If possible, please register online before you arrive in <strong>Oxford</strong>. Registration will be open from1 September 2013. If you have applied for student loans supplied by the UK Government, your first loaninstalment should be paid to you within a week or so <strong>of</strong> your arrival at <strong>Somerville</strong>, providing that you havealready registered online with the <strong>University</strong>.You will not be able to register until you have completed and returned your <strong>University</strong> Contract (seebelow). If you are not able to register in advance <strong>of</strong> arriving in <strong>Oxford</strong>, you will be able to do so once youare here.1.2 <strong>University</strong> contractYour department or faculty will already have sent you, or will soon be sending you, a <strong>University</strong> contract tosign and return.Your signing <strong>of</strong> the <strong>University</strong> contract constitutes your agreement to abide by the <strong>University</strong>'s rules. It alsoenables the <strong>University</strong> to produce your <strong>University</strong> Card, which will give you access to facilities includinglibraries and an email address. Provided the <strong>University</strong> has received your <strong>University</strong> Contract in good time,your <strong>University</strong> Card should be available when you arrive at <strong>Somerville</strong>.If the <strong>University</strong> does not receive your Contract in good time, your <strong>University</strong> Card may not be ready whenyou arrive in <strong>Oxford</strong>, and this will delay your access to email, libraries, and other useful resources.2.1 <strong>College</strong> contractAs at other universities, a person accepting admission to a college thereby accepts an obligation to obeythe rules <strong>of</strong> that college and <strong>of</strong> the <strong>University</strong> and to pay such fees, dues and charges as the <strong>University</strong> orcollege may lawfully determine. The undertaking to obey these rules forms part <strong>of</strong> the <strong>Somerville</strong> <strong>College</strong>Contract 2013 on the New Graduates webpage.The <strong>College</strong> contract also covers a number <strong>of</strong> other important matters, including compliance with therequirements <strong>of</strong> the Data Protection Act. Please note that if another student urgently needs a book fromthe <strong>College</strong> Library, it is sometimes necessary for the Library staff to disclose the name <strong>of</strong> the reader towhom the book is currently checked out. Please inform the Librarian in writing if you are unwilling for suchdisclosure to be made in your case.If you accept the <strong>of</strong>fer <strong>of</strong> a place at <strong>Somerville</strong> <strong>College</strong>, please print and sign the <strong>Somerville</strong> <strong>College</strong>Contract. Financing your studiesThe <strong>College</strong> regrets that neither it nor the <strong>University</strong> has substantial funds to provide scholarships for thosegraduates already accepted on a course to meet fees, dues, or the cost <strong>of</strong> accommodation, food or other5 <strong>of</strong> 26


expenses. The majority <strong>of</strong> substantial scholarships are awarded at the same time as <strong>of</strong>fers <strong>of</strong> places aremade. You are therefore advised to think very carefully before embarking on a graduate course, andwarned that you should not start any course without having a reasonable expectation <strong>of</strong> sufficient moneyto complete it. You should not hope that if you can pay for one year that "something will turn up" to meetthe bills <strong>of</strong> any subsequent period. The courses all require you to spend not only the terms but the greaterpart <strong>of</strong> the vacations on full-time academic <strong>work</strong>. You should not therefore expect to be able to financeyour course by gainful employment in either term-time or during the vacations.In addition to any loans, grants, bursaries and scholarships which you may secure, you may also need toreceive contributions from your parent(s) or guardian(s), or from other sources, to meet the cost <strong>of</strong>: <strong>University</strong> fees; <strong>College</strong> fees; Accommodation and living expenses not covered by scholarships, grants, or loans.3.1 Finance GuidePlease refer to the accompanying guide ‘Financing your graduate studies at <strong>Somerville</strong> <strong>College</strong> 2013’which can also be found on the New Graduate Webpage.3.2 Advice on financial mattersThe <strong>College</strong> Accountant, Mrs Elaine Boorman, is available to give you advice on financial matters,particularly in cases <strong>of</strong> financial difficulty. If you have money worries, potentially serious or not, or if youjust feel that you could benefit from some advice about how to handle your financial affairs, you canarrange to see her. Anything that you say, and any information that you provide, will be treated in thestrictest confidence. Her email address is elaine.boorman@some.ox.ac.uk3.3 Grants for research materials, medical equipment, and travelYou will be able to apply to <strong>Somerville</strong> for a grant <strong>of</strong> up to £100 per year <strong>of</strong> your course, for the first threeyears <strong>of</strong> any course, to assist with the cost <strong>of</strong> research materials (books, journals, photocopying, s<strong>of</strong>tware,etc). Students <strong>studying</strong> for the BM BCh (2nd BM) may also apply for a grant towards the purchase <strong>of</strong>essential medical equipment such as stethoscopes.All graduate students also have the opportunity to apply each term for a Graduate Travel Grant, to assistwith the cost <strong>of</strong> research-related travel such as field<strong>work</strong> and attendance at conferences. Further detailswill be available once you have arrived at <strong>Somerville</strong>.4. Middle Common RoomThe Middle Common Room (MCR) is the graduate student body (like a student union) <strong>of</strong> an <strong>Oxford</strong> college.It is also the name <strong>of</strong> the common room(s) and facilities shared by graduate students. The <strong>Somerville</strong> MCRis in Margery Fry House, which is a building on the main <strong>College</strong> site reserved for graduate members <strong>of</strong><strong>Somerville</strong>. The House is open all year round, both in term-time and during vacations. The House can beaccessed from within the <strong>College</strong> grounds, and also has an independent entrance at 14 Little ClarendonStreet, on the perimeter <strong>of</strong> the <strong>College</strong>. The facilities in the House are available to all graduate students at<strong>Somerville</strong>, whether or not resident in Margery Fry House.The Common Room has newspapers and a television set, an upright fridge/freezer, and facilities for makingtea and c<strong>of</strong>fee. There is also a small dining room with kitchen for private parties. The kitchen is furnishedwith an electric cooker, microwave ovens, cooking utensils and some crockery. On the ground floor <strong>of</strong> theHouse is a small card-operated laundry with limited washing, drying and ironing facilities. There is also asmall computer room exclusively for the use <strong>of</strong> graduate students.6 <strong>of</strong> 26


All graduate students <strong>of</strong> <strong>Somerville</strong> <strong>College</strong> who are reading for graduate degrees and diplomas aremembers <strong>of</strong> the <strong>College</strong>'s MCR. Though some members <strong>of</strong> the MCR were at the <strong>College</strong> and <strong>Oxford</strong> asundergraduates, many come from other universities, in the UK and abroad. The <strong>Somerville</strong> MCR has anExecutive Committee to manage its affairs. The Officers are the President, Secretary, Treasurer and SocialSecretary. In addition, there is a House Chair who is concerned with the running both <strong>of</strong> the residential part<strong>of</strong> Margery Fry House, and <strong>of</strong> its shared facilities. The President, House Chair and one other member <strong>of</strong> theMCR Executive live in the House ex <strong>of</strong>ficio.Members <strong>of</strong> the Executive Committee represent the MCR on the <strong>College</strong>’s Governing Body and on some <strong>of</strong>its Standing Committees (Education Committee, Finance Committee, Library Committee, Health and SafetyForum). If the MCR wishes to bring business to the Governing Body, the President will discuss thisbeforehand with the Principal.There are regular joint MCR/SCR symposia, where short papers are presented and discussed in an informaland friendly atmosphere. Dinner is also <strong>of</strong>fered on these occasions.5. Domestic arrangements5.1 Smoking policyAll <strong>Somerville</strong>-owned premises (indoor and outdoor) and vehicles are non-smoking. If you will be living in<strong>College</strong> accommodation, the <strong>College</strong> policy on smoking is attached to your Licence to Occupy (please seebelow). If you will be living in private accommodation, please read the <strong>College</strong>'s smoking policy available onthe New Graduates webpage.5.2 CateringThe Catering Department provides a wide range <strong>of</strong> foods at mealtimes to suit most dietary needs, includinghot and cold meals, snacks, and drinks which are heavily subsidised by the college:-‘The Terrace’The <strong>College</strong> café/bar serving a range <strong>of</strong> both alcoholic and non-alcoholic drinks and snacksPantry ServiceA comprehensive pantry service in the Dining Hall with a wide range <strong>of</strong> hot and cold meals, snacks anddrinksavailable at subsidized rates. Three meals in a day are unlikely to cost more than £13. While you can pay formeals in cash, you can also use a pre-paid card – linked to a <strong>College</strong> food account – to buy meals at adiscount <strong>of</strong> 7.5% on cash prices. Particular dietary needs can <strong>of</strong>ten be accommodated on request.Self Catering KitchensBasic self-catering facilities are also provided throughout the <strong>College</strong>.The catering charge for Graduates living in <strong>College</strong> is £75 per term. This charge is added to your first Battels(<strong>College</strong> financial account) statement each term and this sum will be credited in full to your food account.You will be able to spend it on food and drink in Hall as well as in The Terrace. Graduates living inaccommodation not provided by the <strong>College</strong> do not need to pay a Catering credit.In the event that you decide not to add any further amounts to your cards each term, this sum <strong>of</strong> £75 isequivalent to eating one meal in hall approximately every 3 to 4 days, leaving you to choose where you eatfor the rest <strong>of</strong> the term (in hall, out <strong>of</strong> college or self-catering). This payment makes a significantcontribution to maintaining the college’s catering facilities for everyone. Similar schemes in other collegesask for contributions <strong>of</strong> between £100 and £180 per term. However, for regular use <strong>of</strong> the Catering service,it is recommended that at least £200 is paid into your <strong>College</strong> food account at the commencement <strong>of</strong> each7 <strong>of</strong> 26


term. This and subsequent top-ups <strong>of</strong> your food account will be possible via an online payment facility or bypayment at the Treasury.Please note that your <strong>College</strong> food account will not be active for the first few days after you arrive at<strong>Somerville</strong>. If you intend to buy meals in the Pantry in your first few days, you will need enough cash to payfor these.Any unspent credit remaining in your food account at the end <strong>of</strong> a term will be carried forward to the nextterm. However, you will not be able to reclaim any balance not spent by the time you leave <strong>College</strong> at theend <strong>of</strong> your course.Exemptions from the Catering credit will only be considered on medical or religious grounds. To beconsidered for an exemption, you should write to or e-mail Dave Simpson, david.simpson@some.ox.ac.ukCatering & Conference Manager, with details <strong>of</strong> why you think you should be exempt, by Monday <strong>of</strong> 1 stweek in Michaelmas Term. All requests for exemptions will be treated in the strictest <strong>of</strong> confidence andwill be considered by a small panel <strong>of</strong> senior staff, taking into account individual circumstances, the existingprovision <strong>of</strong> menu choice and the capacity <strong>of</strong> the kitchen to meet many dietary requirements byarrangement.Meal times during term-timeBreakfast Monday to Friday 08.00 - 09.00Brunch Saturday 11.00 - 13.00Sunday 11.00 - 12.00Morning c<strong>of</strong>fee/snacks Monday to Friday 10.00 - 11.00Lunch Monday to Friday 12.30 - 13.30Sunday 12.00 - 13.00Afternoon tea/snacks Monday to Friday 15.00 - 17.00Dinner Monday, Wednesday, Thursday, Friday 18.00 - 19.00Dinner is not served on Saturday or SundayThere is a guest night (a formal sit down meal starting at 7.30pm) on most Tuesday nights during term time.When this does not take place, dinner will be available at the usual time.The <strong>College</strong> cannot take responsibility for food choices made by students or guests suffering from severeallergies or who have restricted dietary needs if the Catering staff are not informed in advance.Meal times outside term-timeBreakfast and dinner are not usually available during Vacations, although lunch is usually served Monday toFriday. Details <strong>of</strong> timings and how to sign up for lunch will be available prior to each Vacation.5.3 AccommodationWe endeavour to provide single study bedrooms in <strong>College</strong> accommodation for the majority <strong>of</strong> thoseentering the first year <strong>of</strong> their <strong>Somerville</strong> graduate studies. We unfortunately have no studentaccommodation suitable for couples or families.The separate document on financing your studies gives details <strong>of</strong> accommodation charges.8 <strong>of</strong> 26


Study bedrooms for graduates are located in three areas <strong>of</strong> <strong>Somerville</strong> accommodation. All <strong>Somerville</strong>bedrooms have an Ethernet connection, which gives access to Internet and the <strong>University</strong> computingnet<strong>work</strong>.Here are details <strong>of</strong> the three <strong>College</strong> areas which house graduates:Margery Fry House is a building within the <strong>College</strong> grounds. The internal telephone number for the MiddleCommon Room is (2)70657.The building has 24 single study bedrooms, each with enclosed washbasin with hot and cold running water.On each <strong>of</strong> the three upper floors, there are eight such rooms, together with two separate shower rooms(except on the first floor where there is one bathroom and one shower room). Each floor also has a smallkitchen equipped with electric cooker, microwave, refrigerator, kettle, toaster, and individual storagecabinets. A limited supply <strong>of</strong> crockery, cutlery and cooking utensils is provided from a common fund.Each study bedroom has magnolia-coloured walls, coloured curtains, a fitted carpet, adequate (but notgenerous) cupboard space, a bed, an easy chair, a desk chair, and a desk with reasonable book space.Two pillows, and pillow and mattress protectors, are provided, but not sheets, duvets, pillowcases ortowels. Bed linen can easily be bought in <strong>Oxford</strong> and the Housekeeping Manager can, if necessary and givenprior notice, provide it for newly arrived overseas students for the first week. Sheets should be for a 3ftwide bed.Each study bedroom has central lighting and a desk lamp. Each room has a number <strong>of</strong> 13-amp twin sockets;local voltage is 230/240v A.C. All rooms have background heating at a minimum temperature <strong>of</strong> 70°F/21°C,when the central heating is on in <strong>College</strong> (1 October - 30 April). Residence charges cover light, hot water,background heating, and cooking facilities. Students are responsible for ensuring the safety <strong>of</strong> allequipment brought to the <strong>College</strong>.The rooms all have telephones, which can be used to receive calls and to make calls within the internal<strong>University</strong> net<strong>work</strong>. Telephone cards (which can be purchased from the Lodge) are necessary when makingnational and international calls.For queries regarding telephones, please contact Paul Francis (e-mail: paul.francis@some.ox.ac.uk; tel.: +44 (0)1865 270624).A television connection socket is provided in each room. However, please note that it is a legal requirementto obtain a Television Licence if you wish to use a television in your room.There are four mobile telephone masts on the ro<strong>of</strong> <strong>of</strong> the building. The level <strong>of</strong> radiation is low and theoperators are required to maintain the appliances in accordance with the guidelines <strong>of</strong> the InternationalCommission for Non-Ionising Radiation Protection.Wolfson is a building within the <strong>College</strong> grounds. Information on furniture, furnishings, and facilities will besent to those students with bedrooms in this building.155 Woodstock Road is a <strong>Somerville</strong>-owned house 10 minutes' walk from <strong>College</strong>. It has eight single studybedrooms. Each bedroom is equipped with a bed, a desk, a desk chair, a reading lamp, a wardrobe, a chest<strong>of</strong> drawers, an armchair, and a bookcase.Each room has two pillows, a mattress, and a pillow protector, but not sheets, duvets, pillowcases ortowels.There are two kitchens, one shower area, and two bathrooms, over three floors. There is a payphone in thehall.Licence to OccupyIf you have requested, and been allocated, <strong>College</strong> accommodation, a Graduate Licence to Occupy 2013 foryour <strong>College</strong> room should be downloaded from the New Graduates webpage. This sets out the terms andconditions under which rooms are let to students, and the periods during which you may stay in <strong>College</strong>accommodation. Please note that rooms are let on condition that they are occupied solely by the person towhom they have been allocated, save for occasional overnight guests.9 <strong>of</strong> 26


When you arrive at <strong>Somerville</strong>, you will be told which room you will be staying in.Please print two copies <strong>of</strong> your Licence, double-sided if possible, and staple together the pages <strong>of</strong> eachcopy in the top left-hand corner.Fill in the required information on pages 1 and 8 <strong>of</strong> each copy.Send one copy <strong>of</strong> your completed Licence to the Academic Office at <strong>Somerville</strong>, to arrive no later thanFriday 13 September 2013. Keep the other copy for your records.Accommodation outside the dates <strong>of</strong> your Licence to Occupy (vacation residence)If you hope to stay in <strong>College</strong> accommodation outside the periods <strong>of</strong> your Licence to Occupy, you may applyfor vacation residence.If you are hoping to stay in <strong>College</strong> accommodation prior to the night <strong>of</strong> Saturday, 3 October 2013, it isyour responsibility to request vacation residence, if you have not already done so. To do so, please contactthe Housekeeping department as soon as possible (email teresa.walsh@some.ox.ac.uk; tel.: + 44 (0)1865270615/23). Requests must be made well in advance <strong>of</strong> your planned arrival at <strong>Somerville</strong>.Please note that there is no guarantee that all vacation residence requests can be accommodated.The charge for vacation residence will be approx. £17.22 a night in 2013-14.Laundry facilitiesThere are number <strong>of</strong> washing machines and tumble driers available for students to use in <strong>College</strong>.All washers and driers are operated using a pre-paid laundry card, which can be topped up using cash.In the Porters' Lodge, there are machines where you can buy a laundry card and top up your laundry card.HousekeepingYour room will be cleaned by a ‘Scout’ (cleaner) at least once every two weeks, and your waste bin will beemptied each weekday, Monday to Friday. (If you do not want to be disturbed, leave your waste binoutside your room as a signal to the Scout.) Please note that Scouts are not responsible for tidying yourpersonal belongings, or dealing with your washing up. You will be advised in advance which day/week yourroom will be cleaned, and your Scout must have access on this day.Communal areas will be cleaned daily Monday to Friday; this includes corridors, stairs, bathrooms,showers, toilets, kitchens, and pantries.When you take possession <strong>of</strong> your room, you should be given a list <strong>of</strong> contents for which you will beaccountable, with a description <strong>of</strong> their condition. You will be asked to sign this and return it to theHousekeeping Manager.Bear in mind that, if there is any damage or unreasonable deterioration to your room or furniture, you willbe charged for any necessary repairs or replacements.Any maintenance problem should where possible be reported through the appropriate MaintenanceRequest Form on the <strong>College</strong> Web site: http://www.some.ox.ac.uk/maintenanceThis is the speediest way to get the problem brought to the attention <strong>of</strong> the Maintenance Department.In an emergency, please contact the Bursary on + 44 (0)1865 270615 (during <strong>of</strong>fice hours) or the Porters’Lodge on + 44 (0)1865 270600 (out <strong>of</strong> <strong>of</strong>fice hours).Guest roomsWhile there are no guest rooms specifically for use by MCR members, it may on occasion be possible to hirea student room that is not occupied. 5.4 InsuranceThe <strong>College</strong> does not accept responsibility for any possessions sent to, kept at, or left on <strong>College</strong> premises.If you will be living in <strong>College</strong> accommodation, you will have limited insurance cover through the <strong>College</strong>with Endsleigh Insurance. Details are included in your Licence to Occupy. The insurance charge isautomatically included in the room rent, so there is no additional charge.It is your responsibility to arrange any additional insurance you may need, such as travel insurance.5.5 StorageEach graduate student resident <strong>of</strong> Margery Fry House has a locker on the ground floor, where luggage andother items may be stored. This is not available however, to those who are resident in other parts <strong>of</strong> the<strong>College</strong> or in <strong>College</strong>-owned properties, or to those living in accommodation not arranged by the <strong>College</strong>,and such students will at best have access to limited storage facilities in the event <strong>of</strong> an emergency.Commercial storage facilities are available in and near <strong>Oxford</strong>. Your room key will also open your storage locker. Members <strong>of</strong> the MCR who do not live inMargery Fry House may also obtain a front door key to the House from the <strong>College</strong> Porters. You may needto pay an extra deposit for this. All MCR members requesting a key for Margery Fry House will also be givena door code for the building.<strong>Oxford</strong> is no different from other cities across the United Kingdom or, for that matter, the world. Lock your room door whenever you leave it, regardless <strong>of</strong> the time you intend to be away — it takesseconds to steal a purse or wallet! If you have a ground floor room, please lock your window shut whenever you leave your room. Do not leave valuables (e.g. computers, games consoles, cameras) on display in your room — please lockthem away in luggage or similar if you are not using them. Details <strong>of</strong> their research interests are on the <strong>College</strong> Web site athttp://www.some.ox.ac.uk/fellows.6.6 Residence requirementsIn order to be deemed eligible for an <strong>Oxford</strong> degree, students must usually reside within 25 miles <strong>of</strong> Carfax(which is a particular tower in the centre <strong>of</strong> the city) for a prescribed number <strong>of</strong> academic terms. Thenumber <strong>of</strong> terms varies according to the degree being pursued. The number <strong>of</strong> terms, and the distancefrom Carfax, together constitute the <strong>University</strong>'s residence requirements for completion <strong>of</strong> a degree.When you arrive at <strong>Somerville</strong>, you will be given a copy <strong>of</strong> the <strong>University</strong>'s Examination Regulations, whichstate the number <strong>of</strong> terms' residence required for each type <strong>of</strong> degree. In certain personal circumstances,you may apply for exemption from residence requirements. The Academic Office at <strong>Somerville</strong> can advise.6.7 Academic dress and sub fusc clothingAll members <strong>of</strong> the <strong>University</strong> are required to wear academic dress with sub fusc clothing on certainoccasions: when attending (a) the Matriculation Ceremony (see below); (b) <strong>University</strong> examinations;(c) graduation ceremonies.Academic dressThis consists <strong>of</strong> a Commoner's Gown and mortarboard. Women may, if they prefer, wear a s<strong>of</strong>t cap instead<strong>of</strong> a mortarboard. Gowns and caps may be bought at any <strong>Oxford</strong> tailor's shop, and may also be availablefrom <strong>Oxford</strong> <strong>University</strong> Student Union (see below). Second-hand gowns are likely to be available.It is unnecessary to buy a gown immediately on arrival in <strong>Oxford</strong>, although academic dress is required forthe Matriculation Ceremony (see below).13 <strong>of</strong> 26


Sub fusc clothingSub fusc clothing for men consists <strong>of</strong> a dark suit and socks, black shoes, a white bow tie, and plain whiteshirt and collar. Women should wear a dark skirt or trousers, a white blouse, a black tie (a narrow blackribbon worn round the neck), black stockings or tights, and black shoes. ("Dark" in this context meansblack, or very dark grey or navy.) Those who wear a headdress for religious reasons should choose a blackscarf.6.8 Matriculation Ceremony<strong>Oxford</strong> students are required to attend a Matriculation Ceremony at the start <strong>of</strong> their <strong>Oxford</strong> studies(though see below for exceptions). At this ceremony, you formally become a member <strong>of</strong> the <strong>University</strong> <strong>of</strong><strong>Oxford</strong>.You must attend the Matriculation Ceremony on Saturday, 19 October 2013, at the Sheldonian Theatre in<strong>Oxford</strong>. If you have not previously matriculated at <strong>Oxford</strong>, the <strong>College</strong> will automatically register you forthis Ceremony. Details <strong>of</strong> the proceedings will be available when you arrive at <strong>Somerville</strong>. A group photowill be taken <strong>of</strong> students beginning a new course at <strong>Somerville</strong>.You will need to wear academic dress and sub fusc for this Ceremony and photo.Unfortunately, due to limited space at the Sheldonian Theatre, guests are not permitted at the Ceremony,which is in any case very brief.If you have already matriculated at <strong>Oxford</strong>, you will not need to matriculate again.If you hold a degree from the <strong>University</strong> <strong>of</strong> Cambridge or Trinity <strong>College</strong> Dublin you may, if you wish,incorporate that degree instead <strong>of</strong> matriculating in <strong>Oxford</strong>. Incorporation means converting yourCambridge/Trinity degree into an <strong>Oxford</strong> one. You would still retain your original degree. You incorporateby having an <strong>Oxford</strong> degree conferred on you in absence at an <strong>Oxford</strong> degree ceremony (i.e. you do notattend a Degree Ceremony in person). If you would like to incorporate a degree, please contact theAcademic Office Administrator, Miss Rebecca Whitaker (email academic.<strong>of</strong>fice@some.ox.ac.uk).Even if you do not need to attend the Matriculation Ceremony on 19 October, we ask that you attend theMatriculation group photo wearing academic dress and sub fusc.7. IT (information technology) and computingOnce you have arrived at <strong>Somerville</strong>, you will be given a <strong>University</strong> email address, and access to the<strong>College</strong>'s computing net<strong>work</strong>. You will also have access to a number <strong>of</strong> online <strong>University</strong> resources.To ensure that your email address and <strong>College</strong> net<strong>work</strong> log-in details are available when you arrive, youmust make sure that your completed <strong>University</strong> Contract (see above) has been returned to the <strong>University</strong>Card Office (address on form). GPs are general doctors who deal with most medical matters in the firstinstance. We havea <strong>College</strong> Doctor, Dr Helen Steel, who <strong>work</strong>s at that practice and also holds surgeries (consulting sessions)in <strong>Somerville</strong>. A <strong>College</strong> Nurse also holds consulting sessions at <strong>Somerville</strong>. There are also a number <strong>of</strong>other doctors and health pr<strong>of</strong>essionals at the Jericho Health Centre, and any <strong>of</strong> them may see students. 10.1 Visa requirementsIf you are from neither an EU state nor from Iceland, Liechtenstein, Norway, or Switzerland, you mustobtain a student visa before coming to the UK. Failure to do so means you may be refused entry to the UKon arrival.You can apply for your visa three months before your course start date. You should apply for your visa assoon as possible after your place at <strong>Somerville</strong> has been confirmed. Your department or faculty will ask youto provide some passport information and once you have met all conditions <strong>of</strong> your <strong>Oxford</strong> <strong>of</strong>fer, yourdepartment or faculty will request a Confirmation <strong>of</strong> Acceptance to Study (CAS) number from the UKBorder Agency, which will be sent to you, via email, in due course.Your Confirmation <strong>of</strong> Acceptance to study number will be sent to the email address on your original<strong>University</strong> application form, unless you have since notified your department or faculty <strong>of</strong> a differentaddress.You will need the CAS number when you apply for your Study Visa.Information on visas is on the <strong>University</strong>'s Web site at http://www.admin.ox.ac.uk/io/.You must make sure you obtain a student visa rather than a visitor or student visitor visa, and try to ensurethe visa is issued for the duration <strong>of</strong> your studies, as it is expensive to extend a student visa in the UK.You should check straight away that you have been given the appropriate time limit on your visa.It is your responsibility to ensure that you have a valid visa at all times during your stay in the UK. MusicMusic is an important part <strong>of</strong> <strong>College</strong> life at <strong>Somerville</strong>, and a variety <strong>of</strong> musical events take placethroughout the year, co-ordinated by <strong>Somerville</strong> Music Society (SMS). There is normally a grand piano in the Dining Hall,and the Chapel houses a grand piano, a harpsichord, and the chapel organ. The standards are improving rapidly, with the 20 to 25Choir members selected by audition.The Choir sings at an ecumenical Christian service each Sunday during term-time, has a mid-weekrehearsal, and performs in termly orchestral concerts with the <strong>Somerville</strong> Music Society. The Choir alsosometimes sings at formal <strong>College</strong> dinners.All Choir members receive a free meal with wine after every service, and likewise when they sing at <strong>College</strong>dinners.Auditions for the Chapel Choir will take place during Freshers' Week. Each audition will last approximately10 minutes. You should be prepared to sing one piece <strong>of</strong> your own choice; you may also be asked to sing ashort piece at sight. The <strong>College</strong>'s Organ Scholars will act as accompanists. If you would like to audition forthe Chapel Choir, please indicate your interest in this on the Music Form described above.Up to three Choir members each year are <strong>of</strong>fered a Choral Award <strong>of</strong> £150 for that year. The Choir auditionsalso function as Choral Award auditions.If you state on the form that you are interested in singing in the Chapel Choir, you should be contacted inadvance <strong>of</strong> your arrival at <strong>Somerville</strong> with an audition time.12. Sports and GymMembership <strong>of</strong> the on-site Gym is open to all members <strong>of</strong> <strong>College</strong>. If you wish to apply for membership,you must undergo a training course organized by the <strong>College</strong>, for which there is a non-refundable charge.On completion <strong>of</strong> this course, you will receive a membership form, and your electronic access card will be19 <strong>of</strong> 26


activated to allow entry to the Gym. Training courses are held at the beginning <strong>of</strong> the first term <strong>of</strong> the year,and you will need to sign up for the course in advance. Cycling in <strong>Oxford</strong>Getting around <strong>Oxford</strong> is <strong>of</strong>ten easiest on a bicycle (and research has shown that the more people cycle,the safer it becomes).There are bicycle racks within the <strong>College</strong> grounds where you can store your bicycle. You will need to lockyour bicycle when it is stored in <strong>College</strong>.If you are not used to cycling in traffic, there are some important things you need to know to keep yourselfsafe. Please find below a few helpful hints and tips.1. Make sure you have all the right equipment before you arrive in <strong>Oxford</strong>; the absolute minimumsare a mechanically sound bike that fits you, front and rear lights, rear reflector, and a good qualitylock. Most experienced <strong>Oxford</strong> cyclists also decide, after a few near misses, to wear a helmet (if youdo decide to wear one, make sure it is fitted correctly), and outer clothing which is highly visibleand reflective, particularly at night.2. When you arrive in <strong>Oxford</strong> you must register your bike at the <strong>Somerville</strong> Porters' Lodge. Bicyclesshould be left in bicycle racks and not left in the traffic entrance, or in rooms or common areas.Whilst on your bike:1. Ride in a good visible position. If you’re going to remember one thing, this is it. A good visibleposition means riding at least a car door distance from parked cars, not weaving into gaps (youdisappear), and means getting good eye contact with other road users (it humanises them and youknow if they have seen you).2. At junctions, either make sure you can get to the front <strong>of</strong> the traffic and be visible, or remain inyour place in the queue in the centre <strong>of</strong> the lane. Get into the habit <strong>of</strong> only overtaking on the righthandside. One <strong>of</strong> the most common causes <strong>of</strong> accidents is being cut up by left turning vehicles.3. Make sure you are mentally prepared. Never cycle after drinking (the same rules and limits applyfor people in charge <strong>of</strong> bikes and cars); brush up on the Highway Code (again, the laws about howand where you can ride a bike are more like the laws for cars than people <strong>of</strong>ten think).4. Stay <strong>of</strong>f the narrow <strong>Oxford</strong> pavements. Many streets are pedestrian-only – obey all ‘cyclistdismount’ signs and walk bikes in these areas. Be considerate <strong>of</strong> pedestrian during heavy trafficperiods, and dismount and walk bikes near schools and crowded crossings. In addition, you mustnot ride your bicycle within <strong>College</strong> – always dismount and lock your bike in any <strong>of</strong> the designatedbike racks.If things go wrong:If you are involved in an accident, make sure that you notify the <strong>College</strong> Porters (+ 44 (0)1865 270600) sothat they can alert the Junior Deans, and get pr<strong>of</strong>essional help either at the John Radcliffe Hospital (+44(0)1865 741166) or from the <strong>College</strong> Nurse or Doctor.To report a stolen bike in <strong>Oxford</strong>, contact the local Police station (08458 505505) and also, once your bike isregistered, the <strong>University</strong> Security Services (+44 (0)1865 272944).You can get your bike checked and repaired cheaply at the <strong>Oxford</strong> Cycle Workshop, 39 Magdalen Road(www.oxfordcycle<strong>work</strong>shop.org.uk; + 44 (0)1865 204799) or at a bike shop in town.20 <strong>of</strong> 26


14. Cars<strong>Oxford</strong> is an old city which is not designed for modern traffic. Car-parking spaces in the city centre arelimited, and the <strong>College</strong> has no provision for students to park cars (although, if you have mobilitydifficulties, please do contact us to discuss your needs).Students are therefore not permitted to keep a car in <strong>College</strong>.15. <strong>Paid</strong> <strong>work</strong> <strong>while</strong> <strong>studying</strong>If you undertake paid <strong>work</strong> <strong>while</strong> <strong>studying</strong>, you will be asked by your employer to give them your NationalInsurance Number (NIN). National Insurance is deducted from the pay <strong>of</strong> those whose earnings exceed acertain amount; it funds social security benefits including the State Pension.Most UK residents are automatically issued with a National Insurance Number when they are a teenager oryoung adult.If you don't already have a NIN and intend to undertake any kind <strong>of</strong> paid <strong>work</strong> during your studies in<strong>Oxford</strong>, you will need to apply for a NIN. There you will be given your key(s) and electronic access card,and told how to find your room if you will be living in <strong>College</strong>. Please check your pigeonhole and collect anypost.Once you have settled in you need to visit the Academic Office and please do this between 10a.m and12p.m. Monday to Friday. You must take your passport and/or Biometric Identity card with you so that wescan and keep a copy on your file. The Academic Office is House 5 which is on the ground floor, next doorto the <strong>College</strong> Bar.You will be given documents included in the Important Documents Mailing and your <strong>University</strong> Card (whichfunctions as your ID and library card).
