30 The Southport School International Handbook iii) A Student who does not make satisfactory progress as shown in the Schedule of Academic Breaches through a second term - second warning letter is issued and given to student and parent/guardian. The student is called to another meeting with his Housemaster and the Dean of Studies and their progress and Intervention Strategy discussed and adjusted if needed. Student/parent and guardian also explained they are now at high risk of being reported should they fail a study period (two consecutive terms). iv) A Student who repeatedly fails to make satisfactory progress as shown in the Schedule of Academic Breaches - ‘Notice of Intention to Report’ is issued and given to student and parent/guardian. Student/parent/guardian to be advised they have 20 workings days in which to access the school’s internal complaints and appeals process. The School will notify DIISRTE via PRISMS of students not achieving satisfactory course progress as soon as practicable where: i) the student does not access the complaints and appeals process within 20 days, or ii) withdraws from the complaints and appeals process, or iii) the complaints and appeals process results in favour of the school. TSS must advise of student breaches (academic progress) even if the student has ceased study. An Intervention Strategy may be implemented at any time to assist a student to succeed in their studies. All Intervention Strategies implemented and warning letters will be kept on the student’s file. If the student’s appeal is successful, TSS does not report the student, but rather supports the student in accordance with TSS’s course progress policies and procedures. TSS will notify DIAC of student breaches even if the student has ceased study eg academic progress.
The Southport School International Handbook 31 Monitoring Attendance This policy must be provided to staff and international students. Maintaining satisfactory attendance is a student visa requirement. Class teachers mark the roll every day. Any unexplained/unknown absences are followed up by the Student Services by way of a phone call to the parents/guardian. Late arrivals will be marked as Late for School. All absences due to illness require a Medical Certificate and approval from parents/guardian. The Department of Immigration and Citizenship (DIAC) requires that international students must maintain at least 80% of the scheduled contact hours for the course. This will be measured through the School’s attendance system. At the conclusion of each semester (2 consecutive terms), each student’s attendance will be calculated. Students absences must be notified to the school by way of Boarding Master or parents for non-boarders. Any student who is absent for five or more consecutive days without approval, or any student does not attend for at least 90% of the scheduled contact hours, will be issued a warning letter (Attendance Level 1 Warning 1) and called to a meeting with his Housemaster and Dean of Students, at which he will be counselled and assisted to improve his attendance. The School will also contact the student’s parents/guardians and they will be notified of the consequences should attendance fall below 80% and offered assistance/counselling. A student falling below the 85% attendance level in any study period (1 semester/ or 2 consecutive terms) will be issued with a first warning letter (Attendance Level 2 Warning 1) and called to a meeting with his Housemaster and Dean of Students. At this meeting the student will warned again of the consequences should their attendance fall to 80% and offered assistance/counselling. If in subsequent study period, a student continues to not meet the school’s attendance requirements, further action will be taken, as describes in the Schedule of Attendance Breaches. If a student’s attendance reaches 80% or less a first warning letter (Attendance Level 3 Warning 1) and ‘Notice of Intention to Report’ will be issued advising of TSS’s intention to report the student to DIAC for breach of visa condition 8202, and that he has 20 working days in which to access the School’s internal complaints and appeals process except in the following circumstances: • The student produces documentary evidence clearly demonstrating compassionate or compelling circumstances eg., medical illness supported by a medical certificate AND • That decision is consistent with TSS documented attendance policies and procedures; AND • TSS confirms that the student is attending at least 70% of the scheduled course contact hours for the course in which he is enrolled. TSS may decide not to report a student for 80% attendance where TSS feels the student is a genuine student and can confirm the student is attending AT LEAST 70% of the scheduled course contact hours and maintaining satisfactory academic performance. The School will notify the Department of Education, Employment and Workplace Relations (DIAC) via PRISMS of the student not achieving satisfactory course attendance as soon as practicable where: • the student does not access the complaints and appeals process within 20 days • withdraws from the complaints and appeals process • the complaints and appeals process results in a decision for the School. • Compassionate or compelling circumstances are generally those beyond the control of the student and which have an impact upon the student’s course attendance or wellbeing. These could include, but are not limited to: • serious illness or injury, where a medical certificate states that the student was unable to attend classes • bereavement of close family members such as parents or grandparents • major political upheaval or natural disaster in the home country requiring emergency travel and this has impacted on the student’s studies; or • a traumatic experience which could include:
