invoice and packing list types<br />

Invoices and packing lists can be created in numerous formats.<br />

Freeform: A document that is produced on the shippers letter-headed<br />

stationary and produced in no strict format.<br />

Combined: usually created in a template of some type, but one that is<br />

not a specific requirement. One example is the <strong>IELA</strong> Combined Invoice<br />

& Packing List.<br />

Defined format: A mandatory style that is required by some Customs<br />

authorities. Some agents in China require List of Exhibit forms.<br />

Certificates of Origin<br />

Certificates are usually obtained from Chambers of Commerce in the<br />

country of origin and can have different formats depending on the<br />

supplying country. However, they all contain the basic information and<br />

declaration of origin.<br />

Some Arab League nations require an Arab Certificate of Origin to be<br />

supplied which must be legalised together with other documents.<br />

Packing Declarations<br />

Some countries (eg. Australia & China) demand that you supply a<br />

document to confirm the type of packing materials used and the<br />

treatments that have been used to comply with ISPM15 regulations.<br />

Product Brochures<br />

Brochures are usually required to help classify and identify materials<br />

and equipment for Customs. In some cases, it reduces or eliminates<br />

the need for a physical examination by customs.<br />

Power of Attorney<br />

Common in the USA and required for some other countries, the POA is<br />

required by an agent to legally authorise them to act on behalf of<br />

someone else (for exhibitions, usually a shipper) when making<br />

commercial representation (such as submitting a Customs Entry).<br />

Prohibited goods<br />

It should be assumed that commodities such as illicit drugs (narcotics),<br />

indecent or obscene materials (pornography) and counterfeit, pirated<br />

or patent-infringing goods will be banned.<br />

Restricted goods<br />

It should be assumed that commodities such as food & drinks<br />

products, alcohol, firearms, medical equipment and medicaments,<br />

cosmetics, animals or plant products, textiles and hazardous materials<br />

will be restricted in some way and will require additional<br />

documentation or licenses.<br />

Censorship requirements<br />

Some countries actively protect cultural, political and religious beliefs<br />

and censor promotional media before distribution of display. This<br />

usually requires sending DVDs, CDs & Films prior to the main cargo.<br />

Fumigation requirements<br />

To prevent the spread of disease of pests around the world, a defined<br />

standard has been set, commonly referred to as ISPM15. Give<br />

consideration to using this standard regardless of requrements.<br />

Cargo deadlines<br />

Cargo deadlines are usually set, based on the procedures used by the<br />

clearing agent, allowing for public holidays as well as outside factors<br />

such as port congestion and industrial disputes (Customs, port agents,<br />

etc). The dates show are to be used as a general reference point and<br />

MUST be checked on a show by show basis.<br />

Deadline dates take into account many factors, Clearance time, time<br />

required to obtain release of containers, transit clearance (if necessary),<br />

devanning and transfer to venue.<br />

Document Deadline notes<br />

It is important that documents are received by your site agent in<br />

advance of the shipment to allow time for preparing Customs<br />

paperwork.<br />

It is recommended that documents are checked prior to sending.<br />

A critical part of our activities as exhibition and event agents is the<br />

ability to import goods into a country on a temporary import basis.<br />

Some countries have strict regulations on how the import process<br />

performed.<br />

Sale of temporary imports<br />

Many exhibitors wish to sell equipment from their stand or leave cargo<br />

with a distributor or agent for sale to a prospective buyer. Details on<br />

what you can and cannot do should be relayed to your customers prior<br />

to shipment so that they can plan in advance.<br />

Customs examinations<br />

Customs authorities around the world have different procedures to<br />

examining cargo. Some perform random inspections based on the<br />

commodity being shipped, some only check documentation and some<br />

clear shipments on an electronic basis without examination.<br />

Problems with customs<br />

Experiences from site agents can help you prepare in advance for<br />

potential difficulties. In general terms, if you have complied with your<br />

Site Agents shipping instructions, problems can be avoided.<br />

Always obtain shipping instructions from your preferred Site Agent.<br />

Always have documentation checked and approved by your Site Agent<br />

prior to shipment.<br />

Always allow for potential delays in transit when setting your deadline<br />

dates as an Export Agent.<br />

Always check with your Site Agent that they can provide a service at<br />

the exhibition your are sending to. Many "guest" shows nominate<br />

agents who are not necessarily based at the venue. This may change<br />

deadline dates as different agents have different policies on deadline<br />

dates and documentary requirments.
