REGISTRATION POLICIES AND PROCEDURES, AAMU, <strong>2012</strong>-<strong>2013</strong> ~ 28 ~<br />
Emergency Separation for Military Purposes<br />
When a student or spouse of the student is called to active military service during an academic term, he/she may choose one of the<br />
following three options listed below. The student is responsible for notifying his/her instructors of the option they choose.<br />
1. The student may request retroactive withdrawal to the beginning of the semester, with a full refund of tuition and fees.<br />
2. If at least 75 percent of the term has been completed, the student may request that the faculty member assign<br />
a grade for the course based on the work completed. The final decision about grading is left to the faculty member.<br />
3. If the faculty member assigns a grade of “I,” the student must complete course requirements one year after<br />
the student returns to campus.<br />
Room and board will be refunded in accordance with the current <strong>University</strong> refund policy. All students who receive Title IV funds<br />
will be processed according to federal policies. Federal policy statements are available in the Office of Student Financial Aid.<br />
EMERGENCY SEPARATION PROCEDURES:<br />
Secure the form “Emergency Separation for Military Purposes” from the Office of Academic Affairs.<br />
Complete the form and secure appropriate documentation.<br />
Submit the form and attachments to the Office of the Registrar, retaining the copy marked “Student”.<br />
Withdrawal from the <strong>University</strong><br />
When a student finds it necessary to discontinue his or her enrollment at any time other than at the end of a semester or summer term,<br />
he or she must complete a withdrawal form obtained from the Registrar‘s Office. The student must clear all AAMU accounts as listed<br />
on the form. When a student withdraws before the last two weeks of any semester or summer session, the student will receive a grade<br />
of “W” in all courses. When enrolled for a regular semester, however, a student may not withdraw during the last two calendar weeks<br />
prior to the first day of final examinations. In a summer session, a student may not withdraw during the last calendar week prior to the<br />
first day of final examinations.<br />
When a student leaves AAMU at any time during the semester or a summer session without filing a Withdrawal Form and without<br />
clearing all <strong>University</strong> accounts, the student will receive a grade of “F” in all courses. Further, he or she will forfeit all rights to a<br />
statement of honorable dismissal, thereby jeopardizing re-entry into AAMU or transfer to another accredited institution. Withdrawal<br />
from the <strong>University</strong> does not relieve the student from any financial obligation owed at that time.<br />
WITHDRAWAL PROCEDURES<br />
4. Secure and complete Withdrawal Clearance Form. Forms are available in the Registrar‘s Office. Obtain all appropriate<br />
signatures.<br />
5. Complete exit interview with the Office of Special Student Services.<br />
6. Obtain signature from the Financial Aid Office.<br />
7. Obtain signature from the Cashier’s Office<br />
8. Return completed Withdrawal Clearance Form to the Office of the Registrar.<br />
Auditing Courses<br />
Students who do not wish to register in courses for credit may be permitted to register as auditors under the conditions that they pay<br />
the regular audit fees (no additional fee for students registered for a full-time credit load), obtain the consent of the instructor, and<br />
audit only courses for which there are adequate classroom facilities. Full-time students must obtain the consent of their advisors. Skill<br />
and laboratory courses are not open for auditors.<br />
Permission to enroll and registration for auditing courses shall be filed in the Office of the Registrar. Regular registration procedures<br />
are to be followed after permission has been granted. The privileges of an auditor in a course are limited to attending and listening.<br />
The auditor assumes no obligation to do any work in the course. Auditors do not submit any work and are not required to take any<br />
tests or examinations nor receive grades on any part of the course. Auditors are not expected to take any time of the instructor.<br />
A student can change a course from credit to audit or from audit to credit. The fee for this change is the same as that for other schedule<br />
changes.
