In order to ensure school site security, the following procedures are to be followed consistently:<br />

1. All break-ins and vandalism are to be reported to SJPD. Be sure to receive a report/case<br />

number. Complete a Major Incident Report, including the number, space provided, and<br />

Email it to Sherri Greer.<br />

2. Alarms are turned on and monitored whenever there are no activities at schools.<br />

3. Whenever employees need to enter school facilities after hours they must contact Central<br />

Station at 408-278-6923 before entering and leaving the facilities<br />

4. All employees must be sure the doors and windows are securely closed when leaving.<br />

Hours of Operation<br />

Monday through Friday - 4:00 P.M. to 6:00 A.M.<br />

Weekends and Holidays - Open 24 hours a day<br />

ACCEPTABLE HOURS FOR S.J.U.S.D. EMPLOYEES TO BE AT A DISTRICT SITE<br />

DURING WEEKENDS, HOLIDAYS AND SUMMER IS<br />

7:00 A.M TO 5:00 P.M.<br />

The only exception to these access hours will be when an outside group or a school site group is<br />

scheduled to use the site and has an approved “Application for Use of School Facilities Form” on<br />

file with the District Office.<br />

Alarms:<br />

Monday through Friday all District sites including the Lenzen Building will be armed at the end<br />

of office hours:<br />

• Elementary School Sites will be armed at 7:00 PM<br />

• Secondary School Sites will be armed when custodians leave (between 10:30 PM and<br />

11:30 PM)<br />

• Lenzen Building will be armed at 11:30 PM when custodians leave.<br />

PROCEDURES FOR ENTERING A SITE ON WEEKENDS AND HOLIDAYS<br />

Employees with a Principal Authorized Keypad Code:<br />

1. Enter the site through the door nearest the keypad because you don’t have a lot of time to<br />

disarm before setting off the alarm system.<br />

2. If the keypad is beeping this means the alarm system is on and you will need to punch in<br />

your numeric code and press ENT to disarm the system.<br />

3. If the keypad is NOT beeping when you enter or if the keypad display reads “Ready To<br />

Arm” this means the system is already turned off and you will NOT need to put your<br />

code in.<br />

Employees without a Keypad Code, Outside Groups and Construction Personnel:<br />

1. Call Central Station at 408-278-6923 a minimum of a half an hour prior to entering the<br />

site in order to give the operator time to disarm the site before entry. The half hour time<br />

frame is necessary due to the high volume of calls and requests the Central Station<br />

Department receives on weekends and holidays. Your cooperation with this is extremely<br />

appreciated.<br />

2. You will be asked to state your name or the name of your group, room number, school<br />

site or department. The Operator will verify that you are on the Principal’s Authorized<br />

Employee List for that site or that you have an “Application for Use of School Facilities”<br />

on file. After the brief verification process the site will be disarmed within a half hour<br />

and ready for your access.<br />

Employees with Keypad Code:<br />

PROCEDURES FOR LEAVING A SITE<br />

1. Make sure all doors and windows are secured and lights are turned off. If you are the<br />

only one left at your site you would punch your code into the keypad and hit ENT. You<br />

will hear beeping, this means the system is arming and you need to exit. If you get a<br />

strange message on the display or the keypad does not start beeping, call Central Station<br />

for assistance.<br />

2. If you are not the last person on site you will need to call Central Station and report that<br />

you are leaving but there are still people on site. This will be noted in the log at Central<br />

Station.<br />

Employees without a Keypad Code, Outside Groups and Construction Personnel:<br />

1. Make sure all doors and windows are secured and lights are turned off. Call Central<br />

Station and let them know that you are leaving. Let Central Station know if you are the<br />

last one out or if there are people still on site. This information will be logged in at<br />

Central Station. If you are the last one out, Central Station will give you a few minutes to<br />

exit the building and then set the alarm.<br />

Each year, site Administrators must send a list of personnel authorized for after-hours access to<br />

their site each year to Central Station.<br />

Site Secretaries must communicate the following information to Central Station via email<br />

each Friday before 4:00 pm:<br />

• Groups that will use your site after hours or on weekends and holidays<br />

• Hours that the group is authorized to use your site<br />

• Areas of your site that the group is authorized to use<br />

• Name and number of contact person for the group<br />

School Construction Office/Project Managers must notify Central Station via email<br />

whenever construction is scheduled to take place at a District Site. Call before entering<br />

and again when departing.<br />
