e. Authority and limitations corresponding to <strong>the</strong> organisation's approval and<br />

functions defined in Appendix D <strong>of</strong> <strong>the</strong> ODA procedures manual.<br />

f. Active and inactive dates<br />

2. The procedures manual shall describe:<br />

a. How <strong>the</strong> unit member listing will be updated and maintained.<br />

b. The format <strong>of</strong> <strong>the</strong> listing.<br />

c. Description for coordinating changes to <strong>the</strong> listing with <strong>the</strong> <strong>Director</strong>-<strong>General</strong><br />

along with <strong>the</strong> information <strong>the</strong> organisation will provide to <strong>the</strong> <strong>Director</strong>-<strong>General</strong><br />

while unit member appointment decisions are under review by <strong>the</strong><br />

<strong>Director</strong>-<strong>General</strong>.<br />

Duration<br />

1. The ODA approval has a normal duration <strong>of</strong> two years. The ODA shall designate a<br />

manager to apply for renewal to <strong>the</strong> <strong>Director</strong>-<strong>General</strong>.<br />

2. Application for renewal shall be submitted to <strong>the</strong> <strong>Director</strong>-<strong>General</strong> no earlier than five<br />

months and no later than three months prior to <strong>the</strong> approval expiration date<br />

respectively.<br />

3. Application materials shall include:<br />

a. A covering letter<br />

b. CAD Form <strong>183</strong>-2, Application for renewal <strong>of</strong> ODA<br />

c. A report summarising since approval issue date or last renewal date:<br />

i. significant changes <strong>of</strong> <strong>the</strong> organisation, facilities, personnel<br />

ii. work activities<br />

iii. audit findings and corrective actions<br />

iv. Need for renewal<br />
