We are pleased that you will be participating in the 2012 CHPA Market Exchange. This is an operational guide<br />
to the event. Please read this material thoroughly to make the process simple and hassle-free.<br />
TABLE HOSTS: Please note order deadlines for A/V services and floral arrangements. If you have any<br />
questions or need more information, contact us at any time (see CHPA Contacts). Please note that registrants of<br />
both days are welcome to attend the Wednesday evening reception/dinner, and the Thursday breakfast and<br />

Room Block<br />
If you require a hotel room, call the Sheraton at 973.515.2000 or 888.627.8148, or online via the CHPA<br />
reservation link. If the CHPA room block is full (cut-off date is August 24 or sooner if the block is sold out),<br />
there may be rooms available outside of CHPA’s block at the prevailing rate. The closest alternate hotels are<br />
the Hyatt House (973-428-8875 – about ½ mile away), Embassy Suites (973-334-1440 – 1.3 miles away), and<br />
Holiday Inn (973-263-2000 – about 3 miles away).<br />
Attire<br />
Suggested attire is business casual; business suits/jackets are not required.<br />
Scheduling Appointments & Login Information<br />
All appointments have been scheduled in advance. Your schedule will be available the week of August 13.<br />
The appointments web site will be available for late schedule changes and attendee communications the week<br />
before Market Exchange – Sept. 5. When the site is reopened, your logon ID will again be your full email<br />
address; your password is the same as what you used to compile your schedule. If you don’t know your<br />
password, click on “forgot password.” Your password will be sent to your email address. Until the site<br />
reopens, contact CHPA’s Phyllis Taylor for changes and questions.<br />
Breakfast & Lunch<br />
No lunch will be provided on Day 1 (Wednesday), except to those people involved in specific committee<br />
meetings. On Day 2 (Thursday), breakfast will begin at 7:00am. A broad overview presentation on the theme<br />
of “Path to (OTC/Nutritional) Purchase” will begin promptly at 8:00am. There will be one lunch for the entire<br />
group on Thursday, lasting approximately 90 minutes. An exciting and informative panel presentation is being<br />
planned during lunch, expanding the theme of “Path to (OTC/Nutritional) Purchase” with an emphasis on the<br />
digital influence. Both of these presentations are Market Exchange exclusive events and will convey<br />
information which is vital to our industry. Attendees will not want to miss either of these sessions.<br />
Registration (Attendance) List<br />
A registration list will be handed out at the event. This booklet will include an alphabetical listing of both host<br />
and attendee companies and individual representatives, including contact information. It will also contain a<br />
brief description of Host Table company products/services, and Manufacturer products. Host Table numbers<br />
will be included as well as a diagram of the ballroom with table names and numbers. A draft list of attendees<br />
will be posted on the Market Exchange web page in early August.<br />
Tables and Display Materials<br />
� Tables will be separated by approximately four (4) feet of space in each direction<br />
� Tables will be arranged alphabetically. In the event competing companies fall next to each other<br />
alphabetically, all attempts will be made to keep those tables separated by another company, and kept in<br />
“near-alphabetical” order.<br />
� Print media tables will be positioned alphabetically under their publishing house name (CHPA member),<br />
unless they are the only representative of that publisher in attendance.<br />
� All tables will be provided with an electrical outlet and a floor easel for signage at no additional charge.<br />
� All participants are reminded that this is a “table-top” format. Due to space limitations, there will not be<br />
room for any free-standing exhibits or displays.<br />
� Table Hosts are welcome to provide background information or literature describing your company’s<br />
products and services, including issues of actual publications, and may wish to utilize some type of<br />
audio/visual display unit, e.g., PowerPoint presentation on a laptop computer, video monitor display, etc.<br />
(See “A/V <strong>Services</strong>” below and attached order form).<br />
� Tables will be 2-1/2’ high by 6’ long by 30” deep, and will be skirted. All display materials should be<br />
planned to fit on the table accordingly.
� NOTE: Product samples should be used for display purposes only; no “favors” or “premiums”<br />
should be given out.<br />
� Unlike in previous years, no outside food or beverage may be brought into the hotel for distribution.<br />
Display Lights and Noise<br />
Participating companies are generally free to present themselves in any manner they wish in compliance with<br />
the table-top format described above. We do ask that as a courtesy to those around you, electronic displays<br />
should not emanate unreasonable levels of noise or lighting that would be distracting to other participants.<br />
Signage<br />
� There will be no pipe-and-drape arrangements separating tables and therefore no method for hanging<br />
signs or banners other than what can be pinned to the table skirting.<br />
� Any company name banners will need to conform to the table size (see “Tables and Display Materials”<br />
above for table size).<br />
� Companies are not permitted to use balloons, kites, or hanging banners of any kind. This is not a<br />
typical trade show and there is no exhibition company to undertake hanging anything from the ballroom<br />
ceiling.<br />
� Tables will be identified by a sign with your company name and assigned table number on a table-top<br />
stand provided by CHPA.<br />
� Table numbers will be indicated on your appointment schedule.<br />
� Each table will be supplied with a standard-sized floor easel for your own sign at no additional cost.<br />
� Signs or posters should be limited to approximately 3-1/2’ x 4’ in dimension.<br />
� Telescoping “banners” are permitted as long as they do not exceed a footprint of approximately3’ x 1-<br />
1/2’ and are not taller than 7’ when fully extended.<br />
Presentations<br />
We strongly advise that Table Hosts tailor presentations to each appointment. Do your homework, i.e.,<br />
know the needs of the companies with whom you will be meeting. “Canned” presentations do not carry the<br />
same weight as presentations geared to the specific company.<br />
When planning your presentation, keep in mind that there will be minimum technology available to you (see<br />
“A/V <strong>Services</strong>” below and accompanying order form). Also, please be conscious of the fact that you don’t have<br />
the “privacy” of an enclosed booth.<br />
Shipment and Delivery of Display Materials<br />
Attached are colored labels for table hosts to ship materials to the hotel. Please print the colored label for the<br />
day you are scheduled to attend:<br />
� Day 1 Table Hosts – use the YELLOW shipping label.<br />
� Day 2 Table Hosts – use the BLUE shipping label.<br />
� BOTH days – If you are scheduled for a table on BOTH days, you must use the PINK shipping label<br />
o NOTE: Because tables for both days will be in near alphabetical order, your table<br />
number/location on Day 2 may be different than your Day 1 number/location.<br />
o Use your Day 1 table number for shipping if you are registered for both days on the pink label.<br />
� The Sheraton will only accept and store display materials 5 business days in advance of the event,<br />
which would be Wednesday, September 5 (at the earliest).<br />
� Packages will be delivered directly to your table if they are labeled correctly and received by<br />
Tuesday, September 11. If your materials cannot arrive by September 11, you will need to hand carry<br />
your materials. The hotel cannot guarantee delivery of materials to your table that arrive on the day of<br />
the event.
� Contact Billy Salmon, Conference <strong>Services</strong> Manager, at billy.salmon@sheraton.com or 973-560-5711<br />
to advise of oversized advance shipments, or packages which may require special handling, so there will<br />
be adequate storage space and to make any special arrangements.<br />
� Address packages to yourself, including the total number of boxes and your table number (table<br />
numbers will be posted the second week of August).<br />
IMPORTANT NOTE: If you are having items shipped from a location other than your own office, they<br />
MUST have your name and your table’s name/company on the appropriate-colored shipping label.<br />
Please note: outside warehouses/distribution centers frequently ship items with their own return address label,<br />
addressed to the person who placed the order with no company name, or table number, rather than directing the<br />
shipment to the person actually attending the event. This makes it extremely difficult to identify which table the<br />
package should be delivered to.<br />
The Sheraton and CHPA will not be responsible for delivery of materials which are not properly labeled.<br />
For companies bringing their own materials with them, you can request bell staff assistance at the front entrance<br />
to the hotel, or carry your materials directly to the Grand Ballroom on your own.<br />
You will need to save your shipping containers for any outgoing shipments. The hotel does have a supply of<br />
small Federal Express shipping boxes but no shipping cartons. Advise Billy Salmon, Conference <strong>Services</strong><br />
Manager (billy.salmon@sheraton.com or 973-560-5711) of any special storage issues; please note that the hotel<br />
has very limited storage capacity and boxes will be kept in the ballroom during the event.<br />
Set-Up/Break-Down Schedule<br />
It is highly recommended that participating companies have their tables set up as early as possible to allow<br />
enough time to handle any unforeseen circumstances. Day 2 table hosts may set up Wednesday evening<br />
between 7:30-9:30pm, but should be sure to set up early enough on Thursday morning to allow time to attend<br />
the networking breakfast and presentation.<br />
Day 1 Table Hosts – Wednesday, September 12 (yellow labels):<br />
o Table hosts can set up their display materials beginning at noon.<br />
o Appointments will begin promptly at 2:00pm.<br />
o Your boxes MUST be packed immediately after the Day 1 appointments are over at 5:40pm (see<br />
“Outgoing Shipments” below).<br />
Day 2 Table Hosts – Thursday, September 13 (blue labels):<br />
o Table hosts can begin setting up their display materials at 7:30pm on Wednesday evening, or<br />
Thursday morning beginning at 7:00am.<br />
o Appointments will begin promptly at 9:00am on Thursday.<br />
o Dismantling and removing materials begins immediately after the close of the session at 3:30pm<br />
on Thursday, and concludes at 5:00pm (see “Outgoing Shipments” below).<br />
o Any materials left at your table after 5:00pm without being appropriately packaged and marked<br />
for shipment will be discarded (see “Outgoing Shipments” below).<br />
Both Days Table Hosts– Wednesday & Thursday (pink labels):<br />
o You must pack up your materials at the close of the Day 1 appointments, making sure the PINK<br />
label is replaced and visible on your boxes.<br />
o Your boxes will be moved to your new location on Wednesday evening (7:30-9:30pm) during<br />
the set-up process IF the PINK label is prominently displayed on your materials.<br />
o Additional labels will be available on site from CHPA staff should your labels become damaged<br />
or otherwise unusable during the shipping process, or if you do not ship in advance. Remember,<br />
these are NOT return shipping labels.
o You MUST put the PINK label on your materials with your name and company if you want your<br />
materials transferred from your Day 1 table to your Day 2 table.<br />
o Set up for Day 2 will not begin until 7:30pm on Wednesday to allow the hotel staff to refresh and<br />
reconfigure the room for the Day 2 hosts. If you do not set up your table on Wednesday evening,<br />
the ballroom will open at 7:00am on Thursday morning.<br />
Please see “Shipment & Delivery of Display Materials” above for specific information regarding incoming<br />
procedures, and see “Outgoing Shipments” below for outgoing shipping procedures.<br />
Security<br />
All Table Hosts are responsible for their own display materials. It is recommended that companies exercise<br />
common sense and not leave valuables unattended. Do not leave items of personal value in the ballroom<br />
overnight (e.g., laptop computers). Take equipment with you and secure it with the hotel or leave it in your<br />
room when not in use during the conference.<br />
Outgoing Shipments<br />
� Arrangements for return shipping of materials following the conference should be made in advance. Contact<br />
Billy Salmon, Conference <strong>Services</strong> Manager (billy.salmon@sheraton.com or 973-560-5711)<br />
� You will need to pack your own materials and provide your own return shipping label(s) for Federal<br />
Express or United Parcel Service (UPS), with YOUR company account number provided. The hotel has<br />
small-sized Federal Express shipping boxes but no shipping cartons.<br />
� Sheraton Parsippany will not charge outgoing packages to a hotel room account; you must use your corporate<br />
account number of a credit card for your return shipment.<br />
� Any unpacked items left at a table after 5:30pm on Wednesday (Sept. 12) or 5:00pm on Thursday<br />
(Sept. 13) will be discarded.<br />
A/V <strong>Services</strong><br />
Each Table Host will be provided with a source for electricity to enable use of a laptop computer or other<br />
presentation device, and one standing floor easel to display a company logo or sign – at no additional charge.<br />
Additionally, CHPA will supply a small table-top company sign with table number for each host company.<br />
Tables will also be accompanied by three (3) chairs – one for the host and two for guests. Additional host<br />
chairs will be made available depending on the number of hosts pre-registered for each table.<br />
Extra services such as audio/visual, flowers, etc., are provided through the Sheraton Parsippany and Roberts<br />
Floral for an additional fee and MUST be ordered in advance (note September 5 deadline for both). Again,<br />
any orders for services must be made in advance to ensure proper timing and avoid any last-minute<br />
complications (see appropriate order forms, attached).<br />

CHPA staff will be present in the exhibit hall to help with questions.<br />
