<strong>Quad</strong> <strong>Assistant</strong>/<strong>Assistant</strong> Coordinator<strong>Job</strong> <strong>Description</strong>s 2010 - 2011Department of Residential ProgramsDivision of Campus ResidencesApplications are Due to Central Office by Friday, March 18, 2011.I. SummaryThis position reports to a senior staff member and works in support of one of the 16 primary functions ofthe Department of Residential Programs. In addition, the person in this position will provideadministrative support to the senior staff and establish non-supervisory functional relationships withquad/central office personnel, maintenance and custodial supervisors, and residence hall directors.This is a twenty-hour per week, twelve-month position, from June 1 st , 2011– May 31 st , 2012.The position requires full-time enrollment in a graduate program at <strong>Stony</strong> <strong>Brook</strong> University. Everyapplicant must meet our graduate GPA requirement of 3.0, and be in good judicial standing.II.CompensationBed-waiver usually for a one-bedroom apartment or a premium suite. A refrigerator and microwavewill be provided in the suites. Note: QA/AC will also receive a stipend of $75 per week, if the roomassignment is a single room in a shared apartment. Also, if you live in a premium suite, $300 persemester will be placed on your meal card. Each QA/AC receives a $125 stipend twice per semesterone credit applied to their University Bookstore Account and the other to their Campus Cashaccount.Vacation days are spring break week and December 25 th to January 1 st holiday week.The QA/AC will work in support of the functions and responsibilities of one of the followingdepartmental committees or one of the Residential Programs areas:1. <strong>Quad</strong> <strong>Assistant</strong>sLeadership and ServiceAssist with the coordination and implementation of the leadership development plan, including preserviceand in-service leadership training and development activities, ongoing leadership training forspecial groups (Hall Council RHA, Emerging Leaders, etc.);Help provide training to the advisors of RHA, NRHH, and Hall Councils;Serve as a liaison to the Undergraduate <strong>Student</strong> Government;Assist in recognizing leadership and involvement through the hall council appreciation, annualleadership awards ceremony and reception and other on-going activities;Assist with coordinating service-based and philanthropic initiatives in the residence halls, including:„Tis-the-Season, blood drives, voter registration, the student giving campaign, and welcome wagon;Assist in quad office operations;Hours of responsibility are primarily from 9:00am-5:00pm (20 hours total).


Personal Health and SafetyProvide administrative support to the RHD, QOSM and <strong>Quad</strong> Office staff;Participate in the Personal Health and Safety Committee and attend events as necessaryHelp with housing procedure and administration;Attend the quad and departmental meetings, training, and events as necessary;Work toward completion of assigned projects;Assist with coordinating educational and service opportunities for students, such as: WellnessExpo, Workplace Wellness Day, <strong>Stony</strong> <strong>Brook</strong> is Serious about Safety, Red Watch Band and SafeSpace TrainingSupport the quad director‟s role as liaison to campus committees and collaboration with relevantcampus agencies and individuals;Help develop a system of e-communication for residential students and staff regarding PersonalHealth and Safety initiativesHours of responsibility are from 9:00am-5:00pm (20 hours total, but several hours could be after5pm.)Pro Staff Training and DevelopmentAssist with the planning and implementation of professional staff training during the month ofAugust (including both QOSMs and RHDs)Review presentation abstracts and assist in making recommendations to RHDs as they planprofessional presentations.Assist in the planning of the professional development conference in the fall semester.Assist with the updating of professional manuals and other publications.Assist in quad office operations;Hours of responsibility are primarily from 9:00am-5:00pm (20 hours total).Research and AssessmentCoordinate the distribution, collection of data and analysis for the EBI, QLS and other selected surveyinstruments;Conduct focus groups and give presentations as necessary;Assist in the management of student employee learning outcomes for the division;Conduct ongoing training and development workshops for staff;Organize data and information and submit recommendations and reports;Provide assistance in organizing and coordinating large events;Maintain blackboard organizations;Coordinate program planning logistics;Hours of responsibility are primarily from 9:00am-5:00pm (20 hours total).Resident <strong>Assistant</strong> SelectionHelp manage the recruitment, interviewing, selection, and placement process for RAs;Help coordinate the re-application and transfer process for RAs;Help maintain student staff files and regular bed waiver updates;Help coordinate summer and winter applications and position;


Assist in quad office operations;Hours of responsibility are primarily from 9:00am-5:00pm (20 hours total).Resident <strong>Assistant</strong> Training and DevelopmentHelp develop and implement a comprehensive approach and plan of action for RA training anddevelopment;Help plan the August RA training program, and assess the effectiveness of staff training programs;Help develop and implement the Fall and Spring RA in-service programs and the RA Conference;Help coordinate new student staff mid-year training;Help coordinate the end of year RA recognition activities;Assist in quad office operations;Hours of responsibility are primarily from 9:00am-5:00pm (20 hours total).<strong>Student</strong> StaffHelp with the recruitment and placement process of OA/QA/AC staff;Help maintain OA/QA/AC files and data system;Help plan the OA/QA/AC training and development programs, and SELO assessment;Help develop and implement the Fall and Spring OA/QA/AC evaluation/grade checking process;Assist in quad office operations;Hours of responsibility are primarily from 9:00am-5:00pm (20 hours total).<strong>Student</strong> Success• Serve as member of the <strong>Student</strong> Success Committee;• Assist with the operation and promotion of three residential tutoring centers;• Provide student success strategies and resources for resident students and residence hall staff;• Help coordinate academic intervention initiatives targeted towards “at risk” students;• Assist with the development of residential academic achievement initiatives;• Develop awareness and promotion of academic minors in the multiple living learning centers;• Assist in promoting mission of the undergraduate colleges and affiliated academic and programmaticinitiatives;• Assist in quad office operations;• Hours of responsibility are primarily from 9:00am - 5:00pm (20 hours total).SustainabilityAssist with coordinating educational and service opportunities for students, such as: LEARN, NRG,Recyclemania, Soles4Souls, Move Out Program, Earth-stock;Support the quad director‟s role as liaison to campus committees and collaboration with relevantcampus agencies and individuals;Help develop a system of e-communication for residential students;Assist in quad office operations;Hours of responsibility are primarily from 9:00am-5:00pm (20 hours total).2. <strong>Assistant</strong> CoordinatorsAppreciation and Recognition


Active Membership on the Recognition and Appreciation Committee (plans and implementsAcademic Achievement Banquets, end of semester/year celebrations, staff potluck, awardceremonies);Active Membership on Campus Residences Staff Development CommitteeLeadership role in Welcome Wagon program: recruitment of volunteers, development oftraining session, ordering shirts, coordinating assignments and meals, etc.;Support Dean/Director administrative functions; Special Projects as assignedHours of responsibility are primarily from Monday - Friday 9:00am-5:00pm (20 hours total perweek). Compile resources and model programs for RA to use in the residence halls.Some evening and weekend hours are required.NRHH/RHAThe <strong>Assistant</strong> Coordinator for RHA/NRHH will report directly to the RHA/NRHH Advisor underdirect supervision of the Leadership and Service Committee Chairperson;Attend weekly one-on-one meetings with RHA/NRHH Advisor;Assist with the development of RHA/NRHH;Support and attend national and regional conferences ;Assist in the coordination of fundraising and programmatic efforts sponsored by RHA/NRHH;Provide support for RHA/NRHH/LEG trainings and in-services;Assist with the advisement of the RHA Executive Board;Provide feedback regarding all aspects of RHA/NRHH/Hall Councils via the annual report.Hours of responsibility are from 9:00am-5:00pm (Several hours could be after 5pm, 20 hours total.).Residential Tutoring CenterManage 3 Residential Tutoring Centers, including facilities, schedule of hours, supervision ofstudent staff, inventory of supplies;Advertise and promote the Residential Tutoring Centers campus-wide for fall and spring semesters;Recruit, hire, train, and supervise 12 tutors, and 4 on-site assistants, including individual and groupmeetings as well as assess student learning outcomes with student staff of RTCs;Act as liaison between the <strong>Quad</strong> Director, tutors and RTC users;Compile weekly feedback reports that get sent to the <strong>Quad</strong> Director;Solicit help from teaching assistants to do periodic exam review sessions in the RTC‟s;Develop student success initiatives, including academic intervention strategies, resources andworkshopsAssist in direct tutoring as necessary;Hours of responsibility are mostly week nights with occasional weekday meetings (20 hours total).Recruitment/Community StandardsMaintain residential judicial files;Assist Coordinator of Community Standards with various trainings and educational outreachprograms;Assist Coordinator of Community Standards with LEVEL II Hearings;Review and screen resumes of applicants;Conduct phone interviews and reference checks;Coordinate interview day itineraries;Coordinate welcome and preparation for all new staff;Coordinate new employee paperwork (offer letters, business cards, etc.);Serve on the Professional Staff Recruitment Committee;Work closely with the Professional Staff Recruitment chair on marketing strategies (recruitmentposters, brochures, website);Assist with general operations of the Community Standards Office and Campus Residences CentralOffice;


Hours of responsibility are primarily from 9:00am-5:00pm (20 hours total).Spirit and RecreationServe as member of the committee for sprit and recreation.Coordinate departmental initiatives for recreation programs, athletic marketing, wellness andstudent spirit programs. Some of these programs are homecoming, big red howl spirit week, reca thon, etc.Assist the Associate Director of Residential Program in the development of student programsthat stimulate a vibrant campus community
