LOAN CONDITIONS1. Applications for loans must be made at least three months before the opening of an exhibition.2. The museum where the drawings are to be shown must have a burglar alarm-system, and becapable of providing acceptable environmental <strong>conditions</strong>.3. CostsThe borrower shall meet all expenses in connection with the loan. These may includeconservation, mounting, framing, insurance, packing, transportation, travel and subsistence ofcouriers, forwarding agents' fees, photography, administration charges and any other relatedcosts.4. InsuranceMaterial borrowed must be insured by the borrower against all risks from the time it leaves thelender's institute until it is returned, at the expense of the borrower.In case of damage, the insurance must reimburse the lender for the full amount agreed upon bythe lender on the loan form. Government indemnities can usually be accepted. Details shouldbe received and agreed by the lender before the material can be despatched.5. Mounting and framingDrawings will be lent in mounts and frames provided by the lender at the expense of theborrower.If the borrower wishes to use their own shipper, the name must be submitted in advance forapproval by the lender.6. CouriersThe lender may require that drawings to be taken to, and fetched from, exhibitions, by amember of staff. (The lender may specify that the drawing be placed in position on the wall bythe courier in person). The transport and subsistence of the courier will be at the expense of theborrower.7. Period of loan<strong>Loan</strong>s will not be lent any earlier than absolutely necessary and certainly not earlier than onemonth before the opening of the exhibition, and must be returned to the lender immediatelyafter the end of the exhibition. The maximum display period is two months. It must be acondition of loan that the objects loaned will be stored in an environment which fulfils thedemands made in par. 2 and 8 before the loan is attached to the wall.If the exhibition is to be shown in more than one venue, arrangements for the storage of thedrawings between the venues, and also arrangements for transport and insurance, must beapproved in advance by the lender, who may require that the drawings be returned to thelending institute before being sent to a further venue. If for any reason a drawing borrowed isnot included in the exhibition, it should be returned immediately to the lender if storagearrangements which are acceptable and approved by the lender cannot be arranged.


8. DisplayThe drawings must be shown in the frames provided by the lender or, with permission of thelender, in locked glass cases. The light level must not exceed 50 lux; RH 50% +/-5%;temperature between 18 and 20 °C.9. PackingThe lender will arrange for the material to be professionally packed and crated at the expenseof the borrower.All packing materials should be retained for re-use when the loan is returned.10. Condition reportsCondition reports of all loans must be made by the lending institute and provided to theborrowing institute. The borrower must note any problems or changes and must notify thelender immediately if a significant change is noted.11. TransportFor all loans, the lender will arrange for transport by a specialist firm at the expense of theborrower. If the borrower wishes to use their own transport firm, the name must be submittedin advance for approval by the lender.12. PhotographyFor purposes of record and security, the borrower will pay for the leading institute'sphotographer to take negatives of all drawings borrowed (unless such a negative alreadyexists). Photographs of drawings required for catalogue or publicity purposes may be obtainedfrom the lending institution. Photography or drawings while on loan is permitted only withwritten authority of the lender and it must not involve handling of the drawings or opening ofshowcases. Photographic/TV lamps must not be used in proximity to the drawings. Copyrightremains with the lender.13. AcknowledgementsThe following acknowledgements should be made in the exhibition and the catalogue:Collection <strong>Netherlands</strong> <strong>Architecture</strong> <strong>Institute</strong>, Rotterdam, Holland.A copy of the catalogue should be deposited with the lending institution.
