DRAFT - MINUTES OF THE DANISH ASSOCIATION "HEIMDAL" INC. Meeting at 36 Austin Street, Newstead, on Tuesday, 25 March, 2003 PRESENT: Jan Andersen, Riborg Andersen, Joan Christensen, Aage & Yrsa Christoffersen, Henrik Holm, Elna Jensen, Mivi Ottesen, Jan Pedersen, Alan Przybylak , Ulla Turner APOLOGIES: Ole Andersen, Alf Berg, Harly Pedersen MEETING OPENED: 6.40pm MINUTES OF LAST MEETING: Minutes of the last meeting 26 February 2003 were read. Acceptance of these Minutes moved: Joan Christensen Seconded: Ulla Turner Agreed BUSINESS ARISING FROM MINUTES: The President circulated copies of the resignation of the former committee members and her reply, for the information of the new members who have joined the committee – i.e. Jan Andersen, Riborg Andersen, Henrik Holm, Mivi Ottesen, Jan Pedersen. (The other new member is Alf Berg unable to be here this evening. The approval of appointment of these committee members was conducted by email and phone between existing committee members since the last committee meeting.) The President welcomed the new members and looked forward to a happy and energetic future for the Club. CORRESPONDENCE: • By email received a request from SAS asking do we want a spare Danish flag. This has been received. • Correspondence from a David Schroder, who wants to rent Club 2 April for a business conference - $80 for the evening. Ulla has negotiated this. FINANCE: • Elna presented the P&L A/c for February. Large expenditure included the insurance payment for the year. Expect March to be much better. Total in bank about $27,000. Elna has made up receipts etc. for the $2500 security bond received from the Aussie Music club, plus 3 weeks Club hire $633 ($11000 divided by 52 weeks). Moved: Elna Jensen Seconded: Joan Christensen. Passed by the meeting. • Banked: Ulla’s Café 28/2 $807; Lolly shop $231; Advertising $180; Membership $100; Deposit of Aussie Music Club $2500. Smorbrodsaften $2,065; Advertising $300; Membership $175; Rentals Music Club $635; Bar takings Ulla’s Café $830; Smorbrodsaften $1050. • Expenditure - $915.75 Cash purchases. Cheques Nos. 819705 to 819721 totalling $5319.35 as attached. Also cheques 819722 to 819725for the following: the reimbursement of Kitchen Float $915.75; White House Cleaning $81.40; Cleaning of Club & Phone (David Turner) $220; and Mivi’s expenses for Smorbrodsaften $81.38. Approval of expenditure moved by Ulla Turner, Seconded by Elna Jensen Passed by the meeting. • Discussion about how the accounts should be paid, etc. – to be discussed by Ulla and Elna. • Discussion re Eftpos machine. Elna has one. Need to ask Bank criteria for getting a machine. Charges up to 5%? Could be used for purchase only? Will be looked into, Elna will find out detail from Suncorp. NEW MEMBERS: Jens Antonsen, Holland Park Jonas Larsen and Serena Thomson, Fortitude Valley Tea Poulsen and Steve Healy, Graceville Moved: Elna Jensen Seconded: Joan Christensen Passed. LAST FUNCTION: • Smorbrodsaften – takings $2065 in Kitchen. $1050.00 banked for Bar. Discussion – maybe more herring needed. Otherwise the function went well. FUTURE CLUB FUNCTIONS: • Ulla’s Café 28 March. No special guests expected. Food sorted out – Kalve-Karbonade & Stuvede – Gronsager & Rugbrod. Riborg volunteered. Need help with tables, chairs, etc. Alan will try to be here 6pm. Henrik also about 6pm. • Ulla said things not quite clear between Folk Dancers and the Aussie Music Group who had put their gear in the Folk Dancers cupboard. Ulla will see what happens on Friday. Folk dancers have rented two Fridays in the month with the Norwegian Club. They are training for Denmark. They dance here every Monday. Ulla said it would be nice to see a rehearsal for their trip to Denmark – or a performance when they come back. Maybe an aebleskiver evening? 12 April - The Wonderful Dance Evening - Big band – The Good Time Band - we had for the Scandinavian Ball. Discussion re help and food. Band will cost $700 + GST. Need 100 people to make a profit. Bar open and should make money there. $30/35. Band will start at 8pm and go till midnight. They will have breathers in between (chance for people to eat). 24 May – Danish Wedding – Preben Nielsen MC for evening. Nibbles & white wine. Company coming in to serve the main course. Probably $35/$40. Ulla needs to pay some deposits. She suggests Getabout Catering – for the main food so that the Committee don’t have to work all evening. Start with Australian style entrees and glass of wine. Once wedding party arrives – sild and snaps – speeches – Danish songs (Kurt Christensen) – (hope enough snaps – or have to send to Denmark for it) – speeches, singalongs – then Getabout Catering food – 3 salads, baked potatoes, roast lamb/pork, bread rolls, followed by pavlova or cheese cake – then 3 tier of kranse etc as cake. Would probably cost us about $22 total for catering, drinks etc. Suggestion wine or beer as welcome drink. Maybe prawn cocktail and wine instead of sild and snaps. Suggestion – tickets for 2 drinks – welcome drink and one at the table. Lots of decorations just like a wedding. For $400 we can get a waiter e.g. like from Fawlty Towers. May be able to get dance music by the Aussie Music Club. Maybe a group photo? Then this won’t take all the evening – so just dancing etc. after. Starting time 6.30pm? MAINTENANCE OF CLUB PREMISES: • With Aussie Music people here – seem to be looking after it well as far as cleaning, etc. goes. The Church hirers leave it in bigger mess. • Suggestion that Church group should be told that if it cannot leave the premises cleaner, it would be necessary to charge for cleaning? • There’s a couple of loose taps that seem to be baffling the Club plumbers. GENERAL BUSINESS: Ulla asked for approval for new hot water urn to be purchased. There is a tendency for the hot water thermos to be improperly closed and the water doesn’t stay hot. Committee okayed this. Note: Yrsa Christoffersen made clear that because of their departure for Denmark, 10 April was the last day on which any copy, advertising, etc., could be received for the next Newsletter.
