(MPCDF), Dugdha Bhavan, DugdhaMarg, Habibganj, BhopalNOTICE INVITING TENDERSTenders in the prescribed forms are invited for the following works from specialist firms forcomprehensive Annual Maintenance Contract of computers (Hardware, peripherals andaccessories) installed in Dugdha Bhavan, Dugdha Marg, Habibganj, Bhopal.Name of the work : Comprehensive AMC of Hardware(PCs, peripherals andaccessories ) at MP StateCooperative Dairy Federation Ltd.(MPCDF), Dugdha Bhavan,Dugdha Marg, Habibganj, BhopalTime Allowed : One year running contractTender documents should be submitted with the following documents failing which the tendershall be rejected:-1. Demand draft of Rs. 200/- payable to "MP State Cooperative Dairy Federation Ltd.," atBhopal.2. Earnest Money Deposit in the form of demand draft of Rs. 3000/- payable to "MP StateCooperative Dairy Federation Ltd.," at Bhopal.3. Valid Income Tax Clearance Certificate.4. Performance Certificate issued by the customers from Govt. Departments / PublicSector Undertakings / Govt. Institutions only.5. List of customers along with copies of orders executed within last 2 years. Preferenceshall be given to those doing the similar work of any Govt. Department / Public SectorUndertaking / Govt. Institution.6. The address of the workshop with telephone and fax numbers at Bhopal1

iii)iv)the vendor shall be responsible for taking back up of data and programsavailable in PC, before attending the fault and shall be also responsible forreloading the same. The back up copies are to be returned to the user, underacknowledgment.If the equipment is required to be transported to the vendor's / manufacturer'sservice workshop for repairs , the same shall be undertaken at the risk and costof the vendor.v) The replacement of components, sub assys and assys shall be as permanufacturers instructions and as per the decision of MPCDF.vi)Above can be carried out at site or at the vendor's works after attending thecomplaint by replacement method and the same shall be done within 7 days ofthe receipt of complaints. the replacement of components, sub assys andassys shall be free of charge.2.7 The contract shall initially be for a period of one year from the date ofacceptance of the order.2.8 The contract at any time can be terminated by either party after serving advancenotice of three months. The MPCDF shall have the right to terminate the contractwithout assigning any reason whatsoever to the firm.3. Security Deposit3.1 Security deposit amounting to 10% of the value of the total AMC charges (not lessthan Rs. 5000/-) in the form of bank guarantee / fixed deposit / demand draft (fromnationalised bank only) is to be submitted within 15 days from the date of finalisationof the contract. The said bank gurantee will be valid for 15 months from the date ofwork order. In case the vendor fails to render the satisfactory services the same shallbe presented to the bank for getting it revoked.4. Penalty4.1 If the vendor does not attend the complaint within 24 hours from the time of complaintregistered to the resident engineer deployed by the vendor or to the telephone no.(given by the firm for lodging complaints, the penalty @ Rs. 100/- per equipment shallbe levied.4.2 Penalty shall be levied at the rate of Rs. 100/- for each equipment for each day(excluding first 24 hours, if the equipment is not set right within 7 days.4.3 If the fault is set right by replacing the defective sub-assembly, and equipment, thesame should be re-installed after servicing within 7 days (if 7th day falls on holidaythen next working day). In case of default penalty shall be levied at the rate of Rs.100/- per day for the scheduled item.3

5. Payment5.1 Payment shall be made pro-rata on quarterly basis at the end of each quarter onlyafter receiving the security deposit.5.2 Penalty shall be deducted from the running payments.PARTICULAR TERMS AND CONDITIONS6. Preventive Terms and Conditions6.1 The vendor shall carry out preventive maintenance regularly and shall plan, as perschedule of quantities, such that maintenance is carried out each equipment at leastonce in two months. A separate logbook should be maintained to record thepreventive maintenance carried out on each equipment location wise.6.2 The schedule of preventive maintenance shall be as follows:i) Cleaning of all equipment using dry vacuum air, brush, soft muslin clothesii)iii)iv)Running of test programme to ensure quality print/data reliabilityChecking of power supply source for proper grounding and safety of equipment.Ensuring the covers, screws, switches etc. are firmly fastened in respect ofeach equipment.v) Scanning of all types of virus and elimination and vaccination of the same.vi)vii)Shifting of equipment within the building as and when required.Running of diagnostic software for system performance.7.0 All other clauses of a "Standard AMC" as agreed between the vendor andMPCDF, subject to specific alterations as above shall be applicable.8.0 Arbitration : In case of any dispute if arises between the parties relating to any termsand conditions of the offer / agreement and or regarding the offer / agreement beforeor after the filling of the offer / agreement and / or execution of the agreement, anyparty may refer the dispute to a sole arbitrator who will be the Principal Secretary /Secretary to the Government of Madhya Pradesh, Animal Husbandry Department or aperson nominated by him / her whose decision and award shall be final and binding toboth parties. The arbitration proceedings shall be under and accordance with theprovision of Arbitration and Conciliation Act 1996.4
