Transformers are not available and should be brought by exhibitors.Space only standsCompanies building their own stand are provided with the space and standard electricity connection only.Stands must not exceed the maximum height in each room as specified above. Stand drawings ofall proposed space only stands must be submitted to the Organisers for approval, no later than30 th July <strong>2012</strong>. It would be helpful if you could also let us know whom you have appointed asyour contractor to build the stand. It is the responsibility of free-build exhibitors to observe the building, fireand health and safety regulations of the venue. If you would like to order extra equipment, contactMolinos Estudios: lorena@molinossl.com.Stands with a floorA platform floor is advised if heavy equipment is stored on the stand (100kgs/m 2 or more). Authorisationmust be requested in writing to the Organiser. A descriptive report and to-scale plans should be presented.The use of wooden platforms is recommended for stands with a lot of electrical wiring, the stand constructioncompany will be able to advise on this matter. Exhibitors who use such platforms should bear in mind that themaximum height allowed, measured from floor level to the top of the platform, is 5 cm. The platform sidesmust be closed and finished neatly. The platform edges must be safe (secured, safe and easily visible).Platforms should be placed within the stand perimeter. The platform must allow access to those inwheelchairs. Please note the edges should be sloped for this purpose or a ramp included within standperimeter. The floor, columns and installations (distribution boxes, piping, rented shell stands, etc.) of thevenue shall be left in the same state they were found in. Any damage shall be repaired by the Exhibitionagent at the Exhibitor’s expenses.Staffing and stand displaysThe exhibitor must ensure that his/her stand is ready at least one hour before the official opening of theexhibition on each day of the Conference. Articles to be exhibited must be kept within the stand perimeter.Stands must be staffed during the opening hours of the exhibition. Exhibits are not to be removed until theexhibition has closed, including the last day of the conference.Dismantling not permitted during the conferenceFrom Monday, 29 October, 09.00 to Wednesday, 31 October, 16.30 all stands are to remain in theirentirety, no dismantling or removal during this period is permitted.Stand decorationUnder no circumstances may the exhibitor increase the exhibition space beyond the space that has beenallocated. The organiser does not permit the total enclosure of the stand. The exhibitor or his/her contractormay not interfere with the exhibition building in any way whatsoever. Any damage caused by their acts ofnegligence will be the responsibility of the exhibitor, who will be required to indemnify the organiser and itscontractors against any claim arising from such damage. Pillars that are not part of the reserved floor spacemay not be decorated as they are part of the public area. No flammable materials may be used. Equipmentdisplayed or demonstrated must be installed according to the safety regulations issued by the conferencevenue. The fireproofing of the installations must be made by a qualified company issuing the certificate of anapproved organisation. Excessive audible and visual attention-seeking devices or effects are prohibited.15

HYDRO <strong>2012</strong>Euskalduna Palacio De Congresos, BilbaoMonday 29 to Wednesday 31 October <strong>2012</strong>Conduct of exhibitors and representativesAnnoyance: The Exhibition Organisers reserve the right to stop any activity on the part of any Exhibitor thatmay cause annoyance to other exhibitors or visitors. Business must be conducted only from the Exhibitor’sown stand and under no circumstances may this be carried out from a gangway or elsewhere within theExhibition. Exhibition stands should create the opportunity for the company to show and display informationrelevant to both the company and their products, and other scientific information that they may choose.Activities not related to the profession of <strong>hydro</strong>power development are deemed inappropriate under this Codeof Practice. The standard of exhibition stands will be under the scrutiny of the organisers. Partially or whollysubleasing or otherwise relinquishing a stand to a third party as well as private arrangements for exchange ofstands or floor space between Exhibitors without the express permission and acceptance of the Organiser isprohibited. Advertising material or signs of persons or companies other than those actually renting the spaceare prohibited. Exhibitors may not use audible equipment which may be heard outside the exhibitors’ assignedspace. Live presentations: Presentations are not permitted without prior approval from the organisers.Publicity Material and Giveaways: Publicity material and giveaways shall be displayed and/or given away onlyfrom the Exhibitor’s own stand. Leaflets displayed at any other point throughout the Premises will be removedor destroyed by the Exhibition Organisers. Competitions: Contests, lotteries, raffles are subject to theapproval by the Organiser. Projected Images: Projected images, however generated, may not play on to aislesor on to other stands. An Exhibitor may not, except by express written permission of the ExhibitionOrganisers, display directly or indirectly, advertise or give credits to any products other than his own or hisnamed principal’s. The display of acknowledgement or credit indicating membership of organisations or tradeassociations is not allowed except by the express written permission of the Exhibition Organisers. TheExhibition Organisers reserve the right to have masked or removed from the Premises any product or signviolating this regulation. Exhibitors will not be allowed to display exhibits in such a manner as to obstruct thelight or impede or project over gangways or affect the displays of neighbouring exhibitors. Gangways must atall times be kept clear and free for passage. All emergency exits and access to service areas are to be keptclear at all times and must not be restricted or rendered unrecognisable. Public gangways shall remain themeans of escape even during build up and break down periods. Any Exhibitor who continues to causeobstruction or nuisance after notice has been given will be liable to have his stand closed by the ExhibitionOrganisers at the Exhibitor’s expense and risk.Waste disposalIt is the responsibility of the exhibitor to ensure that all debris and waste material including boxes forpackaging arising from his stand construction and stand dismantling are completely removed from theexhibition area prior to the opening of the exhibition and at the end of the Conference. The exhibition area willbe cleaned prior to the event, and then each day after delegates leave. Exhibitors are responsible for keepingthe inside of their stand clean.WorksNo exhibitor shall object to the construction, demolition, repair, or replacement of any buildings or plant, orthe carrying out of any other activity or undertaking of any vibration, noise, or other nuisance arising therefrom or in relation thereto, whether under or over or (in the case of emergency only) within the Premises orany other adjoining or neighbouring premises and whether by the Premises or any other owner or occupier. Ifthe Exhibitor fails to comply in any substantial respect with the terms of these Rules and Regulations, theExhibition Organisers have the right to sell the stand space. The Exhibitor, however, will be liable for any losssuffered by the Exhibition Organisers thereby and all monies paid by the Exhibitor shall be absolutely forfeitedto the Exhibition Organisers.Exhibitors are not permitted to:• Erect or use names or trade marks which may be misleading or cause hindrance to the Exhibitors atthe other stands or to the Conference visitors.• Dismantle or remove any stands prior the end of the conference.• Drill, screw or nail the walls, ceilings, floors or columns of the exhibition areas.• Place any heavy loads either on the structure of the walls and columns, or any of the technicalinstallations of the Halls due to decoration or the objects on display.• Hang advertising from the ceilings of the halls or to affix stand parts, posters or other promotionalmaterial to columns, walls, girders, etc. of the venue within or outside the stand space assigned.16

Method of payment:credit card or bank transfer.Delegate Registration Cancellation / Changes of ordered servicesCancellations or changes must be made in writing to the Exhibition Agent. In case of cancellations less than7 days before the start of the event, 50% of the contractual price will be charged. No reimbursement shall beapplicable in case of cancellation or change forwarded less than 48 hrs before the lease starts. Fees may apply.Liability for rented equipmentThe Exhibitor will be charged for any loss of or damage of rented equipment.Storage of emptiesNo refuse (e.g. empty cartons, crates or shipping/packing materials) may be left in the aisles. We strongly urgeexhibitors to secure their stand against theft or damage, and arrange appropriate insurance. Valuable objects,which may easily be removed, should be locked away during the night or whenever the stand is leftunattended. The Organiser accepts no responsibility for goods stolen from exhibits.Water connectionWater connections are available upon request, depending on the stand location. HYDRO <strong>2012</strong>Euskalduna Palacio De Congresos, BilbaoMonday 29 to Wednesday 31 October <strong>2012</strong>FIRE AND SAFETY REGULATIONS OF THE VENUE1) SMOKING and manipulation with open fire are PROHIBITED during organisation of individual social,cultural, sales, sports or other events within the entire hotel, including its hallways and terraces.2) All escape routes must be kept free at all times, not blocked by any objects which could hinder possibleevacuation, and must have a minimal passage width of 2 m between the rows of stands if these form acontinuous line/s/. Between the sides of individual stands, a proper access to these stands, i.e. to each oneseparately, must be secured, with minimal spacing of 85 cm.3) Individual profiles of escape routes and exits, electricity distribution boxes, main switches, and media seals(gas, electricity, water etc.) must not be blocked or narrowed. The same rule applies to all facilities forprovision of fire protection, i. e. fire extinguishers, fire hydrants, electric fire alarm sensors (EPS), heads ofstationary extinguishing systems (sprinklers).4) Should the stand position be located close to glass surfaces of the building perimeter, it is necessary tokeep to so-called fire dividing zone with the minimum distance of 150 cm from the glass surfaces. Noflammable or fire-supporting material may be located close to glass area of the outer surface of thebuilding. This area must be kept free at all times; no material is to be stored therein.5) Exhibitors are required to document (by respective certificates on call of the local fire department) firecharacteristics of used substances and materials (wood, fabric...) including impregnation treatment (ifapplied) of flammable materials (flammability – I, II, III class) with valid certificates. Exceptions must bediscussed in advance and approved by a competent person.6) Within all premises of the hotel it is generally prohibited to use, store, or handle in any way flammable orfire-supporting substances or liquids, bottled-gas burners, cookers and portable heating (both gas andelectric), as well as pressure tanks (bottles) filled with propane-butane or other compressed technicalgases.7) The lessee is obliged to ensure that the maximum number of persons in individual rooms/areas is notexceeded, with regard to evacuation capacity possibilities.8) All welding and cutting works, either using welding sets (gas, oxygen), or using electricity (resistancewelding), or using electric grinding saw etc., need to be permitted by the Organisers and the Hotel.18
