Scheduling of Events<br />
<strong>Student</strong> groups and individuals may reserve the use of<br />
facilities for meetings and other events through various<br />
departments on campus. Classroom space is reserved<br />
through the Registrar’s Office; Gerard/Rowley lobbies<br />
and The Lodge can be reserved through the Office of<br />
<strong>Student</strong> Development; the Gerard cafeteria, certain library<br />
spaces and the Ballston auditorium and conference<br />
space are reserved through the Conference Center; and<br />
space in the Lee Center can be reserved through the Lee<br />
Center main office. Use of facilities must be consistent<br />
with the mission of the university.<br />
Speakers and Performers<br />
All speakers and performers sponsored by student<br />
organizations or individual students must be approved<br />
in advance by the Office of Campus Programs. Details<br />
governing speaker and performer selection are available<br />
from the Office of Campus Programs, as are speaker<br />
request forms, which must be submitted for approval<br />
at least three weeks in advance of the proposed<br />
engagement and prior to extending invitations to<br />
speakers. Only authorized university employees may<br />
enter into verbal or written contracts for services.<br />
Posters and Flyers<br />
The Office of Campus Programs assigns bulletin board<br />
space for student groups, approves notices and posters,<br />
and oversees the removal of outdated or unapproved<br />
material. <strong>Student</strong> groups must submit posters and flyers<br />
to the Office of Campus Programs for approval. Posters<br />
and flyers may be posted only in approved locations. A<br />
complete poster policy is included in the <strong>Student</strong> Activities<br />
Manual and is available in the Office of Campus Programs<br />
and on the website.<br />
Sidewalk Chalk and<br />
Window Paint/Marker Policy<br />
Chalk or window art/writing publicity must be approved<br />
through the Office of the Dean for <strong>Student</strong> Development.<br />
Chalking Guidelines:<br />
• Chalking may be done up to 6 days prior to an event.<br />
(i.e. if the event is on Wednesday chalking can begin<br />
the Thursday before).
