MANTRAC:
CEO Statement On Coronavirus
Our business is facing an exceptionally challenging
period. The rapid spread of Coronavirus (Covid-19)
around the world has touched nearly every country.
Combined with current record low oil prices, this
has created an unprecedented dual crisis which
has profound consequences for our customers
and for MANTRAC. The situation is creating a
sustained impact everywhere we operate and in
how we do business.
Ensuring our collective health and wellbeing in
the Coronavirus outbreak remains our priority. We
urge you to follow all necessary guidelines from
your governments wherever you live. We currently
do not know how long the restrictions that are
such a key part of fighting the virus worldwide
will continue to impact on our daily lives. If we all
follow official guidance, we have a greater chance
of coming safely through this global pandemic
together.
We are also focused on safeguarding the wellbeing
of our company during this crisis. As MANTRAC
employees, we all need to commit to take care
of our customers and the financial health of the
business in these difficult circumstances. Our
2
intention is to continue to operate day-to-day as
closely as possible to ‘business as usual’. To help
you all in achieving this goal, we have devised
an action plan to manage our customer’s needs.
This plan has been formulated to prepare the
business to operate as digitally and virtually as
possible. This means we must all focus our efforts
on effective and productive working wherever we
are, while managing teams remotely to guarantee
the necessary delivery and compliance. We realise
there is no time to waste, so we are aiming to start
this programme immediately.
Ten essential areas of the business are currently
being rapidly scaled-up and implemented as a
matter of priority by a dedicated team who will
ensure we remain responsive to the continuously
changing situation. Many initiatives already
identified as transformational priorities have been
accelerated. These include fast-tracking MANTRAC
Direct and setting up Hotlines and Live Chat across
territories; creating the virtual parts counter,
directing customers to electronic payments,
implementing digital signatures, incentivising
Parts.Cat.Com and ‘Ship to me’, connecting
service teams to customers via digital technology
and improving MANTRAC telecommunications
to allow more people to work remotely. This has
taken huge efforts from everyone involved and I
want to say, ‘thank you’ to you all.
All MANTRAC teams are focused on getting things
done. Everyone is working together in a fast and
efficient manner to achieve the transformation.
Everything you need to know to do your job well
and contribute will be communicated clearly to
you, whatever your location and role. These are
unprecedented circumstances, but we cannot stop
doing what we do best and wait for this crisis to
pass. Our success will depend on how quickly we
all adapt to the new environment. The preservation
of the business in the long-term relies on all of us
playing our part.
Please stay in close contact with your customers
and seize every opportunity. We will all have to
operate with great discipline and continue to
generate revenue through timely collections and
sales, while closely controlling expenses and
inventory. You can be confident we are doing
everything we can to give you the support and the
tools to continue safe and successful operations.
We are all depending on one another.
We must now commit wholeheartedly to these
measures with the same resilience with which we
have overcome previous crises. I have no doubts
that we will get through this together and then
be ready to build on our success in the future. I
applaud everyone’s outstanding efforts so far and
please let’s all keep up the good work. Thank you.
Loutfy Mansour
OUR ACHIEVEMENTS
Last year and the year ahead
DEAR
VALUED
COLLEAGUES,
We have come through a year filled with both
challenges and victories and I would like to
take this opportunity to thank you for all your
efforts throughout the last year. Your hard work,
commitment and invaluable contributions were at
the centre of MANTRAC’s success last year.
Let me share the results of your hard work in
2019 with you: we reached new customers,
which allowed us to expand our database and
opportunities. To stay up to date with the latest
market trends and technologies, we have focused
on business digitalization and e-commerce. We
created new digital channels for customer order
placement, managed to fully achieve our goals in
our large projects and acquired significant market
share in different sectors.
A vital part of our plan was standardizing and
developing our facilities’ infrastructure and so we
improved our branch capabilities by enhancing
and standardizing the network that connects all
branches to be an efficient network. We believe
that continuous improvement is a vital part of
MANTRAC Group’s strategy, so the sky is the
limit when it comes to improvement plans. So,
in that spirit, we are looking forward to more
improvements and updates across our different
divisions in the coming year.
Finally, we also believe the quality of your work
reflects immediately on the quality of our service,
which dictates the satisfaction level of our
customers.
Thank you all for your dedication and commitment
to last year’s performance and we are looking
forward to another successful year.
“Lights” work
IT hands make “lights” work
As the old saying goes “Many hands make light work”.
Over the past few months, our IT Teams has proven this -
we have seen how committed MANTRAC IT hands makes
“lights” work @office and @home
Our IT teams across 3 continents and in 13 countries has been working tirelessly
the past eight months to establish and roll-out innovative World Class Security,
Connectivity and Collaboration solutions in every MANTRAC office across the
globe. Our goal was to become more client centric and to allow us all to work
from #anywhere, #anytime, using #anydevice, by #anystaff and connect with
#anycustomer. In IT, this challenges us to work #bettertogether.
We implemented multiple, integrated and secure
collaboration solutions for teams and individuals, chatting
and video conferencing capabilities, enabling screen sharing
using different technologies from many leading technology
partners. The best part is that through the IT Helpdesks, we
empowered every MANTRAC staff member to be ready and
confident for anything in the future.
During the past few months, we witnessed unprecedented
global events with Covid-19 and its consequences restricting
many businesses and also MANTRAC staff and clients, to
suddenly work from home, requiring us all to be connected
for much longer to serve our clients.
Since the beginning of March 2020, MANTRAC now have over
some 1000 employees working from home (growing daily),
creating a special and unique “virtual workplace”, connecting
us all and continuing to create delightful experiences for our
customers.
We now need to show that we can grow our MANTRAC
business using a broader digital footprint whilst relying on
a much-reduced physical footprint. We need to WIN more
business and clients in these difficult times using the same
commitment but with new ways of working from home.
The Technology Team in MANTRAC loves to serve.
We are proudly MANTRAC and will continue to be there for
you when you need us. We are eager to maintain the highlevel
service to you where you need us, at office but equally
working from home.
IT wishes to all. Many IT hands make “lights” work.
STAY SAFE
EVERYONE!
SAFETY OF OUR EMPLOYEES IS
OUR MAIN OBJECTIVE
By following smart and simple steps and staying
calm and practical, we can keep our 1000
employees in Amreya and MANTRAC House safe
from Corona virus.
As a solution provider in one of the most
demanding industries, we face challenges such
as the frequent interaction of MANTRAC’s Sales
and technical teams with external parties every
day. The difficulty lies in controlling cleanliness
in technical jobs that involve servicing machines,
assembling generators and the on-going traffic of
visitors, customers and guests, especially at the
Parts Counter.
Egypt is a vibrant country and our employees
face overcrowding on public transport during
their morning commute. We are using effective
measures to address this challenge, such as:
Email Chain: Awareness initiative under the name
“Tip of the Day”
Health Awareness Session: In coordination with
Bupa, a session will be conducted via MS Teams to
raise awareness of how to combat infection.
Hygiene: Full coverage of branches with alcoholbased
rubs and detergent based handwash soap
Body Temperature Measurement: Daily
measurement of body temperature in search
rooms/branch gates by security using medical
wireless thermometers.
As a giant of providing solutions, we propose
effective solutions for the safety of our employees.
Our key objective is to have a maximum 50% of
each department’s headcount “on-premises” on
any given working day, thereby reducing excessive
crowds during the coming month and controlling
the opportunity for COVID-19 to spread.
How we will apply this?
• By Dividing employees into two shifts (i.e. 50%
of headcount/department in each shift)
• Scheduling shifts for office-based jobs aiming
at maintaining around:
• 212 HC in MANTRAC Amreya’s facility
• 56 HC in MANTRAC House’s facility
• Introducing 2 Working From Home days within
everyone’s normal working week
• Rotate shifts every 2 weeks with the necessary
scheduling adjustment upon shift rotation
Being more organized to maintain the health of
our employees, these are the measures on office
behaviour, we will follow from now on:
• Prohibition of inter-branch commutes – rely on
Microsoft Teams
• Prohibition of gatherings of any form – rely on
MS teams for meetings, trainings… etc.
• Prohibition of international travel in or out of
the country
• Decontamination of busses every morning on
daily basis
• Activation of daily case reports – fed into HR
from employees with symptoms
• Granting cases with symptoms sick leaves
without note (proof) and insist on home
quarantine for any mild cases
• Define critical position/department to be filled
by department heads; in terms of impact on
daily operations and prepare backups
• High Risk List
• Over-50 years old chronic medical condition
• Over-50 years old in senior management
positions
Organising everything in this crisis
would not have been possible
without the dedication and efforts
of our HR team. We want to voice
our full appreciation and thanks to
the Egypt HR Team!
A FIRST
FOR MANTRAC GROUP
MANTRAC Team
CATERPILLAR Grants Alex Branch
Four Stars Award in Retail Section
MANTRAC Egypt’s Alexandria branch won
the Four-Stars Award in Retail Rating from
CATERPILLAR. By winning this award
MANTRAC demonstrated how continuous
effort to provide the best customer experience,
leads to customer retention and growth. Within
a period of 12 months the Alexandria branch
managed to provide world-class service, both
face-to-face and online. This has made a great
impression on our customers, especially the
small and medium-sized companies, targeted
by the retail sector and expanded growth
prospects.
CATERPILLAR assesses 60 factors from the
customer perspective, including the branch’s
website, entrance, equipment display area and
overall appearance of different areas such as
the maintenance workshop. Action plans are
created, discussed and approved to develop
each facet of the 60 factors, according to
CATERPILLAR best practice standards.
This could not have been achieved without the
efforts of the Branch Improvement Program
team. This achievement raised the branch
classification from two stars to four stars in
only one month. The rating also included
improving customer impressions.
In addition, MANTRAC thanked all the team that work on this project for their
important role in the success of this experiment, which is a promising environment
for an advanced customer service quality in the future.
THAT’S SEVEN IN A ROW
MANTRAC Group's product support department exceeds
expectations in customer loyalty rates
2019 closed with %80 as the YTD Group Net Loyalty Score
which is %13 above the annual target with %94 of alerts that
were fixed in less than 30 days
For the seventh year in a row, the MANTRAC Group
Product Support department and their peers in
other MANTRAC branches, were able to meet and
exceed expectations by obtaining high scores for
customer loyalty rates.
This year, MANTRAC Group exceeded annual
targets, with customer survey results showing
their loyalty to the Product Support department.
The customer loyalty rate reached 80%, compared
to 16% in 2013.
MANTRAC Group emphasized that this
achievement is a well-deserved reward for a long
journey full of success stories over a seven-year
period. MANTRAC also highlighted that each
member of the team, in every branch, contributed
to this achievement; from sales engineers to
department managers.
The Customer Loyalty Program is one of the main
success factors in MANTRAC Group, as loyalty
points exceeded expectations for the seventh
consecutive year. MANTRAC thanked everyone
who contributed to making this achievement
happen by saying “We believe we can exceed the
expectations of customers again in 2020, and
we can achieve our new target which is reaching
the fastest response rate, in addition to customer
loyalty rate”
NEW
ACHIEVEMENT
GREAT EFFORT
MANTRAC GETS
Five-star
Certification from
CATERPILLAR for pollution
control at MANTRAC House
MANTRAC is recognised for a new achievement in the field of pollution control, as MANTRAC House
facilities received a five-star certificate for pollution control from CATERPILLAR.
In achieving this recognition, MANTRAC is proving its vision as “The standard of measurement that
should be followed by CATERPILLAR agents worldwide”. This achievement proves the efficiency of the
commitment and continuous efforts of all work teams in the maintenance departments of MANTRAC.
Pollution control is one of the most important initiatives that show confidence and reliability in
maintenance. It ensures superior value and quality for MANTRAC customers. This degree of superior
quality can be achieved by avoiding equipment component malfunctions, which leads to a longer life
for components and equipment. It also leads to improved productivity throughout the life cycle of the
equipment.
Obtaining this certificate reflects a great effort in meeting the criteria of keeping the maintenance
workshop and spare parts store in excellent condition daily. This is considered an important daily challenge
for the maintenance team. The objective is to ensure continuous achievements by all MANTRAC teams
that place the company in a leading position in the industry.
MANTRAC CELEBRATES
INTERNATIONAL WOMEN'S DAY!
ensure the promotion of gender equality and women’s empowerment. This is achieved
by recognizing and celebrating the successes of our female peers for their hard work
and commitment to improving the company
International Women’s Day is important to us because its purpose is to promote an
environment that supports equal rights and duties. Equality is not just a women’s
issue, it is something that affects everyone in society. This year MANTRAC celebrated
at MANTRAC House, Alex branch and with the MANTRAC Distribution team in
Mohandessin.
Female employees joined the fun filled celebration that was made special by
Ms. Rawya Mansour who took the time to send staff inspirational messages. The
messages were filled with hope and highlighted the value of work for women during
her speech. MANTRAC encourages its female employees to celebrate their social,
professional and personal accomplishments. International Women’s Day is a celebration
of every woman working at MANTRAC.
the equipment manager. The theoretical training also included explaining the
correct daily examination of each piece of equipment, all their components
and the way each part operates. It also clarified the CATERPILLAR
recommended oil and filter change schedule and the correct lubrication of
equipment by hours of operation.
The practical training included an explanation of how to deal with soil and
how to correctly load the loader. Also, there was an explanation of the
correct way to install and fix equipment and how to operate it in the field to
move the soil and the consideration of the correct angles for entry during
loading.
Thanks to this training, equipment operator efficiency at Lafarge Cement
Company has improved significantly. Lafarge is a major cement companies
and one of MANTRAC’s largest clients. The objective was to reduce both
the time spent during loading and the number of loads, leading to fuel
consumption efficiency.
A WORKSHOP
To Enhance Safety Culture for the Maintenance Team in Amreya
In November 2019, MANTRAC branch in Amreya
hosted a workshop to enhance safety culture for
MANTRAC Egypt’s maintenance team.
During the workshop, Katrina Lindal,
CATERPILLAR’s Chief Strategic Advisor, stated
that although Egypt has a large number of
confirmed injuries, but it has excelled in spreading
the culture of recording the injuries transparently,
and that they never hide facts like other areas
would.
Lindal added that the culture of injury recording
is positively reflecting on the development and
implementation of the safety systems. She also
asserted that areas which ignore injury cases
recording will never be able to develop themselves.
The workshop covered the role of health and
safety in controlling the waste of resources and
increasing profitability, even with a consistent
productivity rate. Also, the workshop covered
modern management methods that rely on health
and safety for maximizing profits.
After a theoretical lecture, a session was held to
apply the theoretical ideas in the workshop, and
to do the risk assessment of the maintenance
workshop in a regular working day.
At the conclusion of the workshop, Katrina praised
the participants’ performance and the maintenance
team’s level of safety awareness. She also praised
the safety system at MANTRAC.
Internal Sales Representatives Team
IT’S A FIRST
THE INTERNAL SALES TEAM HAS
ACHIEVED A NEW RECORD IN 2019
MANTRAC’s internal sales team recorded a new achievement
in 2019 that made it a historic year for the company. Telesales
volumes reached a record high since the 2007 inception of the
internal sales team. This is of note because it has been difficult
to meet expectations regarding telesales in the Egyptian market.
The team’s objective was maintaining a strong and solid
relationship with existing and new MANTRAC customers, and
rebuilding old relationships.
However, the objective developed and expanded, making the ISR
Team one of the most important sources of revenue in MANTRAC.
In addition to covering large quantities of customers in small and
medium companies, which provided a greater opportunity for the
territory sales team focus on with Key Accounts.
The outstanding performance of the ISR Team, which managed
the end of 2019 to achieve revenue growth of 45% on an annual
basis, is a remarkable achievement that reflects the performance
of the team that showed a strong commitment and sincerity for
the unrivaled work. The ISR Team plans in 2020 to continue to
build on this growth to have another impressive fingerprint by the
end of the year.
