performance excellence program.
Student Assessment and Curriculum Management (Board Goal 4.b)
Eduphoria Aware Implementation Status
We continued to work through the Eduphoria Aware implementation. With our completions this week, we can now
compare scanning in a centralized (as we did at Sterling) or decentralized (as we did at GCM and Lee) environments, as
we start into next year. The following tasks were completed this week.
On Monday, Vicky completed granting Eduphoria Aware access to Principals, to provide student’s testing data at the
lower grade levels. High School Principals now have access to all Junior Schools and all Junior School Principals have
access to all elementary schools. Principals are now set to analyze their incoming student’s test scores. Thank you
Vicky
Mary conducted a mini Eduphoria training for two of the specialists who could not attend the trainings offered by
Eduphoria last month. Thank you Mary
On Tuesday, Mrs. Ham at Sterling, our pilot teacher for entering results directly into Eduphoria Aware, successfully
completed scanning Class Based Assessments (CBAs) from the Biology, Physics and Chemistry finals. Here are her
comments about using the new Eduphoria scanning process, “I absolutely love it!! It is so easy to scan and the fact
that the scanner is in my classroom made the process easy for me. The teachers loved the fact that they could look
on Eduphoria and see the scores instantly and the fact that they no longer have to “double bubble” was
wonderful. Of course it is great for the students because they know what their grade is before they leave class. As
content specialist, it has made my job so much easier, I can print and scan the forms without going to the
administration building. Also, the program will allow me the scan forms without separating them by subject area,
pre AP, or modified‐‐‐ fabulous!! I really don’t think I have enough adjectives to describe it, thank you for allowing
Sterling Science the opportunity.” Thank you Steve for training and setting her up.
1
On Wednesday, Steve connected two scanners in Leslie Ashby’s office in the testing / scanning room at Admin. He
did this as a final step of completing the transition to Eduphoria Aware. Leslie was then able to scan the CBAs for Lee
and GCM’s Biology, Physics and Chemistry finals. As of Friday, all CBAs were scanned and instantly loaded into
Eduphoria. There are no open issues! Thank you Steve
Educational Technology – Elementary and Secondary (Board Goal 4.c and Board Goal 4.d)
K‐12 Educational Technology Plan 2011‐2015 – Upgrades for 2012
Louise managed the purchases for the Libraries and 6 th Grade Social Studies 1:1 initiative, which was approved at the
May 29 th Board meeting for $1,151,457. She completed researching vendors and cost comparisons, and secured quotes
and pricing for the Bretford projector carts with 25 foot surge protectors, document cameras, netbooks (Lenovo X130e),
Bretford netbook charging carts, sidekick chargers, sidekick batteries and Microsoft Office licenses. Matt supported her
by making sure the correct components and configurations were quoted. As Louise secured pricing, Cindy entered the
requisitions. Currently we have $14,120.00 savings after these items were ordered, with 90% of the dollars being spent.
Items left to be ordered are the laptops for the presentation stations, wireless access points, and the desktops for the
Libraries at Sterling and Lee. Thank you Louise, Cindy, and Matt
Educational Technology ‐ Elementary (Board Goal 4.c)
Co‐Instruction with 5 th Grade Core Teachers to Integrate Technology into Current Lessons (Board Goal 4.c.3)
Robyn facilitated a culminating project for 5th graders at San Jacinto. Students presented their individually created
electronic graphic novels for a myth he/she wrote. Students also shared an electronic self‐reflection with all of his/her
technology skills learned this year then showed his/her first PowerPoint. One of the 5th graders said, "I can't show that
it's HORRIBLE!" The lesson pointed out the progress they've made this year. Like any self‐reflection done in isolation
one doesn't see progress unless there is something to compare it to. Needless to say they were happy with the progress.
Thank you Robyn
Technology Rich Lessons in the Library that Enhance Current Lessons in the Core Content Areas (Board Goal 4.c.5)
Library Technology Planning for 2012‐2013
On Thursday, Suzy led Librarians in an end of year meeting. She gave an elaborate presentation highlighting the
accomplishments this year, Board goals, technology upgrades, trainings, and plans for next year. She went through the
April 30, 2012 Board presentation, with the audio, so Librarians could see and hear the full conversation about the Board
of Trustees commitment to the library program. It was very effective. Afterwards, Librarians identified areas for
improvement and set forth plans for next year. Thank you Suzy
Library Website Training
Suzy met with a subgroup of librarians on Friday for website training. The campus librarians will be given the
opportunity to work on their library websites. Upon return in the fall, all librarians will receive training covering library
website required components. Robyn also participated in the training. Afterwards she began planning with several
Librarians for initiating Edmodo book clubs for 2012‐2013 school year. Thank you Suzy and Robyn
Educational Technology ‐ Secondary (Board Goal 4.d)
Secondary Technology Integration Support with Core Coordinators and Teachers (Board Goal 4.d.6)
Wednesday, Mary met with the junior high mathematics team to plan for how best to integrate technology into summer
school. Mary created several PowerPoints to go with the Process Problem Solving assignment. This way the students can
work the problems on an interactive whiteboard and get feedback via the PowerPoint. The plan is to keep the students
engaged and give as much immediate feedback as possible. Thank you Mary
2
Robyn participated in the Junior High English Language Arts (ELA) vertical team scope and sequence curriculum planning
session. She collaborated with the teachers on the technology integration for the various genre units for next year.
Thank you Robyn
Developing the 6 th Grade Social Studies 1:1 Technology Lessons
This week Melissa and D'Ann worked diligently on 6th grade Social Studies Technology Integration lessons. Throughout
the planning process they reflected on the relevance of the lesson, degree of technology integration (DTI), applicability
to a variety of events and people, and the consistency of using Edmodo as a vehicle or "one stop shop" to facilitate
materials and organize assignments. After planning more than 20 specialized 6th grade Social Studies Technology
Integration lessons (DTI levels 3‐5) Melissa, D'Ann and Robyn met with Tonya Breaux. Together the group talked about
next year's expectations, areas of need and vision. Melissa expressed one of her most important goals will be to make
all stakeholder's feel comfortable with technology by offering unparalleled support along the way. Mrs. Breaux was
excited about the plan. Both Ed Tech and Social Studies are looking forward to the new joint venture. Thank you Robyn,
Melissa, and D’Ann
Experience the Promethian ActivClassroom in Motion on a 36‐foot RV
Cindy sent out a flyer advertising the ActivClassroom by Promethean, with a special interactive presentation inside the
ActivClassroom in Motion, a 36 foot mobile, technology enabled RV. The bus will be at the Admin building on June 13
from 8 am to 12:00pm. Please pass this along to any district staff you feel would benefit from this. This is not a staff
development session. This is a show and tell only. The flyer can be accessed
here: http://tmsportal.gccisd.net/SiteAssets/SitePages/Mary%20Gill/activbus.pdf. For any questions please contact
Robyn. Thank you Cindy and Robyn
Texas Virtual School Network (TxVSN) Courses Start
Mary supported the Texas Virtual School Network (TxVSN), as online courses started this week for our students. We
currently have 25 students enrolled in Health, Principle of Technology A&B, or Economics. Mary is currently working on
getting 35 scholarships for TxVSN for the Fall. If we are awarded the 35 scholarships this will be a possible value of
$8,750 to $14,000 for the District. Thank you Mary
$20K Free Technology from Promethean
Mary continued working with ProComputing and Promethean to secure an additional $20,000 of free technology for the
District. The teachers that were awarded a grant from the GCCISD Education Foundation for Promethean items qualify
for matching funds. Promethean will match the amount awarded by the Foundation towards the purchase of any
combination of qualifying Promethean products. Mary led the effort to determine who all was awarded funding for
Promethean items and this funding is secured. Thank you Mary
District Improvement Plans (DIP) Updated
Suzy updated the Library portion of the DIP. This was a significant task because the DIP is changing drastically from last
year's Library DIP. Also, her vision and the last Head Librarian’s vision are totally different. That coupled with the first
time of going through the DIP process was challenging for Suzy. Robyn and Steve updated the Education Technology
section of the DIP so their sections are complete. Thank you Steve, Robyn, and Suzy
Technology Procurement
Louise worked with the Financial Accounting department to secure funding for purchasing new Raptor scanners and
printers for all of our campuses. Raptor is the visitor management software that each campus uses to screen visitors and
help protect our students from sex offenders, domestic dispute offenders, and other trespassers. Raptor works in
conjunction with law enforcement to add an extra layer of security and keep our students safe. The scanners and
3
printers were originally purchased in 2006. Louise pushed to get these ordered now so all would be up and working
before school starts, as that is when there is the most visitor traffic and the office is most unfamiliar with the visitors on
campus. Needless to say, campuses were elated! Thank you Louise
Cindy continued to work with Louise on the Board approved purchases for the library’s K‐12 Educational Technology
Plan 2011‐2015 – Upgrades for 2012. She also worked on questions and quotes for grants that were awarded. Thank you
Cindy
Administrative Technology Training
Non‐Instructional Administrative Technology Training
Teri provided Microsoft Excel 101.3 ‐ Reviewing and Sharing Worksheets and an Intermediate session in Formulas and
Functions part 2 of 3 with a total of 7 in attendance. Thank you Teri
Non‐Instructional Administrative Technology Certifications
Teri proctored Brandi Ray on Friday. She took and passed her final Microsoft Office Specialty (MOS) exam in Outlook.
Thank you Teri and Brandi
Eduphoria Implementation with Other Modules
Vicky worked in the Facility and Events module of Eduphoria. We plan to transition from the Destiny software to
Eduphoria for tracking our technology assets. She established a plan of action and began setup for inventory (technology
assets). We must set up the campus rooms and asset classes before importing data. Conversion and clean‐up of the
Destiny spreadsheet will follow before importing the inventory data. Thank you Vicky
Student Information Systems Support
End of 2011‐2012 School Year Processing
Diana and Michael processed grades and closed out Student Accounting for the year 2011‐2012. Andrew merged reports
carts for the Print Shop. Report cards went out on time and all processing was completed successfully! Thank you
Andrew, Michael and Diana
2012 Summer School Set
Michael met with the Summer School Principals on Friday to train them on scheduling students into each Summer
School session. He configured all necessary components in Prologic TEAMS so that we are in good shape for starting
summer school on June 19 th . Thank you Michael
Analysis and Resolution of a Prologic TEAMS Student Data Profile Error
Michael worked with Prologic TEAMS to analyze and determine a solution with the student data profile module, which
uses the “skill book.” When making changes to the Kindergarten report card, an error occurred in the student data
profile modules. After trying to figure out where the error was, it was determined that Prologic TEAMS had an error in
their software, which required a need to update 4 reports. Because our Kindergarten report card is a customized
solution (just for GCCISD), we had to pay $600 to fix their error. After some bickering with Prologic about the cost, which
was originally set for $1200, the error was resolved. Thank you Michael
Attendance2Attendance Implementation Has Begun
We are moving to an online attendance management software by SI&A. This is a company that will manage our District’s
attendance letters that are sent to parents. It runs from a nightly data extract from Prologic TEAMS. Michael started
conversations with the company in order to initiate the implementation. He also sent the attendance letters that we
currently use to Dr. Bing so we can select the types of attendance letters we plan to use with SI&A. The letters are: early
4
warning attendance with 3 missed days, early warning attendance with 6 missed days, excessive absences, excused
absences, loss of credit, and tardy‐early release. Thank you Michael
Business Support Services
Preparations for the 2012‐2013 Budget
Vicky imported the General Revenue funds and Federal funds into the 2013 Chart of Accounts. The completion of the
Chart of Accounts is necessary before we can roll Position Control and Job Payment records into the 2012‐2013
budget. She also rolled the Personnel records in Position Control into year 2013. Position control is where all Goose
Creek job positions are housed with detailed information about each position along with head counts for each position.
This must be done before salary increases can be applied. Thank you Vicky
Social Security Number Encryption in APECS Financial Management System
On Thursday, Bruce, Vicky, Matt, and I had a conference call with the President of ESD, our APECS financial software
vendor, to discuss encrypting social security numbers inside the database of the application software. This is an
outstanding recommendation sited in our Cyber Security assessment that has not been completed. We (GCCISD) do not
control the process of updating the database software, the vendor does. That is why it gained the attention of ESD’s
President. Interestingly, we are the first District that has expressed concerns about securing/encrypting sensitive data at
the field level. During the call we described out concerns. ESD agreed to encrypt the SSN, bank account numbers,
driver’s license numbers, and date of birth. They plan to prepare a document that describes the statement of work, list
their responsibilities, the cost to upgrade, and a development timeline. We hope there will be no charge and they will
include these updates in their new release. Thank you Bruce, Vicky, and Matt
Kronos Support
Bruce completed the setup for the Kronos summer schedule. Because summer school hours changed, all schedules in
Kronos had to be updated. Bruce supported campuses, as they changed their campus staff schedules. He also reviewed
the final Statement of Work (SOW) for the new version of Kronos software, which is the version 6.3 upgrade. Thank you
Bruce
Security Camera Services
How‐To Training Guide for Accessing Security Cameras Online
Now that the security cameras are accessible from the Internet, we are able to give access to those that are authorized
to view the video cameras and film. Brandi created a "How To" guide for our Security Camera Department detailing how
to view videos from the Internet. She created a step by step process on how to view current and past events recorded
from the video cameras. The "How To" will be accessible from our TMS Portal Page. A communication will be distributed
next week. Thank you Brandi
Graduation WebCast Online
Andrew and Chris supported High School Graduation Online! It was a success. I watched from the web at home on
Thursday for Sterling’s graduation. I saw them in action on Friday night at Lee’s graduation. I could see the blue TMS
shirts in the press box on Friday night and I was very proud to be part of the program. And, Sterling’s graduation on
Saturday went well. The hours were long and it was hot, steamy, and rainy! Thank you Andrew and Chris
Phone Services
Brandi worked on getting the "Mobile Sync" to work on the Admiral Sprint Phone. This is the new touch screen, direct
connect phone that we are testing. Sprint promises a "Network Upgrade" this summer that will enhance phone
coverage. "Mobile Sync" is when the user can add/delete contacts to the phone via the Internet and it automatically
5
performs phone updates. Brandi was able to get this feature to work, and that will benefit us when we have changes
and contact updates. Thank you Brandi
Computer Services and Local Area Networking Support
Building Plans for the Future in Networking Design
Andy, Gil, Dane, Joe, and Mat met with representatives with VMWare on Thursday to discuss the virtual desktop
infrastructure (VDI) solution. We are looking to pilot this solution as a proof of concept for the start of next school year.
They were able to view a demo of the VDI and then have a question and answer session. The benefits are ease of
management, fault tolerance, and lower power consumption. Matt is working to complete a full analysis of the cost,
comparing it over a five year period with support costs included. Thank you Andy, Dane, Gil, Joe, and Matt
Initiating the iPad Pilot Projects at Sterling, Lee, and San Jacinto
Matt worked with the LAN Team to come up with a naming convention to create the iTunes accounts that are necessary
for Apple’s Volume Purchase Program. We will be piloting the use of 90 iPads next year: 30 at each school including
Sterling, Lee, and San Jacinto. Thank you Matt and LAN team
Instructional Server for Students Being Upgraded from Windows 2003 to Windows 2008
Andy started migrating the instructional student servers from Windows 2003 to Windows 2008. He has a gap of
opportunity to get this done in between school sessions. Because of the differences in the two releases of Windows, he
must move all files and folders, and reapply the security permissions. He is also working on the updating the login scripts
to map to the new instructional server. Thank you Andy
Junior School Local Area Network (LAN) Support
Gil updated the JR‐High student image and Admin image so we can start reimaging the student labs and Computers On
Wheels (COWS). Also, all the Adobe and JAVA products were updated within the Microsoft Deployment Tool so the
images would have the latest updates. Thank you Gil
Elementary Computer Technician Support
Terry and Gary started their summer imaging projects by completing the Labs and Libraries at Lamar and Ashbel Smith.
These two campuses will be shut down during the summer for air conditioning work. The quickly started this work as a
proactive measure in getting their work done at those campuses. Any other work there will have to wait until the air
conditioning is back on. Thank you Gary and Terry
in Monday night’s Board meeting who is working on an oil rig 150 miles out in the Gulf. This should be interesting! Thank
you Ian
High School Fine Arts Program
Band Directors at the High School Looking at SMART MUSIC Technology
On Friday, I met with Tim Vaughn, Director of Fine Arts, to discuss new technologies that help students practice their
music and band instruments. Sterling currently uses the Smart Music program, www.smartmusic.com, however are in
need of an upgrade. SmartMusic is an interactive software that provides a practice environment where the music
appears on the screen, and they play or sing along with background accompaniment. Following each performance,
SmartMusic provides an immediate assessment. Lee has a new band director starting in the fall and he has some specific
requirements that are based on the Apple platform. GCM is also looking at a similar program. Mr. Vaughn has a need to
research the various options.
Staffing and Evaluations
2012 Annual Evaluations for Paraprofessional Staff
I completed evaluations for the four paraprofessionals that I supervise. All others will be scheduled by Matt and Steve
next week.
Stuart Career Center (SCC) Student Paperwork Cleared to Start Working Part‐Time on Monday
Matt worked with Zach Recer, our new part‐time employee for the summer, to get all of his paper work completed so
that he will start work at 7 am on Monday. Zach is a high school graduate from Sterling High School, a former SCC intern,
and has completed and passed his A+ certification. Zach is looking for a long term position with the District and would
love to be a CTS next year. Thank you Matt
Special Appreciations, Congratulations, and Condolences
Rachel Vaughan, the Assistant Principal from Cedar Bayou, wanted to let us know how much she appreciate Michael
for working so hard to get us some information we needed to be able to work on schedules for next year. He went
above and beyond to help us out and really did more than most would have. I was so impressed with his dedication
and helpfulness.
D'Ann would like to thank Melissa for her hard work ethic and being an amazing teammate this year. It has been a
pleasure to have been supported and to have had the ability to mull over ideas with her. She looks forward to
another year that will be even more successful than the last.
D'Ann also would like to thank the rest of the Ed Tech team, especially Robyn, for their guidance and support. It
made the transition into this department much easier. She would also like to thank the rest of TMS, especially Joan,
for putting up with her constant questions by patiently answering them and helping her wherever needed.
Melissa thanks the team for never being too busy for her – she has learned a great deal this year and she is
confident this year will be even more productive.
Congratulations to Brandi. She took the Outlook 2007 Microsoft Office Specialty (MOS) Certification and passed! She
has now completed all seven MOS certifications. Wow!
Cindy thanks Teri for all the lifting and moving of her computer and staff development supplies this week.
7
Robyn was proud to find out that 5 th grade at‐risk students in her Edmodo book club group had 6 of the 9 pass
reading and one of those who failed missed it by one question. Comparing similar students at other campuses, those
that participated in the Edmodo an average score 10 points higher. Needless to say we will continue it next year.
Mary thanks Cindy, D'Ann, and Mellissa for their help with getting the matching Promethean funds for the District.
Robyn gives a big THANKS to Gil, Andy, Joe, Diana, Matt and Dane for answering all of her questions.
Robyn also thanks Cindy for sending a communication out about the Promethean Bus here next week.
Suzy gives a big thank you to Robyn for helping with the Librarian website training on Friday.
Charlyn Doyle, our visitor from San Angelo ISD asked me to pass along a big thank you to our team. She said, “I
appreciate your staff allowing me to attend some of their meetings and to visit with each of them and ask numerous
questions. Each of your staff members was a joy to visit with, and each provided me with very beneficial information. I told a
couple of your staff that I would send them some info about a couple of things that we are doing in our District. I will get that
info sent to you this next week so you can forward it onto them. You have a great team!”
Executive Council thanks Chris and Alfred for hanging the projector in the Superintendent’s conference room at Admin.
Gil thanks Andy for setting up and coordinating the meeting with representatives with VMWare on Thursday.
Congratulations to Britney Moody. She heard on Friday that “she is welcomed to the Crockett staff as their CTS for
2012‐2013. She will be taking Juan’s place. You may recall Britney was Mark Garrett’s PC Maintenance Program
student and she worked with us as an intern in 2010‐2011, and as a part‐time employee in the summer of 2011. She
has been working with Kathy Clausen in Public Information. She is a welcomed addition to our technology program.
Thoughts About the Week
Melissa's reflection of 5th grade EIS classroom coaching is that she feels extremely fortunate to have experienced
the process of implementing 5th grade laptops the past two years. She believes because we (Elementary Integration
Specialists) were able to visit schools weekly, offering ongoing support the laptops were used far more frequently
than the year prior. Weekly ongoing support provided a scaffold for teachers. On many occasions teachers
expressed appreciation for their technology growth this year. It was challenging to address teacher's fears and
insecurities about the implementation of technology into their core content lessons but BITTER SWEET to see the
growth they made each and every week. I am very PROUD to work in a district with teachers who want the best for
our students and realize the value of stepping outside their comfort zone to maximize student learning.
Melissa is excited to take her experiences from this year and apply them at the junior high level. She feels that
Goose Creek is making strides daily like that of the 1911 explorer Amendsen. Amendson and Scott both led their
expeditions to the South Pole but Amendson returned with his men and Scott did not. One key to Amendson's
success was something Collins (2011) refers to as the "20 Mile March". Throughout his expedition to the South Pole,
Amendson "adhered to a regimen of consistent progress, never going too far in good weather, careful to stay far
away from the red line of exhaustion that could leave his team exposed, yet pressing ahead in nasty weather to stay
on pace" (61). Amendson finished his expedition before the extreme weather set in (unlike that of Scott), he
"throttled back" his group at times to keep the regiment of 15‐20 miles a day to ensure everyone was well rested
and recharged. The difference between Amendson and Scott boils down to a plan of action and vision ‐ one
possessed this and the other did not, one lived and the other did not. Collins (2011) Great by Choice, Uncertainty,
Choas, and Luck‐Why Some Thrive Despite Them All. –Point in case, we are successful and will continue to be
because we have a clear purpose and vision. Thank you Melisa.
Upcoming Events for Next Week
D'Ann would like to wish everyone a wonderful summer! Enjoy, relax, and see you back in August!
This is the first year that Ed Tech has been asked to present sessions at the Literacy Fair for ELA. Monday, Robyn will
present 3 sessions. On Tuesday, she will co‐present with Sherry and Tammy for high order thinking, and then on
Wednesday co‐present with Sherry at the Special Education Literacy Day.
The Promethean ActivBus will be at Admin from 8‐noon for hands on demonstrations and quickly "how tos".
8
Teri will be on vacation. There will be no Administrative Training next week! Have fun Teri – I hear she is having her
swimming pool re‐plastered.
Deeanne is still on vacation in Florida.
Suzy left yesterday (Saturday) for Maryland, to join Steve at the National History fair day competition.
 Robyn’s birthday is on Wednesday.
I will be participating the TASBO Board meeting on Wednesday, serving as past‐president. Then, attending the
TASBO summer conference on Thursday and Friday.
In Closing for the Week
9
It was a great week to successfully close the 2011‐2012 school year! I appreciate everyone’s dedication and technical
expertise. That’s what it takes to get our jobs done. Many of you met Charlyn Doyle, our visitor from San Angelo ISD. She
was here visiting to observe our Performance Excellence program. Needless to say she was blown away. She had many
positive comments but the one that stood out was about how quiet our building was at the last week of school. She said
she felt we were in a complete state of organization. She noticed our phones were quiet, there were no issues
associated with closing out school, and everyone knew exactly what had to be done. I told her it was because we are an
optimized, proactive organization – striving for excellence in everything we do. Thank you!
We start summer hours tomorrow. It will be a long day with a 30 minute lunch. Let’s get out the crock pots and make
the most of it. We’ll enjoy having Friday’s off. It is a great Sunday to relax and spend time with family and friends. I hope
you enjoy every minute of it. See you in the morning.
