Box 6.2. Building Incentives <strong>to</strong> Ensure that the System Is Used<br />

The best way <strong>to</strong> promote the use of<br />

the grievance mechanism is <strong>to</strong> ensure that it<br />

resolves grievances effectively <strong>and</strong> that this success<br />

is demonstrated <strong>to</strong> staff <strong>and</strong> potential users.<br />

The true proof of the success of the grievance mechanism will be measured by how much it is used<br />

<strong>and</strong> what results it achieves. Use is connected <strong>to</strong> minimizing the risks <strong>and</strong> maximizing the benefits of<br />

the system. For those operating the grievance mechanism, an ongoing issue will be how <strong>to</strong> develop<br />

incentives <strong>and</strong> encourage its use. a Focusing on the following five questions will help grievance<br />

personnel ensure that the system is used:<br />

1. What else can we be doing <strong>to</strong> minimize the risk <strong>and</strong> fear of using the system?<br />

• Are we successfully demonstrating that retaliation is not <strong>to</strong>lerated?<br />

• Are we protecting confidentiality?<br />

• Do people feel their rights are protected?<br />

2. What else should we be doing <strong>to</strong> encourage community members <strong>to</strong> use the system?<br />

3. What are we doing as a company <strong>to</strong> change the way we view conflict <strong>and</strong> complaints?<br />

• Are we overcoming the prevailing attitude that “getting a grievance is not okay”?<br />

• Is grievance management included as a core competency in a per<strong>for</strong>mance appraisal system?<br />

4. What are the tangible benefits <strong>and</strong> results we see from the grievance mechanism?<br />

• Are we reporting benefits <strong>and</strong> results back <strong>to</strong> the community <strong>and</strong> the company?<br />

• Are we publicizing success s<strong>to</strong>ries of people who have used the grievance mechanism?<br />

5. Do community leaders encourage use of the mechanism?<br />

The best way <strong>to</strong> promote the use of the grievance mechanism is <strong>to</strong> ensure that it resolves grievances<br />

effectively <strong>and</strong> that this success is demonstrated <strong>to</strong> staff <strong>and</strong> potential users.<br />
