to advise of oversized advance shipments, or packages which may require special handling, so there will<br />

be adequate storage space and to make any special arrangements.<br />

� Address packages to yourself, including the total number of boxes and your table number (table<br />

numbers will be posted the second week of August).<br />

IMPORTANT NOTE: If you are having items shipped from a location other than your own office, they<br />

MUST have your name and your table’s name/company on the appropriate-colored shipping label.<br />

Please note: outside warehouses/distribution centers frequently ship items with their own return address label,<br />

addressed to the person who placed the order with no company name, or table number, rather than directing the<br />

shipment to the person actually attending the event. This makes it extremely difficult to identify which table the<br />

package should be delivered to.<br />

The Sheraton and CHPA will not be responsible for delivery of materials which are not properly labeled.<br />

For companies bringing their own materials with them, you can request bell staff assistance at the front entrance<br />

to the hotel, or carry your materials directly to the Grand Ballroom on your own.<br />

You will need to save your shipping containers for any outgoing shipments. The hotel does have a supply of<br />

small Federal Express shipping boxes but no shipping cartons. Advise Billy Salmon, Conference <strong>Services</strong><br />

Manager (billy.salmon@sheraton.com or 973-560-5711) of any special storage issues; please note that the hotel<br />

has very limited storage capacity and boxes will be kept in the ballroom during the event.<br />

Set-Up/Break-Down Schedule<br />

It is highly recommended that participating companies have their tables set up as early as possible to allow<br />

enough time to handle any unforeseen circumstances. Day 2 table hosts may set up Wednesday evening<br />

between 7:30-9:30pm, but should be sure to set up early enough on Thursday morning to allow time to attend<br />

the networking breakfast and presentation.<br />

Day 1 Table Hosts – Wednesday, September 12 (yellow labels):<br />

o Table hosts can set up their display materials beginning at noon.<br />

o Appointments will begin promptly at 2:00pm.<br />

o Your boxes MUST be packed immediately after the Day 1 appointments are over at 5:40pm (see<br />

“Outgoing Shipments” below).<br />

Day 2 Table Hosts – Thursday, September 13 (blue labels):<br />

o Table hosts can begin setting up their display materials at 7:30pm on Wednesday evening, or<br />

Thursday morning beginning at 7:00am.<br />

o Appointments will begin promptly at 9:00am on Thursday.<br />

o Dismantling and removing materials begins immediately after the close of the session at 3:30pm<br />

on Thursday, and concludes at 5:00pm (see “Outgoing Shipments” below).<br />

o Any materials left at your table after 5:00pm without being appropriately packaged and marked<br />

for shipment will be discarded (see “Outgoing Shipments” below).<br />

Both Days Table Hosts– Wednesday & Thursday (pink labels):<br />

o You must pack up your materials at the close of the Day 1 appointments, making sure the PINK<br />

label is replaced and visible on your boxes.<br />

o Your boxes will be moved to your new location on Wednesday evening (7:30-9:30pm) during<br />

the set-up process IF the PINK label is prominently displayed on your materials.<br />

o Additional labels will be available on site from CHPA staff should your labels become damaged<br />

or otherwise unusable during the shipping process, or if you do not ship in advance. Remember,<br />

these are NOT return shipping labels.
