• Hispanic/Latino field had missing (i.e., blank) or invalid data. Invalid data<br />

resulted because the codes provided were not Y (Yes) or N (No). Student<br />

records with warnings due to missing or invalid Hispanic/Latino data are<br />

reported in the “Two or More Races” category on the PFT summary reports.<br />

• National School Lunch Program eligibility and Parent/Guardian Highest<br />

Education Level codes were missing (i.e., blank) or invalid.<br />

File Format and Data Submission<br />

Each PFT Coordinator must compile and submit the LEA data using one of two<br />

submission options: 1) Web Data Entry, or 2) Web Data Upload. If submitting via Web<br />

Data Upload, the PFT Coordinator must submit data using a tab-delimited text file<br />

that follows the column structure described in the “2012–13 PFT Student Data File<br />

Layout”. The file layout is in the Resources section of this manual or can be viewed<br />

and downloaded from the PFT Resources page of the California PFT Web site at<br />

http://www.pftdata.org/. Any LEA that uses a vendor service must have the vendor<br />

prepare the PFT data file to comply with this format.<br />

Additional information about the acceptable file format and submission options is<br />

provided in “Section 4. Submitting Data” of this manual.<br />

Data Correction<br />

After submission of the PFT data, PFT coordinators will have opportunities to correct<br />

errors online in their PFT data. “Section 5. Correcting, Scoring, and Reporting Data”<br />

describes the data correction process.<br />

• Errors indicate data that must be corrected otherwise the student record will not<br />

be scored nor reported. Errors include unrecognized or missing school codes;<br />

invalid or missing gender, date of birth (DOB), or grade; and score data that is<br />

not within the valid ranges. Insufficient, incomplete, or missing scores will flag<br />

as warnings (i.e., one side only provided for the Back-Saver Sit and Reach).<br />

• Warnings do not keep student records from being scored. If not corrected,<br />

however, warnings may result in incorrectly scoring and reporting student<br />

data. Data with warning flags should be reviewed and corrected to ensure the<br />

integrity of the reports provided to the LEA.<br />

To assist with correcting errors and warnings in 2012–13, several new tools will be<br />

available to PFT coordinators including a warning and error report; a feature to search<br />

for students by name (first or last), Statewide Student Identification (SSID) number, or<br />

school code; and a filter to view only student records with errors or student records with<br />

warnings.<br />
