A simplified flow chart has been prepared to show each step in<br />

<str<strong>on</strong>g>the</str<strong>on</strong>g> machine preparati<strong>on</strong> <str<strong>on</strong>g>of</str<strong>on</strong>g> <str<strong>on</strong>g>the</str<strong>on</strong>g> book catalog (see Fig. 1). Two permanent<br />

tape records are maintained: <str<strong>on</strong>g>the</str<strong>on</strong>g> master file and <str<strong>on</strong>g>the</str<strong>on</strong>g> headings<br />

file. C<strong>on</strong>tent <str<strong>on</strong>g>of</str<strong>on</strong>g> <str<strong>on</strong>g>the</str<strong>on</strong>g> master file was explained above. The headings<br />

file is a record <str<strong>on</strong>g>of</str<strong>on</strong>g> all subject headings and cross references which<br />

have been used in <str<strong>on</strong>g>the</str<strong>on</strong>g> catalog. The master and headings files are<br />

brought up-to-date by processing new punched cards through <str<strong>on</strong>g>the</str<strong>on</strong>g><br />

IBM 1401. Then a new, up-to-date catalog is created by extracting<br />

informati<strong>on</strong> from <str<strong>on</strong>g>the</str<strong>on</strong>g> master file and headings file to print author,<br />

title,<br />

and subject catalogs.<br />

A pre -printed IBM card was designed to accept all punching<br />

for additi<strong>on</strong>s, changes, or deleti<strong>on</strong>s in <str<strong>on</strong>g>the</str<strong>on</strong>g> master and headings files<br />

(see Fig. 2). Three types <str<strong>on</strong>g>of</str<strong>on</strong>g> cards provide input to <str<strong>on</strong>g>the</str<strong>on</strong>g> master file:<br />

(l) A "1" card carries <str<strong>on</strong>g>the</str<strong>on</strong>g> call number and author informati<strong>on</strong>, (2)<br />

A "2" card carries <str<strong>on</strong>g>the</str<strong>on</strong>g> title informati<strong>on</strong> (title, editi<strong>on</strong>, volume/ s),<br />

publisher, date, and series note), and (3) A "3" card carries <str<strong>on</strong>g>the</str<strong>on</strong>g><br />

subject and series tracings and locati<strong>on</strong> codes. In Figure 2, note <str<strong>on</strong>g>the</str<strong>on</strong>g><br />

numbers 3, 2, and 1 in <str<strong>on</strong>g>the</str<strong>on</strong>g> right hand margin <str<strong>on</strong>g>of</str<strong>on</strong>g> <str<strong>on</strong>g>the</str<strong>on</strong>g> card. Reading<br />

across <str<strong>on</strong>g>the</str<strong>on</strong>g> card at each level, you can see <str<strong>on</strong>g>the</str<strong>on</strong>g> informati<strong>on</strong> that each<br />

different type <str<strong>on</strong>g>of</str<strong>on</strong>g> card c<strong>on</strong>tains. Comm<strong>on</strong> to each type <str<strong>on</strong>g>of</str<strong>on</strong>g> card is <str<strong>on</strong>g>the</str<strong>on</strong>g><br />

informati<strong>on</strong> found in columns 1-13;
