Standard ERPstreaml<strong>in</strong>es bus<strong>in</strong>essoperationsTo optimize its bus<strong>in</strong>esspractices, Azelis rolls out<strong>Microsoft</strong> <strong>Dynamics</strong> TM <strong>AX</strong> <strong>in</strong><strong>11</strong> countries


One platform across the board<strong>Avanade</strong> <strong>in</strong>itiated a pilot project <strong>in</strong>Belgium, which is also where Azelis’scentral IT organisation is located. “It wasthe most obvious approach,” Desmaelebelieves. “We are very familiar with theregional legal requirements here, andthe <strong>Avanade</strong> offices are located nearby.”<strong>Avanade</strong> successfully completed thepilot project with<strong>in</strong> a four-monthtimeframe, after which <strong>Avanade</strong>cont<strong>in</strong>ued to roll out <strong>Dynamics</strong> <strong>AX</strong> on acountry-by-country basis. This <strong>in</strong>cludedaccount<strong>in</strong>g, f<strong>in</strong>ance, purchas<strong>in</strong>g, sales,production, stock management andreport<strong>in</strong>g.For Azelis, it was important to <strong>in</strong>cludethe Safety, Health, Environment &Quality Management (SHEQ) of itsproducts <strong>in</strong>to the project scope. Fromthe very beg<strong>in</strong>n<strong>in</strong>g, the new ERP systemalso had to provide the necessarysupport for the European REACHdirective (Registration, Evaluation,Authorisation & Restriction ofChemicals). Dur<strong>in</strong>g the first phase,Azelis m<strong>in</strong>imized <strong>Dynamics</strong> <strong>AX</strong>customizations. “We just amended thesystem <strong>in</strong> order to comply with locallegal requirements,” says Jes<strong>in</strong>ghaus.“We then tackled all issues stand<strong>in</strong>g <strong>in</strong>the way of the bus<strong>in</strong>ess and <strong>in</strong>tegrated<strong>Dynamics</strong> <strong>AX</strong> with the systems ofexternal parties, such as our logisticspartners.”The entire Azelis group uses onecentralised <strong>Microsoft</strong> <strong>Dynamics</strong> <strong>AX</strong>system that is hosted at the datacentre<strong>in</strong> Denmark, where the company alsohas its own IT development department.Azelis staff members from all overEurope can easily access the system viaCitrix ® , a technology that connectsemployees to the central application viaa local PC without hav<strong>in</strong>g to <strong>in</strong>stall theclient software of <strong>Microsoft</strong> <strong>Dynamics</strong><strong>AX</strong>.Swift implementationAdapt<strong>in</strong>g the system to meet local legalrequirements was the greatestchallenge. “<strong>Dynamics</strong> <strong>AX</strong> does notprovide standard support to manage thedifference <strong>in</strong> legislation that applies <strong>in</strong>the various countries,” expla<strong>in</strong>sDesmaele. “But, fortunately, <strong>Avanade</strong>has a highly specialized knowledge ofthe local markets. This meant that,despite a number of customizations thatwere required from a legal standpo<strong>in</strong>t,we were able to roll out the systemquite quickly <strong>in</strong> all countries.” After thepilot project <strong>in</strong> Belgium, other roll-outsfollowed <strong>in</strong> Spa<strong>in</strong>, Italy and theNetherlands. In the Nordic countries andthe U.K., the Azelis companies werealready work<strong>in</strong>g with <strong>Dynamics</strong> <strong>AX</strong>.Desmaele notes: “We simply <strong>in</strong>cludedthe customizations that had alreadybeen developed <strong>in</strong> those regions as partof the roll-outs <strong>in</strong> the other countries.That way, we were able to make reallyfast progress.”A fast roll-out was crucial for Azelis. Thecompany wanted to have a uniformplatform <strong>in</strong> place as quickly as possibleand consider<strong>in</strong>g the scope of the project,<strong>Avanade</strong>’s role was, therefore, of greatimportance. Overall, 15 <strong>Avanade</strong>consultants were <strong>in</strong>volved <strong>in</strong> the Azelisproject full-time, supported by severallocal <strong>AX</strong> experts. Together, theyhandled the conversion of the oldsystems and the required adjustments tomeet local legislation, as well as, solv<strong>in</strong>gany local issues h<strong>in</strong>der<strong>in</strong>g the bus<strong>in</strong>ess,tra<strong>in</strong><strong>in</strong>g users and support<strong>in</strong>g thevarious go-lives.To further streaml<strong>in</strong>e the newoperational bus<strong>in</strong>ess structure, Azeliswill be go<strong>in</strong>g through a Bus<strong>in</strong>essProcess Reeng<strong>in</strong>eer<strong>in</strong>g phase <strong>in</strong> theupcom<strong>in</strong>g months. “We have outl<strong>in</strong>ed abluepr<strong>in</strong>t,” says Jes<strong>in</strong>ghaus. “We arenow convert<strong>in</strong>g that bluepr<strong>in</strong>t <strong>in</strong>to adetailed implementation whilesimultaneously document<strong>in</strong>g how ourstaff will have to use the system.”“[<strong>Avanade</strong>] has a highly specializedknowledge of the local markets. <strong>Avanade</strong> will also provide thenecessary support dur<strong>in</strong>g the<strong>in</strong>troduction of these new bus<strong>in</strong>essprocesses.<strong>Microsoft</strong> <strong>Dynamics</strong> CRM is be<strong>in</strong>gimplemented as well. “That is also oneof the benefits of work<strong>in</strong>g with<strong>Avanade</strong>. If we would temporarily needadditional resources for our CRMimplementation, to accommodate peakmoments, for example, we know that<strong>Avanade</strong> is able to help usimmediately.”A foundation for future growthBy implement<strong>in</strong>g <strong>Microsoft</strong> <strong>Dynamics</strong><strong>AX</strong>, Azelis now has an <strong>in</strong>tegrated,uniform IT platform across the entiregroup. “We are now all work<strong>in</strong>g withthe same system,” says Desmaele,“which enables us to cooperate muchbetter.” At the same time, there is alsofar more transparency <strong>in</strong> report<strong>in</strong>g.Previously, it required the consolidationof a large number of local Excelreports. Today, everyth<strong>in</strong>g is generatedautomatically by the same system. Asa result, th<strong>in</strong>gs get done a lot fasterand management <strong>in</strong>formation is muchmore accurate.In addition, <strong>Dynamics</strong> <strong>AX</strong> provides aplatform capable of support<strong>in</strong>g thefuture growth of Azelis. “We cont<strong>in</strong>ue togrow,” says Jes<strong>in</strong>ghaus. “The fact thatwe now have a standard environment<strong>in</strong> place will enable us to absorb newlyacquired companies much morequickly <strong>in</strong>to the company structure.”And, of course, us<strong>in</strong>g <strong>Dynamics</strong> <strong>AX</strong>has also had a positive impact on thecost structure of the IT department.“We now have only one system toma<strong>in</strong>ta<strong>in</strong>, <strong>in</strong>stead of a dozen,” he adds.Additional f<strong>in</strong>e-tun<strong>in</strong>g of theimplemented system will be carried outuntil the end of 20<strong>11</strong>. In 2013, aga<strong>in</strong> <strong>in</strong>cooperation with <strong>Avanade</strong>, Azelis isplann<strong>in</strong>g to migrate to <strong>Dynamics</strong> <strong>AX</strong>2012.Results One <strong>in</strong>tegrated ERP platform foran enterprise group operat<strong>in</strong>g <strong>in</strong>26 countries, enabl<strong>in</strong>g greaterefficiency, better collaboration andlower costs.
