Hotel Check-in<br />
<strong>FUSION</strong> staff serving a refreshing custom cocktail will greet guests upon arrival at your<br />
venue. A <strong>FUSION</strong> staff member will have confirmed all guest rooms so that attendees may<br />
enjoy a few moments getting acquainted and not have to concern themselves with the<br />
check-in process. As they are enjoying a cool beverage, <strong>FUSION</strong> will be working with the<br />
hotel bellman to ensure that luggage is quickly being delivered to their rooms. When they<br />
enter their beautiful guest room, they will find a welcome packet that includes detailed<br />
information about the week, name badges, and activity information.<br />
Departures<br />
Attendees will receive a departure notice in their guest room the day prior to departure.<br />
This allows time for changes to be made to flights or transfers. This notice will include a<br />
confirmation of their flight time, transfer time and details about collection of their<br />
luggage. The day of departure, <strong>FUSION</strong> travel staff will manage all logistics surrounding<br />
the staging of ground transportation, confirmation of flight statuses and baggage<br />
supervision.<br />

BRANDING AND COMMUNICATION<br />
Program Graphics<br />
The design team at <strong>FUSION</strong> is dedicated to creating program graphics that can be<br />
used throughout the marketing of a program to motivate, inform and impact attendees<br />
in fresh, attention-grabbing ways. We understand that these attendees are of great<br />
importance to your business and that celebrating their success is a key goal of this<br />
event. With this in mind, our team will develop a look and feel that will create a buzz<br />
and excitement for your upcoming event.<br />
Pre-program Communications<br />
Save the Date and Invitations. <strong>FUSION</strong> will develop custom invitations that will be<br />
emailed to the attendees once they have been selected. These invitations will provide<br />
the attendees with their first glimpse of the fantastic experience that awaits them. In<br />
addition, we will offer recommendations for gift items and branding that continues<br />
to communicate your message while inspiring, exciting and emotionally moving<br />
your participants.<br />
Customized Registration Website<br />
and Concierge Service<br />
The <strong>FUSION</strong> Program Coordinator (PC) assigned to your event works directly with our<br />
design team to develop a registration website for your event. Our design team works<br />
to develop the graphical elements of the site while the PC will coordinate all the copy<br />
and data expectations with you. Once the site is live and the winners provide their<br />
information, the PC becomes the customer service agent for all attendee and client<br />

Program Information Package<br />
Like the invitations, all confirmation documents and packaging are developed<br />
by our design team in coordination with you. Generally, these include a Program<br />
of Events, luggage tags, leave-at-home magnets, airline tickets or itineraries and<br />
a hotel confirmation. Again, we like to spice up these documents by adding the<br />
<strong>FUSION</strong> touch with unique packaging and presentation when budget allows.<br />

AIR TICKETING, ON-SITE AIR MANAGEMENT & ATTENDEE TRAVEL<br />
Air Ticketing<br />
<strong>FUSION</strong>’s group air agents are experts in domestic and international incentive travel. Prior<br />
to launching registration, we will hold a discovery meeting to refresh or learn your travel<br />
policies and preferences for this specific event. Our agents are sticklers about the budget<br />
but are even more focused on ensuring that your attendees have a safe and enjoyable<br />
travel experience. Our agents are fully fluent on the details of your event and are happy<br />
OPTIONAL: On-Site Air Management<br />
Travel of any kind these days can be somewhat challenging. At <strong>FUSION</strong> we believe in<br />
mitigating all risks and for that reason, we can bring one of our very talented air agents<br />
on site with us. In addition to monitoring flights, communicating all changes and<br />
delays, printing boarding passes (when possible) and chasing lost luggage, this person<br />
also assists as on onsite travel staff wherever needed.<br />

SAFETY AND SECURITY<br />
At <strong>FUSION</strong>, we take the safety and security of our<br />
programs and our attendees very seriously. We are<br />
certified by MPI<br />
in Emergency Preparedness. We are<br />
continually analyzing security, risk and health advisories<br />
prior to the program execution and always communicate<br />
any concerns to our clients. In addition, through a proven<br />
protocol, we work with our air department and hotel<br />
partners to ensure that they are prepared to handle any<br />
situations that may arise.<br />
Our goal is to make our attendees feel that they are safe<br />
no matter the circumstance. We do our best to plan for<br />
any circumstance, whether it has a high or low likelihood<br />
or has a high or low consequence factor.<br />

Client Side<br />
Before we even propose an event and again before traveling; we check local weather,<br />
State Department travel advisories, social media, local news, local authorities and<br />
venues. We belong to the U.S. government’s STEP system for global travel alerts.<br />
During an event we conduct pre-arrival emergency strategy sessions with venue security<br />
management and local authorities where applicable. Our team is trained in role specific<br />
activities to manage emergencies from terrorism to natural disasters.<br />
Attendee Side<br />
Before traveling attendees are provided with their full agenda, including venue contact<br />
information, weather, document requirements, international cell phone and power<br />
requirements, local COVID protocols and passport assistance if applicable. <strong>FUSION</strong> also<br />
collects emergency contact information and maintains cell phone and email information<br />
for each attendee to communicate with them onsite if necessary.<br />
During travel, <strong>FUSION</strong> air agents monitor all flights for delays or other emergencies and<br />
provide assistance if applicable. <strong>FUSION</strong> headquarters staff also maintain contact with<br />
<strong>FUSION</strong> travel staff to offer communications assistance to emergency contacts or local<br />
authorities if necessary.<br />

Destination<br />
San Juan, Puerto Rico’s capital and largest city, sits on the island’s Atlantic coast. Its<br />
widest beach fronts the Isla Verde resort strip, known for its bars, nightclubs and casinos.<br />
Cobblestoned Old San Juan features colorful Spanish colonial buildings and 16th-century<br />
landmarks including El Morro and La Fortaleza, massive fortresses with sweeping ocean<br />
views, as well as the Paseo de la Princesa bayside promenade.<br />
The air temperature in March varies between mid 70’s - low 80’s.<br />
