WELCOME<br />

Welcome to <strong>Gloria</strong> <strong>Christi</strong> Lu<strong>the</strong>ran <strong>Preschool</strong>/<strong>Daycare</strong>. You and your child are beginning an important<br />

adventure in your lives, and I am happy that you have chosen to share this time with us. I would like to<br />

assure you that our staff is dedicated to providing a positive <strong>Christi</strong>an experience for your child in a<br />

secure and loving environment. Our goal is to help children grow in <strong>the</strong>ir knowledge of and relationship<br />

with Jesus Christ and <strong>the</strong> world around <strong>the</strong>m, while preparing <strong>the</strong>m socially and academically for school.<br />

This handbook contains a great deal of important information, including policies and procedures that help<br />

to keep our facility running smoothly. Please keep it in a convenient place for quick reference. If at any<br />

time you have questions or concerns, feel free to contact a teacher or myself.<br />

To <strong>the</strong> parents of <strong>Gloria</strong> <strong>Christi</strong> Lu<strong>the</strong>ran <strong>Preschool</strong>/<strong>Daycare</strong> children:<br />

Children are indeed a heritage from <strong>the</strong> LORD Himself. God loves life and is <strong>the</strong> author of life in<br />

abundance. And so even when sin and death came into this world from <strong>the</strong> common parents of all<br />

humanity, Adam and Eve, <strong>the</strong> Lord made provision to restore eternal life to all, for as many as believe in<br />

Christ receive it through His Word. So we seek to fulfill <strong>the</strong> ‘Great Commission’ of <strong>the</strong> Lord Jesus to<br />

make disciples of Jesus in all nations through both <strong>Gloria</strong> <strong>Christi</strong> Lu<strong>the</strong>ran Church and our<br />

<strong>Preschool</strong>/<strong>Daycare</strong>. We rejoice in <strong>the</strong> sending of children to our long-running preschool daycare that has<br />

been recognized in Weld County as one of <strong>the</strong> best.<br />

Our teachers and staff stand ready to proclaim Christ in Word and reflect Him in <strong>the</strong>ir deeds. While we<br />

seek to do many of <strong>the</strong> important things that nearly all preschool strive to do in readying children for <strong>the</strong>ir<br />

school careers, we also seek to introduce <strong>the</strong>m to <strong>the</strong> basics of <strong>the</strong> <strong>Christi</strong>an faith as Lu<strong>the</strong>rans historically<br />

confess it. In this we seek to communicate to <strong>the</strong> changeless truths of <strong>the</strong> <strong>Christi</strong>an faith in a simple way<br />

to <strong>the</strong> children entrusted to us for <strong>the</strong>ir preschool years. We also cordially invite you to consider visiting<br />

<strong>Gloria</strong> <strong>Christi</strong> Lu<strong>the</strong>ran Church to hear <strong>the</strong> Word of God and to send your children to Sunday School with<br />

The <strong>Preschool</strong>/<strong>Daycare</strong>,<br />

a Mission of<br />

<strong>Gloria</strong> <strong>Christi</strong> Lu<strong>the</strong>ran Church<br />

<strong>Gloria</strong> <strong>Christi</strong> Lu<strong>the</strong>ran Church is part of <strong>the</strong> Lu<strong>the</strong>ran Church Missouri Synod (LCMS). The Voters’<br />

Assembly of <strong>Gloria</strong> <strong>Christi</strong> Lu<strong>the</strong>ran Church has commissioned <strong>the</strong> Board of <strong>Christi</strong>an Education to<br />

oversee <strong>the</strong> operation of <strong>the</strong> <strong>Preschool</strong>/<strong>Daycare</strong> (PS/DC). This board is accountable to <strong>the</strong> Church Council<br />

and ultimately <strong>the</strong> Voters’ Assembly and members of <strong>Gloria</strong> <strong>Christi</strong> Lu<strong>the</strong>ran Church.<br />

The congregation supports <strong>the</strong> preschool/daycare as an outreach and service to our community. Our pastor<br />

leads <strong>the</strong> children in a weekly chapel service. He is available to <strong>the</strong> children and families for spiritual<br />

guidance. Members of <strong>the</strong> congregation support <strong>the</strong> PS/DC additionally with <strong>the</strong>ir time, talents, and<br />

prayers.<br />

LICENSE INFORMATION:<br />

General Information<br />

<strong>Gloria</strong> <strong>Christi</strong> <strong>Preschool</strong>/<strong>Daycare</strong> is licensed by <strong>the</strong> State of Colorado, Department of Human Services.<br />

We can accept children ages 3 through 12 years old. Children shall be toilet trained (no pull-ups or<br />

diapers) and able to use our facility’s restrooms independently. The only exception is a medical situation<br />

or disability. In this case, <strong>the</strong> parents, director, and Board of Education shall be in agreement that <strong>the</strong><br />

center and staff can meet <strong>the</strong> needs of <strong>the</strong> child.<br />

<strong>Gloria</strong> <strong>Christi</strong> does not discriminate on any basis of race, sex, religion, abilities or national origin.<br />

Children with special needs are accepted providing <strong>the</strong> parents, director and Board of Education agree that<br />

<strong>the</strong> center can adequately meet <strong>the</strong> child’s needs.<br />

Our teachers and assistants are required to have <strong>the</strong> appropriate early childhood education and experience<br />

as set by <strong>the</strong> State of Colorado. They are also required to continue <strong>the</strong>ir education throughout <strong>the</strong> year to<br />

stay current with <strong>the</strong> latest ideas and developments. A staff member, certified annually in First Aid and<br />

CPR, is available at <strong>the</strong> center at all times.<br />

The Staff to Child ratio, set by <strong>the</strong> State of Colorado, is as follows:<br />

Children age 3 to 4 years<br />

Children age 4 to 5 years<br />

Children age 5 to 12 years<br />

At least 1 staff member for every 10 children<br />

At least 1 staff member for every 12 children<br />

At least 1 staff member for every 15 children<br />

HOURS AND DAYS OF OPERATION<br />

The center is open Monday – Friday from 6:00 AM – 6:00 PM for daycare.<br />

<strong>Preschool</strong> is held from 9 AM - 11:30 AM for all children present.<br />

All children at <strong>the</strong> center during preschool hours attend preschool. Alternate school age activities are<br />

provided during school breaks. We typically follow Greeley School District 6 calendar and operate<br />

daycare only on days that Greeley’s schools are closed. Refer to <strong>the</strong> current calendar, which outlines<br />

holidays and o<strong>the</strong>r days <strong>the</strong> center is closed.<br />

The <strong>Preschool</strong> & <strong>Daycare</strong> generally closes for:<br />

The Board of Education may determine o<strong>the</strong>r closures as needed for staff development activities. These<br />

days will be communicated on <strong>the</strong> yearly calendars.<br />

Mission and Goals<br />

<strong>Gloria</strong> <strong>Christi</strong> <strong>Preschool</strong>/<strong>Daycare</strong> is a part of <strong>the</strong> educational program of <strong>Gloria</strong> <strong>Christi</strong> Lu<strong>the</strong>ran Church.<br />

We are established to “Train up a child in <strong>the</strong> way he should go and when he is old, he will not depart<br />

from it” (Proverbs 22:6). <strong>Gloria</strong> <strong>Christi</strong> <strong>Preschool</strong>/<strong>Daycare</strong> adheres to words of Christ, <strong>“Let</strong> <strong>the</strong> <strong>little</strong><br />

children come to me” (Mark 10:14). Therefore, our ministry to <strong>the</strong> children is focused in this way.<br />

The mission of <strong>Gloria</strong> <strong>Christi</strong> <strong>Preschool</strong> and <strong>Daycare</strong> is to provide a Christ-centered and nurturing<br />

environment in which children flourish individually through <strong>the</strong> developmental process.<br />

Our goals are to follow God’s Word in teaching and training children. We pray that our children’s lives<br />

will be anchored in Christ, so that <strong>the</strong>y may grow and be strong in <strong>the</strong> power of His might. An important<br />

part of each day is <strong>the</strong> emphasis on <strong>the</strong> Lord’s love and presence. We strive to prepare each child for <strong>the</strong><br />

next step in his or her educational future. As we teach various skills and content areas, we do so from a<br />

perspective of God’s love and forgiveness.<br />

Development is a continuous process, individual to each child. Growth follows an orderly sequence, and<br />

it takes place at various speeds; <strong>the</strong> rate of development varies at different ages for different children.<br />

Consequently, it is necessary to be aware not only of <strong>the</strong> normal developmental characteristics of a child,<br />

but also of <strong>the</strong> characteristics above and below <strong>the</strong> norm. In our school we observe, teach, and pray for<br />

each child. We aim to ensure that each child completes our program and moves on ready for <strong>the</strong> world<br />

beyond preschool in all developmental areas. We especially aim to give <strong>the</strong>m <strong>the</strong> great comfort and<br />

knowledge that <strong>the</strong>y are <strong>the</strong> forgiven children of God.<br />

CHAPEL<br />

While in our care…<br />

At least one morning per week, <strong>the</strong> children ga<strong>the</strong>r in <strong>the</strong> Sanctuary for a devotional service led by our<br />

pastor. <strong>Parent</strong>s and any o<strong>the</strong>r visitors are welcome to attend as well. Contact your child’s teacher for <strong>the</strong><br />

specific time and day.<br />

NUTRITION<br />

Each day <strong>the</strong> <strong>Preschool</strong>/<strong>Daycare</strong> provides a morning snack during preschool hours, lunch following<br />

preschool, and an afternoon snack following naptime and elementary school dismissal. Children may eat<br />

breakfast at <strong>the</strong> center, until 8:30 AM, if it is provided and prepared by <strong>the</strong> parent. Children arriving after<br />

8:30 AM will need to wait for <strong>the</strong> morning snack time.<br />

The following table prayer is said before each meal or snack:<br />

“Come Lord Jesus, be our Guest,<br />

and let <strong>the</strong>se gifts to us be blessed. Amen.”<br />

Meal and snack times are a relaxed, transitional time in which <strong>the</strong> children have time to socialize and<br />

practice table manners.<br />

A child may bring a lunch from home; <strong>the</strong> food shall be stored in a container marked with <strong>the</strong> child’s first<br />

and last name and placed in <strong>the</strong> refrigerator. Please notify your child’s teacher if your child brings food<br />

from home. If <strong>the</strong> staff assess that <strong>the</strong> meal brought from home does not adequately meet <strong>the</strong> nutritional<br />

standards that we follow, items may be removed or added as needed.<br />

Lunch is served at approximately 11:30 AM. Children arriving after 11:30 should have already eaten or<br />

made prior arrangements with <strong>the</strong> staff.<br />

The center follows <strong>the</strong> guidelines of <strong>the</strong> Child and Adult Care Food Program through <strong>the</strong> State of<br />

Colorado and sponsored by <strong>the</strong> United States Department of Agriculture. The USDA prohibits<br />

discrimination in its programs and activities on <strong>the</strong> basis of race, color, national origin, sex, age, or<br />

disability. (Not all prohibited bases apply to all programs.) Person with disabilities who require alternative<br />

means for communication of program information should contact <strong>the</strong> USDA’s Target Center at (202) 720-<br />

2600 (Voice and TDD).<br />

REST TIME<br />

State licensing requires that any child in our care for over four hours needs to have a rest time. Our rest<br />

time is from approximately 12:45-2:45 PM daily. All children who have not yet completed <strong>the</strong>ir<br />

Kindergarten year are encouraged to sleep. Older children may be asked to rest quietly or will be provided<br />

with an alternative activity.<br />

The center provides a sleeping cot with a protective cover. Please provide at least one small blanket,<br />

which will be sent home each Friday for laundering. Children may also bring <strong>the</strong>ir soft, noiseless, comfort<br />

toy for sleeping. Please ensure that clean sleep items are returned each Monday to <strong>the</strong> Center.<br />

CHANGE OF CLOTHING<br />

Please keep a full set of extra clothing in your child’s cubby at all times. Check periodically to make sure<br />

<strong>the</strong> clothing still fits and that it is appropriate for <strong>the</strong> current season.<br />

PERSONAL BELONGINGS<br />

Each child is designated a place for <strong>the</strong>ir personal belongings. Toys from home should stay at home.<br />

While <strong>the</strong> center makes every effort to safeguard personal belongings, we are not responsible for any lost<br />

or broken items. Money should not be brought to <strong>the</strong> school unless requested by <strong>the</strong> Director.<br />

Teachers may have “Show-and-Tell,” which would be <strong>the</strong> exception to <strong>the</strong> “no personal toys at school<br />

policy.” On <strong>the</strong>se days, toys remain in <strong>the</strong> child’s cubby except for sharing time. No guns, war toys, toys<br />

of destruction, or toys that depict ghosts, witches, and <strong>the</strong> like are allowed at any time.<br />

BIRTHDAYS/HOLIDAYS<br />

Birthdays and holidays may be celebrated at <strong>Gloria</strong> <strong>Christi</strong>. Please make arrangements with your child’s<br />

teacher for any special treats or activities that you wish to provide for <strong>the</strong>se times. We are a Christcentered<br />

school and will carry out <strong>the</strong> <strong>Christi</strong>an emphasis in celebration of <strong>the</strong> holidays. We may allow<br />

costumes for <strong>the</strong> Harvest Party in October; however, no evil, demonic, or violent character costumes or<br />

accessories will be permitted.<br />

CLOTHING/DRESS<br />

Please send children in comfortable, simple clothing that children can easily fasten on <strong>the</strong>ir own. Keep in<br />

mind that children will paint, use markers, glue, and o<strong>the</strong>r messy objects on a regular basis and that<br />

children, including <strong>little</strong> girls will be playing ball games and hanging upside down on monkey bars while<br />

outside on <strong>the</strong> playground. Shorts should always be worn under dresses. The playground rocks also cause<br />

discomfort when caught between toes and sandals. Tennis shoes are recommended.<br />

Please dress your child appropriately for <strong>the</strong> wea<strong>the</strong>r; children will spend time outside daily except in very<br />

severe wea<strong>the</strong>r. Also, keep in mind <strong>the</strong> ever-changing Colorado wea<strong>the</strong>r; it is easier to take off layers than<br />

to find extra clothing. Finally, please label all clothing items that may not stay on your child all day. This<br />

will help you to avoid lost items.<br />

PARENT TIME<br />

We ask that parents visit <strong>the</strong> center, get to know your child’s teacher, and assist in any way you can.<br />

Volunteer hours are always appreciated. Teachers can always use your help preparing materials, making<br />

copies, cutting things out, etc. Your child will appreciate your participation as well.<br />

Our center also conducts fundraising projects throughout <strong>the</strong> year. Your time and efforts in <strong>the</strong>se projects<br />

directly benefit <strong>the</strong> preschool/daycare and your child. Donations are also a great way for parents to<br />

participate. Please save those toilet paper rolls, baby food jars, or o<strong>the</strong>r objects frequently used for art<br />

projects.<br />

MOVIES/VIDEOS<br />

On occasion, videos will be used for quiet time and/or as part of <strong>the</strong> curriculum. Only “G” rated movies<br />

will be shown or occasionally, previewed “PG” movies with notification to parents/guardians. In <strong>the</strong><br />

event of a trip to <strong>the</strong> movie <strong>the</strong>ater, <strong>the</strong> name of <strong>the</strong> movie and rating will be posted on <strong>the</strong> permission<br />

slip. Children are supervised at required ratios during <strong>the</strong>se times.<br />

CONFERENCES<br />

<strong>Parent</strong>s are encouraged to ask for a conference with <strong>the</strong>ir child’s teacher at any time <strong>the</strong>y feel necessary.<br />

<strong>Parent</strong>/Teacher conference days will be held for children enrolled in preschool at least one time per school<br />

year. Teachers, <strong>the</strong> Director, and/or parents may request additional conferences throughout <strong>the</strong> year as<br />

needed.<br />

COMMUNICATION<br />

Please pay attention to <strong>the</strong> several avenues of communication in our center. All communication to parents<br />

will be placed in <strong>the</strong> family’s folder on <strong>the</strong> upstairs bulletin board. Notices will be posted on <strong>the</strong> parent<br />

board located on <strong>the</strong> door to <strong>the</strong> preschool/daycare, and also in <strong>the</strong> sign in/out area. Any changes to our<br />

policies and procedures will be in writing. You may also receive calls from “Member Caller,” an<br />

automated phone service we use to notify families in <strong>the</strong> event of cancellation or emergency. That number<br />

is 1-888-996-3623.<br />

Discipline<br />

<strong>Gloria</strong> <strong>Christi</strong> <strong>Preschool</strong>/<strong>Daycare</strong> staff looks to God’s Word for discipline guidelines. We believe in a<br />

loving, yet firm discipline that teaches. We are consistent in our discipline. No physical punishment is<br />

used. Since each child is unique, we look to his or her individual needs. Some methods that we use are:<br />

problem solving, positive reinforcement, redirection, natural consequences, time-outs, visits to <strong>the</strong><br />

Director’s office and notes or phone calls to parents. In <strong>the</strong> event that a behavior is endangering o<strong>the</strong>rs,<br />

suspension or termination of <strong>the</strong> child’s care may be necessary.<br />

<strong>Parent</strong>/Teacher communication is extremely important in <strong>the</strong> discipline process. If consistent behavior<br />

problems occur, <strong>the</strong> staff will enlist parental involvement. If problems still persist, parents, staff, and<br />

Director may be requested to work toge<strong>the</strong>r in planning and implementing a behavior plan for <strong>the</strong> child.<br />

The Board of Education reserves <strong>the</strong> right to terminate care of a child for persistent behavioral issues that<br />

cannot be resolved once various attempts and methods have been exhausted, for significant behaviors that<br />

endanger o<strong>the</strong>r children or staff ei<strong>the</strong>r physically or mentally, or for behaviors that interfere with <strong>the</strong><br />

ability of <strong>the</strong> staff, children, and o<strong>the</strong>r families to maintain <strong>the</strong> philosophies and goals of this mission.<br />

Curriculum<br />

We provide various learning and interest centers, encouraging and stimulating natural curiosity. We also<br />

have structured educational experiences in art, music, drama, movement, math, science, language, health,<br />

safety, cooking, and nutrition. Our curriculum, based on High Reach, is academically age and<br />

developmentally appropriate, and focuses on <strong>the</strong> following developmental goals.<br />

SPIRITUAL: Lovingly share with <strong>the</strong> child God’s saving Word so that he or she experiences love and<br />

forgiveness in Jesus Christ, and responds in faith and love to God and o<strong>the</strong>rs.<br />

EMOTIONAL: Encourage, support, and help <strong>the</strong> child to grow in positive life-awareness, living<br />

confidently as God’s child.<br />

SOCIAL: Provide an environment in which <strong>the</strong> child understands and streng<strong>the</strong>ns relationships with<br />

o<strong>the</strong>rs.<br />

PHYSICAL: Provide activities in which <strong>the</strong> child regards his or her body as a gift of God and grows in<br />

perceptual motor skills and physical development.<br />

INTELLECTUAL: Involve <strong>the</strong> child in appropriate experiences to enhance discovery, communication,<br />

conceptualization, and creativity.<br />

Here at <strong>Gloria</strong> <strong>Christi</strong> Lu<strong>the</strong>ran <strong>Preschool</strong>/<strong>Daycare</strong>, <strong>Christi</strong>an living is a way of life, not just a Bible<br />

lesson. In our program, we use prayer throughout <strong>the</strong> day. Bible lessons and songs are included as part of<br />

<strong>the</strong> regular curriculum. We encourage children to incorporate personal prayer in <strong>the</strong>ir lives, and parents<br />

are encouraged to support and continue this practice with <strong>the</strong>ir children at home.<br />

Admissions<br />

A child shall be 3 - 12 years old to enroll at <strong>Gloria</strong> <strong>Christi</strong> Lu<strong>the</strong>ran <strong>Preschool</strong>/<strong>Daycare</strong>. We do not have<br />

child-sized bathrooms or changing facilities and <strong>the</strong>refore are not in a position to accept children who are<br />

in pull-ups and/or diapers, or children who cannot independently use <strong>the</strong> bathroom facilities. <strong>Parent</strong>s of<br />

children with disabilities or medical conditions may request a meeting with <strong>the</strong> Director and Board of<br />

Education to determine if <strong>the</strong> facility meets <strong>the</strong> needs of <strong>the</strong>ir child who is not able to do <strong>the</strong>se tasks.<br />

<strong>Parent</strong>s or guardians are required to immediately notify <strong>the</strong> center, in writing, of any changes in<br />

information such as doctor, home and work phone numbers, employment changes, marital status, or<br />

emergency names and phone numbers.<br />

IMMUNIZATION<br />

Every child entering Colorado public and private schools, including preschools and daycares, shall<br />

provide a completed Colorado Department of Public Health and Environment Certificate of<br />

Immunization.<br />

<strong>Parent</strong>s or guardians are required to keep all medical forms on file current. Annual physicals are required<br />

for <strong>the</strong> children. If an enrolling child has special health care needs, <strong>the</strong> child’s parent or guardian shall<br />

provide a health care plan from <strong>the</strong> child’s health care provider.<br />

REGISTRATION<br />

The school-year and summer programs are separate. Non-refundable registration fees are due with <strong>the</strong><br />

registration form each August for <strong>the</strong> school-year session and each May for <strong>the</strong> summer session. Preregistration<br />

forms and fees are required each session for current students to guarantee continued<br />

enrollment.<br />

PRESCHOOL TUITION<br />

Financial Arrangements<br />

<strong>Preschool</strong> payment is due on <strong>the</strong> first day of each month, except <strong>the</strong> enrolling month when it is due <strong>the</strong><br />

first day of school. A five-day grace period will be allowed for payments, after which <strong>the</strong> account will be<br />

considered delinquent.<br />

A late fee of $10 per month will be assessed if payment is made after <strong>the</strong> 5 th . If payment is not made by<br />

<strong>the</strong> 15 th , <strong>the</strong> child will not be allowed to remain in <strong>the</strong> school. These policies are strictly enforced unless<br />

o<strong>the</strong>r arrangements have been made with <strong>the</strong> Director.<br />

There are no adjustments to monthly preschool tuition regardless of <strong>the</strong> number of days <strong>the</strong> child attends,<br />

vacations, school closures, or holidays. The fee is <strong>the</strong> same per month throughout that session as<br />

preschool costs are based on <strong>the</strong> cost of <strong>the</strong> whole session and divided by <strong>the</strong> number of months in that<br />

session.<br />

DAYCARE FEES<br />

<strong>Daycare</strong> fees are due by Wednesday of each week for that week. Any fee not paid by 6:00 PM on<br />

Wednesday will result in a $10 late fee. Fees left unpaid will result in <strong>the</strong> removal of <strong>the</strong> child from our<br />

daycare program and/or referral of <strong>the</strong> account to collections without additional notice. After termination<br />

of <strong>the</strong> child’s care, if <strong>the</strong>re is an unpaid balance, weekly late fees will continue for two weeks regardless<br />

of <strong>the</strong> circumstance for termination.<br />

RETURNED CHECKS<br />

There is a $25 fee charged for all returned checks. If <strong>the</strong>re are more than two returned checks from <strong>the</strong><br />

same party in a year, payments will <strong>the</strong>n need to be in cash, money order, or cashier’s check.<br />

CREDIT FOR ABSENCE DUE TO ILLNESS<br />

There is no credit given for typical, occasional absences due to illness. However, in <strong>the</strong> event of an<br />

extended illness <strong>the</strong> following will apply: no credit for <strong>the</strong> first week of absence, 50% credit for <strong>the</strong><br />

second week, and 100% for all following weeks. To receive credit, please present a doctor’s verification<br />

of illness.<br />

VACATIONS AND HOLIDAYS<br />

Vacation time is given to school-year and year-round students and accrues at <strong>the</strong> rate of one day per full<br />

month enrollment up to a maximum of ten days. Vacation does not apply to summer-only students. The<br />

actual vacation time will be equivalent to twice (2 times) <strong>the</strong> child’s contracted number of days attended<br />

each week. (Example: Child attending three days per week will earn six vacation days.) If a child’s<br />

enrollment status changes to “drop-in,” vacation time is no longer available.<br />

No credit is given for listed holidays, and vacation time may not be used on a holiday. In <strong>the</strong> event <strong>the</strong><br />

center is closed for o<strong>the</strong>r reasons, credit will be given. Vacation time may be used five consecutive days at<br />

a time and is limited to one week during <strong>the</strong> summer program.<br />

Please give <strong>the</strong> Director written notice at least two weeks prior to your vacation in order to receive<br />

credited vacation days. If your child has an irregular schedule, <strong>the</strong> Director will average <strong>the</strong> number of<br />

days attended and prorate vacation time for you.<br />

LATE PICK-UP/ EARLY DROP-OFF FEES<br />

There is a charge of $10 per child per ten minutes and any portion <strong>the</strong>reof for children not picked up at<br />

<strong>the</strong>ir dismissal time. Examples: Ten minutes late for 1 child = $10 fee. One minute late for 2 children =<br />

$20. Eleven minutes late for 1 child = $20 fee. Eleven minutes late for 2 children = $40 fee. Early dropoff<br />

fees are assessed for children prior to 8:45 AM for preschool. Late pick-up fees are assessed after 6:00<br />

PM for daycare and after 11:35 AM for preschool. The full amount of this fee is charged upon <strong>the</strong> first<br />

full minute of each late occurrence.<br />

The third occurrence of late pick-up or early drop-off in one month results in a $20 fee for <strong>the</strong> first ten<br />

minutes, or any portion <strong>the</strong>reof, per child and accrues as stated above. The $20 per ten minutes will be<br />

charged on <strong>the</strong> third occurrence in each month and any following occurrences in that same month.<br />

CHANGE IN ENROLLMENT STATUS<br />

A child may be withdrawn during a session with two week’s written notice to <strong>the</strong> director.<br />

<strong>Parent</strong>s/Guardians are responsible for <strong>the</strong>ir contracted fees for those two weeks. There will be a $10 reenrollment<br />

fee during <strong>the</strong> same session, a regular registration fee during a new session. A two-week notice<br />

is unnecessary if a child is not registered for <strong>the</strong> next session. However, if a registration form is not<br />

received for <strong>the</strong> next session (Fall or Summer), it will be assumed that <strong>the</strong> child will not be attending and<br />

may lose <strong>the</strong>ir spot, if <strong>the</strong> center or classroom is full.<br />

Enrollment at <strong>Gloria</strong> <strong>Christi</strong> is “at will” for both <strong>the</strong> center and <strong>the</strong> families enrolled. Ei<strong>the</strong>r party shall<br />

give a two-week notice before terminating care except in <strong>the</strong> event of non-payment or in <strong>the</strong> event that a<br />

student is suspended or permanently dismissed from <strong>the</strong> center.<br />

SUPERVISION<br />

Safety<br />

State licensing regulations for staff-to-child ratios, previously listed, are kept at all times. Staff count<br />

children on a regular basis and keep a clipboard with a daily attendance sheet.<br />

In <strong>the</strong> event of a lost child:<br />

On campus: <strong>the</strong> Director will notify parents/guardians and police if <strong>the</strong> child is not found within 20<br />

minutes, as all available staff continue to search for <strong>the</strong> child without leaving o<strong>the</strong>r children<br />

unattended. The event would <strong>the</strong>n be investigated internally and reported by <strong>the</strong> Director to <strong>the</strong><br />

required authorities, which are Weld County Social Services and Colorado Department of Human<br />

Services.<br />

Off campus: <strong>Gloria</strong> <strong>Christi</strong> personnel will immediately notify facility staff, <strong>the</strong> Director, <strong>the</strong> child’s<br />

parents/guardians and authorities. The event would <strong>the</strong>n be investigated internally and reported by <strong>the</strong><br />

Director to <strong>the</strong> required authorities, which are Weld County Social and Colorado Department of<br />

Human Services.<br />

If a child runs from a teacher, or attempts to leave <strong>the</strong> supervised area without permission, parents will be<br />

notified at <strong>the</strong> end of <strong>the</strong> day. O<strong>the</strong>r measures may be necessary depending <strong>the</strong> severity each incident.<br />

Due to our building’s layout, several special supervision rules apply:<br />

Bathroom Policy: Adult visitors, who are not staff, should be directed to <strong>the</strong> bathrooms near <strong>the</strong> Church<br />

Secretary’s office. If an adult chooses to use <strong>the</strong> restrooms in <strong>the</strong> hallway, a staff member shall ensure that<br />

<strong>the</strong> restroom is free of children and if necessary, remain in <strong>the</strong> hallway outside <strong>the</strong> restrooms until any<br />

child has exited.<br />

There will always be one teacher per eight children stationed in <strong>the</strong> hallway, just outside of <strong>the</strong> restrooms,<br />

during group use. More than eight children will necessitate one staff member be stationed at <strong>the</strong> entrance<br />

to each <strong>the</strong> boys’ and <strong>the</strong> girls’ restrooms. No more than three children may be in <strong>the</strong> restroom at a time.<br />

When one child leaves activities to use <strong>the</strong> restroom, a staff member shall have <strong>the</strong> restroom entrances in<br />

his or her line of sight and shall witness <strong>the</strong> child entering and exiting <strong>the</strong> restroom as well as <strong>the</strong> child’s<br />

return to activities. In this situation, only one child may be in <strong>the</strong> restroom at a time. Staff use bathroom<br />

passes to monitor <strong>the</strong> number of children in <strong>the</strong> restrooms.<br />

When restrooms are used for changing clo<strong>the</strong>s, only one child should be in a restroom at a time. This rule<br />

also applies to any room used for changing clo<strong>the</strong>s. A staff member shall be in line of sight and sound of<br />

any changing room. Children are not allowed to go to <strong>the</strong> church’s adult restrooms unless escorted by an<br />

adult.<br />

O<strong>the</strong>r Supervision: All children shall be actively supervised at all times. A staff member shall lead <strong>the</strong><br />

children to <strong>the</strong> sanctuary, Agape Center, or outdoors anytime a group is transitioning to one of <strong>the</strong>se<br />

places. At no time shall any child be allowed to leave <strong>the</strong> building or go outside without being in <strong>the</strong> line<br />

of sight of a staff member. Children shall remain with a parent when <strong>the</strong>y are picked up. They may not go<br />

to o<strong>the</strong>r parts of <strong>the</strong> building or leave <strong>the</strong> building without <strong>the</strong> parent or designated pick-up person.<br />

All entry doors are ei<strong>the</strong>r locked or supervised by church or preschool/daycare personnel. No one shall<br />

enter <strong>the</strong> childcare areas without permission from <strong>the</strong> church secretary or preschool personnel.<br />

Closing policy: At <strong>the</strong> end of each day, <strong>the</strong> closing staff member will review <strong>the</strong> attendance and signin/out<br />

sheets to ensure that each child has been picked up. The closing staff person will also conduct a<br />

walk-through of <strong>the</strong> building prior to leaving to ensure no child remains on campus.<br />

PICK UP AND DROP OFF POLICY<br />

It is important that preschoolers arrive by 9:00 AM on <strong>the</strong>ir scheduled days. Please notify <strong>the</strong> director or<br />

your child’s teacher of any absences, late arrivals, or early pickups.<br />

For each child’s safety, all children shall be escorted into <strong>the</strong> center by <strong>the</strong> adult who signs in with a full<br />

signature or o<strong>the</strong>r approved method. Please ensure that a staff member is aware of <strong>the</strong> child’s arrival.<br />

Only persons authorized on <strong>the</strong> Release and Emergency Information sheet will be allowed to pick up and<br />

sign out each child. Each child shall be signed in and out daily with a full signature or o<strong>the</strong>r approved<br />

method. We reserve <strong>the</strong> right to check identification of any person picking up each child.<br />

If <strong>the</strong>re is an unauthorized person whom you fear may attempt to pick up your child, please notify <strong>the</strong><br />

director. IT IS LEGAL FOR EITHER PARENT TO PICK UP A CHILD UNLESS THERE IS AN<br />

OFFICIAL RESTRAINING ORDER ON FILE.<br />

Procedure to allow someone o<strong>the</strong>r than those listed on your paperwork to pick up your child:<br />

1. The parent/guardian will be contacted immediately to provide verbal and/or written information.<br />

2. If <strong>the</strong> parent/guardian cannot be reached, and we do not have release permission, <strong>the</strong> child will not<br />

be able to leave <strong>the</strong> center with that individual.<br />

3. If <strong>the</strong> requesting individual becomes insistent on removing <strong>the</strong> child from <strong>the</strong> center, <strong>the</strong><br />

supervisor in charge is obligated to call law enforcement.<br />

Late Pick-Up:<br />

1. If a child is in our care for more than 10 minutes after <strong>the</strong> center’s posted closing time, an attempt<br />

will be made by staff to call <strong>the</strong> parents or guardians at all phone numbers provided.<br />

2. If a parent/guardian cannot be contacted within 20 minutes of <strong>the</strong> center’s closing, staff will call<br />

all emergency contacts to find an authorized person to pick up <strong>the</strong> child.<br />

3. If a child remains at <strong>the</strong> center for 30 minutes past closing, and no contact with parents, guardians,<br />

or o<strong>the</strong>r authorized persons is made, center staff will contact <strong>the</strong> Director. At this time, <strong>the</strong><br />

decision may be made to contact authorities such as social services or law enforcement.<br />

4. Fees for “late pick-up” will be assessed according to <strong>the</strong> current fee schedule.<br />

VISITORS<br />

<strong>Parent</strong>s and visitors are welcome in our center at any time. We ask that all visitors check in with <strong>the</strong><br />

Director or a teacher, and sign in on <strong>the</strong> visitor’s log. An ID is required of all persons unknown to <strong>the</strong><br />

staff.<br />

The Colorado Department of Human Services licenses <strong>Gloria</strong> <strong>Christi</strong> Lu<strong>the</strong>ran <strong>Preschool</strong>/<strong>Daycare</strong>. A<br />

copy of <strong>the</strong> current license is posted at <strong>the</strong> main entrance. To inquire about our license, or if you wish to<br />

CHILD ABUSE<br />

If you believe that a child has been abused, you should seek immediate assistance from Weld Department<br />

of Social Services. The telephone number to report child abuse is (970) 352-1551.<br />

Colorado law requires that childcare providers report all known or suspected cases of child abuse or<br />

neglect. If you desire a copy of our complete written policy, please contact <strong>the</strong> Director.<br />

EMERGENCY PREPAREDNESS<br />

Fire and tornado drills are conducted according to state regulations. In <strong>the</strong> event of a real situation,<br />

students will be relocated to a designated safe area where <strong>the</strong>y will be supervised. When it is safe to return<br />

to <strong>the</strong> building, regular activities will be resumed. If authorities deem it unsafe to return to <strong>the</strong> building,<br />

parents will be contacted to pick up <strong>the</strong>ir children. The center has a wea<strong>the</strong>r alert system.<br />

In <strong>the</strong> event of a reverse 911 call or a neighborhood emergency which requires lockdown, we will notify<br />

parents by phone using our automated call system. We will post a note on <strong>the</strong> doors, and you will be<br />

required to call <strong>the</strong> center to gain entrance, if entrance is allowed.<br />

INCLEMENT WEATHER<br />

We use <strong>the</strong> Child Care Wea<strong>the</strong>r Watch Chart to determine <strong>the</strong> safety of outdoor play. Cold wea<strong>the</strong>r<br />

decisions include an assessment of <strong>the</strong> temperature, wind-chill factor, and safety of <strong>the</strong> conditions on <strong>the</strong><br />

playground. Hot wea<strong>the</strong>r conditions assessment includes <strong>the</strong> amount of shade available, <strong>the</strong> safety of <strong>the</strong><br />

playground equipment, as well as <strong>the</strong> temperature and heat index. Please always have appropriate clothing<br />

for your child as every attempt will be made to have outdoor time daily, even if only for a few minutes,<br />

except on those rare, extreme days.<br />

SCHOOL CLOSURES<br />

<strong>Gloria</strong> <strong>Christi</strong> <strong>Preschool</strong>/<strong>Daycare</strong> follows <strong>the</strong> same guidelines as Greeley-Evans School District 6 for<br />

closures due to wea<strong>the</strong>r. Please listen to local radio stations such as KFKA 1310 for closures, late starts,<br />

or early releases. We will notify parents of school closures using our automated caller. The number<br />

appearing on your caller I.D. is 1-888-996-3623. It will leave a message on voice mail if it does not reach<br />

a person.<br />

ACCIDENTS AND INJURIES<br />

If a child is injured, a First Aid Certified teacher and/or <strong>the</strong> Director will assess <strong>the</strong> injury. First aid will<br />

be given or emergency procedures followed as needed, and parents will be notified. A parent will be<br />

notified immediately of any and all significant injuries to <strong>the</strong> head. If <strong>the</strong> staff judges <strong>the</strong> injury is an<br />

emergency, paramedics will be contacted.<br />

<strong>Parent</strong>s/Guardians are responsible to respond as soon as possible if contacted in regard to a child’s injury.<br />

Please ensure that emergency numbers are kept up-to-date in <strong>the</strong> center’s files. <strong>Parent</strong>s/Guardians accept<br />

<strong>the</strong> responsibility for emergency/medical care if needed for <strong>the</strong>ir child due to injury or accident at <strong>Gloria</strong><br />

<strong>Christi</strong>.<br />

TRANSPORTATION<br />

During <strong>the</strong> school year, <strong>Gloria</strong> <strong>Christi</strong> <strong>Preschool</strong>/<strong>Daycare</strong> does not provide transportation in a vehicle to<br />

or from any o<strong>the</strong>r schools or programs. We do provide a staff person to ensure <strong>the</strong> safety of Scott School<br />

students in our care by walking <strong>the</strong>m to and from school. We will only assist children to and from Scott<br />

School at <strong>the</strong>ir normal start and dismissal times. Arrangements to take <strong>the</strong>m early or pick <strong>the</strong>m up at o<strong>the</strong>r<br />

times due to extra-curricular activities will only be considered if staff is available without disrupting <strong>the</strong><br />

required staff-to-child ratio.<br />

Please ensure that your child is familiar with <strong>the</strong> drop off and pick up point where <strong>the</strong>y will meet our staff<br />

each day. Also, please inform your child that he or she should go to that point directly after school. Staff<br />

waits for children for five minutes following <strong>the</strong> dismissal bell. After five minutes, <strong>the</strong> staff and children<br />

will return to <strong>Gloria</strong> <strong>Christi</strong>. Any child who did not show will be reported to <strong>the</strong> Director or staff person in<br />

charge. <strong>Parent</strong>s will be notified that <strong>the</strong> child did not get picked up from school by our staff.<br />

FIELD TRIP TRANSPORTATION AND POLICY<br />

We do provide transportation in <strong>the</strong> <strong>Gloria</strong> <strong>Christi</strong> Church van for field trips. The van is equipped with a<br />

first aid kit, and <strong>the</strong> driver ensures that <strong>the</strong> vehicle is in safe, working condition prior to departure each<br />

time <strong>the</strong> van is used.<br />

<strong>Parent</strong>s are notified in advance of any trip <strong>the</strong> center will be taking and are required to sign permission for<br />

<strong>the</strong>ir child to attend. If permission is not given for an individual child, that child will not be allowed to<br />

attend <strong>the</strong> trip, and <strong>the</strong> parents may be required to pick up <strong>the</strong> child if <strong>the</strong>re is not a staff member available<br />

to stay at <strong>the</strong> center with <strong>the</strong> child. Children will be supervised at all times in <strong>the</strong> van and during <strong>the</strong> field<br />

trips. State and Federal laws regarding child restraints (car seats and boosters) will be strictly adhered to.<br />

These restraints will need to be provided by <strong>the</strong> parent on <strong>the</strong> day of <strong>the</strong> trip. Please contact <strong>the</strong> Director if<br />

you have questions regarding <strong>the</strong>se laws.<br />

If a child arrives late for a field trip, it will be expected that <strong>the</strong> parent will meet <strong>the</strong> class at <strong>the</strong> field trip<br />

location or will wait to drop off <strong>the</strong> child when his or her group has returned to <strong>the</strong> center. Trip locations<br />

will be posted at <strong>the</strong> sign in/out table with <strong>the</strong> permission slip. Emergency information is carried with <strong>the</strong><br />

staff for children attending field trips.<br />

<strong>Preschool</strong> children will be taken on field trips on occasion not to exceed one per month. School-age<br />

children will be taken on field trips during <strong>the</strong> summer program and occasionally on o<strong>the</strong>r school<br />

holidays. Children are considered school-age once <strong>the</strong>y have completed Kindergarten. <strong>Parent</strong>s are<br />

responsible for additional fees needed for field trips, which must be paid in cash prior to <strong>the</strong> trip.<br />

All school-age children are expected to attend <strong>the</strong> regularly scheduled field trips. The only circumstances<br />

in which children are able to remain at <strong>the</strong> center is if <strong>the</strong> child is injured or too ill to attend. Any o<strong>the</strong>r<br />

reason must be cleared with <strong>the</strong> Director.<br />

If <strong>the</strong>re are financial concerns regarding field trip attendance please consult <strong>the</strong> Director, a Board of<br />

Education member, <strong>the</strong> Pastor, or <strong>the</strong> Church secretary at least 3 days prior to <strong>the</strong> field trip. While no<br />

guarantee can be made, it is occasionally possible for us to find some assistance on a case by case basis.<br />

Health/Illness<br />

Please make sure to inform <strong>the</strong> Director and/or your child’s teacher in writing of any medical, health,<br />

ALLERGY, or medication needs your child may have upon enrollment and in <strong>the</strong> event of any new<br />

situation including injuries sustained at home.<br />

ILL CHILD<br />

When you are aware that your child is ill, please inform <strong>the</strong> Director or teacher before leaving <strong>the</strong>m at <strong>the</strong><br />

center. The child’s condition will be assessed, and a decision will be made as to whe<strong>the</strong>r or not <strong>the</strong>y<br />

should remain at <strong>the</strong> center that day.<br />

As a standard rule, a child should remain at home anytime <strong>the</strong>y are contagious. They should be fever- free<br />

or on antibiotics for at least 24 hours before returning to <strong>the</strong> center for care.<br />

Any child with a temperature of 100 degrees or more or who has visible signs of illness such as a<br />

consistent cough or vomiting, will not be admitted or will be sent home.<br />

<strong>Parent</strong>s/Guardians will be notified in <strong>the</strong> event that <strong>the</strong>ir child has been exposed to any unusual or<br />

seriously communicable conditions such as chicken pox, head lice, etc.<br />

In <strong>the</strong> event that a child becomes ill at <strong>the</strong> center, <strong>the</strong>y will be given a comfortable place to rest away from<br />

<strong>the</strong> o<strong>the</strong>r children until a parent/guardian arrives to pick <strong>the</strong>m up; <strong>the</strong>y will not be left unsupervised.<br />

MEDICATIONS<br />

1. Any routine medication, prescription or non-prescription (over-<strong>the</strong>-counter) shall be administered<br />

only with a current written order of a health care provider with prescriptive authority and with<br />

written parental consent. Home remedies shall never be given to a child.<br />

2. Medication shall be kept in <strong>the</strong> original container with <strong>the</strong> pharmacy label showing <strong>the</strong><br />

prescription number, <strong>the</strong> name of <strong>the</strong> medication, <strong>the</strong> date filled, <strong>the</strong> expiration date, <strong>the</strong><br />

physician’s name, child’s name, and directions for dosage. When no longer needed, medications<br />

will be returned to parents/guardians or be destroyed.<br />

3. In <strong>the</strong> case medication needs to be given on an ongoing, long-term basis, <strong>the</strong> written authorization<br />

and consent forms shall be reauthorized on at least an annual basis. Any changes in <strong>the</strong> original<br />

medication authorization require a new written order by <strong>the</strong> prescribing practitioner and a change<br />

in <strong>the</strong> prescription label.<br />

4. The person giving <strong>the</strong> medication will be certified in first aid, universal precautions and<br />

medication administration. He or she will record medication dispensed at <strong>the</strong> center in a log,<br />

which will be maintained at <strong>the</strong> center.<br />

5. All medication will be stored in a secure cabinet or refrigerator. Only certified staff will handle<br />

medication.<br />

6. Children are not allowed to bring medications to and from child care unless accompanied by a<br />

responsible adult.<br />

ALLERGIES<br />

The center shall accommodate a child with known allergies and sensitivities. The center shall limit<br />

exposure to known environmental allergies and sensitivities.<br />

SUN SCREEN and INSECT REPELLENT<br />

Written authorization shall be on file for center staff to apply sunscreen to <strong>the</strong>ir children’s exposed skin.<br />

<strong>Parent</strong>s may provide <strong>the</strong>ir own sunscreen and/or bug spray, but bottles shall be clearly marked with<br />

child’s first and last name. If sunscreen is provided by <strong>the</strong> center <strong>the</strong> brand name will be posted and <strong>the</strong><br />

SPF will not be less than 30. All products will be applied in accordance with manufacturers’ label.<br />
