IntroductionIntroductionThis guide documents <strong>Release</strong> <strong>7.0</strong> of <strong>Student</strong> <strong>Self</strong>-<strong>Service</strong>. This includesmiscellaneous enhancements and problem resolutions in <strong>Release</strong>s 6.1 and 6.2, aswell as the following new enchancements:Luminis Channels for <strong>Banner</strong>Clients who have implemented the SunGard <strong>SCT</strong> Luminis Platform (our portalcomponent) and the self-service products will be able to use the Luminis Channelsfor <strong>Banner</strong> being delivered with <strong>Release</strong> <strong>7.0</strong>. These channels display informationand provide links to <strong>Banner</strong>, the self-service web pages, or the Internet. Newpackages are delivered to facilitate these channels.APIsApplication Programming Interfaces (APIs) are delivered with <strong>Banner</strong> <strong>7.0</strong> tofacilitate the integration of <strong>SCT</strong> <strong>Banner</strong> with other applications on campus andsimplify code by encapsulating business logic in database packages. An API is acentral program that creates, updates, and deletes data. APIs also execute andvalidate business rules before inserting or updating information.Enhancements from Interim <strong>Release</strong>sThe Improved Drop/Withdrawal Functionality (Defect 49132) enhancement wascontained in interim release 6.1. Section 1Improved Drop/Withdrawal Functionality (Defect 49132) - FunctionalOverviewSection 1Improved Drop/Withdrawal Functionality(Defect 49132) - FunctionalThis functionality is new for <strong>Release</strong> 6.1 and includes fixes related to Defect 49132.This enhancement includes modifications and updates for <strong>Student</strong> <strong>Self</strong>-<strong>Service</strong>, aswell as Faculty and Advisor <strong>Self</strong>-<strong>Service</strong>, Voice Response, and baseline <strong>Banner</strong><strong>Student</strong>. Refer to the release guides for these products for additional information.OverviewPreviously, when a student was registered in two associated or “connected” courses(co-requisites, prerequisites, or linked courses), and the student requested that oneof the courses be dropped, the course was allowed to be dropped. Standardregistration error checking then caused the other (associated) course to be droppedas part of the schedule cleanup processing. This resulted in the student beingdropped from both classes without being warned and without the possibility ofoverriding the change or being prevented from making the original change. Thestudent was also then given a 100% refund for the associated dropped course, whichin many cases was incorrect. Basically, if the student inadvertently or unknowinglydropped a course that was associated with other courses on his or her schedule, allassociated courses were automatically dropped.With the delivery of this enhancement, courses cannot be dropped via the Web orVoice Response and refunded at 100% unless the drop meets criteria specified intwo new rules on the Crosswalk Validation Form (GTVSDAX) and has been assignedthe appropriate setup code (allowing a course to be dropped and refunded at100%) on the Course Registration Status Form (SFARSTS) (for traditional courses)or Schedule Processing Rules Form (SSARULE) (for Open Learning courses).Connected courses are included in this processing.Note: A connected course will no longer be dropped and given a 100% refundunless the code is designated for use on SFARSTS or SSARULE.Errors are tracked as the following:• “Registration add” (displayed on the Add or Drop Classes page[bwskfreg.P_AddDrpCrse] when a class is added), which reports errors thatare encountered when a student is trying unsuccessfully to register for a class,for example a time conflict• “Registration update” (displayed on the Add or Drop Classes page), whichappears when a connected course is dropped or withdrawn from and either hasno drop code assigned or has multiple drop codes assigned, and can alsoJanuary 2005 <strong>Student</strong> <strong>Self</strong>-<strong>Service</strong> <strong>Release</strong> <strong>7.0</strong>Confidential <strong>Release</strong> <strong>Guide</strong> 7


Section 1OverviewImproved Drop/Withdrawal Functionality (Defect 49132) - Functionalappear when a student tries to change the status of a course that has aconnection• “Administrative” (not displayed to the student on the Web page), which can bereviewed on the new Registration Admin Messages Report (SFRRGAM)Web registration now uses the Type field on the Course Registration Status CodeValidation Form (STVRSTS) to determine the type of code that can be placed onthe student course and the processing that is affected based on this code. This typecode determines what is displayed in the Action pull-down list on the Add or DropClasses page.Note: If the Type field is left blank, unexpected results can occur.• If the course status is marked as a R (Registered) type code, then all other typecodes can be displayed (depending on their availability).• If the course status is marked as a D (Drop) or W (Withdrawal), then only Rtype actions will be displayed.The system no longer allows a student to drop a course that has already beendropped or withdrawn. See the “Setup Requirements” section (on page 23) for themodified Add or Drop Classes page for additional information.New TerminologyThe documentation for this release introduces several new terms, which are definedas follows.• “Connected” refers to courses that are associated with each other via corequisites,prerequisites, or links.• “Connection” refers to a set of connected courses. For example, the connectedcourses of Biology 101 lecture and lab (co-requisites) would be considered aconnection.Automatic DropsAn automatic drop is one that occurs if certain conditions are met when a studentattempts to drop a connected course. When a connected course is dropped, theappropriate drop code and refund (if any)are applied to the student.A single, active drop code must be available for a successful connected or automaticdrop to occur.• If no drop codes exist for any part of a connection, no courses in theconnection are allowed to be dropped.• If multiple drop codes exist for any part of a connection, no courses in theconnection are allowed to be dropped automatically. In this case,the student can initiate the drop by selecting one of the multiple drop codeswhere necessary. The drop is processed with the selected drop code, and therefund (if any) associated with the code is applied.Let’s say a student is registered for History 308, English 310, and Mathematics125. History 308 and English 310 are co-requisites. History 308 has a single dropcode of DC, but English 310 has two drop codes available: DC and DW.Now let’s say that the student chooses to drop History 308 with the DC code. Thesystem determines that it is connected to English 310, which has two drop codes.In this case, the drop is rejected because the system does not know which of thetwo drop codes to assign to English 310.On the other hand, if the student chooses to drop English 310 with either of thedrop codes, the system drops History 308 automatically with the DC drop codebecause it is the only one available.Finally, if the student chooses to drop both courses simultaneously and specifiesa drop code for each, the drops are allowed.When a student drops or withdraws from a connected course without dropping theentire connection, the system determines which condition applies and takes theassociated action, as shown in the following table.January 2005 <strong>Student</strong> <strong>Self</strong>-<strong>Service</strong> <strong>Release</strong> <strong>7.0</strong>Confidential <strong>Release</strong> <strong>Guide</strong> 9

Otherwise, the WEBRSTSDRP code works as usual. (Forexample, if a student tries to register for Psychology 200 and the registration resultsin a PREQ or TEST SCORE error, the DW code is used to remove the course from theschedule and reverse any charges that were associated with it.)Another change to WEBRSTSDRP code processing is that if your institution does notallow a student to drop his or her last class via the Web (that is, the external code forWEBDROPLST is N), then the system will not drop a connection if the student is notregistered in any other classes.The rest of this section provides a variety of scenarios to help illustrate how thesystem processes requests based on your system setup. These scenarios are notmeant to be all-inclusive, but to show several examples.Connected Drops Allowed with <strong>Student</strong> ApprovalYou want the system to notify the student if one course is dropped but a course towhich it is associated is not, thereby allowing the student to choose to drop both orto drop neither. To accomplish this, you have set the external code to C for theinternal code AUTODROP.Let’s say a student has registered in the following courses:• History 320 (co-requisite with Sociology 320)• Sociology 320 (co-requisite with History 320)• Religious Studies 225• Mathematics 162If the student attempts to drop the history course but not the sociology one, thesystem displays the Connected Course Drop Confirmation page(bwskfreg.p_disp_confirm_drop) letting the student know that the two coursesmust be dropped simultaneously and asking whether the student wants to drop ornot drop the entire connection. If the student chooses to drop, both courses aredropped. Regardless of the student’s choice regarding dropping the connection, themathematics course is dropped per the student’s original request.Now let’s say a student has registered in the following courses:• Biology 405 lecture (linked to Biology 405 lab)• Biology 405 lab (linked to Biology 405 lecture)• Anthropology 307 (co-requisite with Archeology 305)• Archeology 305(co-requisite with Anthropology 307)• Latin 150If the student tries to drop the Biology lecture course and the Anthropology course,the system displays the Connected Course Drop Confirmation page showing bothconnections and asking whether the student wants to drop or not drop them. Thedecision the student makes on this page applies to both connections: if the studentchooses to drop the courses, all four are dropped; if the student chooses not to dropthe courses, none of the four are dropped.Connected Drops Processed AutomaticallyYou want the system to automatically drop a linked course if the course to which itis linked is dropped. To accomplish this, you have set the external code to Y for theinternal code AUTODROP.Let’s say a student has registered in the following courses:• Zoology 505 lecture (linked to Zoology 505 lab)• Zoology 505 lab (linked to Zoology 505 lecture)• Psychology 410• Mathematics 380• German 202If the student attempts to drop the lecture course but not the lab, the systemautomatically drops both. The system does not notify the student that the lab wasalso dropped.Note: The system drops both courses in the connection as long as theconnected course has a single, active drop code; otherwise both classesare returned to their original registration status.Connected Drops Not AllowedYou do not want students to be able to drop a connected course unless the allcourses in the connection are dropped simultaneously by the student.
