u All applications are considered for assignment<br />

according to the priority point system and the date<br />

and time they are received in the <strong>AARC</strong> Convention<br />

Department. When companies that have an equal<br />

number of points request the same booth space,<br />

space is assigned based upon the date and time<br />

the application was received.<br />

<strong>AARC</strong> Congress is four days of educational programs including<br />

more than 200 sessions and 350 research presentations.<br />

”<br />

u One priority point has been accumulated for each<br />

100 square feet of booth space rented over the<br />

last five years. The applicant with the highest<br />

number of priority points is assigned first, the<br />

applicant with the second highest is assigned<br />

second, etc.<br />

u If an exhibiting company merges with, buys, or is<br />

bought by another company, half of the points<br />

accumulated by the purchased company will be<br />

credited to the purchasing company’s points.<br />

u <strong>Exhibitor</strong>s should list four possible choices for<br />

exhibit space. If choices one through four have<br />

previously been assigned, the exhibits coordinator<br />

will contact you regarding remaining available<br />

space. If we contact you regarding booth<br />

assignment and there is no response from your<br />

company within 48 hours, we will proceed with the<br />

next company’s booth assignment. Specific booth<br />

assignments are not final until confirmed in writing<br />

by the exhibits coordinator.<br />

u Past due balances for all parties with the <strong>AARC</strong><br />

and Daedalus, must be paid in full before<br />

assignment of 2013 exhibit space will be<br />

approved. Failure to maintain a current credit<br />

balance or failure to remit balance of the booth<br />

rental fee within the net 30-day terms will result in<br />

a hold on all services provided through the <strong>AARC</strong><br />

and its subsidiaries and potential loss of reserved<br />

exhibit space.<br />

GENERAL BADGE INFORMATION<br />

The <strong>AARC</strong> issues an official name badge for each of<br />

the exhibitor’s representatives based upon the Badge<br />

Request Form which will be e-mailed in a separate<br />

communication by the end of August. Each exhibiting<br />

company is allotted 6 badges per each 100 square<br />

feet of purchased exhibit space. For example an<br />

exhibitor with two 10' x 10' booths will be allotted<br />

12 exhibitor badges.<br />

PRICES FOR ADDITIONAL BADGES<br />

Exhibiting companies may register at no charge six<br />

(6) representatives for each 10’ x 10’ booth.<br />

Additional representatives may be registered by the<br />

booth manager for the entire 4 days of the Congress<br />

or for 1 day only at the following rates.<br />

u <strong>AARC</strong> reserves the right to reassign an alternate<br />

booth location.<br />

u In order for your priority points to be considered<br />

in your booth assignment, your application and<br />

deposit must be received by Friday, March 29,<br />

2013. Applications received after Friday, March 29<br />

will be processed in date-received order without the<br />

benefit of accumulated priority points. Based upon<br />

the 2012 show, <strong>AARC</strong> projects that the exhibit hall<br />

will be 80% filled in August 2013 by those<br />

submitting their applications by the deadline,<br />

leaving only 20% of the exhibit hall available to<br />

those applying after the deadline.<br />

u Specific booth assignments are not final until<br />

confirmed, in writing, by the exhibits coordinator.<br />

This agreement made and entered into this ____________day of _______________, 2013 by and<br />

between the American Association for Respiratory Care, Irving, Texas, hereinafter referred to as<br />

<strong>AARC</strong>, and ____________________________________________, hereinafter referred to as <strong>Exhibitor</strong>.<br />

WITNESSETH: That in consideration of the premises and the mutual covenants herein contained,<br />

the parties hereto agree as follows:<br />

FIRST: <strong>AARC</strong> will permit <strong>Exhibitor</strong> only to occupy the assigned<br />

booth space(s) during <strong>AARC</strong> Congress 2013 to be held<br />

November 16-19, 2013, in Anaheim, California, USA. Exhibit<br />

dates will be November 16-18, 2013.<br />

SECOND: <strong>Exhibitor</strong> agrees not to sublet or to otherwise<br />

assign, to any person or <strong>org</strong>anization whatsoever, any right to<br />

occupancy space covered by this statement.<br />

THIRD: <strong>Exhibitor</strong> agrees to limit all <strong>AARC</strong> convention-related<br />

activities to within their assigned booth space(s).<br />

FOURTH: Upon submission of this application/contract,<br />

<strong>Exhibitor</strong> includes, as a deposit, ❑ 50% ❑ 100% of the rental<br />

fee for the requested booth space in the amount<br />

agreement without penalty prior to 5:00 pm Central Time on<br />

July 19, 2013. Such cancellation shall only be effective when<br />

written notice hereof is received by <strong>AARC</strong>, Irving, Texas. In the<br />

event of such cancellation, all rights, duties, liabilities, and<br />

obligations hereunder shall terminate.<br />

SEVENTH: In the event that <strong>Exhibitor</strong> cancels this agreement<br />

after 5:00 pm Central Time on July 19, 2013, and prior to 5:00<br />

pm Central Time on August 16, 2013, all rights, duties,<br />

liabilities, and obligations hereunder shall terminate except<br />

that <strong>Exhibitor</strong> will be liable for and agrees to pay <strong>AARC</strong> forty<br />

percent (40%) of the exhibit rental fee reserved hereunder.*<br />

Such cancellation shall only be effective when written notice is<br />

received by <strong>AARC</strong>, Irving, Texas.<br />

EIGHTH: In the event that <strong>Exhibitor</strong> cancels this agreement<br />

after 5:00 pm Central Time on August 16, 2013, and prior to<br />

5:00 pm Central Time on October 18, 2013, all rights, duties,<br />

liabilities, and obligations hereunder shall terminate except<br />

that <strong>Exhibitor</strong> will be liable for and agrees to pay <strong>AARC</strong> sixty<br />

percent (60%) of the exhibit rental fee reserved hereunder.*<br />

Such cancellation shall only be effective when written notice is<br />

received by <strong>AARC</strong>, Irving, Texas.<br />

NINTH: In the event that <strong>Exhibitor</strong> cancels this agreement<br />

after 5:00 pm Central Time on October 18, 2013, all rights,<br />

duties, liabilities, and obligations hereunder shall terminate<br />

except that <strong>Exhibitor</strong> will be liable for and agrees to pay <strong>AARC</strong><br />

one hundred percent (100%) of the exhibit rental fee reserved<br />

hereunder.* Such cancellation shall only be effective when<br />

written notice is received by <strong>AARC</strong>, Irving, Texas.<br />

TENTH: <strong>AARC</strong> reserves the right to relocate any space to be<br />

occupied hereunder by <strong>Exhibitor</strong>. Upon receiving from <strong>AARC</strong><br />

notice of such relocation, <strong>Exhibitor</strong>, notwithstanding any other<br />

provision hereof, may cancel this agreement without penalty<br />

and shall be entitled to the return of any previously paid<br />

exhibit rental fee.<br />

ELEVENTH: <strong>Exhibitor</strong> agrees to indemnify <strong>AARC</strong> against and<br />

hold it free from any and all claims arising from loss or damage<br />

to <strong>Exhibitor</strong>’s property whatsoever cause occasioned, and<br />

whosesoever such property is located during the period in<br />

which <strong>AARC</strong> occupies the Anaheim Convention Center, except<br />

for such injury or loss as may be proximately caused by willful<br />

and malicious misconduct on the part of any full-time regular<br />

payroll employee of <strong>AARC</strong>.<br />

<strong>Exhibitor</strong> agrees to indemnify <strong>AARC</strong> and the Anaheim<br />

Convention Center from and against any and all claims, losses<br />

or damages to persons or property.<br />

* FAILURE TO MAINTAIN A CURRENT CREDIT HISTORY CAN<br />

RESULT IN SUSPENSION OF ALL SERVICES FROM <strong>AARC</strong><br />

AND ITS SUBSIDIARIES.<br />

Please read these contract provisions carefully before signing<br />

below. A copy of this completed and counter-signed contract<br />

and a confirmation letter will be forwarded to you after<br />

assignment is complete.<br />

Deposit and Payment<br />

Deposit and payment must be in the form of a<br />

credit card or a check in US funds and drawn on<br />

a US bank, payable to the American Association<br />

for Respiratory Care. The following credit cards<br />

will be accepted for payment: American<br />

Express ® , MasterCard ® or Visa ® . Wire transfers<br />

will be accepted; however, if bank charges are<br />

incurred, you will be invoiced for this amount.<br />

A deposit of 50% of the highest priced<br />

requested booth must accompany the<br />

application. Upon receipt of the application and<br />

deposit, <strong>AARC</strong> will immediately send an invoice<br />

for the remaining 50% and place the application<br />

in line for specific booth assignment. Specific<br />

booth assignments are not final until confirmed<br />

in writing by the exhibits coordinator. If a price<br />

adjustment is necessary once your assigned<br />

space has been confirmed by the Exhibits<br />

The <strong>AARC</strong> recommends sending the application<br />

CANCELLATION POLICY FOR BOOTH/ISLANDS<br />

Cancellations are effective only when received in<br />

writing by the <strong>AARC</strong> in Irving, Texas.<br />

<strong>Exhibitor</strong> is hereby given the right to cancel this<br />

agreement without penalty prior to 5:00 P.M.<br />

Central Time on Friday, July 19, 2013. Such<br />

cancellation shall only be effective when written<br />

notice hereof is received by <strong>AARC</strong>, Irving, Texas.<br />

In the event of such cancellation, all rights,<br />

duties, liabilities, and obligations hereunder<br />

shall terminate.<br />

In the event that <strong>Exhibitor</strong> cancels this<br />

agreement after 5:00 P.M. Central Time on<br />

Friday, July 19, 2013, and prior to 5:00 P.M.<br />

Central Time on Friday, August 16, 2013, all<br />

rights, duties, liabilities, and obligations<br />

*Failure to maintain a current credit history<br />

can result in suspension of all services from<br />

the <strong>AARC</strong> and its subsidiaries.<br />

<strong>AARC</strong> reserves the right to relocate any space to<br />

be occupied hereunder by <strong>Exhibitor</strong>. Upon<br />

receiving from <strong>AARC</strong> notice of such relocation,<br />

<strong>Exhibitor</strong>, notwithstanding any other provision<br />

hereof, may cancel this agreement without<br />

penalty and shall be entitled to the return of any<br />

previously paid exhibit rental fee.<br />

SHOW CANCELLATION POLICY<br />

The parties agree that if <strong>AARC</strong> Congress 2013 is<br />

cancelled in whole or in part, or its scheduled<br />

opening is cancelled or delayed, due to fire,<br />

explosion, strike, freight embargo, act of God,<br />

act of public enemy, act of war, act of terrorism,<br />

civil disturbance, act of any government, de jute<br />

or de facto, or governmental declaration or<br />

regulation, epidemic or other event over which<br />

the <strong>AARC</strong> has no control, then the exhibitor<br />

contract may be immediately amended by the<br />

<strong>AARC</strong> and exhibitor hereby waives any and all<br />

claims against the <strong>AARC</strong> for damages,<br />

reimbursement, refunds or compensation.<br />

Q. How many badges will I receive for my booth?<br />

A. Each exhibiting company is allotted 6 badges per each<br />

100 sq. ft. of purchased exhibit space.<br />

Q. Are there any meeting rooms at the Convention Center?<br />

A. No, meeting space is only available at the Headquarters Hotel.<br />

Q. What is the deadline date on the application?<br />

A. March 29. The deadline date is important for the exhibitors who<br />

wish to use their priority points.<br />

Q. Can we still purchase exhibit space after that date?<br />

A. Yes, applications are accepted after the deadline date.<br />

Q. Can <strong>Exhibitor</strong>s earn CRCE credits?<br />

A. Yes, the <strong>AARC</strong> exhibitor badge allows exhibitors to attend all educational<br />

and poster sessions. Respiratory therapists who are registered as an<br />

exhibitor may receive CRCE credit. Details will be provided to the booth<br />

manager(s) at the onsite registration desk.<br />

Q. What hours are exhibitors allowed in the Exhibit Hall?<br />

A. <strong>Exhibitor</strong>s are allowed in 2 hours before the Exhibit Hall opens,<br />

and 1 hour after the Hall closes.<br />

Q. What furnishings, if any come with the booth cost?<br />

A. The exhibit space rental fee does not include: furniture, accessories,<br />

carpeting, audio-visual equipment, additional signs or electricity.<br />

These items can be ordered from individual contractors using the<br />

forms provided in the <strong>Exhibitor</strong> Service Kit emailed out separately.<br />

The Booths come with a back drape, a 7" x 44" identification sign<br />

with the company name, city, state, and booth number.<br />

Q. What is the height limit for booths and Islands?<br />

A. The height limit for 10’x10’ booth(s) is 8 feet in height and cannot extend<br />

further than 3 feet from the back wall. The maximum height for islands is<br />

20 feet including signs, company name, logo and product information,<br />

lighting trusses or any other types of lighting fixtures with a 40% seethrough<br />

effect from front to back and from side to side.<br />

Q. Can we have a drawing for give-a-ways in our booth?<br />

A. Drawings, contest, or prize awards of any kind are expressly prohibited on<br />

the exhibit floor. Entries may be completed within your booth with the<br />

actual drawing held elsewhere. An announcement of the winner(s) may be<br />

discreetly posted within your booth. Announcements are prohibited via<br />

audio from the exhibitor’s booth<br />

Q. How does the <strong>AARC</strong> help to protect your exhibit?<br />

A. In order to assist you in protecting your equipment and resources, the<br />

<strong>AARC</strong> will provide security in the exhibit hall on a 24-hour basis from the<br />

first day of installation of exhibits through the last day of dismantling.<br />

Entrance and exit of workers, attendees, and exhibit personnel will be<br />

strictly monitored.<br />

Q. What are the show colors for the exhibit hall?<br />

A. Colors are selected 60 days prior to the opening of <strong>AARC</strong> Congress.<br />
