We appreci<strong>at</strong>e your interest in Southern<br />

Methodist University C<strong>at</strong>ering. Allow<br />

our team of culinary experts to cre<strong>at</strong>e<br />

a memorable event th<strong>at</strong> is sure to impress. No m<strong>at</strong>ter<br />

how large or small, we can help.<br />

There are many details to consider with each<br />

event. Allow us to guide you through the selections<br />

and assist you in the process from menu<br />

planning to room décor.<br />

The following guide is an example of our culinary<br />

experience. Included in the guide is a collage of<br />

some of our favorite and most requested items.<br />

Keep in mind th<strong>at</strong> this is just a starting point and<br />

we can provide customized menu options.<br />

In order to ensure proper staffing, ordering and<br />

quality standards for your event, we require th<strong>at</strong><br />

any and all events have a final menu and guaranteed<br />

number of guests <strong>at</strong> least five business day in<br />

advance. In the event of a last minute order, menu<br />

items and services may be limited and will be subject<br />

to a service charge.<br />

SERVICE<br />

INFORMATION<br />

<strong>SMU</strong> C<strong>at</strong>ering Services<br />

Full Service C<strong>at</strong>ering: Full Service Events held on/<br />

off campus will be assessed a $30.00 per hour service<br />

fee with a 4 hour minimum requirement per<br />

server. An appropri<strong>at</strong>e number of servers will be<br />

quoted per event. The number of servers varies according<br />

to the style of service needed. Fees associ<strong>at</strong>ed<br />

with the event will encompass transport<strong>at</strong>ion,<br />

pre-event and post-event service prepar<strong>at</strong>ions. 18%<br />

service fee and 8.25% sales tax will be added in to<br />

all Non-University Clients.<br />

Standard Delivery: All items will be delivered on or<br />

in disposable service ware. Delivery Service does<br />

not include a represent<strong>at</strong>ive from <strong>SMU</strong> C<strong>at</strong>ering<br />

returning to pick up the items delivered. It is the<br />

host’s responsibility to discard all trash and unused<br />

c<strong>at</strong>ering items. It is the responsibility of the<br />

host to provide a manner in which to keep hot food<br />

and beverages <strong>at</strong> a safe and acceptable serving<br />

temper<strong>at</strong>ure th<strong>at</strong> are not consumed immedi<strong>at</strong>ely<br />

upon arrival. Disposable chafing dishes are available<br />

for an additional fee upon request.<br />

$30.00 Delivery fee for all on campus orders.<br />

Break Service: $75.00 per event which includes<br />

standard linen, table and disposable ware up to 50<br />

guests. Additional guests will incur an additional<br />

service fee.<br />

Special Menu Requests: The menu items listed<br />

in the c<strong>at</strong>ering guide are only suggestions; you<br />

are not limited to these selections. Our C<strong>at</strong>ering<br />

staff is ready to consult with you on any special<br />

gourmet, themed, or ethnic menu. We’re happy to<br />

customize a menu to fit your specific needs and<br />

budget. Adjustments to the menu can also be made<br />

to accommod<strong>at</strong>e special dietary needs.<br />

Rental Fees: A rental fee of tables and chairs will<br />

occur in all loc<strong>at</strong>ions except for the following;<br />

Hughes-Trigg, Meadows Museum, and Ernst and<br />

Young Gallery. Some loc<strong>at</strong>ions may incur a set up<br />

fee and some limit<strong>at</strong>ions apply.<br />

Alcoholic Beverages<br />

for University Affili<strong>at</strong>ed Events<br />

Alcoholic beverages may be served in approved<br />

design<strong>at</strong>ed loc<strong>at</strong>ions on campus. A form will be<br />

submitted on your behalf to the Vice President<br />

of Student Affairs for approval. <strong>SMU</strong> C<strong>at</strong>ering<br />

will purchase and store the beverages for each<br />

event. You will receive a separ<strong>at</strong>e invoice from<br />

the University for alcohol consumption. <strong>SMU</strong><br />

C<strong>at</strong>ering offers you the opportunity to bring in<br />

beer, wine and champagne only. One bartender<br />

is required for every one hundred guests in<br />

<strong>at</strong>tendance. There will be a $30.00 per hour<br />

bartender fee for a four-hour minimum period.<br />

This fee covers: bar tables, table skirting, bartender,<br />

glassware, ice and all corkage fees.<br />

Alcoholic Beverages<br />

for Non University Affili<strong>at</strong>ed Events<br />

You have the opportunity to supply your<br />

event’s beer, wine and champagne (only).<br />

There will be a $30.00 per hour bartender<br />

fee for a minimum four-hour period for each<br />

100 guests in <strong>at</strong>tendance. This fee covers: bar<br />

tables, table skirting, bartender(s), glassware,<br />

ice and all corking fees. It is the responsibility<br />

of the event host to deliver the alcohol prior to<br />

the event and remove it immedi<strong>at</strong>ely after the<br />

event. All alcohol not removed from the premises<br />

<strong>at</strong> the end of the event will be discarded. The<br />

host (or hosting party) will be held responsible,<br />

accountable and liable for all activity associ<strong>at</strong>ed<br />

with the service of alcohol while on property<br />

including all local, st<strong>at</strong>e and federal guidelines<br />

th<strong>at</strong> coincide with alcohol service.<br />

CONTRACT & PAYMENT ARRANGEMENTS<br />

We require a signed contract prior to your<br />

event. If campus groups would like to be invoiced<br />

through the Southern Methodist University<br />

billing system, you must complete a<br />

<strong>SMU</strong> C<strong>at</strong>ering request form. The form must be<br />

signed and received in our office, three business<br />

days prior to your event.<br />

To ensure a specific d<strong>at</strong>e, a 50% advance deposit<br />

is due upon signing of the contract. The balance<br />

of the event is due to our office five business<br />

days (or a minimum of 5 business days)<br />

prior to the event via certified check, money<br />

order, Visa, or MasterCard.<br />

GUARANTEE & CANCELATIONS<br />

A guaranteed notice is required by 12 noon,<br />

five business days prior to the event. It is the<br />

responsibility of the contact person to notify<br />

<strong>SMU</strong> C<strong>at</strong>ering of this guarantee number. The<br />

guarantee number is not subject to reduction<br />

or cancell<strong>at</strong>ion.<br />
