Tentative Bookings <strong>–</strong> We will only hold tentative bookings for a maximum of 7 days.<br />

The confirmation of your booking will only be recognized once the signed booking form<br />

& a paid deposit has been received by Townsville RSL. The signed booking form &<br />

payment must be received within 7 days of making a booking. Townsville RSL<br />

reserves the right to cancel any booking not confirmed after the 7 days without any<br />

notification or further correspondence.<br />

Quotation Information - Every Endeavour is made to maintain prices as quoted,<br />

however these prices may increase subject to market conditions. Prices charged for<br />

your function are those in effect three months prior to the function date.<br />

Quotations for functions are based on the underst<strong>and</strong>ing that should the number of<br />

guests attending your event decrease by more than 20% of the original number<br />

booked, an additional charge may apply or your function may be moved to a more<br />

suitably sized room as the discretion of Townsville RSL.<br />

Deposits - A deposit of the full cost of room hire is required within 7 days of booking.<br />

Hiring Conditions - The latest a room may be hired until is midnight <strong>and</strong> the hirer<br />

must vacate the room/s within 30 minutes of the event ending.<br />

Townsville RSL must be notified of all entertainment pertaining to your function. This<br />

includes the use of, but is not limited to: CD players/I-Pods/live musicians/DJ etc.<br />

Townsville RSL has the right to refuse entertainers who may be deemed unsuitable.<br />

Due to smoke detector sensitivities, no smoke machines are allowed.<br />

The signatory on the booking forms is the person financially responsible for any<br />

damage sustained to Townsville RSL <strong>and</strong>/or its property during the function.<br />

Management must be consulted before adhering decorations or signage to any wall,<br />

door or ceiling within the building.<br />

A completed floor plan must be given to Townsville RSL at least seven working days<br />

prior to the date of the function.<br />

Liability - Townsville RSL takes all the necessary care but accepts no responsibility<br />

for the loss, damage or theft of the property of the hirer or guests before, during & after<br />

the function. This includes all gifts, monies <strong>and</strong> decorations brought onto the<br />

premises. Townsville RSL will not ‘hold’ any gifts or monies overnight; these remain<br />

the responsibility of the hirer.<br />

Townsville RSL practices the Responsible Service of Alcohol policy. It is our aim to<br />

serve you & your guests with alcohol in a professional, friendly & responsible manner.<br />

It is the policy of this establishment not to allow intoxication, underage drinking, violent<br />

or abusive behaviour. It is expected that the hirer will conduct the function in an<br />

orderly manner <strong>and</strong> in compliance of the rules of Townsville RSL <strong>and</strong> the law.<br />

Confirmed Final Numbers <strong>–</strong> Confirmed final number of guests attending is required<br />

10 days prior to your function. This number will be regarded as the final number for<br />

catering purposes <strong>and</strong> you will be charged accordingly, even if fewer guests attend the<br />

event. The addition of extra guests attending after this time will need to be paid for<br />

before the event.<br />

Payment of account <strong>–</strong> Full payment of account is required 7 days prior to your<br />

function. Additional liquor accounts are to be settled in full upon completion of your<br />

function. Payment can be made by cash, credit card (sorry Diners Cards not<br />

accepted), direct bank transfer, or by bank cheque (sorry personal cheques not<br />

accepted)<br />

Menu Selection <strong>–</strong> Final menu selections must be made 3 weeks (21 days) prior to<br />

your function. Special menu items are available on request <strong>and</strong> we are happy to cater<br />

for guests with <strong>special</strong> dietary requirements e.g. Vegetarian, Celiac <strong>and</strong> allergies.<br />

Food safety - Townsville RSL is fully licensed which prohibits the bringing of food <strong>and</strong><br />

or beverages onto the premises with the exception of celebration cakes e.g. Wedding /<br />

birthday cakes. Health regulations state that no leftover food is to be taken by a client<br />

or guest from club premises. If by chance food is taken from the premises no<br />

responsibility will be taken by the Club or Club Management.<br />

TOWNSVILLE RSL <strong>–</strong> WEDDING AND SPECIAL EVENTS PACKAGES<br />

Responsible Service of Alcohol <strong>–</strong> Due to licensing laws, no liquor can be brought<br />

onto the premises by any guest at any function. BYO facilities are not available<br />

however with prior notice we would be more that happy to order in any <strong>special</strong><br />

requests. Townsville RSL Club enforces the Responsible Service of Alcohol <strong>and</strong> the<br />

Responsible Gaming laws. By law any person under the age of eighteen (18) years<br />

may not consume or purchase alcohol, or participate in any Gaming activity.<br />

The management of Townsville RSL Club reserves the right to <strong>–</strong> 1. Refuse<br />

service <strong>and</strong> remove from the premises any person believed to be intoxicated <strong>and</strong> 2.<br />

Close the bar <strong>and</strong> terminate a function if guests do not practice responsible service of<br />

alcohol.<br />

Public Holidays <strong>–</strong> A surcharge of 15% of the amount of your total account will be<br />

added for bookings on public holidays. Sunday functions incur a 10% surcharge.<br />

Smoking Policy <strong>–</strong> Smoking is not permitted inside the Club. Smoking is available in<br />

designated outside areas.<br />

Membership <strong>–</strong> All guests entering the Club must fall into one of the following<br />

categories: 1. Current members (membership card must be shown)<br />

2. Temporary member (those who live outside 15km radius of the Club.<br />

Must shown residential ID <strong>and</strong> sign in)<br />

3. Signed in by a member (a guest who resides within the 15km radius,<br />

who is not a member of the Club, must be signed in by a member)<br />

Note: This is State Government Legislation.<br />

Cancellation <strong>–</strong> Cancellation of your function must be notified in writing.<br />

Cancellation 1-3 months prior to function <strong>–</strong> you will be liable for 25% of the estimated<br />

final account based on what has been confirmed with the Function Manager.<br />

Cancellation less than 2-4 weeks prior to the event <strong>–</strong> you will be liable for 50% of the<br />

estimated final account based on what has been confirmed with the Function<br />

Manager.<br />

Cancellations 14 days prior to the event <strong>–</strong> you will be liable for full payment of the<br />

organized final account.<br />

Pack Down - All decorations to be removed from the premises at the immediate<br />

conclusion of the event or a pack-down charge will be enforced.<br />

Townsville RSL reserves the right to decline or cancel any function or booking<br />

I, have read <strong>and</strong> understood the<br />

above Terms <strong>and</strong> Conditions. I underst<strong>and</strong> that this is a legally binding contract <strong>and</strong> I<br />

agree to be responsible for this booking <strong>and</strong> to abide by these Terms <strong>and</strong> Conditions.<br />
