Annex A to Bush Fire Coordinating Committee Policy No. 1/2008 Bush Fire Risk Management Preparation 1. Determine the following: a) period for public consultation – 8 weeks (6 weeks minimum) b) target audience – see list below. Each agency will be required to generate a contact list with mailing address. c) need for a public meeting – only if after the consultation period begins will it be determined in a public meeting is held. A public meeting should only be held if constructive input can be more easily received. 2. Councillors Workshop detailing the BFRMP. 3. Council report to adopt plan for consultation 4. Prepare pro forma letters for all Councils use to contact key groups / stakeholders asking them to view the plan and provide written comment. – all correspondence must be sent out by the BFMC Chairperson. Notification 5. Advertise the plan in the Public Notice section of print media - local papers, community newsletter, notice boards 6. Send out letters to key stakeholders documenting their distribution – as per 1(b) Exhibition 7. Availability to view the Bushfire Risk Plan hardcopy available at customer service, library, information centres Council / National Park website All plans must be accompanied by the Bush Fire Risk Management Planning Guidelines; BFCC Policy 2007; & RFS Act 1997 8. Document all questions and enquiries fielded by staff using agreed format – all correspondence must be sent to the Executive Officer of the BFMC to be collate. Submissions received must be properly registered and indexed for access at a later date. An acknowledgment receipt of the submission and outlining the responses to the submission as well as the review process must be sent in reply. 10. BFMC to determine if changes are to be incorporated into the draft. 11. Final draft adopted by the BFMC and sent to RFS for approval. Bushcare groups Conservation / environment groups Local Fire Stations CFU (Community Fire Units) Council staff and Councillors Council community advisory committees Residential homes in ‘asset’ identified areas Care and Aged facilities in ‘asset’ identified areas Schools in ‘asset’ identified areas State Agencies – EA, Sydney Water, Telstra, Integral, AGL, RTA, Lands Dept, Rail Corp.
