San Jose Unified School District ADMINISTRATIVE BULLETIN Fiscal Year 2012-2013 <strong>SECURITY</strong> Bulletin: 2013-702 PROCEDURES FOR ENTERING A SITE ON WEEKENDS AND HOLIDAYS Employees with a Principal Authorized Keypad Code: 1. Enter the site through the door nearest the keypad because you don’t have a lot of time to disarm before setting off the alarm system. 2. If the keypad is beeping this means the alarm system is on and you will need to punch in your numeric code and press ENT to disarm the system. 3. If the keypad is NOT beeping when you enter or if the keypad display reads “Ready To Arm” this means the system is already turned off and you will NOT need to put your code in. Employees without a Keypad Code, Outside Groups and Construction Personnel: 1. Call Central Station at 408-278-6923 a minimum of a half an hour prior to entering the site in order to give the operator time to disarm the site before entry. The half hour time frame is necessary due to the high volume of calls and requests the Central Station Department receives on weekends and holidays. Your cooperation with this is extremely appreciated. 2. You will be asked to state your name or the name of your group, room number, school site or department. The Operator will verify that you are on the Principal’s Authorized Employee List for that site or that you have an “Application for Use of School Facilities” on file. After the brief verification process the site will be disarmed within a half hour and ready for your access. Employees with Keypad Code: PROCEDURES FOR LEAVING A SITE 1. Make sure all doors and windows are secured and lights are turned off. If you are the only one left at your site you would punch your code into the keypad and hit ENT. You will hear beeping, this means the system is arming and you need to exit. If you get a strange message on the display or the keypad does not start beeping, call Central Station for assistance. 2. If you are not the last person on site you will need to call Central Station and report that you are leaving but there are still people on site. This will be noted in the log at Central Station. Employees without a Keypad Code, Outside Groups and Construction Personnel: 1. Make sure all doors and windows are secured and lights are turned off. Call Central Station and let them know that you are leaving. Let Central Station know if you are the last one out or if there are people still on site. This information will be logged in at Central Station. If you are the last one out, Central Station will give you a few minutes to exit the building and then set the alarm. Each year, site Administrators must send a list of personnel authorized for after-hours access to their site each year to Central Station. San Jose Unified School District ADMINISTRATIVE BULLETIN Fiscal Year 2012-2013 <strong>SECURITY</strong> Bulletin: 2013-702 Site Secretaries must communicate the following information to Central Station via email each Friday before 4:00 pm: • Groups that will use your site after hours or on weekends and holidays • Hours that the group is authorized to use your site • Areas of your site that the group is authorized to use • Name and number of contact person for the group School Construction Office/Project Managers must notify Central Station via email whenever construction is scheduled to take place at a District Site.
