Sharing the load
Home care specialist Bluebird Care has alleviated its
paperwork and regulatory headaches thanks to
document management services from Storetec
Storetec has a long-standing
relationship with Bluebird Care,
providing the home care and
support specialists with useful scanning
and document management services.
Starting as a small family business in
2004, the Bluebird Care brand has quickly
grown and now has over 200 franchises
across the UK and Ireland. Providing
bespoke services to hundreds of
individuals who need care entails a
significant amount of paperwork and
administration. In addition to filing and
record-keeping, franchises also have the
responsibly of ensuring they are meeting
CQC regulations and are GDPR compliant.
Bluebird Care sought Storetec's scanning
services a couple of years ago when an
individual franchise recognised the
benefits a structured electronic filing
system could bring their business. Since
then, Storetec has become an approved
supplier of Bluebird Care and has assisted
countless franchises in the transition to a
more digital way of working. Storetec also
attends the annual Bluebird Care
Conference and Awards which recognises
franchises and individual team members
who go above and beyond to provide an
excellent service.
MOUNTAINS OF PAPER
In one of Storetec's first Bluebird Care
Franchise projects, the company sorted
and scanned almost 9 years' worth of
documentation relating to previous clients
and employees. The client commented:
"The paper took up so much space in our
office and was an eyesore at the same
time. Storetec were able to scan the files
in alphabetical order making the ongoing
process effortless."
As every business knows, its easy to let
that filing cabinet in the corner of the
office continue to build up and overflow,
but 9 years' worth of documentation is
something that can't be ignored.
Following many discussions with the care
manager, Storetec scheduled the
collection and transportation of the
documents to its production centre for
digitisation.
Once scanned, the customer and care
team records were exported to the
client's required output and transferred
via an encrypted hard drive. When
initially sorting the archive, it appeared
that some documents had already
surpassed retention periods. In addition
to the scanning, Storetec then ensured
the secure destruction of such
documents, and provided certification as
proof to the franchise.
