TO THE GENE VANCE JR FOUNDATION
DRAFT SAMPLE LETTER REQUIRED BY U.S.NAVY
LETTERHEAD OF SPONSOR
I wanted to respond to your request for written notification regarding our (breakfast/ break/lunch/ dinner)
sponsorship at the upcoming Symposium.
I committed that (company name) would sponsor (meal) at (name of restaurant, if off-site, or name of hotel, if
planning to use on-site facilities) on (date).
The estimated group size provided was approximately (# people). An overage of up to # is acceptable. We
have budgeted $----- per person to attend the (dinner.)
No cost to the Gene Vance Jr Foundation or the U.S.Navy is expected to host this event. Transportation to and
from the venue will be the responsibility of each participant.
You asked if this was similar to activities we have sponsored at other medical conferences and meetings.
Hosting dinners and speakers at conferences is a common practice for (company name) when the topic subject
matters are related to our business. Since ( SUBJECT goes here ) is one of our most significant
applications we address, sponsoring this meal is certainly within our corporate guidelines.
(Company name) would like to be allowed to join the conference/meal to ensure the group receives quality
service. I would estimate up to (# of people) (company name) associates in attendance which would be
incremental to our sponsorship commitment.
Please let me know if you need any additional information to satisfy US Dept of the Navy legal affairs
requirements.
