<strong>Special</strong> <strong>Benefits</strong> <strong>Letter</strong> <strong>Instructions</strong><br />
<strong>The</strong> <strong>special</strong> <strong>benefits</strong> letter below should be used as the agreement between the business supplying a<br />
discount to your members and the union. In many cases, this “<strong>benefits</strong> letter” can be used as the only<br />
agreement on the benefit that the union has negotiated with the business. However, you should attempt<br />
to also use the “<strong>Special</strong> Discount Agreement,” as part of the contract with the business, as the agreement<br />
spells out in more detail the responsibilities of the business.<br />
It’s easy to use this template:<br />
1. You can either type in changes to the Word template or print out the PDF blank template and<br />
write in the appropriate information.<br />
2. Insert the name of the business, noted as vendor, and the name of the union.<br />
3. Include a detailed description of the benefit or discount – and any restrictions – in the allotted<br />
space. You will want to note exactly what the discount is that you negotiated with the vendor (for<br />
example - 15% off of all purchases, a free large drink with the purchase of a sandwich, buy one<br />
get one free, etc.).<br />
4. Include the date when the agreement will end.<br />
5. Include the name, address and phone number of the business supply the discount or benefit.<br />
6. Print the document out by selecting print. Print on union letterhead.<br />
7. You can save the document by moving it into one of the folders on your computer. You cannot<br />
save it onto the CD-ROM.<br />
8. Have a representative of the business and a representative of the union sign and date the<br />
document.<br />
9. Have the governing body of the union review and approve the document.
SPECIAL BENEFITS LETTER<br />
(Vendor) agrees to provide an established discount to be determined by<br />
the participating business, extended to all members of<br />
(<strong>Union</strong>) holding<br />
a valid membership card. <strong>The</strong> discount(s) offered and any restrictions that may apply are as follows:<br />
<strong>The</strong> <strong>Union</strong> agrees to promote the discount described above to its members. Either party can terminate<br />
this Agreement, at any time after giving the other party a 30-day notice. <strong>The</strong> undersigned understands<br />
that this Agreement will remain in effect until<br />
(end date) unless such written<br />
notice of termination is given by either party.<br />
