<strong>Social</strong> <strong>Security</strong><strong>Numbers</strong>Every new seasonal employee completes theirintroductory checklist including the necessaryorientations and trainings, but J-1 student employeeshave additional mandatory steps as they begin workincluding filing for a <strong>Social</strong> <strong>Security</strong> Number.Need to Know Facts: All J-1 Employees must apply for a <strong>Social</strong> <strong>Security</strong>Number All employees may legally work and be paid before theyreceive their SSN Contact <strong>Intrax</strong> Support with any questions throughoutthe processThe FundamentalsWhen your J-1 student employees arrive, they maybe at different stages of the <strong>Social</strong> <strong>Security</strong> Numberapplication process. Before arriving, some employeesmay have their SSN cards in hand, others may nothave applied yet.For those who apply after arriving, J-1 studentemployees’ application process will take about 2weeks before they receive their card and number.Remember:With or without <strong>Social</strong> <strong>Security</strong> <strong>Numbers</strong>, your J-1students are legally authorized to begin work on thescheduled first day of employment and be paid onschedule as long as they meet the applicationrequirements.1


From the Department of StateIf you or your J1 employees have any concerns aboutemployment and work eligibility before receivingSSN’s, please refer to SSA Publication No. 05-10107,Foreign Workers and <strong>Social</strong> <strong>Security</strong> <strong>Numbers</strong>, athttp://www.ssa.gov/pubs/10107.pdf.SSA Publication states:“We do not require you to have a <strong>Social</strong><strong>Security</strong> number before you start work.However, the Internal Revenue Servicerequires employers to use your <strong>Social</strong> <strong>Security</strong>number to report your wages. While you waitfor your <strong>Social</strong> <strong>Security</strong> number, youremployer can use a letter from us stating youapplied for a number, and your immigrationdocuments can prove your authorization towork in the United States. Employers can findmore information on the Internet athttp://www.socialsecurity.gov/employer/hiring.htm .”Recommended Steps for Applying for a SSNHere’s what <strong>Intrax</strong> recommends to expedite receipt ofthe <strong>Social</strong> <strong>Security</strong> card and ensure compliance:1. Be sure that students register on SEVIS as soonas they arrive. The system takes 3 or moredays to verify student entries. The <strong>Social</strong><strong>Security</strong> office will check SEVIS registration inorder to verify work eligibility.2. Have students apply at the local <strong>Social</strong><strong>Security</strong> office 3 to 10 days after arrival.3. Remind students to take all requireddocuments includinga. Passportb. I-94 cardc. DS-2019 - Certificate of Eligibility forExchange Visitor Statusd. A sponsor letter to proveemployment4. If a large number of students will be applyingat the local <strong>Social</strong> <strong>Security</strong> Office on thesame day, call the office so they areprepared. In some cases, a <strong>Social</strong> <strong>Security</strong>representative may be willing to processapplications at your work site which canexpedite the arrival process both for studentand employer.5. Be sure that students obtain a receipt oracknowledgement of their social securitynumber applications before leaving the<strong>Social</strong> <strong>Security</strong> office6.
