INTRODUCTIONWelcome to the London Media Centre <strong>Rate</strong> <strong>Card</strong>.The official London Media Centre (LMC) is the hostcity’s facility <strong>for</strong> media coming to London during the2012 Olympic <strong>and</strong> Paralympic Games. Based atOne Great George Street in the London Boroughof Westminster, just a short distance from theHouses of Parliament, this magnificent buildingoffers first class facilities <strong>and</strong> is within easy reachof transport, accommodation <strong>and</strong> local amenities.Its central location will guarantee that you areclose to the huge number of cultural events, iconiclocations <strong>and</strong> sporting events taking place acrossthe city during the Olympic <strong>and</strong> Paralympic Gamesperiod. Within a short walk you will find TrafalgarSquare, Buckingham Palace, the Houses ofParliament <strong>and</strong> sports such as Beach Volleyballon Horse Guards Parade, road events on TheMall <strong>and</strong> Triathlon at Hyde Park.The LMC is a working facility open to non rightsholders <strong>and</strong> rights holders alike. It will act as thehub <strong>for</strong> the comprehensive editorial programmebeing planned around London <strong>for</strong> the 2012Games whilst also providing a networking hub<strong>for</strong> international media.The LMC offers a range of services <strong>and</strong> facilitiesto registered media including private work space,a main working room in the Great Hall,photography work area, a main press conferenceroom <strong>for</strong> over 200 people, broadcast servicesincluding fibre connected positions <strong>and</strong>, of course,a cafe/dining area.This rate card provides the opportunity to rentproducts, services <strong>and</strong> facilities as detailed onthe following pages that will enable you to carryout your work during the Olympic <strong>and</strong> ParalympicGames periods.Opening from 9th July 2012, our core operationalhours during the Olympic Games will be 8am tomidnight daily until 14th August 2012. The facilitywill then be closed to be reconfigured <strong>and</strong> openagain between 27th August <strong>and</strong> 10th September2012 <strong>for</strong> the Paralympic Games.The London Media Centre staff will also be ableto assist you, where possible, with additionalrequests you may have. TERMS & CONDITIONSRental TermsMost products are available <strong>for</strong> rent. Thest<strong>and</strong>ard rental period <strong>for</strong> items in Part A is 37days beginning 9th July <strong>and</strong> ending 14th August2012 <strong>for</strong> the Olympic Games. Space is also onoffer <strong>for</strong> the Paralympic Games period – 27thAugust to 10th September (15 days st<strong>and</strong>ardrental period). Please contact the London MediaCentre if you require a non-st<strong>and</strong>ard rental period<strong>for</strong> any product or service.Prices <strong>and</strong> TaxesAll prices are in Pounds Sterling (GBP£) <strong>and</strong> aresubject to VAT, <strong>and</strong> all payments must be madein Pounds Sterling (GBP£).The London Media Centre reserves the right torevise any products or prices in the London MediaCentre <strong>Rate</strong> <strong>Card</strong> if there is a significant changein the dem<strong>and</strong> <strong>for</strong> services or a significant changein market conditions <strong>and</strong> exchange rates.Prices do not include insurance. All risk orloss, damage or destruction will be the user’sresponsibility.Order DeadlinesLate OrdersThere is an order deadline of 31st March 2012<strong>for</strong> all services in Part A of the <strong>Rate</strong> <strong>Card</strong> <strong>and</strong> <strong>for</strong>Permanent Live Positions with connectivity aslisted in Part B.The LMC encourages media organisations toplace their orders as soon as possible. Whilstthe LMC will undertake to fulfil all orders, late <strong>and</strong>Games-time orders <strong>for</strong> Part A <strong>and</strong> Permanentlive Positions in Part B are subject to inventorylimitations <strong>and</strong> may be subject to a late-order fee.The LMC reserves the right to accept or rejectany late or Games-time orders.Changes to Original OrdersAny additions or modifications to original requestsmust be submitted in writing. They will be studiedon a case-by-case basis without the guaranteeof approval or availability. If modifications orchanges to original requests are approved,additional charges may apply.CancellationsIf you cancel any or part of your order be<strong>for</strong>e31st March, you will incur a 15% cancellationfee of the items you are cancelling.If you cancel any part of your order between1st April 2012 <strong>and</strong> 31st May 2012, you will incura 50% cancellation fee of the items you arecancelling.If you cancel any part of your order after 31stMay 2012, you will incur a 100% cancellationfee of the items you are cancelling.The fee applied is calculated as a percentagevalue of the cancelled product or service. 5


HOW TO PAY1) Payment TermsAll LMC <strong>Rate</strong> <strong>Card</strong> payments in respect of ordersplaced within the normal ordering period must bemade within 30 days of date of invoice.Payments of orders placed between 1st April <strong>and</strong>31st May 2012 must be made within 15 days ofdate on invoice. All orders placed from 1st June2012 onwards must be paid at the time of order.Payment must be made by Bank Transfer orfrom 1st June 2012 by Credit <strong>Card</strong> in GB PoundsSterling. Detailed payment instructions will beincluded with your invoice. Invoices <strong>for</strong> serviceslisted in Part A will be issued by Rushmans Ltd,those <strong>for</strong> services listed in Part B by North One TVon behalf of the Greater London Authority (GLA).Failure to pay in full will result in cancellation ofyour order. Your order is not considered completeuntil payment is received in full. Please note thatall bank charges involved in transmitting funds willbe at your expense <strong>and</strong> are in addition to the totalon your invoice.To avoid your order being delayed or cancelled,you are there<strong>for</strong>e advised to make sure theamount received by Part A Barclays Bank <strong>and</strong>Part B Natwest Bank in the UK exactly representsthe total amount due.2) Payment MethodPlease pay via CHAPS/ BACS payment, fulldetails will be provided on your invoice, up untilthe Games Time (9th July). HOW TO PAY4) Order ConfirmationThe LMC will issue an invoice <strong>for</strong> your order afterit has been processed <strong>and</strong> approved. This invoicewill confirm that the LMC has placed your orderwith our suppliers <strong>and</strong> it is being dealt with.All orders will be considered to be confirmedon receipt of correct payment from the client.Miscellaneous1) Limitation of LiabilityThe total liability of the LMC whether in contract,or (including negligence) or otherwise <strong>for</strong> anyloss or damage arising under or in connectionwith the provision of any service or facility of theLMC <strong>Rate</strong> <strong>Card</strong>, including any defective or noncompliantservice or facility, shall not exceed theLMC <strong>Rate</strong> <strong>Card</strong> price of that service or facilitySAVE THAT the LMC shall not be liable <strong>for</strong> loss(whether direct or indirect) of business, revenueor profits or anticipated consequential loss ordamage whatsoever. While the purpose of thisclause is to expressly limit the potential liabilityof the LMC arising out of the provision of any ofthe services <strong>and</strong> facilities listed <strong>and</strong> offered in theLMC <strong>Rate</strong> <strong>Card</strong>, the LMC does not exclude orlimit liability <strong>for</strong> death or personal injury causedby its negligence.2) OwnershipAll products ordered from the LMC <strong>Rate</strong> <strong>Card</strong>will remain the property of the LMC or its supplierunless otherwise specified in the LMC <strong>Rate</strong> <strong>Card</strong>.Clients must keep the products free from anyclaims <strong>and</strong> shall not charge, place liens or grantany security on any products <strong>and</strong> shall returnthem to the LMC at the end of the agreed period.3) Force Majeure“Force Majeure Event” means any event orcircumstances that cannot have been predicted<strong>and</strong> is beyond the control of the LMC or itscontractor <strong>and</strong> which event or circumstanceis unavoidable even if the LMC or its contractorexercised the utmost diligence, <strong>and</strong> whichprevents the LMC or its contractor fromper<strong>for</strong>ming a distinct part or all of its obligationsor from exercising any of is rights arising herein,including but not limited to floods, maliciousor wilful acts (other than by the employees,directors, agents <strong>and</strong> representatives of theLMC or its contractors engaged in the deliveryof the services or facilities), riots, explosions,wars, acts of terrorism or hostilities, epidemics,other acts of nature, strikes or other industrialaction (other than by the employees, directors,agents <strong>and</strong> representatives of the LMC orits contractor engaged in the delivery of theservices <strong>and</strong> facilities), changes in laws <strong>and</strong>regulations, curtailment of transportation facilities,or emergencies, or events making it illegal orinadvisable to provide the services or facilities<strong>and</strong> that are beyond the control of the LMC orits contractor.Any failure or inability of the LMC to providean LMC <strong>Rate</strong> <strong>Card</strong> listed service or facility orotherwise comply with its obligations to clientsdue to the incurrence of a Force Majeure Eventshall not be deemed a breach of contract by theLMC <strong>and</strong> no liability shall attach to the LMC.If affected by a Force Majeure Event, the LMCshall, as soon as practical, in<strong>for</strong>m the client ofthe occurrence of the Force Majeure Event, thereasons <strong>for</strong> the delay or failure, its likely duration,<strong>and</strong> the steps that are being taken to rectify thedelay or failure. The LMC shall in<strong>for</strong>m the clientwhen the Force Majeure Event no longer prevails. 8


HOW TO PAY4) Check-In <strong>and</strong> Check-OutUpon arrival at the LMC, an authorised personfrom each media organisation will be requiredto confirm acceptance of all LMC <strong>Rate</strong> <strong>Card</strong>products <strong>and</strong> services.This confirmation will indicate the group’sacceptance of the delivery <strong>and</strong> acknowledgementof the correct installation <strong>and</strong> set-up of all items.Any defective equipment will be promptly repairedor replaced.During the Games, additional deliveries of theLMC <strong>Rate</strong> <strong>Card</strong> products <strong>and</strong> services will requirea similar confirmation procedure. This conditionapplies to new orders placed during Gamestime, as well as maintenance, service, repair <strong>and</strong>replacement of items.On departure, according to the check-outschedule, an authorised person from each mediaorganisation will be required to return all rentedgoods to the LMC.
