s TORONTO HOTEL RESERVATION INFORMATION s Reservation Deadline Date: JUNE 2, 2008 After this date, rooms in the IADR block will be released, and hotels may charge higher rates. Reserve Now! This will delay the processing of your form while it gets forwarded to the appropriate destination. Availability Reservations will be processed on a first-come, first-served basis. For best availability and immediate confirmation, make your reservation via the Internet. After the deadline date, the Housing Bureau will NOT process reservations, and you will be instructed to contact the hotels directly. Please note that rooms might not be available at the convention rates after the deadline date. If you wish to share a room, it is your responsibility to find a roommate, but please submit only one form to avoid duplication. Special requests cannot be guaranteed; however, the hotels will do their best to honor all requests. Reservation Acknowledgment If you reserve your room online or by telephone, you will receive a confirmation immediately. If you reserve via fax or mail, an acknowledgment of your reservation will be issued within three (3) days of receipt to the e-mail address provided (if not, via fax or mail). NOTE: You will NOT receive a confirmation directly from your assigned hotel unless requested directly. Reservation Changes All changes in hotel reservations must be made with the Housing Bureau until the deadline date (see below for contact information). After the deadline date, please contact your assigned hotel directly. NOTE: If you reserve online and later need to revise your hotel information, please contact the Housing Bureau via telephone, e-mail, or fax (you will NOT be able to access your form again online without making a duplicate reservation). The hotels will charge a fee if you depart earlier than requested after check-in. Cancellations The deposit is refundable if notice of cancellation is received by the Housing Bureau or assigned hotel at least three (3) days prior to arrival, and if a cancellation number is obtained. Cancellations received prior to the deadline date will be refunded in the same form of payment as originally made. Any cancellations made within 72 hours of the arrival date will result in forfeiture of the full deposit. Deposit A deposit of CDN or U.S. $200 (same amount either currency) is required for each room reservation. If you provide a credit card, your card will act as a late-arrival guarantee only, and no actual amount will be charged to your card (accepted cards are MasterCard, VISA, American Express, Discover, and Diner’s Club). Deposits paid by check must be payable to “IADR Housing Bureau” and mailed along with your housing request. All check deposits must be payable in Canadian or U.S. Dollars. Wire transfers are not accepted. Requests received without a valid guarantee will not be processed, and therefore your booking will not be confirmed. NOTE: Registration and housing payment CANNOT be combined into the same check, since they must be made payable to different entities. 9 IADR GENERAL SESSION & EXHIBITION
