Debts<br />

If you have any outstanding debts to the <strong>University</strong> your award certificate will be withheld and you will not be eligible to attend<br />

your graduation ceremony.<br />

It is your responsibility to check that your account is clear. Debts to the <strong>University</strong> include unpaid academic fees and charges,<br />

accommodation fees and charges, library fines and unreturned books or equipment. Please also note a debt will be noted on<br />

your account if your sponsor has not paid your fees. You should have received reminders from the <strong>University</strong> regarding any<br />

outstanding debts (unless the debt is with your sponsor). If you have not already done so, it is important that you respond to<br />

them urgently.<br />

If, at the time <strong>of</strong> sending out the tickets, you owe money, books or other equipment to the <strong>University</strong>, you will not be allowed to<br />

attend your graduation ceremony. You will not be sent confirmation that you can attend nor any tickets for your guests. You will<br />

also not receive your award certificate until you have repaid your debt.<br />

Award Certificates<br />

Please inform the Awards Officer immediately if your name is incorrect on the <strong>Graduation</strong> Invitation. The name which appears on<br />

this Invitation is your full name as we have it recorded on our records information system. This is the name which will appear on<br />

your award certificate. In order to amend your recorded name, you will need to produce your original birth certificate, passport or<br />

other relevant legal document.<br />

Graduates should take great care <strong>of</strong> their award certificate as only one original is produced. Written application for a certified<br />

true replica <strong>of</strong> an original, which has been lost or badly damaged, may be made to the Awards Officer. Currently a charge <strong>of</strong><br />

£20.00 is made for the production <strong>of</strong> replacement award certificates.<br />

Where graduates require certification <strong>of</strong> photocopies <strong>of</strong> their original certificate, this can be arranged at a cost <strong>of</strong> £3.00 per<br />

photocopy. Please send your original certificate via recorded delivery to Registry. Registry will return all certificates via recorded<br />

delivery.<br />

Frequently asked questions<br />

What must I do in preparation for my graduation?<br />

There are 2 things that you must do:<br />

1. You must book for your ceremony by Friday 24th August <strong>2012</strong>. Please follow the instructions on your <strong>Graduation</strong> Invitation.<br />

Please note that if we have not heard back from you by this date, we will assume that you will not be attending graduation.<br />

2. You must hire the appropriate academic dress for the occasion from Wippells – the <strong>University</strong>’s <strong>of</strong>ficial gown supplier. To do<br />

this you will need to log on to the following website: www.wippellgownhire.co.uk.<br />

What happens if I cannot attend the ceremony?<br />

If you are unable to attend your ceremony, you must follow the instructions on your <strong>Graduation</strong> Invitation and tick that you will<br />

not be attending. Your degree will then be conferred ‘in absentia’. Your name will appear in the programme but will not be read<br />

out during the ceremony. Your certificate (and a copy <strong>of</strong> the graduation programme if available) will be posted to your home<br />

address after the ceremony if you have not already received your certificate.<br />

My particular ceremony date is inconvenient. Is it possible to swap to another ceremony?<br />

It is not possible to change a date as the ceremonies are held by Faculty. If the date is inconvenient, you may choose to graduate<br />

in absentia.<br />

What happens if I change my mind about attending or change the number <strong>of</strong> tickets that I would like to request?<br />

If you change your mind, please contact the Awards Officer in Registry via graduation@winchester.ac.uk or by telephoning 01962<br />

827253.<br />

How long does the ceremony last?<br />

The ceremony normally lasts about one and a half hours but this depends on how many students are graduating and whether or<br />

not an honorary degree or honorary fellowship is conferred.<br />
