runs continuously in the database engine to ensure that<br />
newly registered or updated candidates are automatically matched to<br />
existing live requirements. Active searching keeps your candidate database<br />
and requirement database 'in-sync'. The example below shows how active<br />
searching can be setup to run every hour on the database server to match<br />
specified candidate and requirement criteria.<br />

<strong>TriSys</strong> can capture TimeSheets in 2 ways: using the <strong>TriSys</strong> application or<br />
via <strong>TriSys</strong> Web.<br />
A <strong>TriSys</strong> TimeSheet is linked to a placement record. TimeSheets can be<br />
setup to capture time based upon hourly, daily, weekly, monthly periods.<br />
Periods can be defined for any date range so that erroneous and duplicate<br />
data cannot be entered. <strong>TriSys</strong> can capture any number of overtime rates.<br />
The following screenshot shows a weekly timesheet capturing standard<br />
hours and a series of overtime rates in addition to expenses & allowances.<br />
