Overview
In today’s globally diverse business environment, marketing,
branding, and promotion are absolutely vital ingredients for
the success of just about any company or business.
The Sales and Marketing guidebook has been created as
an informational resource to assist HansaWorld employees,
partners and distributors to be better familiarized with Sales
and Marketing materials that are currently being used, know
their purpose, what is currently available, where to find them
and how to request materials to be made from HansaWorld's
Marketing department. This resource material also shows
the standard formats and localisation options available for
each material we use in the company for any sales and
marketing opportunities.
whatever your business.
One application for all business processes
It also lowers the investment required in hardware, simplifies
At its core HansaWorld offers the typical Enterprise Resource
reporting across different parts of the business, and keeps down
Planning (ERP) modules of accounts, order processing,
your total cost of ownership by removing the need to maintain
stock, manufacturing and job costing. By offering a range of
and upgrade unnecessary linking programs.
as email, document management, graphical calendars and
Enterprise is able to deliver a unique level of interaction between
its component elements. HansaWorld also provides a series
of Unix, Linux, Apple OS and Windows, and users can log in on
It uses an unrivaled range of technologies to extend the
software availability throughout your organisation and beyond,
at the same time reducing reliance on costly interfaces between Wide-area networking and mobility
applications thereby offering the lowest total cost of ownership As the fastest modern business management solution on the
available in the mid-range.
market, it is simple to run Enterprise from multiple locations, from
home or when mobile, without terminal emulation or other thirdparty
solutions. If you want real-time management reporting
Single server, single application
across many shops, offices or companies, look no further.
HansaWorld’s strategy is to put all key business data in one HansaWorld has written versions to run on mobile devices, such
applications. This approach provides unlimited potential for
These are real-time clients, allowing you to enter and query data
credit controller can view all promises made by salespeople,
mobile phone networks - although they can also be run locally
and the status of deliveries, repairs and production processes,
and have their data uploaded to the server where circumstances
require.
has not bought a specific product or service.
Take stock counts, pick and pack, and enable mobile deliveries Put pictures and drawings on products and projects, contracts
all through barcode scanners, while traveling managers can use on sales orders and scans of supplier invoices on the payable
mobile staff can enter time and expenses remotely.
Build your message with a simple word processor, and then
example raising invoices, but also passing pictures to end up
on forms.
using these tools, Skype, VoIP or SMS direct from within
Enterprise. Use the Task Manager to record key points from
Interactive CRM
telephone conversations, and meetings. Use Enterprise’s
integration capabilities to store the outgoing and incoming
Remind yourself of outstanding tasks by linking the notes of
communication against companies or other records.
when the task needs doing to the relevant record, to assist
with chasing invoices, following up suppliers, closing sales and Enterprise can provide a single view of all such communications
working on jobs. Use Enterprise’s integrated workflow to trigger with a company, in conjunction with traditional listings such as
additional working steps such as follow-ups or authorisations, or items bought. Enterprise’s Conference facility allows you to
automated SMSs, on-screen messages or emails - to highlight design a complete intranet (or even an extranet) where external
Store any outside file against any record, not just emails, enabling your Company section below, for more details.
your colleagues to share the same files if they have access to the
record.
Consolidation and international features
Enter transactions in any currency you like. Enterprise supports
not only Multi Currency but also Dual Base Currency. The
difference between Multi Currency and Dual Base Currency is
the fact that with a Dual Based system each transaction will be
stored in two different Base Currencies with the correct exchange
rate at the date of the transaction. This allows companies to
report on transactions without revaluing the transactions in the
secondary currency.
Dual Base currency handling will be useful for companies that
have offices in multiple countries where a common reporting
currency is required; for companies where there is a second
common currency in used in addition to the national one;
for companies in the Euro Zone who retain their old national
currency for comparison purposes and also for countries
passing through the transitional period process of replacing
their home currencies with another currency like the Euro.
A requirement of this process is that all transactions should
be expressible in both the home currency and the transition
currency with the exchange rate and conversion at the date of
the transaction.
With the relevant internet service, the exchange rates can even
be updated automatically.
Enterprise handles the gains and losses on transactions
automatically, and provides revaluation possibilities for
unrealised differences. Send forms such as invoices and
purchase orders in any number of languages. Allow staff to log
in in their local language, while still enabling managers to run
reports in different languages on the same data.
Multiple companies are catered for within a single data-file.
It’s possible to trigger one or more inter-company entries from
a single source. Use the Consolidation module to perform
consolidations in real-time, without messy exporting of data or
expensive third-party software.
Analysis and Business Intelligence
Mark each line of every transaction with anything up to 15 levels
of analysis. This enables you to measure the turnover and
profitability of almost every conceivable facet of your business,
from the marketing source of business through sales and profit
by region, customer type, shop, profit centre, job, product range,
and individual product. With such rich data, it makes sense to
have graphical analysis and dashboards, which HansaWorld
offers through the SmartView module - this provides realtime
business intelligence without the need for lengthy data
preparation.
eBusiness
Enterprise has a real-time web engine that allows you to create
websites quickly, and make changes to the content in minutes.
There are templates for text and picture-based websites and
webshops, supporting customer-specific views of the website,
flexible item groups, and even multiple languages. Other
external parties can be given web browser access to any part
of the system, for example to allow subcontractors to complete
timesheets. The web engine exploits HansaWorld’s single
server, single data-file architecture: enter an item into stock, give
it pricing, details and a picture, and it’s live on the web.
The World’s Best Integrated Business Platform
With Enterprise’s integrated email and workflow, orders placed
on the web can trigger email acknowledgements or SMS’s back
to customers, notify warehouse of stock shortfalls, and even
trigger a list of best selling items back on the website.
Customisation
Let our professionals adapt Enterprise to your specific
requirements using HansaWorld’s Hansa Applications
Language (HAL).
These changes are made directly in the application rather than
using a toolkit to link a separate application - consistent with our
overall strategy of enhancing the level of interaction between
each component of the software.
It is possible to rename or move fields on screens, add new
fields to the database, create or amend reports, exports and
imports, add buttons and menu items, and even change any of
the logic of the system.
Third-party services
HansaWorld offers to its customers a unique combination of
third-party services, without the need to install external software.
HansaWorld has installed these services on its own servers, and
has developed technology for allowing your server to use these
services on an as-needed (per-click) basis. For example, use
single menu selections to:
• research a customer’s credit history
• enter addresses automatically from
post codes or zip codes
• process credit card transactions
• track the progress of deliveries via your shipper
• automate eInvoices
• send SMSs
• submit tax returns
• submit banking files
Check with your local distributor for a list of internet services
available in your country.
Company profile
HansaWorld is a major international software company specialising in
business applications. The group employs around 300 staff in a strong
network of daughter companies and distribution partners worldwide.
There are 19 offices spanning all the major continents, allowing
HansaWorld to offer international implementations with a single point of
contact across many countries.
The group was founded in Sweden in 1988, by Managing Director Karl
Bohlin. While the group is now headquartered offshore, the largest
offices and much of the development effort takes place in Scandinavia
and around the Baltic Sea. The products are available in 29 languages
and work with almost all computers and operating systems. The
vast majority of the 74,000 HansaWorld installations are for small
and medium sized businesses, but also many subsidiaries of large
international companies.
HansaWorld provides a local product manager for each market where
it actively sells Enterprise. The product manager is responsible for
translations (if required), localisation for statutory and commercial
practices, and ongoing quality control.
Product Strategy
Enterprise’s advanced and successful user interface was first
developed for Apple Macintosh in 1988. In 1994, when the program
was ported to Windows, it had already been proved by thousands of
users. HansaWorld’s experience with international sales and modern
technology puts it in the perfect position to meet the challenges of the
next decade.
HansaWorld provides a wide range of technologies for e-business
including internal and external email, several webshop solutions and
PDA support. In addition, HansaWorld can help to build a corporate
portal. Enterprise is developed using C++ as its programming
language, and proprietary technology for database design and for
network communication. This allows HansaWorld to have the same
products available for several different operating systems, each version
optimised for maximum performance.
Currently Enterprise is available for Windows 2000–XP, including
Windows CE, Mac OSX, Linux and AIX, Symbian S60 and iPhone.
Customer Relationship Management (CRM)
Modules
Company profile
You can set Alarms on Activities to prompt you to complete them
at a given time and date - these can open as pop-up windows, or
send them as SMSs or emails.
Alternatively you may want Enterprise to trigger the creation of a
pop-up window, SMS or email on a given event. These are set in
the Business Alerts module. For example, Enterprise can trigger:
• a SMS to customer notifying them that their delivery has been
shipped
• an email to a manager alerting that a Quotation falls below the
minimum GP allowed
• an email to the project manager alerting that the job budget
has been used up.
Customer and Supplier Dashboard
Use the Customer Status report and Supplier Status report to give
you a 360 degree view of all interactions with a customer, prospect
or supplier. Based on user-definable rights, the user can be allowed
to view:
• all the Activities for that customer (if necessary sorted by type)
• sales ledger history
• items purchased, with prices paid
• turnover for a given date range
• value and status of quotations
• value and status of orders
Add to this details of Projects and Project Budgets, Rental
Agreements and Reservations, Service Orders and Worksheets,
and Contracts, and you have all the information you need.
Everything is drillable, for example allowing you to inspect an open
Order, then run an Order dashboard (Order Status report) to review
associated deliveries, invoices, returns and Activities.
“The CRM solution has significantly improved the way we serve
our customers”
Arnas Sirutis, Databalt
Letters and Mailings
Enterprise allows you to create standard or ad-hoc letters, which
can be printed for individual or selections of customers, or
prospects.
Each letter gives you control of the greeting (Dear Sir/Madam,
Dear Jim and the like) and heading. In addition, you can create
paragraphs of standard text, and bring them in to any standard
letter with a single code. The letter list will show the proposed
recipients of a mailing before you proceed, allowing you to change
your selection criteria. As well as creating printed mailshots, the
Customer Letter functionality can be used to send out email - and
fax shots to selected groups of customers/ prospects/suppliers
etc.
Reports and batch routines can be used to improve targeted
mailshots. For example, use the Who has bought/not bought report
to find customers who have bought (or not bought) a particular
item within a given date range, and run mail campaigns with this
information to offer upgrades or cross-selling of other products.
Collaboration
Keeping track of a discussion by e-mail can be a challenge. You
have to make sure the right people are included in every mail’s
recipient list and either separately copy every e-mail to a certain
folder or be ready for long and frustrating searches later. With
Enterprise the whole debate is saved in one place. You can choose
either to have discussions inside one mail or to create a specific
conference. In both cases it is possible to attach files and see who
has updated, read the posts and deleted the mail.
The World’s Best Integrated Business Platform
Manage customer relationships and the
efficiency of your sales staff
Offer better customer service by using powerful pipeline management, segmentation, up-selling
and cross-selling possibilities. HansaWorld CRM is affordable and easy to use.
Contact Management
Enterprise has a single register for all organisations with which you
do business, whether they are customers, suppliers, prospects,
press, trade bodies or anything else. People at organisations are
also stored in the same register. You can relate as many people
as you want to a single company. Store data such as people’s
multiple contact details, their job description and generic function,
salutation information and the like. Contacts register is accessible
by all parts of the system, so you can sell to your suppliers, buy
from your customers, repair equipment for press contacts and the
like. Enterprise supports a wide range of detail being saved against
the Contact record, including main address details, main delivery
address, switchboard numbers and other contact information.
Interfaces exist to popular post code addressing software for fast
data entry of addresses.
“Using the CRM functionality we have categorised our customers
and now can instantly see the source of our income and where
to focus in the future.” Patrick Verryn, CWM
Contact records can be categorised using Enterprise’s Category
and Classification tables, which are defined by you. The
Classification field supports more than 20 levels of such analysis,
so you can break down these records by marketing source, region,
industry, size, and whatever else is an important measure for you.
The Category and Classification fields are available as selection
criteria for reports (for example turnover/profitability for customers
that replied to a particular marketing campaign), and batch routines
such as mailshots/emailshots. In addition, Enterprise provides 11
user-defined fields of different types.
Quotations/Pipeline Management
Quotations are entered to Enterprise in an identical fashion to sales
orders. All details that can be stored for a sales order can also be
stored for a quotation.
Once created, quotations can be printed to a user-defined form,
and to PDF or HTML using Enterprise’s email engine.
At any time, new sales orders can be created from quotations,
singly or in bulk, with the same details, using a simple menu
command. Also a job/project can be created from a quotation and
the budget for that project. If required, a pro-forma invoice can be
printed directly from a quotation. Original quotations are retained
even after conversion to a sales order for analysis and lookup.
Quotations can be classified by type, and Enterprise allows
analysis of which Quotations are open, accepted or rejected. In
addition there are fields for expected decision date, next action
date, and probability. Reporting includes all open quotations,
conversion rates by salesperson and type of business, estimated
value statistics, and information on the length of sales cycle and
average values by various criteria.
Time Management and Scheduling of Resources
Enterprise’s Calendar functionality is centred around diary entries
called Activities, which allow the user to record details of what to
do when. Tasks can be given sub tasks, for management of more
complex administration, and prioritised.
Each Activity can be marked as to whether it will appear in the
Calendar (date and time based graphical entries) or in the To Do list
(simple list of tasks to perform).
Enterprise’s Calendar is a team-based system, rather than
personal - you can review other people’s diaries, and if necessary
look at more than one diary at a time to see when several people
are available.
Different types of work can be colour-coded, so you can see how
anyone is planning or spending their time. Entries can be made
for planned time and compared to actuals, and separate budgets
can be prepared to see whether enough time is being spent on
particular types of work. The graphical nature of these features
makes employee chargeability easier to monitor, as you can
immediately see which of a group of people is performing best.
There are views per day, week and month, and up to three people’s
diaries can be reviewed simultaneously in the Calendar.
“With the help of Enterprise’s Task Manager and Calendar we
can really plan our time better. It helps us to monitor each other’s
tasks, delegate and prioritize our daily workload.”
Ara Darakjian, Darakjian Jewelers
If you have a group of employees (or subcontractors) who you
need to schedule in advance, then multiple diaries can be viewed
simultaneously from Enterprise’s Resource Planning module. You
can create multiple views of who appears on which screen (by
office, region, project etc), and you can drag and drop bookings
between people (which reassigns who will be performing work).
As with the Calendar, double-clicking on an entry in the Resource
Planning module drills down to the underlying Activity, allowing
review and editing. Activities can be allocated at any time against
Projects, with Items also associated with the work - this allows
information to be stored on rates, type of work and the like. When
Activities are marked as done, these can post time directly to Job
Costing, without the need for separate timesheets.
To Do Lists
Each person has a To Do list made up of Activities marked as To
Dos. This allows genuine groupware functionality, since users can
view the To Dos for other people (for example when they are off
sick). Each To Do list can be filtered on multiple criteria, to allow you
to work only with the tasks that are relevant: for example, you can
run through your phone calls, or your Priority 1 tasks, or everything
you need to do for a specific customer. To Dos are viewed from a
central Task Manager, and drill-down is available to allow the user
to open the underlying Activity.
“We now have greater visibility at a glance to see where sales
people are spending time and can measure the return our
business is getting from this.”
Michael Gigliotti, Time Out Sydney
Activities can be connected to any other record in Enterprise by drag
and drop. In most cases the activity gets linked automatically to
the record from which it was created. As a result Activities become
the triggers for doing anything within Enterprise: credit controllers
can use Activities linked to Invoices to remind them what excuses
a customer has already given; warehouse staff can use Activities
linked to Picking Notes to include packing information; designers
can use Activities linked to Projects for all the non-numeric Job Bag
details. Reporting and cross-referencing links in Enterprise allow
any user to see the full picture.
Workflow
Activities can be generated automatically as a result of sending a
letter, quote or entering into a contract. Thus, for any customer, a
complete history of transactions and communications is instantly
viewable on screen including what has been done and what is yet
to be done. True workflow management can be achieved with a
feature which allows Activities to be generated automatically as
a result of completing other Activities with a specified code. For
example, marking a credit control Activity as completed with a
“Cheque is in the Post” result might automatically create another
Activity in three days time to check the post and chase the customer
again if the cheque is not received.
Knowledge Management
Store copies of mails, whether internal or external, to multi-level
personal archives if no one else needs access, or to Conferences,
for secure archiving and quick access. Your company defines the
folder structures in Conferences, creating logical places to store
and retrieve any data worthy of sharing. Access rights can be set
at the Conference level - for example at Board level for a Board
conference containing minutes of meetings and key strategic
decisions. Store external files against any mail at Archive or
Conference level - creating a logical location for any of your data.
Use Enterprise’s search engine to find any content in Conferences
to which you have access.
Integrated Telephony and Communications
HansaWorld offers the ability to communicate with customers
from inside the Enterprise application. You can select the Business
Communicator from any customer- or supplier-facing record within
Enterprise, which then allows you to initiate emails, SMSs and
telephone calls with the company or individual, and even open a
map of their location. Emails and SMSs open relevant records in
Enterprise, where you enter details. Telephone calls interact with
VoIP switchboards to make the call - these can include Skype,
Asterisk and most switchboards with TAPI 2.0 drivers. Once the call
is answered, Enterprise opens an Activity record to allow the user
to record details of the call.
Enterprise's integrated telephony also supports inbound intelligent
routing. The switchboard passes Enterprise the telephone number
of the caller, and the program instructs the switchboard how to route
the call (for example to the salesperson in charge of the account, or
to accounts if there is an invoice overdue from the customer). You
can set rules for routing using HAL (Hansa Application Language).
“Business Communicator makes it easier for our people to
receive service orders and follow the communication history
of customers, suppliers and partners. The possibility to initiate
a call straight from the orders will make our customer service
much more efficient.”
True Business Transparency
with SmartView
Flexible | Powerful | Low cost | Interactive | Easy to use | Fast to implement
Hansaworld provides fast, powerful and visual in-memory business analysis tool-without
the limitations, cost or complexity of traditional Business Intelligence tools.
What is SmartView?
Top/Bottom
This worksheet is particularly effective for Pareto analysis - when
HansaWorld has teamed up with two of the biggest names in
you need to see the top or bottom performing salespeople, item
Business Intelligence, QlikTech and Oracle, and has connected the
groups, items or customers. Use a slider to select the number of
HansaWorld database into their BI tools. HansaWorld SmartView
top or bottom performers to display.
is a series of pre-written Business Intelligence templates, providing
full dashboards, trend analysis, what-if analysis and much more
What-if
besides.
This worksheet offers the ideal tool for creating your toplevel,
strategic budgets. You start from a table of actual results
Contents of SmartView templates
based on any date range of your choosing, broken down by
salesperson, item group, item or customer. You then use sliders
To establish the exact contents of each HansaWorld SmartView
for the percentage change in sales, costs and quantities, to derive
template, talk to your local HansaWorld distributor, or view the
relevant demonstration on our website.
As an example of the type of contents, the HansaWorld SmartView
Sales Ledger
Sales template built in Qlikview consists of:
Use the Sales Ledger worksheet to analyse the content of your
open ledger balance. Graphs display the ledger breakdown by
Dashboard
customer, age and more.
The Dashboard displays graphs, key measures and trends, for
the most important dimensions of your business - salesperson,
item group, item and customer. Use selection criteria to switch SmartView Advantages
between revenue, cost and quantities in the graphs, and make
Instant queries
selections for any year, quarter or month.
It takes time to set up and run any queries in traditional Business
Intelligence tools. They use data cube technologies, requiring
Trends
technical users to prepare data in appropriate formats usually the
• monthly sales breakdown comparing current year with prior year
- all queries are run in-memory, meaning that each graphic and
table can be refreshed in real-time.
• sales/costs/profit current period against prior period, and
trend, for Salesperson, Item Group, Item and Customer
The World’s Best Integrated Business Platform
HansaWorld SmartView delivers powerful level
of transparency across your business
Immediate deployment
Since the templates are already written, all a HansaWorld customer
has to do to start SmartView is install the software. You can deploy
the full suite in a four hour project, to include the necessary training!
Large data volumes
HansaWorld SmartView uses sophisticated loading techniques to
allow it to be run on even large data volumes. HansaWorld keeps
track of data that was loaded last time, and only loads the latest
changes.
Easy to use
HansaWorld SmartView is highly intuitive, working the way your
mind does. Just click on any component within SmartView, in order
to analyse it further. For example, click on a region in a map, and all
other graphics and tables will recast their results just for that region.
Interactive analysis
The approach of clicking into different dimensions means that
what used to take several separate reports now takes a few mouse
clicks.
Use SmartView to understand trends - for example, if you see that
sales in the South West are down, you can analyse this by product
category. If you track this to a specific product category, you can
then recast all graphics for just this product category, perhaps
discovering the cause to be one customer having withdrawn
purchases of that product category in all regions.
Inline windows
HansaWorld has written a web browser, so screens from the
external Business Intelligence applications can be displayed inside
HansaWorld. Users can configure links from their Personal Desktop
and from Key Performance Indicators - these links will open any
URL, so they can be set up to open the relevant dashboard from
within SmartView.
Hardware requirements
HansaWorld SmartView needs to be installed on a separate
Windows server from the main Enterprise implementation, but on
the same local area network. Please talk to your local HansaWorld
distributor about additional requirements.
iPhone client
It is even possible to deploy HansaWorld SmartView on an iPhone,
using Qlikview’s iPhone client. This delivers real-time Business
Point of Sales (POS)
Modules
Company profile
Interaction with Enterprise by HansaWorld database
Point of Sales is a module fully integrated with all other parts of the
Enterprise database. Many interactions are possible, promoting
key efficiencies, in particular:
Accounts
Depending on your choice of real-time or batch, you get either realtime
or batch accounting entries as well. Either way, you eliminate
the need for any rekeying or building of expensive interfaces,
and you can navigate between relevant transactions with single
keystrokes.
Stock
Again depending on your choice of real-time or batch, you get
either real-time or batch stock control entries as well, across all
your multiple locations. These figures are simply queried from point
of sales entries.
Purchasing
It’s easy to query when to expect delivery of items out of stock, and
store managers have many tools to assist them with purchasing
(if they place orders directly on suppliers) or with requisitioning (if
there is central purchasing).
Customer Relationship Management (CRM)
If you capture data about your customers at point of sale, then it’s
straightforward to target mailshots on a regular basis - for example,
it takes around a minute to create an emailshot to all customers
profiled as interested in your most expensive product and who
have not bought it yet.
Document management
Any file can be attached to any record in the Enterprise database.
Most frequently this will be pictures attached to the Item record -
both to assist with data entry and for printing onto invoices.
Other vertical modules
As Enterprise is a single, integrated database, it’s natural for the
POS user to be able to make sales or entries in other parts of the
system - subject to access rights. The most frequent such entries
include service orders (repairs), raising of maintenance contracts
and sales of implementation services.
translations (if required), localisation for statutory and commercial
The World’s Best Integrated Business Platform
Automate point of sale processes and gain powerful
insights to help you deliver superior customer service
Enterprise is ideal for a retail Point of Sale environment. This fully integrated system links your front
office point of sales system directly to your back office operations. Access the relevant data realtime,
or offline if required.
Hardware setup
Enterprise is ideal for a Point of Sale environment (POS), such as
a shop. Enterprise is loaded onto a PC connected to the network,
which acts as the till. Various POS devices can be connected to the
PC and used for data entry or output by Enterprise:
Barcode scanners
Enterprise accepts data entry for any field from
a barcode scanner, including stock codes, commercial barcodes,
and serial numbers.
Receipt printers
Enterprise is best set up to print to these printers using escape
sequences. Document layout is customisable.
Cash drawers
Enterprise can issue escape sequences to open a cash drawer
when printing receipts.
Intelligent keyboards
Programmable keyboards allow one or more series of keystrokes
to be preprogrammed, so a series of Enterprise commands can be
performed at the touch of a single key.
Keyboards can be used in this way for data entry
(instructing Enterprise to add a particular piece of data into a
specific field), for printing, opening a cash drawer, and moving on
to the next transaction.
“It was important for us that the selling process in the system
would be quick and foolproof. It was important that the system
was very user friendly, that it’s almost impossible for users to
make any errors. I am happy that we have achieved these goals
with Enterprise.”
Alan Bekhor, Bekhor Offices
Touchscreen monitors
Touchescreens provide faster data entry in predictable environments
with few items, particularly food and beverage stores.
Credit card processing machines
Enterprise can be interfaced to software used to run these
machines, removing the need for rekeying of amounts.
Customer Data Collection
Retail is a fast-moving environment, and so capturing customer
details must be as quick as possible. In many cases, you will not
want to capture customer address details - Enterprise supports
configuration of a default customer with, for example, cash terms
on a tax-inclusive price list.
The power of Enterprise’s integrated approach becomes apparent
when you need to capture customer details. If you have dealt with
the customer before (whether or not you have sold to them), you
can find their details with a couple of keystrokes, and bring in automatically
their payment terms, address details and pricing details.
If the customer is unknown to you, it is possible to enter their details
quickly from the invoicing screen. In some countries, interfacing to
postcode addressing software can further speed up this process,
and help to eliminate errors.
Pricing
Each customer can be given a price list, for setting their unit prices,
and/or a discount matrix (for setting a percentage discount). Price
lists can be tax-inclusive or exclusive, and set in any currency.
Promotional price lists can be configured, that apply only for a
given date range. Prices can be set in this way for all items in the
database, or for any individual items or groups of items. Customers
can be given “customer-specific” variations to a price list without
needing to create a completely new price list. Prices and discounts
can also be made dependent on the quantity of an item that is sold.
“With Enterprise we have dramatically reduced training time for
retail operations by 75%.“
Robert Ruigrok, CompNow
Cash, Credit Cards, Gift Vouchers
Payment terms will principally be cash, but can be any of the
other terms in the database. For example, you may have trade
customers that occasionally pick up their own items rather than
requesting delivery and who want to be invoiced. These terms
can be overridden for each transaction - for example if the above
trade customer feels like paying cash anyway. Sales Ledger entries
will be created automatically where payment in full has not been
received.
"We need to have a good view about the overall operation and
sales data in stores, and with Enterprise's wide area networking
capabilities we can log in from anywhere and get a birds eye
view of all the showrooms real-time."
Ghassan Bendali, iStyle
For cash transactions, Enterprise will support multiple payment
methods even on the same transaction, such as when a customer
pays partly with one or more credit cards and partly in cash. Also
cashback transactions may be required, and these are calculated
automatically.
At the end of a shift, you enter a summary of payments received,
split by payment type, and Enterprise reports on the comparison
between takings booked and received.
In many countries Enterprise offers internet services supporting
automatic credit card processing.
Enterprise also allows you to issue gift vouchers, and track who
these were sold to. Gift vouchers can be redeemed as just another
payment method, although serial numbers are verified at the same
time to ensure the voucher is legitimate.
Enterprise also supports deposit taking, both on a discretionary
basis and as a percentage of the total invoice. Items rung through
on the till can be shipped subsequently to the customer.
Stock
Enterprise has a fully integrated stock system. Refer to Enterprise
and Stock and Warehousing and Enterprise and Purchasing for
more details. Stock elements that can be unusual in other POS
systems include:
• serial number tracking
• ability to take cash while issuing stock later
(whether for customer collection or despatch)
• multiple locations, and multiple positions at
each location (for easier stock discovery)
• detailed and automated stock counting features
• multiple stock valuation methods
• support for consignment stock
• extensive reporting on sales, margins, item
histories, warranties and much more.
Interface and Searches
Careful thought has been given to the user interface to ensure ease
of use coupled with rapid data capture.
Examples include:
• cursor movement to mandatory fields only
• item warnings to assist users
• user-definable buttons, at multiple levels
• access to all other parts of the integrated database
It's vital in many POS environments to have quick searches to
find data, in particular customers and items. Enterprise supports
searches on any string, with drill-through from lists of matching
entries onto the point of sales invoice. Items can be given multiple
classifications, and then selected by moving through multiple level
menus. You can select using Coverflow - touchscreen or mousedriven
selections of pictures of your stock items.
Real-time or Batch
Enterprise is a real-time, fully integrated system. Many of the POS
users will want to benefit from this, by keeping stock control figures
in real-time.
Enterprise’s unique design allows use over wide-area networks,
including slow speed networks, without the requirement for
expensive, complex third-party software. As a result Enterprise is
particularly simple to deploy real-time across multiple sites, allowing
you to query stock in alternative locations where necessary.
"Enterprise has allowed us to merge information from all of our
different locations into one database by each shop connecting
to the central server directly."
Ilze Neihofere, Aproagrade
Some companies may feel insecure working real-time across
multiple sites, and will prefer to use Enterprise’s routines for
uploading data from remote locations to the server -
these can be run at any regularity, not just the traditional overnight
method. This “batch” method also provides a fallback for real-time
users, should the network connection go down for any reason.
Queue Busting
In particularly busy retail locations, you may benefit from
Enterprise's ability to run on mobile devices such as Windows CE
barcode scanners, or Apple's iPod Touch/iPhone. Use barcodes or
touchscreen to enter items purchased, and then print to wireless
network printers.
The group was founded in Sweden in 1988, by Managing Director Karl
offices and much of the development effort takes place in Scandinavia
and around the Baltic Sea. The products are available in 29 languages
and work with almost all computers and operating systems. The
vast majority of the 74,000 HansaWorld installations are for small
and medium sized businesses, but also many subsidiaries of large
international companies.
HansaWorld provides a local product manager for each market where
Have the visibility and control you need to deliver
projects successfully
Save time and money! Professional services, construction and creative companies will benefit from the many
functions found within Enterprise software. Project management, costing and job bag capabilities are seamlessly
integrated with all areas of the accounting system.
Quotations
and easy to read documents. Use Enterprise’s pipeline
reporting on profitability, timing and project status per phase.
Sign off completed phases, and you can trigger invoicing just for
management features to report on conversion rates, value of
transactions belonging to those phases. Assign percentages to the
potential orders per month and average sales lead times. New job
manually. These can be allocated to individuals, so reporting can
Kieran McGinley, Maiow
pick up overruns at the person level as well as by type of work.
Project Overview and Phases
The Project record controls much of the information for invoicing,
reporting and for accounting. There is huge flexibility over the level
of detail to present on invoices - with different settings for each
project. For example, choose to present the time worked on the
project as anything from a single row consolidating all days, to
separate rows for each day by each person, with the date shown.
Classify projects by business type, urgency or any other criteria,
and provide analysis codes that feed right through to the accounts.
Rules set on Projects and Project Budgets give huge flexibility on
methods of invoicing, including:
• fixed price: per project, per item or per item type
• time and materials (per diem): with rates picked up from price
lists that can be set per client or group of clients
• milestones: this might be as simple as a single deposit, that
gets automatically allocated against future invoices raised,
or as complex as a series of milestones with amounts and
expected invoicing dates
• retentions: set these as absolute amounts or percentages,
and HansaWorld reverses it automatically when the final
stages have been signed off.
Each budget line can be marked with a type, that indicates whether
future invoices will be based on actual costs or a fixed amount, or
even not recharged to the customer at all. You can also set blocks
to prevent invoicing of specific items before given dates.
Scheduling
Assign one or more managers, and all team members, by entering
their person codes on the Project record. Use Enterprise’s
Resource Planning module to schedule each piece of work on
the Project. You can filter the schedule to show just work being
performed on a specific project, or all time entries, for each project
team. You do not need to replicate scheduled tasks on timesheets:
if you are using the schedule, ticking work as done makes the
necessary job costing entries. Resource Planning supports drag
and drop reallocation between different team members.
Time Billing and Costing
Set up as many employees as you want, each with their hourly
rates and cost per hour for gross profit calculations. Employees
can belong to groups, all with the same rates, for ease of entry and
reporting. Job groups can themselves be associated with price
lists, so different customers are recharged at different rates for the
same person’s time. In addition, you can set up specific discounts
or unit prices for individual customers and items (time or costs).
Time sheet entries allow you to enter any quantity of items (usually
hours of an employee’s time) against an employee and project.
In addition, items can be non-stocked cost items, such as
consumables, recharges and the like. To make things even easier,
job groups can be restricted to a defined list of items that can be
entered on time sheets.
To speed up data entry, clicking Enter or Tab from a blank line
copies data from the line above to the line below, which can then
be edited. Posted entries can be amended easily by marking them,
”red-lining” deletions, and adding amended lines.
Time entries can even be given codes that relate to when on the
day or in the week the work was performed. For example set
overtime rates for weekdays after 5pm, double rates for weekends,
and triple rates for state holidays.
“We have been impressed by the simplicity of costing time and
expenses against jobs, holding this data for multiple years, and
then invoicing it whenever required,”
Paul Harris, ICEE
Standard reporting includes:
• Employee statistics, covering time worked, on what, by
project, with productivity details
• Consultants bonus calculations
• Gross profit by project and by employee, if requested showing
time, purchases, material and order items separately
• Project invoicing, giving amounts invoiced and yet to be
invoiced
• Budget against actual income and costs, in value and quantity
terms, at several levels of detail
• Project profit/loss
Expenses
Enterprise provides simple expenses sheets to allow your
employees to enter their expenses. The expenses input screen is
headed by the employee and only books expenses against specific
employee. Coding is simplified, so the employee only needs to
enter intuitive codes describing the type of receipt (e.g. “CAB” for
a taxi fare), and Enterprise takes care of the accounting entries and
the tax treatment.
“For staff reimbursements, we now use the integrated Expenses
module and have been able to eliminate the old manual
spreadsheets which were previously very labour intensive.”
Michael Gigliotti, Time Out Sydney
Enterprise also provides the facility to have someone sign off an
expense sheet. Expenses sheets can be in any currency, with a
current rate being picked up automatically, by default.
Enterprise provides reports to show what is owed to each
employee. Payments can be made to each employee, as advances
or repayments. These show company’s and the employee’s bank
accounts and lists to be sent to your bank. Additional bank fees
can be added to these payments.
Way lists are also available for employees to enter information
about travel time and distance which can also be allocated to a
project.
Purchase Orders and Invoices
Each row of a Purchase Order or Purchase Invoice can be
allocated to a project simply by putting the project code on it. The
Project Purchase Orders Report shows, for each project, values
or quantities of items allocated to the project on Purchase Orders,
Purchase Invoices, and recharges on Sales Invoices - so you can
quickly pick up missing accruals or recharges.
Stock Transactions
Depending on your type of business, you may choose to allocate
stock entries against a project when purchasing, direct from stock,
or by delivering to any project location.
Invoicing
Enterprise handles any schedule of invoicing, based on budgets,
costs or any number of pre-set amounts at any date.
Enterprise allows you to set up a default presentation for an
invoice, which can be varied for any project. This determines the
level of detail independently for entries from time sheets (time
and consumables), and for purchases. Detail varies from every
transaction to one line per project, but alternatively allows listing by
item or by item group.
Prior to invoicing, you may change the quantity or price of any
time based item. Each Item can be associated with markups,
so they can be re- charged from the job at the marked up price.
Alternatively, you may change the mark-up percentage for any item
prior to invoicing. Invoices can be raised for a client across jobs
automatically.
“Previously we have been relying on people remembering to
record all information relating to a project and transferring it into
the accounts system.” Jacqui Howell, Air Studios
Enterprise provides an on-screen report for all items on a project
yet to be invoiced. Like many key reports in Enterprise, the report
has full drill-down, both for transactions and budget details. You
can double-click down to the detailed transaction, and edit quantity,
price, discount or mark-up figures to make final adjustments prior
to invoicing. Billable entries can be marked as “invoice after date”
and any number of interim down-payment or deposit invoices can
be raised and set off against the final invoice.
Multi-currency and Accounting
Projects can be given a currency, and all invoicing will be in that
currency. Costs incurred in that currency will be billed without
translation, whereas costs in any other currency will be translated
automatically to the billing currency. Price lists can be assigned per
currency for any item.
Enterprise supports real-time accounting of work-in-progress from
all costing entries.
Company profile
Most transactions in Enterprise have two states of saving - there
is an OK checkbox, which must be ticked for a record to be truly
committed to the ledgers (and other registers). Records can be
saved prior to “OKing”, and remain fully
editable until OKed. Access to the OK checkbox can be controlled
per user, for each screen type, so different users can enter and
authorise transactions.
Purchase Orders and Purchase Invoices also have a Signatory
field, so you can see who has authorised them. Purchase Invoices
can be put on hold, so they are not inadvertently paid.
Integrated Business Platform
Enterprise is an Integrated Business Platform, offering solutions for
almost all the departments of a small or mid-sized business. All
the solutions are offered in a single application, with full interaction
between each component. As a result, to look at Accounts in
isolation is to miss the key differences and benefits of Enterprise’s
approach:
• an architecture that reduces reliance on IT hardware, allowing
organisations to focus on their business rather than their
infrastructure
• users are given visibility of data from other disciplines (subject
to access rights), which enriches their jobs. For example, credit
controllers can see promises made by salespeople and problems
with service management that might be holding up payments
• automations can interact across disciplines, for example allowing
marketing to create automated mailshots based on customers
who have not yet bought a product or service
• reporting is improved by the co-existence of data from different
parts of the business. For example it is simple to produce Profit
and Loss reports and Balance Sheets that includes committed
costs and GRN accruals
• training is faster and more effective than for companies
implementing multiple solutions, as there is a common approach
Mobile Solutions and Wide-Area Networking
All of the Enterprise functionality is available to users logging in
from anywhere in the world, from a variety of devices. Users can
work from home or while on the road, logging in from any internet
connection, whether broadband, or over a mobile phone network.
Devices can include laptops, Windows Mobile real-time barcoders,
and iPod Touches and iPhones. Users can run any of Enterprise’s
standard or customised reports in real-time, and enter or review any
data record. This breaks down the walls of your operation, allowing
users to be productive wherever they are.
The World’s Best Integrated Business Platform
Analyse and report on financial data to
improve profitability.
In depth analysis of financial information can be achieved quickly and easily using Enterprise.
Budgets, Forecasts, Simulations
Budgets can be set up for any company, account, analysis code
and month. You do not need, however, to set up individual budgets
for each month: you can set up annual budgets for accounts, and
then have Enterprise deal with the seasonality automatically (see
below).
Enterprise also allows you to create revised budgets, so that you
can keep existing budgets intact while still forecasting a more
realistic figure based on results to date. Revised budgets are set
up in an identical manner to budgets.
Enterprise includes functions to make setting up budgets much
easier. Budget keys exist to create monthly patterns across which
to spread budget totals. For example, you can set up a budget
key which has a value for months 1-11 of 1, and for month 12
of 4. This might be the case if you sell four times as much in the
run-up to Christmas as you do in the rest of the year. Budget keys
can be set up for any number of months. When you use the key,
your budgeting period must cover the same number of months
as the key.
Transactions can be posted as simulations, which allows you
to derive a much more detailed picture of the short term future
of your business than you could with budgets. Simulations are
entered in the same way as transactions, but may be edited or
deleted at any time. When you run most Nominal Ledger reports,
you can choose whether or not to include simulations. As a result,
you can perform detailed
“what-if” scenarios.
Enterprise can produce a liquidity (cash flow) forecast, using
the due dates of purchase and sales invoices, and any nominal
transactions posted as simulations.
Repetitive Transactions
Transactions can be saved as templates, for selecting
automatically. For example, you can set up all the double entry
for processing payroll. Creating a new Nominal transaction, with
an account code of the automatic transaction brings in all entries
set up in the template. Enterprise has several features which
considerably extend the power of this module:
• You can perform calculations rather than entering fixed amounts
in the debit or credit columns.
• You can cross-refer a calculation line to the previous line of the
template, or to the previous line in the transaction into which
you are copying the template.
• You can associate an automatic transaction with an account
on your chart of accounts, so that the automatic transaction
appears whenever you enter a Nominal transaction using that
account.
• As with all other parts of Enterprise, you can use the Duplicate
button to create an identical automatic transaction for editing -
useful for reversing journals.
“Enterprise’s drill-down functionality improves the accounting
work phenomenally, as it makes lookups and trouble-shooting so
quick and easy.”
Amelia Röder, Echoline
Reporting and Presentation
Enterprise has a user-definable report generator for presentation
of financial reports, including Balance Sheets, Profit & Loss
Reports, Tax reports and Key Financial Ratios. Create many
different formats of each of these reports, with different levels of
detail for your management reports, auditors and banks.
Balance Sheet and Profit & Loss Reports give you considerable
flexibility of presentation, so that you can create your own
headings, subheadings, subtotals, and simple text lines.
This allows you to perform detailed calculations on any account
or series of accounts. These can be used for ratios as diverse as
sales per square foot, chargeability percentages, and profit per
employee.
Create as many columns as you like, with comparisons of actual
figures, budgets, revised budgets, and prior year figures. Set
these up with columns per month, create separate columns for
each analysis code (see Multi-Dimensional Analysis below), and
even have columns for committed costs based on purchase
orders not received, and fulfilled purchase orders not invoiced.
Cashbook and Reconciliation Features
You can create different payment modes for Payments and
Receipts, linked to different nominal accounts (usually bank
or cash accounts) - this is principally used to simplify bank
reconciliation. You can specify bank record details against each
supplier, and these will be applied by default to the purchase
invoice - but may be overwritten. Payments can be made from
any of your own bank or cash accounts. A batch routine exists
to allow you to export a selection of payments as a Banking file,
to be sent to your bank - for example in BACS format. This file is
saved in common text format, which can be opened by almost all
applications to reformat to the bank’s specification.
Enterprise allows you to print remittance advices for any range
of payments or receipts. This form can be customised to permit
automatic cheque printing in certain circumstances.
In other respects, payments work in the same way as receipts,
allowing you to process bank charges and foreign exchange
differences at the time of payment.Enterprise also has a separate
Cash Ledger, allowing entry direct from Cash In and Cash Out
screens. This is particularly useful when you want to restrict the Multi-dimensional Analysis
cash taking or receiving functions a user is allowed to perform.
Enterprise offers an unrivalled richness of data analysis, through
Enterprise’s Account Reconciliation feature allows any account the ability to flag any transactions with up to 15 levels of analysis
to be reconciled. This shows all Reconciled or Unreconciled per transaction row. As a result you can simultaneously report
transactions on a selected account, any of which can be marked on sales, gross and net profit levels per marketing source of
as Reconciled (which can be reversed if necessary). Reporting is customers, cost and profit centres, locations, customer regions,
available to support this.
source and use of funds, product ranges, suppliers, project, and
any other unique identifiers.
“Despite considerable growth as a business, we have maintained
Enterprise provides assisted data entry of Objects, prompting for
the same number of people in the commercial accounts
the types of Object you have configured to be required on each
department through better control of information.”
account. If you have set up Enterprise in this way, transactions
Robert Ruigrok, CompNow
which omit necessary Object codes will be prevented.
Fixed Assets
Multi-Currency and Dual Base Currency
The Fixed Asset register is a fully-integrated component of All transactions throughout Enterprise can be in any currency.
Enterprise. Create Asset records directly from supplier invoices Enter exchange rates into standard tables, or even use Enterprise’s
or by choosing to set up rental assets. Associate two different internet service to upload rates automatically from central banks.
depreciation models with each asset - one for the automated Enterprise posts realised exchange gains or losses automatically
depreciation calculations, and the other for tax reporting. Keep on cashbook transactions. There is also a batch routine to update
track of asset locations and persons responsible, and have the valuation of any range of accounts based on any exchange
Enterprise automate the entry for the gain or loss on eventual rate.
disposal. Even create revaluation entries. All of this is underpinned
Enterprise also supports groups with multiple reporting currencies.
by extensive reporting.
Every transaction can be stored in up to three currencies - the
actual currency, the home reporting currency, and the group
Tax
reporting currency. This enables group reporting of transactions
Enterprise is a global system, with support for most local tax rules, translated at actual exchange rates. Consolidated reporting
including VAT, GST, PST and Sales Taxes. Parameters can be discussed below can be across many currencies. There is also
Enterprise offers a single datafile architecture capable of handling
users from posting transations at all (see simulations above for
Setting Up Enterprise from Another Accounting
Consolidation at its simplest is only aggregated financial reporting
Computers Now, Australia
Solution and Services
Computers Now has been operating for many years with a
number of key systems but had a growing need to integrate
• Enterprise with 140 users across 8 stores
their CRM with retail, inventory, service and financials. National
• Full financials, centralised purchasing, full inventory Service Manager Robert Ruigrok explains: “We had a number
management, workshop service/repairs, education and of reasons for changing systems. We wanted to reduce the time
corporate sales and CRM
overhead per transaction in the retail environment which during
peak periods can be very high volumes. We were looking for a
Why HansaWorld
system that fully integrated every part of our business and the
• Scalability
combination of prior solutions were not meeting these needs.
• Broad enough to touch every area Computers Now business Customer management and quoting were on separate system
to day to day invoicing, accounting, service call tracking and
• Runs natively on the Apple platform
inventory management - we needed to bring them together.”
• Future-ready
Another primary goal for the business was to look to the future
• Lightweight client that is not network intensive
with regards to integrating mobility of the CRM into the business.
• HansaWorld and Computers Now are similarly minded “We were moving towards greater use of laptops and mobile
companies
handheld devices so the system we chose needed to be futureready
for the mobility of our CRM plans”, adds Ruigrok.
Implementation Highlights
• Full implementation took approximately 5 months
• Originally discussed implementation plan was carried out
precisely on every step of the project
Key Benefits
• Reduced training time by 75%
• Integration of Quotations and Sales Orders
• With implementation of Enterprise, the sales immediately
went up
• System replaced Pronto Software
Ruigrok explains, “We conducted a selection process where we
informally looked at 6 solutions on the market, then shortlisted
and formally evaluated the final 3 solutions. Following a series
of demonstrations and other investigations we concluded
that Enterprise was broad enough to touch every area of our
business with the added major bonus of being able to run native
on the Apple platform.
Another important factor is that we run our operation over multiple
locations and it was a key requirement to have a lightweight
client that was not network intensive. Many of the other software
vendors offered solutions that were high bandwidth and low
performance which, with our volume of transactions, just wasn’t
worth the risk.
Last but not least it was paramount that we felt the comfort that
we were dealing with a like-minded company who understood
our business needs. At the end of the day no CRM upgrade or
migration is an easy task and the type of business you choose to
partner with can make or break the project”
Computers Now implemented HansaWorld between the months
of July and November 2007.
Ruigrok says, “It was refreshing to have the initial commitment
and understanding to the way we do business and to see that it
was followed through in every step of the project implementation.
An implementation like this is full of challenges in every area of
the business. It is never easy but having the right team on the job
can make or break the challenge.
The final result is that we currently run Enterprise with an average
of 140 users across 8 retails stores with a suite of Full financials,
Centralised purchasing, Full inventory management, Workshop
service/repairs, Education and Corporate sales, CRM for
opportunity tracking as well as sales and marketing departments.
“With Enterprise we have dramatically reduced training time
for retail operations by 75%. Despite considerable growth as a
business, we have maintained the same number of people in
the commercial accounts department through better control of
information. Integration of our quoting and orders processing
time reduced by 20%. This is a major efficiency improvement for
us considering we do more than a 1000 transactions per day!”
“December was our biggest sales month ever - and was less than
a month after we went live with the system! The big assumption
is that if you are only 4 weeks into a new system then people are
not going to be as quick as they would be in a 3-4 months so this
was an indication of the ease of use and adoption by all staff. The
uptime of the software has been 99.8% in 7 months and overall
the system stability has been excellent.” explains Ruigrok.
“We are very happy with our decision to implement Enterprise
because, amongst other things, Apple has specific and required
functionality that was initially written as customisation and has
now been included as standard functionality not just for our use
but the entire Hansaworld customer base.”
In future months, Computers Now and HansaWorld will
implement new modules and functionality such as Business
Intelligence tools and integration of more business workflow
using the standard tools offered in the software.
There are plans to increase the number of users as the
organisation continues to increase in size.
Ruigrok says, “Although it is clear that HansaWorld is extremely
effective in the wider CRM market HansaWorld’s commitment to
the way Apple resellers do business was clear from the outset.
They have always been true to their word in following through
with developments. With the partnership between Computers
Now and HansaWorld now in place, we look forward to growing
our business together in the years to come.
A further point to add is that in a migration of this size we have
only just scratched the surface of what we can do with the
system. Our prime goal has been to replace the functionality
of prior multiple systems in one central, unified workflow. In a
company of our size this is a significant feat in itself!
We now look forward to integrating many of the great workflow
and communication features of Hansaworld that are future
focused and will be of great benefit to the productivity of the
business moving forward”.
Improve Customer Service and Lower Call
Costs with Skype
Do you want to reduce your
level of customer service?
Keeping in contact with your customers
and contacts is a necessity but it does not
have to be expensive. Improvements in
internet telephony, linked with HansaWorld’s
continuous development, mean that you can
benefit from the very latest technologies – no
matter what size your business is.
telecommunications company which offers
users free, or low cost calls worldwide.
This integration allows you to call or chat with
customers, contacts and suppliers, directly
from the HansaWorld application, without
needing to dial numbers or add users to your
personal Skype contact list.
The leading Namibian school book and
stationery retailer, Edumeds, chose
HansaWorld Enterprise for its flexibility
and speed over great distances.
Edumeds delivers books to all schools,
regardless of location and distance from
their three retail branches. One of their needs
was to manage back orders and reconcile
accounts for customers, some of which
do not have the skills or communication
possibilities to manage their own back
orders and accounts.
Handling back orders
Edumeds spent more than a year searching
for a flexible yet cost effective solution.
They required one which could handle
back orders, flexible pricing and advanced
dependable stock control in a simple and
efficient way. Other key reasons for choosing
HansaWorld were the system’s speed over
slow networks and the ability to run on old
hardware.
Sandra Farrer, MD of Edumeds comments:
“We are managing customer demands in
an industry that is built around back orders.
Most systems do not handle this well. In
particular, we need to update prices on
invoices based on the shipment date, not
on the quotation as these might be six
A powerful CRM tool
Calls can be launched from HansaWorld,
and call duration can be monitored for extra
analysis. Notes about all conversations held
can be stored in the database. HansaWorld
is using this actively in-house.
Stephen Jay, International Sales Director
says, “All of our employees have Skype set
up, allowing us to contact each other free of
charge, no matter where we are working! We
One thousand miles for a book
months apart.”
HansaWorld was chosen as it offered
advanced back order functionality,
advanced financials and ease of use and
value for money, as very little hardware had
to be upgraded. Also, it was important that
all present back orders from Great Plains
could be imported into HansaWorld.
Up and running in three weeks
HansaWorld Enterprise was sold and
implemented in about three weeks by
Namibian Dealer, Active Business Solutions.
Edumeds has 21 users and uses the basic
financial modules, Quotations, Sales Orders,
POS and Stock Control. It was also important
for Edumeds that HansaWorld could be
customised easily. For example, Edumeds
shows on each invoice the amount of
books ordered, delivered, outstanding
and invoiced, so that each invoice is also a
statement of the status of the order for easy
reconciliation by the customer.
The implementation was carried out at the
quiet time of year as schools were closed
for summer holidays. “The implementation
was carried out professionally and the team
kept strictly to the proven HansaWorld
Implementation Methodology, which
have also set up a Skype Group account which
allows our employees to make external phone
calls to customers and suppliers anywhere in
the world, but at a greatly reduced cost. Using
Skype has saved us 40% on our telephone
bills in just six months and we hope to continue
with these savings.”
ensured a minimum of growing pains on the
new system. It was also reassuring to note
that a programmer was on site so that most
last minute wishes could be addressed right
there and then,” Ms Farrer states.
In the future, Edumeds plans to explore
HansaWorld’s new features, such as using
item varieties for the multitude of stationery
items they sell.
No more missed sales
opportunities
Estonian tyre reseller Rehviekspert uses
HansaWorld Business Organiser for
speeding up the sales process.
Rehviekspert runs retail and wholesale
operations at five locations across Estonia
and have recently opened a tyre re-treading
factory.
Rehviekspert was established in 1997 when
the first tyre shop was opened in the capital city
Tallinn. By 2006, Rehviekspert opened retail
and wholesale operations at five locations
across Estonia, and have recently opened a
tyre re-treading factory in Tartu.
The company uses HansaWorld Enterprise
to handle stock, sales and finance, client
relationships and prices. In the future, as their
factory operations grow, they plan to harness
also the production module.
Switching to HansaWorld
Enterprise
Rehviekspert was a user of an older
HansaWorld product, Hansa Classic, designed
for small businesses. As the company grew,
the decision was taken to change for a system
that would grow with the business, instead
of slowing it down. They chose to move
to HansaWorld Enterprise as it could offer
them a solution that would allow them to
connect remote offices and provide them
with consulting and regular software updates.
Speeding up sales with the
HansaWorld Business Organiser
Rehviekspert has chosen the Business
Organiser, a version of HansaWorld Enterprise
designed specifically for Nokia business
phones, to speed up the sales process and
make it more efficient.
Previously, when having meetings at client
sites, the salesmen had to phone up the
central office and ask someone else to log
in to the database to check stock availability
and prices. This created problems when
sales opportunities arose at the weekend as,
with the headquarters closed, they could not
provide accurate information.
Now, with full mobile access to corporate data
in the HansaWorld system, the salesmen can
check for availability and prices by connecting
to the live database using their Nokia phones.
As Rehviekspert has several warehouses, the
Business Organiser makes it possible to find
out at which location the required items are
available. This allows the salesman to give the
customer a realistic delivery time based on
current stock levels and then enter the order
straight into the company system using the
Business Organiser.
According to the Managing Director of
Rehviekspert, Mr. Aarne Solvak, the Business
Organiser gives salesmen the versatility of the
laptop with a smaller price tag and greater
mobility. “With the Nokia always at hand, no
sales opportunity will be lost due to a lack of, or
incorrect, information. Wherever or whenever,
if the company knows it, the salesman knows
it,” Mr. Solvak states.
Up-to-date manuals online
Referring to manuals can often be time
consuming and these can be out of date
quickly. To reduce the time spent looking for
information about your HansaWorld system,
and to ensure that you have the very latest
information, we have introduced a new
website:
www.hansamanuals.com
When you have a query, simply access
the website directly from your HansaWorld
system by clicking the ‘?’ icon on your Master
Control window. Follow the quick links and
immediately find the information you require.
HansaWorld software ready
for Intel-based Macs
Closely following Apple’s transition to selling
Intel processor based computers, HansaWorld
software is ready to run on the new machines.
As with old Macs, HansaWorld’s whole product
range can be run native on the new Intel-based
machines - without having to install any 3rd
party software.
Battle Cards
30. Automatic upload of exchange rates
In some countries, HansaWorld offers a monthly service (deployed
as Software as a Service) whereby exchange rates can be picked
up automatically from central banks - removing data entry in this
area, and the possibility of mistakes which require expensive
resources to fix.
Microsoft Dynamics NAV has no such feature.
31. Shared registers
In a HansaWorld Enterprise multi-company installation, each
register is held separately in each company, so for example a five
company installation would have five separate Contact registers.
HansaWorld Enterprise offers the possibility to share the Contact
register either across all companies, or just a selection of those
five - and as a result a Contact whose details need to be in all five
companies will appear there with a single entry.
Microsoft Dynamics NAV has no such feature.
32. International implementations
HansaWorld is sufficiently small, with personal contact with all
resellers, that it is possible to have a single project manager for any
international implementation, and genuine interaction between all
members of the team.
Microsoft Dynamics NAV offers no such possibility; there will be
multiple resellers involved, all competitive, with no central control.
SECTION G: ANALYSIS AND REPORTING
33. Analysis
HansaWorld Enterprise offers up to 15 levels of analysis on financial
transactions (Objects), and 30 levels on static data (customer and
item classifications).
Microsoft Dynamics NAV has four level of analysis.
34. Integrated Business Intelligence
HansaWorld Enterprise offers Business Intelligence from within the
application, launched directly from KPIs. Pre-existing BI templates
ensure that deployment is immediate.
Microsoft Dynamics NAV has no inline possibility, no standard partnerships
with BI providers, and no pre-existing templates for BI. As
a result there are hundreds of hours required to produce BI. Also
the lower level of analysis within the product makes the end result of
BI dramatically less effective than HWE.
35. Real-time reporting
All of HansaWorld Enterprise’s reporting is available real-time, right
through to consolidated reports and business intelligence. Parallel
reporting ensures this doesn’t impact scalability.
Microsoft Dynamics NAV has no consolidated reports, and no realtime
business intelligence options.
Battle Card
SECTION H: CUSTOMISATION
36. Customisation
HansaWorld Enterprise’s HAL language is simpler, and consequently
cheaper to deploy and upgrade.
Microsoft Dynamics NAV has reasonably strong tools for customisation.
However, these are complex to deploy, and upgrading as a
result takes time and requires careful management.
37. Availability of source code
All of HansaWorld Enterprise’s application logic is in HAL (Hansa
Application Language), the customisation engine. HansaWorld
makes available all HAL Source Code to anyone who has successfully
taken training on HAL - making it simple to tweak existing code,
and to create new functionality that looks similar to any existing
code.
Microsoft does not offer Microsoft Dynamics NAV source code to
anyone, even its accredited partners.
SECTION I: INTERNET SERVICES
38. Internet Services
HansaWorld Enterprise has the technology to offer third-party services
on a Software as a Service model, with subscription pricing,
no software installed at customer site, no upgrade issues, and the
ability to switch the service on and off at a moment’s notice.
In different countries, these include:
• credit checking, providing a full credit report on the prospect/
customer
• eInvoicing
• postcode/address validation
• eBanking
• SMS handling
• credit card processing
• exchange rate pickup from central banks
• mapping
• interaction with shipping companies (e.g. Fedex)
Microsoft Dynamics NAV has no internet services. All third-party
services have to be connected using expensive interfacing written
specifically for each customer and deployed separately at each
site. Upgrades will be consequently much more complex and
expensive.
SECTION J: E-COMMERCE
39. Webshop and web engine
HansaWorld Enterprise offers a fully-configurable, style-sheet
driven webshop that allows users to manage content, without
technical skills in areas such as HTML. It is delivered as part of a
complete web engine that is part of the ERP system, not a separate
application requiring interfacing - and so users can interact with any
Microsoft Dynamics NAV server takes about a day, and each
client takes approximately half an hour. As a result, customers and
dealers are wary about upgrading.
6. Hosting
HansaWorld Enterprise supports hosted servers, removing the SECTION C: MOBILE
need for expensive IT staff at customer sites to look after server
implementations. Space on virtual servers can be rented from 10. Mobile Usage
Amazon.com, with simple setup, and managed services available HansaWorld Enterprise offers greatly improved employee productivity
through the ability to log on from customer sites, sales loca-
required, in common with HansaWorld’s single database strategy, tions, suppliers, while mobile, or from home. Our ready-to-deliver
client updates and customisation files keeps the entire strategy any of our competitors. More than 3,000 ERP screens on mobile
Costs are low.
Microsoft Dynamics NAV has no possibility to be run on mobile
Microsoft Dynamics NAV requires four separate servers if the devices.
customer himself publishes the IP, otherwise five. Setup of these
servers is extremely complex, and leaves significant risk of security If Microsoft Dynamics NAV partners attempt to deliver anything
holes, overcomplexity of user profiles, and significant challenges remotely similar, they have to write their own application on the
for users to print locally. As a result it is also extremely complex mobile device, and use expensive and complex messaging applications
to share data between the mobile device and the Microsoft
to support, and user experience of hosting tends to be very poor.
Costs are at least 50% higher than HWE, ignoring the very high Dynamics NAV MS SQL Server. No Microsoft Dynamics NAV partners
have successfully delivered this type of application, and so
costs of associated services.
the customer faces significant risks when this is offered. We believe
7. Auto-deployed clients
8. Wide-Area Networking
Any third-party application written for a mobile device will ONLY run
HansaWorld Enterprise uses on average less than 1k for each on that device; as soon as that device is withdrawn from the market,
network instruction, resulting in out-of-the-box support for use the third-party application needs significant re-engineering to run
from home and mobile. In countries with slow internet, HansaWorld on any new device, thereby significantly raising the cost of ownership
and the risks of working with third-party developers.
Enterprise is still the only viable option for real-time log-in from
remote locations.
12. SmartApps
Microsoft Dynamics NAV has no possibility to run on slow-speed HansaWorld offers the possibility to deploy customised applications
on mobile devices in a matter of hours - including handling of
networks. If multi-location or mobile use is required, the customer
needs to buy expensive bandwidth (leased lines), multiple servers rich media, and synchronisation.
is likely to make changes to fields required, or other interactions on • IT staff required to maintain the infrastructure
example it is not possible as standard to create invoicing in
• insufficient interaction between calendar and financial data, for
HansaWorld Enterprise’s Resource Planning enables graphical
• machine (production, for finite capacity planning)
• asset (facilities management, maintenance)
• rental assets
• rooms (hotels, training companies)
SECTION D: INTEGRATED CRM
Microsoft Dynamics NAV has no such feature.
14. Truly-integrated CRM
HansaWorld Enterprise offers CRM tools within the same application
as the financial and all other data. These tools are available to
18. Integrated email
HansaWorld Enterprise offers an email server and client, which as
all areas of the software, not just customers, and so our customers
a result means that mail and other records are automatically integrated.
You can drag and drop records onto internal mails, files onto
automatically get Supplier Relationship Management, and management
of all activities with all people. CRM tools like mailshotting
any mails, and see the email history from a customer dashboard.
can be applied as standard to all data - for example, it takes less
than a minute to prepare an email campaign to all customers who
Microsoft Dynamics NAV is heavily reliant on MS Outlook, and so
have bought a specific product in a given time range (for product
cannot support drag and drop.
upgrades/cross-selling opportunities/product recalls). These tools
are fully integrated with HansaWorld Enterprise’s analysis capabilities
- for example allowing emailshots to be easily targeted just to
19. Conferences
HansaWorld Enterprise’s Conferences feature allows complete
end users, or dealers, or to customers in specific industries or of
knowledge management, particularly in conjunction with the paperclip
feature. Any data you want to share around the company can
given size criteria.
be stored into Conferences, and then readily found by users (using
Microsoft Dynamics NAV has no CRM as standard.
multi-Conference Search features) and used (including drag and
drop to email and other records).
Microsoft has created an interface between Microsoft CRM and
Microsoft Dynamics NAV. There are a selection of possibilities delivered
without programming, but most of the valuable interactions
Microsoft Dynamics NAV has no such feature.
between financial data and the CRM tools have to be programmed.
Using Sharepoint for this involves expensive setup, and IT staff to
maintain the infrastructure.
15. Document Management
HansaWorld Enterprise has the paperclip feature to allow users to
20. Interactive Telephony
store records and external files against any other record.
HansaWorld Enterprise allows outbound calls from any device
that supports calling - computers with microphone and speaker
Microsoft Dynamics NAV has no such feature. Purchasing Sharepoint
provides the possibility to share files in a separate application,
support, Smartphones and iPhones. The Business Phone feature
allows calling from any customer or supplier facing record. Also
with no connection to the source records. This requires expensive
Intelligent Routing allows the user to set up rules to instruct how
setup and complex management in all cases.
calls should be routed, based on data in the ERP system. For
example, sales can be routed to the allocated salesperson except
16. Group Calendar
for those customers with invoices overdue for more than 60 days,
HansaWorld Enterprise Multi Person/Group calendar allows real
who might be routed to the accounts department.
time viewing of all calendars and updating or adding activities
to multiple person calendars. Technicians, management or staff
Microsoft Dynamics NAV has no such feature.
that are not office bound can access the calendar anywhere real
Battle Card
21. Alerts / Alarms
25. Multi-language documents
HansaWorld Enterprise offers built-in Alarms so you can choose Single language versions of HansaWorld Enterprise can produce
what to be reminded of, and by what method - pop-up window, text output documents such as invoices in customer/supplier languages
specified events.
Microsoft Dynamics NAV does not offer any workflow as standard. In Microsoft Dynamics NAV all output documents require programming,
and so multi-language stationery can be set up, but this is not
If you apply external tools to achieve this, such as Sharepoint, this
is expensive and time-consuming to create, expensive to maintain standard and so expensive to achieve. Since partners tend to have
and less functional.
skills only for one country, creating programmed forms in multiple
languages is very difficult to achieve.
There are no language tables for key fields, and so data appears in
• Expenses
and single datafile.
• Service Orders
• Hotel
For Microsoft Dynamics NAV, different executable files are required
• Restaurant
for each language, making it difficult to set up a truly multi-language
• Resort
• Customs
• Jewellery
27. Multi-currency
• Cheque Management (for South America)
In HansaWorld Enterprise, transactions can be entered in any
currency. Receipts and payments can be processed in currencies
other than the invoiced currency, and HansaWorld Enterprise
Microsoft Dynamics NAV has no such modules.
handles the exchange gains/losses automatically. Batch routines
23. Varieties
exist to post unrealised gains and losses at month end.
HansaWorld Enterprise has full handling of varieties, that allows
size/colour/unit and other variations to be handled without the
You cannot mix currencies in Microsoft Dynamics NAV transactions.
handling of clothing retail and distribution.
28. Dual Base currency
In HansaWorld Enterprise, transactions can be entered in any
transaction, home currency, and group reporting currency), therefore
supporting consolidation using actual transaction rates.
SECTION F: INTERNATIONAL AND MULTI-
COMPANY IMPLEMENTATIONS
For Microsoft Dynamics NAV, reporting in two currencies is achieved
through a reporting algorithm, meaning that transactions are stored
HansaWorld Enterprise is translated into 30 languages, and extensively
localised and actively used in around 100 countries.
reports can be built from transaction details by reading against the
exchange rate table (therefore not allowing transaction rates, and
making reporting slow in this area).
Microsoft Dynamics NAV is also translated into many languages
and localised for many countries. You should determine the quality
29. Real-time consolidation
of the localisation in whatever market you are operating in.
HansaWorld Enterprise has a standard Consolidation module,
allowing real-time group reporting.
Microsoft Dynamics NAV has no such feature. Consolidations must
be performed outside of Microsoft Dynamics NAV.
30. Automatic upload of exchange rates
In some countries, HansaWorld offers a monthly service (deployed
the possibility of offering direct access to external partners from a
web portal to place orders, track the status of the order, follow up
on serial check stock levels for Items, subassemblies and components.
Microsoft Dynamics NAV has no webshop or web engine.
SECTION K: OTHER FEATURES
Items by picture.
Microsoft Dynamics NAV has no such feature.
41. Pictures on Forms
HansaWorld Enterprise allows pictures stored against Items to be
Microsoft Dynamics NAV has no such feature.
43. AppStore
[Not yet implemented] HansaWorld offers a store with dealer and
in-house customised code offerings, supported by eLearning to
and options for purchase of source code as well as just the functionality.
Microsoft Dynamics NAV has no such feature.
GENERAL POINTS
1. Ease of use
HansaWorld Enterprise was written originally for very small companies,
and then code has gradually been added to fulfill the more
complex requirements of larger companies. Ease of use stems
from:
• rigorous application of consistent design standards
• refusal to add features into standard that would overcomplicate
• clean interface driven particularly from programming on the
Mac platform and adherence’s to Apple’s Aqua guidelines
• continuing support for smaller, simpler users in the same code
base as the larger systems
• tools such as drag and drop (of records and files) and gesture
support on Macs
• complete commitment to simple tools to promote efficiencies,
such as error correction with full audit trail on the face of journals
(with option for clean audit trails or with corrections)
• simple technology to support drilldown to source records, on
from there to any related data in any direction
• very strong searching throughout the software.
While Navision was originally written also for small companies,
the company was no longer selling to such companies even when
Microsoft bought the product. Also the smaller customers were
only in Denmark, and so the ease of use was not translated into an
international product. Microsoft’s objectives as owners are primarily
related to continuing sales of its other applications from SQL
Server through to Sharepoint, removing all pretence of retaining the
simplicity required by smaller companies that retains ease of use
throughout the offering.
Microsoft Dynamics NAV has no drag and drop, and no simple error
correction (aside from reversing the offending entry and re-entering
it, leaving no option for clean management reports). There is no
drilldown.
2. Future Safety
HansaWorld is independently owned, and investing around 35% of
turnover in product development. It has retained a significant lead
on its competitors in releasing new technologies, and the strategy
of not relying on third parties is a key component in continuing
to deliver in this area. The Group Managing Director, Karl Bohlin,
remains the visionary behind the product, and drives the adherence
to strict architectural and design guidelines that ensure Hansa-
World Enterprise continues to outperform.
Battle Card
The original team behind the Navision product that is now Microsoft
Dynamics NAV left Microsoft fairly quickly after the takeover. There
are no senior developers or designers left from that team, leaving
a mature product with what many describe as a lack of direction.
There is significant speculation that Microsoft Dynamics NAV will
eventually be replaced by Dynamics AX, and that all the development
effort in the Dynamics range is concentrated on AX.
3. Satisfied Customers
HansaWorld has a satisfied customer base of over 71,000
customers worldwide. Most of our customers stay with our software
for more than 5 years. Our company intention is to build long
profitable relationships with our customers. We do not actively
market and advertise and have managed to get most of our 71,000
customers worldwide through word of mouth as a result of satisfied
reference customers. In 2008 HansaWorld Enterprise got the
highest marks in the Software Satisfaction Awards, voted for exclusively
by ERP software users:
In 2009, HansaWorld Enterprise topped independent research by
Advince on software usability.
Satisfaction with Microsoft Dynamics NAV is average, with implementations
generally failing through overcomplication, insufficient
skills in the reseller, or inadequate resource budgeting after a price
war between Microsoft Dynamics NAV dealers instigated by the
customer.
4. Tomorrow’s Technology
HansaWorld is absolutely determined to maintain its lead in
supplying leading-edge technologies that deliver true customer
benefit. Recent examples include Telephony, VOIP, Internet Services
and Mobile Devices.
Microsoft Dynamics NAV has fallen further behind HansaWorld
Enterprise since Microsoft took over ownership. This is the result of
the loss of the product designers, and the slow speed of development
that is a result of design by committee and large company
ownership.
Battle cards are created and used to ensure that our sales staff are knowledgable of our competitors, their products and
its features.

Marketing Routines
If a Marketing material is not available or not listed in the
Marketing conferences or in the partner portal, you may
request the creation of such material provided that you
adhere to the routine below.
How to request marketing materials to be made
1. Determine what you need. Check in the marketing
conferences if there is a version of this material made
for the UK market. Marketing uses the UK English
versions as the international standardized version to use
for localisation.
2. For localisation, use the UK English versions of the
materials as the basis for translation. Translate the
material to your local language, take related screenshots
using cmd+shift+4+spacebar, and include the office
details in the mailbody of your request mail.
3. Ensure that the subject line follows the following format:
Country>>MaterialType>>Name of the material
For example, Sweden>>Brochures>>Enterprise by
HansaWorld
4. Send this mail request to Marketing wish conference.
Keep in mind that the Marketing department needs a
2-week leeway period to produce a certain material or
resource. Urgent requests will only be entertained on
a case-by-case basis and subject to approval. Once
approved for production, the design team has a time
frame of 2 wks to finish the task at hand.
5. If your request is not read or if you have not heard
anything back from the Marketing department in 3 days,
please email Zane Nuke directly, zane@hansaworld.com
to get the status of your request.
Advertising Routines
Prior to sending a marketing wish email to the Marketing
department for ads to be made for publications and/or other
media. Please adhere to the following routine:
1. Plan ahead. Ensure that your ads meet the marketing
budget of 5% of the estimated annual turnover. Having
your ads' costs pre-approved and reviewed by Operations
is ideal prior to submitting a request to the Marketing
dept. Also. please note who has approved your costs.
2. Provide details of your project. What type of media is it for,
the cost, what is your product focus, the duration of the
ad/campaign, and size specifications. For sizing, clearly
state if they are in mm, inches, or pixels. Please follow
the subject line formatting from the standard marketing
routines.
3. Send this mail request to Marketing wish conference.
2-week leeway period to produce a certain material or
resource. Urgent requests will only be entertained on
