Improving Fleet Preventative Maintenance
through RFID
Presenter: Natalie Christensen, City of Abbotsford
Intermediate
The City of Abbotsford identified that it had considerable administrative
inefficiencies surrounding the manual collection of
odometer readings and operating hours for the fleet. The impact
of inaccurate and missing data has cost the municipality time
and money in wasted management and administration time,
CONFERENCE DAY 1: TRACK 3
Usability, Access to
Information & ROI
“Progress comes from intelligent use of experience.”
missed maintenance events, premature maintenance events,
and inaccurate data.
In order to improve data collection within the SAP PM module,
the city has introduced a radio-frequency data transfer system
supplied by U-Con systems. The “Wireless Data Modules” plug
directly into the ECM of the vehicles and equipment, and utilizes
RF to capture odometer readings, operating hours and other
critical operating data. The implementation of this system has
allowed the city to ensure securing accurate vehicle data, and
obtaining critical reporting information.
Lessons:
Importance of accurate data for…
• Proper preventative maintenance
• Vehicle justification reports
• Cost efficiencies
using Measurement Points to Capture
History of Equipment
Presenter: Stephen Erslon, ConocoPhillips
Beginner
Manage and develop equipment history within SAP to capture
history against an asset. ConocoPhillips uses measurement points
to assist in tracking history for mechanical equipment. Through
coding and designing, you can implement a system for your
plant’s reliability group and craftsmen to easily enter data points.
Capturing data within SAP negates the need to use satellite systems
and keeps out information within the legacy system. Learn
how ConocoPhillips developed their measurement points and
how it expects to expand interests to many more types of assets.
best Practices for Effective Capital
Project Execution
Presenter: Nick Cutsumbis, FirstEnergy
Intermediate
FirstEnergy Corporation, a diversified energy company headquartered
in Akron, Ohio, is involved in generation, transmission and
distribution of electricity, as well as energy management and
other energy-related services. FirstEnergy uses both SAP and
Primavera to plan and execute major and minor capital projects
for its distribution lines of business. In an effort to reduce planning
time, minimize costs and capitalize on existing investments
in equipment and infrastructure throughout these capital projects,
FirstEnergy sought to integrate the two systems.
This case study presentation will address challenges that FirstEnergy
encountered prior to integration and benefits realized afterwards.
Focus will be on real world application of best practices
and lessons learned as it relates to other companies looking to
maximize their SAP investment.
Lessons:
• The project budget must originate from work schedule
• An automated project forecast from Primavera into
SAP is possible
• Using Primavera LOE activities allows the SAP accounting structure
and Primavera project structure to talk to each other
Implementing Plant Maintenance in a
Non-Manufacturing Environment
Presenter: Romero San Agustin, Port of San Diego
Beginner
“Shutdown/Turnaround”, “Reliability-Centric” and “Results-
Oriented” are terms seldom spoken at the Port of San Diego.
Instead, reporting costs for the upkeep of the District’s parks
and assets are more common practices. In October 2006, the
Port of San Diego issued a Request for Proposal to implement
SAP Plant Maintenance for the District’s General Services
Department. The vendor selection process came down to two
firms with different philosophies, one specialized in public sector
implementations, and the other in EAM. The selection panel
recommended the EAM approach hoping to capitalize on how
the rest of the world managed its maintenance. Throughout
the project lifecycle, re-engineering processes, designs and
best practices were made. Flexibility was the key to this
project’s success — the team and the system.
Lessons:
• You know your business, do not rely so much on how the rest
of the world does things
• Your implementation partners learn as much from you as you
do from them
• Have a very good contingency plan
Calibration Solution in SAP Improves Productivity
Presenters: Félix Vélez, Johnson & Johnson
& Sammy Seifeddine, ABB Reliability Services
Intermediate
Faced with increasingly stringent compliancy requirements and
escalating global competition, manufacturers in regulated industries
must focus on improving processes to be successful. Calibration of
test equipment in SAP can improve operational productivity
while streamlining compliance to regulated mandates. This
presentation demonstrates how GBSC, a Johnson & Johnson
pharmaceutical company, was able to improve productivity by
30% and realize a reoccurring annual savings of $375k through
implementing calibration of test equipment in SAP using PM
(Plant Maintenance) and QM (Quality Management) modules.
Lessons:
• Must take necessary steps in evaluating and selecting the
right implementation partner for your business
• Must have excellent teamwork between the business, IT,
and implementation partner
• Must redesign business processes to meet customer requirements
Screen Simplifications using GuiXT
Presenter: Patrick Reed, Essroc Cement
Beginner
Essroc implemented SAP R/3 Rel. 3.1H in 1999. Although the project
was successful, there were training requirements that persisted
since go-live because of employee turnover; an overwhelmed
end-user base who initially learned “how” transaction procedures
worked but never quite grasped the “why” part; and a general level
of frustration regarding the limited amount of data required to
complete a transaction compared to the number of fields included
in the screen. The last point was particularly confounding because
there was no validation techniques included within the transaction
processing that would identify input errors as the transaction was
entered. With a small SAP support staff, retraining was not an option
for Essroc Cement and the idea of using simplified screen templates
with built in validation logic was considered a strategic alternative.
Lessons:
• The need for ongoing training requirements to respond to
employee turnover and the needs of the end-user base
• Simplified screen templates, along with built in validation logic
which includes a review of the accuracy of dependent transaction
data, can be considered a strategic alternative for support
staff training and retraining
“Correct Change Required”— Culture Change
and Implementation
Presenter: Mike Hays, Tyson Foods, Inc.
Beginner/Intermediate
Many times SAP is seen as the “silver bullet” for EAM. However,
developing business process, configuring the software, and training
end users is only part of having a successful implementation.
Success requires the organization to adopt the new business
processes. Often before the new processes are adopted, a change of
culture must occur. You must understand and recognize the steps
in the change process, develop a plan to manage the change,
arm your implementation team with change management skills,
and sell the benefits to those ultimately responsible for improving
business performance (the end users). Without a solid plan
to convince your end users of the benefit and align the culture of
your organization with the new business process, the expected
return from an SAP EAM implementation may never be realized.
Lessons:
• Importance of a change management plan as part of overall
implementation plan
• How do I get buy-in?
• What skills do the implementers need?
Aquarion Water Company (AWC), one of the 10 largest investorowned
water utilities in the US, recently embarked on the “Next-
Gen” project, with the goal of improving workflow, and
optimizing resources and assets, thus capitalizing on their software
and hardware investments. As part of this project, a new
ERP system (SAP) was implemented, necessitating an integration
between SAP and AWC’s GIS system.
This presentation will provide insight into this integration project,
focusing on individual implementation points and how these
brought improvements to the various departments within AWC.
Particular attention will be paid to how the GIS footprint was
increased within the company and what values this brought to
Expert
Mobile Inspection Management (MIM) for SAP, a new solution
developed completely in NetWeaver architecture allows
operators, inspectors, and technicians to perform route based
activities and capture data electronically in the field through a
handheld application. MIM for SAP ensures that operators are
monitoring critical equipment and failure symptoms identified
by an overall asset strategy, as well as capturing data accurately
in the field. In addition to the mobile application, MIM uses
standard SAP EAM structures to do all route planning, scheduling,
and work order management.
This presentation will open a discussion on how MIM for SAP
integrates a company’s equipment strategies into day-to-day
operations and surveillance programs while facilitating efficient
Implementations: Do's & Don'ts for Customer
& Consultant
Presenters: Tom Buckley, Pacific Gas & Electric Company
& Rob Felix, New Dimension Solutions
Intermediate
A successful implementation or upgrade is critical for customers
and consultants. Understanding each others needs and perspectives
can dramatically improve the outcome of an implementation or
upgrade. This presentation provides insights gained from former
and ongoing implementations. The relationships between a customer
and consultant are often based on assumptions which may
not be accurate. The presentation will provide “real world” do’s
and don’ts, rather than a “cookbook” view of implementations.
Lessons:
• Open communication is critical
• Understanding the needs of the customer and consultant
should be discussed, not assumed
• The end-user has valuable information for both parties which is
often overlooked
Integrated Maintenance Program —
How to Achieve Your business Goals
Presenters: Greg Toomey, SKF Reliability Systems
(content in part provided by Italo Freitas,
AES Corporation)
Intermediate
This presentation will cover a project that begins with developing
business process models and ends with configuring and
populating SAP to support the business goals. It also identifies
all other maintenance program elements that have to be implemented
and their ties to SAP.
The project was for a combined cycle plant that was under construction.
Given that the plant would have stringent contract
requirements around reliability and availability coupled with a
small plant staff, it necessitated a robust, integrated maintenance
program from day one of operations.
The process of how to create and implement a structured program
will be covered including populating templates for SAP data. Multiple
activities will be covered from identifying business goals to
developing a standard taxonomy, PdM and operator activities and
programs to priority scheme based on equipment criticality.

Covering All the bases for Sustainable
Asset Performance
Presenters: Berk Borrett, Catalyst Paper Corporation
& Eric Wegscheider, Ivara
Intermediate
This session will illustrate how Ivara EXP Enterprise and the Ivara
Work Smart implementation methodology, coupled with SAP
EAM, supported an optimal approach to asset performance
improvement by bringing together, in a cohesive offering, solutions
to three distinct problems. Implementation at Catalyst
Paper’s four mills is highlighted.
At the tactical level, identify and quickly resolve immediate and
obvious problems with methodologies such as RCA (Root Cause
Analysis). Analytical tools such as Weibull analysis, Life Cycle Cost
modeling and others can be applied to quickly identify opportunities
for immediate performance optimization.
At the sustainable execution level, implement a comprehensive
proactive reliability program across the asset base — from failure
mode analysis to integrated condition monitoring and inspection
management; asset and process performance tracking and
alarming to initiation of timely condition-based work (the right
work at the right time) driven by EXP, managed by SAP EAM.
At the organizational change level, leverage Ivara’s renowned process
and methodology to support and sustain organizational change.
Lessons:
• A balance is needed to support a cohesive and sustainable
transition to proactive asset reliability that drives optimal asset
performance
• The mix and the sequence depend on the organization’s context
and priorities
Cu Implementation Guidance
Presenter: Ronald Miller, SAP America
Intermediate
SAP compatible unit functionality offers flexibility and efficiency
in creating work orders. But implementation can be a complex
task. Due to the many interrelations of the CU functionality and
existing PM functionality, not to mention MM and FICO, success
depends on a thoroughly thought out design before the
build is started.
This presentation will discuss some of the areas where critical
decisions must be made as well as the options and ramifications
of those decisions. The areas to be covered include: CU
complexity, the use of different plants on the associated task
list, primary characteristics, design/order checking, use of
reference equipment, use of hierarchical CU, materials planning,
using operational level costing, limitations of the CU
functionality, and getting started. The target audience for
this session includes individuals with CU knowledge, but
whose company has not yet implemented.
Lessons:
• Key decisions on how CU will be used must be made early in
the solution design process
• The CU solution must be looked at in a holistic manner as part
of the overall solution due to its interrelated nature
• CU solution is quite flexible, but that makes it more complex
to implement
Functional Approach to Planning
& Scheduling with SAP basics
Presenters: Paul Simmons, ConocoPhillips
Intermediate
A functional approach to performing oil refinery or manufacturing
plant routine maintenance planning and scheduling using SAP
takes an understanding of expected inputs and required outputs.
Even so, this can be done effectively and efficiently using standard
SAP PM. In this presentation, Paul Simmons and Danny Hollie will
apply their experience with setting up processes, procedures, and
training to exemplify such success.

CONFERENCE DAY 2: TRACK 1
Maintenance Effectiveness
& Reliability
While we are always looking at possibilities to improve planning
& scheduling capabilities, these usually involve a time and money
investment that does not always play out. The functional
approach to using SAP for routine maintenance planning and
scheduling requires at a basic level the following: 1) Maintenance
process 2) Maintenance procedures 3) Focused planners 4)
Emphasis on task lists created for repeatable work 5) Scheduled
control of release and schedules 6) Proper schedule update flows.
Lessons:
• Building your base with solid preplans and task lists which
include planning package documents
• Setting up the proper flows of planned work orders and operational/maintenance
priorities for scheduling by using order
status coding, estimation fields, and revision codes
• How to perform weekly and daily scheduling for routine maintenance
with a 1 scheduler to 150+ ratio without any bells and
whistles, just the SAP PM module
Scheduling in SAP
Presenters: Ed Robinson, EMG – Midwest Generation
& Gus McIntosh, Vesta Partners
Intermediate
In Q3 of 2007 EMG went live with an SAP EAM system solution
to support its evolving maintenance/reliability processes. This
was within a broader implementation that included SCM, Fuels
Management, HC and FICO. One of the goals of the EAM project
was only using standard functionality to improve existing
work practices laying a solid system foundation to support
future improvement objectives.
Key goals were to utilize SAP to further standardize on the weekly
schedule process and provide a basis for continuous improvement
across the seven coal powered generation stations. To meet
these objectives and ensure user adoption the end product had
to be robust, simple to use and allow planners/schedulers to
work more efficiently.
The completed transactional solution combined standard order/
operation list edit functions with capacity leveling/evaluation to
provide the means to prepare, review and communicate the
schedule. Measurement of schedule efficiency and performance
was measured through development of a custom BW report.
Lessons:
• Standard SAP Plant Maintenance & Capacity Leveling functions
can deliver an efficient scheduling process
• The set up of Capacity Leveling/Planning Board functions is
complex but with expert knowledge you can quickly implement
and develop the “right” solution
• A custom snap-shot and reporting tool is required to measure
and report on weekly scheduling performance
bOM Teams — An Equipment Commodity,
Reliability Approach
Presenter: Derek Astrike, Dow Corning
Beginner
Bill of Material (BOM) teams are designed to leverage existing
plant systems to improve efficiency, reliability, and maintainability
of segmented equipment commodities. These representatives
make up the teams: stock coordinator, reliability engineers,
tradesmen, and record administrator. The team’s focus
encompasses a wide breadth of facets related to BOMs. Starting
with ensuring asset nomenclature in SAP is standardized and
consistent, to defining current stock descriptions. The inventory
strategy is developed taking into consideration the number of
models, criticality, safety stocks, obsolescence, and consignment
options. Using vendor parts lists as a basis, the BOMs are built
and loaded into SAP, allowing them to be viewed and printed on
work orders. This information is then used to develop equipment
strategies for the equipment residing in a building.
Lessons:
• Consistency and standardization of the information provides
efficiency gains
• Sharing this information and developing strategies with the
person responsible for the equipment provides a proactive
approach to managing their equipment
• Tradesmen play a key role in ensuring the data integrity of the
BOMs remain once the project is completed
Leveraging Your Rental Equipment in SAP
Presenter: Bob Pennington, CITGO Petroleum
Intermediate
Renting equipment for maintenance work orders on a “one off”
basis is not difficult in SAP. Leveraging the same piece of rental
equipment across multiple work orders lends to a different challenge.
The cost of rental equipment in a maintenance environment
can be extremely high on a daily basis and can comprise a
large percentage of the overall maintenance budget. These costs
can be somewhat tempered if rentals are leveraged across multiple
work orders, which in turn will promote long term rentals.
The traditional challenge has been how to leverage long term
rentals while being able to track them in a plant and spread the
costs accurately across multiple orders. In this presentation, Bob
Pennington of CITGO Petroleum will enter into a discussion on
how CITGO Petroleum uses SAP to manage its rentals.
Standardized Metrics Reporting in SAP
Presenter: Dick Olver, Agrium
Intermediate
It can be a challenge to get consistent reporting on measures
and KPI’s from SAP or any CMMS system. Using those measures
to do benchmarking with other plants and companies when
there are differences in how the metrics are defined compounds
the problem. The Society for Maintenance and Reliability Professionals
(SMRP) has developed a set of common definitions and
metrics that can be used. The next step is getting EAM providers
like SAP to include the metrics reporting in their systems so
that individual companies avoid the development of custom
reporting. This presentation will report on the metrics development,
harmonization with the European Maintenance Societies
and propose the inclusion of standard reports covering the
metrics into SAP.

& Reliability
10:05 - 11:05 TUESDAY
The Pursuit of the Perfect Plant
Presenter: HaJo Lockermann, SAP Labs
Intermediate
Pressures on asset-intensive industries are growing: from tightening
regulations, increasing energy costs, to the aging workforce,
and the threat of ever-changing rules of the game through globalization.
In order to survive, companies have to become more
agile and able to better understand their own business practices.
This provides the ability to change more nimbly.
In this session, learn how SAP’s vision of the “perfect plant” leveraging
SAP and partner solutions addresses these challenges. The
key concepts are:
• Visibility – gaining real-time insight into asset and system
performance with regards to yield, quality, emissions, and
energy consumption
• Simplification – supporting the front-line operator or technician
with the right information and eliminating wasteful steps
• Optimization – turning insight into action, continually adjusting
your strategies and practices
Lessons:
• "One plus one equals three" - SAP's ecosystem empowers
the business
• SAP's EAM, xMII, xVIP, NRX Asset Center, xLPO, xEM and
other components play together to achieve the vision
• Plant doesn't equal plant - the concept applies to
various industries
Configuration Control & Change Management
Presenter: Hemant Rathod, SAP Asia
Expert
Starting from Enterprise R/3, the EAM solution release has been
enhanced with an important component called configuration
control. The primary goal of configuration control is tracking the
entire lifecycle of technical objects from engineering to operation
and maintenance. From the engineering perspective, configuration
control works well in a situation where there are
multiple technical objects that have a similar structure. Configuration
control also helps planners and technicians to confirm
validity of components and parts.
This session will give you a live demonstration of configuration
management and how it helps in streamlining configuration
change management.
Lessons:
• Why planning the change is important
• What are the tools available in SAP EAM solution for
managing change
• How configuration management can help in tracking asset lifecycle
WORKSHOP 3
Enhancing the EAM Functionality of
SAP without Modification
Presenter: Kevin Morrow, SAP labs
The standard SAP EAM functionality suits the majority of companies in its vanilla
form, but there are occasions where people want to do things a little different.
Providing a configurable solution to these infinite combinations of solutions could
potentially make customizing even more complex than people perceive it is today.
To enable implementation of these customer specific functions SAP provides a
number of different mechanisms. As underlying technology has changed over
the years so too have the methods of enhancement, each applicable for EAM.
This short workshop aims to provide an overview on a live system of the
different technologies used to enhance the functionality of SAP in the EAM
space. Due to time constraints it is not intended as a “how-to” session, but
rather to provide an understanding to the implementation and support team
members of what is available and how to find it, and valuable tips and tricks
on defining requirements, so they can better communicate requirements to
their development counterparts within the projects they are working on.
Joe nichols, Meridium, Mark Stranduest, Stranduest, , IS IS IS Inc.,
& Jeff eff Bonnell, nR nR Global
Your asset data is one of your most critical assets and the “right” asset data
and level of detail is critical to maximizing the performance of your assets.
Safety incidents increase, environmental compliance degrades, productivity
goes down, and equipment downtime increases when complete and
accurate information (data and content) about your assets is not readily
available and visible. This is recognized as a key challenge for organizations
today. In this workshop we will cover the why, what, and how in terms of
getting your data in order. Examples covering a number of capital intensive
industries (e.g. process industries, utilities and manufacturing) will be
provided. Attendees in this workshop will also receive best practices and
templates to take back to apply in their organizations.
Topics covered will include:
• Data problems in design operation and maintenance
• Required data for plant operations, supply chain and reliability programs,
maintenance master data and maintenance planning
• How to tackle the data problem – both existing and new plant scenarios
• Asset master data maintenance – keeping your data in order
Whether you are dealing with cleaning up your data in existing plants, getting
your data ready for an Enterprise Asset Management implementation or
ensuring you get your data right from “day one” for new plant builds, this
session will benefit you. Join us to learn more about driving performance
with asset information enabled by asset data.

”To live means to experience—through doing, feeling, thinking. Experience takes place
Calibration of process instrumentation and M & TE is a key process —
especially in industries with stringent asset management requirements
such as life sciences, nuclear power, food and beverage and chemical
plants. Historically many companies have continued to use third party
products for calibration. This, however, creates usual headaches in
terms of interfaces, multiple system log-ons and enterprise visibility
issues. This workshop explores the functionality in SAP QM and PM
to support this process.
WORKSHOP 8
Many SAP PM implementations underutilize the abilities of the SAP PM
system. What are some of the main reasons for the underutilization and
how can these issues be addressed? This workshop will examine a typical
implementation flow and highlight the problems that will likely be
encountered, as well as how to overcome these problems. The workshop
will conclude with a model for optimizing an SAP PM system.
