<str<strong>on</strong>g>Minutes</str<strong>on</strong>g> <str<strong>on</strong>g>of</str<strong>on</strong>g> last meeting<br />

The minutes <str<strong>on</strong>g>of</str<strong>on</strong>g> <str<strong>on</strong>g>the</str<strong>on</strong>g> last meeting were agreed.<br />

Matters arising from last meeting<br />

There had been no interest shown in arranging a <str<strong>on</strong>g>Health</str<strong>on</strong>g> and <str<strong>on</strong>g>Safety</str<strong>on</strong>g> Seminar and Yv<strong>on</strong>ne<br />

would raise this at a future Team Leaders meeting.<br />

Form 1a inspecti<strong>on</strong><br />

The Quarterly <str<strong>on</strong>g>Health</str<strong>on</strong>g> & <str<strong>on</strong>g>Safety</str<strong>on</strong>g> Inspecti<strong>on</strong> was made <strong>on</strong> 3 <strong>June</strong>. Staff had been made<br />

aware in advance that an inspecti<strong>on</strong> was due to take place. However, this would not<br />

happen before <str<strong>on</strong>g>the</str<strong>on</strong>g> next inspecti<strong>on</strong>.<br />

Observati<strong>on</strong>s made in <str<strong>on</strong>g>the</str<strong>on</strong>g> inspecti<strong>on</strong> included <str<strong>on</strong>g>the</str<strong>on</strong>g> following.<br />

• Room 017 – boxes <strong>on</strong> <str<strong>on</strong>g>the</str<strong>on</strong>g> floor were a tripping hazard;<br />

• Room 20 – recycling bags had now been moved to <str<strong>on</strong>g>the</str<strong>on</strong>g> foyer;<br />

• Room 11 – <str<strong>on</strong>g>the</str<strong>on</strong>g> BSU store c<strong>on</strong>tained old PCs, cables etc that were stored in a<br />

haphazard manner, making exit difficult in <str<strong>on</strong>g>the</str<strong>on</strong>g> event <str<strong>on</strong>g>of</str<strong>on</strong>g> a fire;<br />

• Room 007 needed recycling boxes;<br />

• Room 003 – <str<strong>on</strong>g>the</str<strong>on</strong>g> yellow crate had now been emptied, but recycling boxes were needed<br />

and envelopes should be recycled;<br />

• BSU Server Room – <str<strong>on</strong>g>the</str<strong>on</strong>g> broken floor tile will be fixed so<strong>on</strong>;<br />

• Canteen – despite bins for different types <str<strong>on</strong>g>of</str<strong>on</strong>g> waste (eg empty cans) being labelled,<br />

rubbish was still put in <str<strong>on</strong>g>the</str<strong>on</strong>g>m unsorted;<br />

• Room 210 – radio and toaster to be removed;<br />

• Room 2<strong>16</strong> – window ledges were still being used for storage, and empty boxes were<br />

still a hazard.<br />

Acti<strong>on</strong> Points:<br />

Alan – to notify BSU <str<strong>on</strong>g>of</str<strong>on</strong>g> <str<strong>on</strong>g>the</str<strong>on</strong>g> urgent need to tidy Room 11.<br />

Yv<strong>on</strong>ne – to speak to staff in Room 210 about removing <str<strong>on</strong>g>the</str<strong>on</strong>g> toaster and radio.<br />

Accident Book<br />

Five accidents had been reported during <str<strong>on</strong>g>the</str<strong>on</strong>g> period March – <strong>June</strong> which did not require<br />

any acti<strong>on</strong> by <str<strong>on</strong>g>the</str<strong>on</strong>g> H&S Team. Calum would remind first aiders that accident reporting<br />

forms should now be completed <strong>on</strong>line, as required by <str<strong>on</strong>g>the</str<strong>on</strong>g> Data Protecti<strong>on</strong> Act.


Agency Fire Risk Assessment<br />

The Agency had received a report from <str<strong>on</strong>g>the</str<strong>on</strong>g> recent Fire Risk assessment and while we<br />

were in compliance with <str<strong>on</strong>g>the</str<strong>on</strong>g> relevant secti<strong>on</strong>s <str<strong>on</strong>g>of</str<strong>on</strong>g> <str<strong>on</strong>g>the</str<strong>on</strong>g> <str<strong>on</strong>g>Health</str<strong>on</strong>g> and <str<strong>on</strong>g>Safety</str<strong>on</strong>g> at Work Act 1974<br />

several recommendati<strong>on</strong>s were made. Calum would take most <str<strong>on</strong>g>of</str<strong>on</strong>g> <str<strong>on</strong>g>the</str<strong>on</strong>g>se forward with<br />

Rydens however a few had been highlighted for <str<strong>on</strong>g>the</str<strong>on</strong>g> H&S <str<strong>on</strong>g>Committee</str<strong>on</strong>g> to c<strong>on</strong>sider.<br />

All Staff should receive Fire Training<br />

All staff working in Gyleview House, including cleaners and Pertemps staff, should<br />

undergo appropriate Fire <str<strong>on</strong>g>Safety</str<strong>on</strong>g> training. Calum replied that he would c<strong>on</strong>tact SERCO to<br />

find out whe<str<strong>on</strong>g>the</str<strong>on</strong>g>r SERCO was resp<strong>on</strong>sible for training <str<strong>on</strong>g>the</str<strong>on</strong>g> cleaners.<br />

Fire training could be provided at <str<strong>on</strong>g>the</str<strong>on</strong>g> annual awayday although <strong>on</strong>line training or leaflets<br />

may be a more suitable alternative. Calum would check if all staff need to be trained in <str<strong>on</strong>g>the</str<strong>on</strong>g><br />

use <str<strong>on</strong>g>of</str<strong>on</strong>g> fire extinguishers. It was suggested that Fire Marshals could provide staff training<br />

in <str<strong>on</strong>g>the</str<strong>on</strong>g>ir own areas. Clarificati<strong>on</strong> was also required for <str<strong>on</strong>g>the</str<strong>on</strong>g> role <str<strong>on</strong>g>of</str<strong>on</strong>g> Deputy Fire Marshals.<br />

Calum agreed to check <str<strong>on</strong>g>the</str<strong>on</strong>g>se points.<br />

Stati<strong>on</strong>ery/Paperwork/waste paper bags should not be stored <strong>on</strong> top <str<strong>on</strong>g>of</str<strong>on</strong>g> radiators<br />

Calum pointed out that waste paper bags should not be stored near or above heaters, as<br />

this was a fire risk.<br />

Display Screen Risk Assessment<br />

There was an increase in demand for DSA due to <str<strong>on</strong>g>the</str<strong>on</strong>g> recent accommodati<strong>on</strong> moves in <str<strong>on</strong>g>the</str<strong>on</strong>g><br />

building. Around 75% <str<strong>on</strong>g>of</str<strong>on</strong>g> all staff have now been assessed. Any staff requiring an<br />

assessment should e-mail Calum.<br />

Some staff had received DSA training which takes a half day, but due to pressure <str<strong>on</strong>g>of</str<strong>on</strong>g> work<br />

it was difficult to find time for assessing. It was agreed that staff who had underg<strong>on</strong>e<br />

training should be allowed time (around 20 minutes) to carryout a desk assessment.<br />

SHAW<br />

The afterno<strong>on</strong> sessi<strong>on</strong> at <str<strong>on</strong>g>the</str<strong>on</strong>g> corporate awayday at Crieff Hydro had been devoted to<br />

SHAW. Since <str<strong>on</strong>g>the</str<strong>on</strong>g> Awayday, <str<strong>on</strong>g>the</str<strong>on</strong>g> uptake for SHAW events, such as football, badmint<strong>on</strong>,<br />

riding and golf, had been very good. New activities to be introduced would include curling<br />

and aerobics. ‘Four teams were participating in <str<strong>on</strong>g>the</str<strong>on</strong>g> Great Scottish Walk.<br />

The NHS Trust agreed that <str<strong>on</strong>g>the</str<strong>on</strong>g> Agency had now met most <str<strong>on</strong>g>of</str<strong>on</strong>g> <str<strong>on</strong>g>the</str<strong>on</strong>g> requirements for a<br />

br<strong>on</strong>ze SHAW award and <str<strong>on</strong>g>the</str<strong>on</strong>g> portfolio would be put forward shortly. We would now work<br />

towards <str<strong>on</strong>g>the</str<strong>on</strong>g> silver award.<br />

We could c<strong>on</strong>sider inviting a nutriti<strong>on</strong>alist to visit <str<strong>on</strong>g>the</str<strong>on</strong>g> Agency to inform staff <strong>on</strong> a healthy<br />

diet. We could also invite Scottish Slimmers or Weightwatchers to Gyleview House to run<br />

a course and we may be able to get a discount.


We have received a request from <str<strong>on</strong>g>the</str<strong>on</strong>g> Blood Transfusi<strong>on</strong> Service to use <str<strong>on</strong>g>the</str<strong>on</strong>g> Gyleview car<br />

park for all d<strong>on</strong>ors in <str<strong>on</strong>g>the</str<strong>on</strong>g> South Gyle Crescent area. This would take place <strong>on</strong> a quarterly<br />

basis <strong>on</strong> Friday afterno<strong>on</strong>s.<br />

A.O.C.B.<br />

The <str<strong>on</strong>g>Minutes</str<strong>on</strong>g> <str<strong>on</strong>g>of</str<strong>on</strong>g> <str<strong>on</strong>g>the</str<strong>on</strong>g> <str<strong>on</strong>g>Health</str<strong>on</strong>g> and <str<strong>on</strong>g>Safety</str<strong>on</strong>g> <str<strong>on</strong>g>Committee</str<strong>on</strong>g> would now be published <strong>on</strong> <str<strong>on</strong>g>the</str<strong>on</strong>g> SAAS<br />

intranet and website.<br />

It was suggested that our in-house magazine ‘Gyleviews’, could be reinstated with a new<br />

format. This would include a foreword from <str<strong>on</strong>g>the</str<strong>on</strong>g> Chief Executive, SHAW news, training,<br />

items <str<strong>on</strong>g>of</str<strong>on</strong>g> ‘good news’ about staff members, and Social Club news. The news letter would<br />

be produced with <str<strong>on</strong>g>the</str<strong>on</strong>g> help <str<strong>on</strong>g>of</str<strong>on</strong>g> staff throughout <str<strong>on</strong>g>the</str<strong>on</strong>g> <str<strong>on</strong>g>of</str<strong>on</strong>g>fice.<br />

Acti<strong>on</strong> Points:<br />

The <str<strong>on</strong>g>Committee</str<strong>on</strong>g> discussed <str<strong>on</strong>g>the</str<strong>on</strong>g> shortage <str<strong>on</strong>g>of</str<strong>on</strong>g> car parking spaces. Pertemps staff were<br />

entitled to a carpark pass after three m<strong>on</strong>ths’ service, whilst staff <strong>on</strong> recurring seas<strong>on</strong>al<br />

appointments were recruited <strong>on</strong> <str<strong>on</strong>g>the</str<strong>on</strong>g> same basis as permanent staff and could apply for a<br />

pass straight away. Rydens were currently reviewing <str<strong>on</strong>g>the</str<strong>on</strong>g> number <str<strong>on</strong>g>of</str<strong>on</strong>g> parking spaces<br />

available.<br />

It was noted <str<strong>on</strong>g>the</str<strong>on</strong>g> volume <str<strong>on</strong>g>of</str<strong>on</strong>g> <str<strong>on</strong>g>the</str<strong>on</strong>g> fire alarm bell was too high in <str<strong>on</strong>g>the</str<strong>on</strong>g> Pers<strong>on</strong>nel Office, which<br />

could cause ear damage. It was suggested that <str<strong>on</strong>g>the</str<strong>on</strong>g> fire bell be moved from <str<strong>on</strong>g>the</str<strong>on</strong>g> foyer to a<br />

corridor area.<br />
