18. Next of kinYour next of kin are your closest living relatives (usually parents or a guardian), or your other closeassociates who would act as a point of contact for you in an emergency.The College will contact your next of kin only in the event of an emergency involving you – such as yourbeing taken seriously ill – or in other serious situations where we need to liaise with someone close to youon your behalf.You must complete and return the Next of Kin form 2013 on the New Graduates webpage.Please give the details of one or two people who will act as next of kin for you.If the names or contact details of these people should change in future years of your course, it is yourresponsibility to inform the College Bursary of the updated details of your next of kin.Please print the form, and fill it in.Send your completed hard-copy Form to the Academic Office at Somerville, to arrive no later thanFriday 13 September 2013.19. ArrivalYou are required to attend Faculty and College meetings and inductions during the week 7-11 October2013. You may need to arrive earlier if you are attending the University's Orientation Programme forinternational students (3 rd & 4 th October 2013), or if your faculty or department requires it.Please print and complete the Date of Arrival form available on the New Graduates Web pate, and returnthe form, in hard copy, by Friday 13 September 2013, to the Academic Office at Somerville.If you will be living in College accommodation, your room will be available from the night of Thursday 3 rdOctober 2013. If you wish to arrive before that date, you will need to request early accommodation, if youhave not already done so. To do so, please contact the Housekeeping department (email:bursary@some.ox.ac.uk; tel.: + 44 (0)1865 270615/23). Requests must be made well in advance of yourplanned arrival at Somerville.Please bring with you a number of passport-size photos of yourself, as you may need these for a variety ofpurposes in your first week or so in Oxford.At the end of this document you will find a map of central Oxford which shows the location of Somerville.When you arrive at the College, report to the Porters' Lodge, which is the reception just inside the mainentrance to the College on Woodstock Road. There you will be given your key(s) and electronic access card,and told how to find your room if you will be living in College. Please check your pigeonhole and collect anypost.Once you have settled in you need to visit the Academic Office and please do this between 10a.m and12p.m. Monday to Friday. You must take your passport and/or Biometric Identity card with you so that wescan and keep a copy on your file. The Academic Office is House 5 which is on the ground floor, next doorto the College Bar.You will be given documents included in the Important Documents Mailing and your University Card (whichfunctions as your ID and library card). You will also be able to get a signature for any documents you mayhave which need the signature of a College Officer, and you can request documents you may need to opena bank account or for other purposes. You will be given an induction timetable detailing induction sessionsyou will need to attend in the week beginning Monday 7 October 2013.19.1 Parking and unloadingWhen you arrive, our limited car parking space means that you will not be able to park a car or other motorvehicle on the College site, unless you have mobility difficulties. If you do need to request on-site parking,please email the Lodge Manager, Mr Mark Ealey, at mark.ealey@some.ox.ac.uk.22 of 26
In order to unload your belongings from a car or other motor vehicle, you will be able to park for amaximum of 20 minutes in front of the College on Woodstock Road, or at the back of the College onWalton Street. College Porters will be on hand at these locations to oversee unloading. A map showing thelocation of the College is available on our Web site at http://www.some.ox.ac.uk/directions.A notice will be available from the College's Porters' Lodge to put in your vehicle windscreen, saying thatyou are unloading for 20 minutes. However, such notices do not guarantee immunity from traffic wardens.There is Pay and Display parking on roads near the College, but this may all be full when you arrive. Wetherefore recommend parking in the Pear Tree Park & Ride site, to the north of Oxford. The bus from thisPark & Ride site stops directly opposite the front entrance of the College, and the bus to the Park & Ridesite stops just a few metres from the College's main entrance.Park & Ride information is available athttp://www.parkandride.net/oxford/html/facilities/peartree_parkandride.shtml.If you have any queries about parking or unloading, please email the Lodge Manager, Mr Mark Ealey, atmark.ealey@some.ox.ac.uk19.2 Freshers' WeekThe week of 7 th to 11 th October 2013 is Freshers' Week. You must attend certain College induction sessionsduring this week, and your department or faculty may also require you to attend inductions.19.3 Freshers' Dinner, Wednesday 9 th October 2013On this evening, there will be a special welcome dinner in the Dining Hall for all new undergraduate andgraduate students, preceded by a drinks reception with College tutor(s) in your subject area. Tutors willalso attend the dinner. This is a formal occasion, so you will be expected to dress smartly. Note thatacademic gowns are not worn for this or other formal College dinners. Please let the Conference andCatering Manager know if you have special dietary requirements for this event.
