Document Status Codes for harmonised declarations<br />

<strong>Appendix</strong> C10<br />

The document status code identifies the availability of the document (first character) along with the action to be taken with the<br />

document when one is identified or the reason for not supplying a document (second character). The codes that are allowed for a<br />

particular document are given in <strong>Appendix</strong> C11. The CPC notes should be referenced to determine whether security or other provision is<br />

required for a particular status (e.g. when the document is not available to Customs with the declaration). The status codes are:<br />

AE Document attached – exhausted by (or only applies to) this entry (document returned to the trader)<br />

AF Document attached – exhausted by (or only applies to) this entry (document returned to the relevant Department)<br />

AP Document attached – part use (applies to this and other entries) (document returned to the trader)<br />

Notes:<br />

- In respect of the ‘A’ series (of status codes): where permitted ‘attached’ can relate to a faxed copy of the original document/<br />

certificate/authorisation/licence.<br />

- In most cases a reference must be entered. This should either be as quoted on the document/certificate/authorisation etc, as<br />

indicated by HMRC (as contained in <strong>Appendix</strong> C11, relevant parts of the Tariff, for example, Box 44 for licences and Custom Schemes<br />

or separate instructions e.g. CFSP) or be a trader own reference.<br />

- In respect of the ‘X’ series of status codes and its relationship with the reference: When document codes are used for declaring<br />

licences the document reference is used to identify the licence type. For example when ‘XB’ is used the reference will be in the form<br />

of country code and licence type (e.g. GBCAP). For other documents a document reference is not declared.<br />
