Plan Your Event<br />

Welcome to the <strong>Gathering</strong> by Chartwells! Our mission is to provide you with exceptional quality, exceptional service and a<br />

creative cutting-edge culinary experience. Our professional staff is available to assist in planning your special event Monday-<br />

Friday 8:00am - 4.30pm. Please contact our catering coordinator at 817-272-2304 for customized service and menus.<br />

Policies & Procedures<br />

To ensure optimal selection and the best possible service we<br />

kindly ask that events be booked at least seven business days<br />

in advance. We understand events arise unexpectedly and we<br />

will do our best to accommodate your needs.<br />

Guest Counts<br />

We kindly request a confirmed number of guests be specified 3<br />

business days prior to the event. This number is considered the<br />

guaranteed guest count that you will be invoiced.<br />

Event Time<br />

Events are billed in four-hour increments. Events exceeding the<br />

four-hour limit will be subject to additional service charges of<br />

$50 every half hour.<br />

Cancellation<br />

We kindly request cancellations be made five business days<br />

prior to the contracted event date. Less than a 5 day notice will<br />

incur a 50% cancellation fee.<br />

Tax Exempt<br />

We request tax-exempt forms be emailed to our office three<br />

business days prior to the event.<br />

Water Setup<br />

Pitchers of water or large dispensers are available for<br />

conferences, lectures and meetings on campus. <strong>The</strong> charge is<br />

$.59 per person, with a minimum charge of<br />

$5.90.<br />

Leftovers<br />

Due to health regulations and for the safety of our guests, food<br />

not consumed may not be taken from catered events.<br />

Billing & Payment<br />

Please provide a cost center and an official occasion expense<br />

form at time of confirmation. <strong>The</strong> signed invoice and OOEF are<br />

confirmation your event is on our schedule. Not receiving<br />

confirmation forms 3 days prior to your event date will result in<br />

event cancellation.<br />

Serviceware and China<br />

All disposable serviceware will be furnished as accompaniment<br />

to all items purchased. Some exceptions apply to orders being<br />

picked up. We provide high quality disposable plastic ware.<br />

China and glassware are available for an additional charge of<br />

$3.50 per person for events outside of the University Center<br />

Linen<br />

Linens for the Catering Tables are included with your food or<br />

beverage order. Additional linen and skirts (for guest and<br />

registration tables) are available for an additional charge and<br />

requests must be made in advance<br />

Table Covers $25 each<br />

Dietary Restrictions<br />

Special diets are accommodated upon request, we kindly<br />

request that your needs be submitted as soon as possible.<br />

Meeting Room and Equipment<br />

Please reserve all non-food related equipment by contacting<br />

University Center Operations at 817-272-2929. This will include<br />

room reservation, set and room configuration, audio visual and<br />

other general information in the University Center<br />

External Clients<br />

A 50% deposit is required upon event confirmation. <strong>The</strong><br />

balance must be paid in full 3 days prior to your event date.<br />
