Guide to PLANNING A Breakfast Meeting at tct Satellite Symposium Registration Convention Management Resources (CMR), the official TCT Registration Bureau, will manage registration for all TCT satellite symposia. The registration process will include pre-program and on-site registration, and post-program reporting. Advance Registration (Preregistration) Physicians and allied health professionals will be prompted to register for satellite symposia when they register for TCT in early August 2013. Industry professionals will not be permitted to register for satellite symposia. Attendees registering online will be directed to the complete satellite symposium schedule and can register for programs of interest with a simple mouse click. Additionally, those attendees who have already registered for the meeting will receive e-mail notification from CMR with a link to the online satellite symposium registration page encouraging them to register for satellite symposia. Although online registration is preferable, attendees may also register for a satellite symposium by e-mail at TCTReg@cmrus.com. In early August 2013, the sponsoring company’s contact listed on the application will receive a link and login credentials to CMR’s registration reporting portal. This reporting portal will allow sponsors on-demand access to the list of registered attendees for their satellite program. The sponsoring company will also receive this list directly from CRM every Friday starting in early August 2013. The reports will include the following attendee information: • Name • Affiliation • Mailing address • Phone* • Fax* • E-mail* * Registrants may “opt out” of supplying phone, fax, and/or e-mail information. It is the Cardiovascular Research Foundation’s policy that the sponsoring company send a communication to registrants who have supplied their phone, fax, and/or e-mail information requesting permission to be contacted in the future instead of adding registrant details directly to sales and marketing databases. On-site Registration CMR will continue to collect registrations for satellite symposia on-site at TCT, at the TCT Attendee Registration Desk, and at selfregistration kiosks in the Moscone Center. Sponsoring companies or their organizing agency may pick up the most recent list of registrants for their programs at the registration desk on the afternoon before their Breakfast Meeting. Sponsoring companies will receive two lead-retrieval systems on-site to track program attendance. The lead-retrieval systems require one person per machine to swipe badges as registrants arrive for the program. Lead-retrieval systems may be picked up by the sponsoring company between 6:00 am-7:00 am at the lead-retrieval desk in the Moscone South Lobby. Breakfast Meeting sponsors are responsible for dropping off the lead-retrieval systems at the same location between 8:00 am-8:30 am. The systems are battery operated and do not require electricity. Post-Meeting Reporting A complete list of Breakfast Meeting attendees collected from the lead-retrieval systems will be provided to the sponsoring company or organizing agency two business days after the close of TCT via e-mail. Additionally, all sponsoring companies or their organizing agency will receive a comprehensive report seven business days from the close of the meeting via e-mail. This report will contain a list of: • Those who preregistered for the satellite symposium and attended • Those who preregistered for the satellite symposium but did not attend • Those who registered for the satellite symposium on-site For additional information or to order additional lead-retrieval machines, please contact: Crystal Naylon Registration Director Convention Management Resources, Inc. Guide to PLANNING A Breakfast Meeting at tct Promoting a Satellite Symposium Promotion by the Cardiovascular Research Foundation The Cardiovascular Research Foundation promotes the satellite symposium schedule through several methods prior to as well as on-site at TCT. Attendance While CRF makes every effort to promote and encourage attendees to attend your satellite symposium, CRF cannot guarantee attendance. It is the sponsoring company’s responsibility to create awareness of its event at TCT through premeeting mailings and on-site promotions to drawn attendees to their satellite program. Premeeting Promotion The Satellite Symposia Guide is a brochure that includes a complete listing of all satellite symposia and includes each satellite symposium’s agenda (assuming the agenda has been submitted to the Cardiovascular Research Foundation and has been approved), the invited faculty, and the location of each of the satellite symposia. The Satellite Symposia Guide is mailed to the TCT preregistration list one month prior to TCT. Included in the Satellite Symposia Guide is a registration mechanism instructing attendees on how to register for satellite symposia (online and e-mail). The Satellite Symposia Guide is disseminated at the registration counters on-site at TCT and distributed at the satellite symposia kiosks and in the TCT daily bags. The Cardiovascular Research Foundation will also e-blast the satellite symposium schedule to over 70,000 prospective and confirmed attendees of TCT at least three times prior to TCT. In addition, satellite symposia schedules will be included online at www.tctconference.com and listed in the official TCT app. On-site Promotion Brochures promoting satellite symposia may be placed at official satellite symposia kiosks located in several strategic places throughout the Moscone Center. In compliance with ACCME guidelines, distributing industry-sponsored meeting information in any other location in the Moscone Center is strictly prohibited with the exception of in the sponsoring or supporting company’s booth. Satellite Symposia Agenda Wall We are excited to share an on-site promotional opportunity to enhance awareness of your satellite symposia. The Satellite Symposia Agenda Wall will be located in the main registration area, and you will be able to add a 22” x 28” sign for each satellite symposium the day before. Please note that each day’s signs will be removed at the end of that day. Signs should be created on posterboard and will be affixed to the Satellite Symposia Agenda Wall with Velcro by staff. You may either mail satellite symposia signs prior to TCT to the address below or deliver signs on-site to the Exhibit Service Desk in the Exhibit Hall. Advanced mail Signs For advanced mail of signs, signs must arrive on or before October 18, 2013.
