Consolidation and international features<br />

Company profile<br />

<strong>HansaWorld</strong> is a major international software company specialising in<br />

business applications. The group employs around 300 staff in a strong<br />

network of daughter companies and distribution partners worldwide.<br />

There are 19 offices spanning all the major continents, allowing<br />

<strong>HansaWorld</strong> to offer international implementations with a single point of<br />

The group was founded in Sweden in 1988, by Managing Director Karl<br />

Enterprise’s advanced and successful user interface was first<br />

developed for Apple Macintosh in 1988. In 1994, when the program<br />

was ported to Windows, it had already been proved by thousands of<br />

users. <strong>HansaWorld</strong>’s experience with international sales and modern<br />

technology puts it in the perfect position to meet the challenges of the<br />

next decade.<br />

<strong>HansaWorld</strong> provides a wide range of technologies for e-business<br />

at a given time and date - these can open as pop-up windows, or<br />

send them as SMSs or emails.<br />

Alternatively you may want Enterprise to trigger the creation of a<br />

pop-up window, SMS or email on a given event. These are set in<br />

the Business Alerts module. For example, Enterprise can trigger:<br />

• a SMS to customer notifying them that their delivery has been<br />

Enterprise allows you to create standard or ad-hoc letters, which<br />

can be printed for individual or selections of customers, or<br />

prospects.<br />

Each letter gives you control of the greeting (Dear Sir/Madam,<br />

Dear Jim and the like) and heading. In addition, you can create<br />

paragraphs of standard text, and bring them in to any standard<br />

letter with a single code. The letter list will show the proposed<br />

recipients of a mailing before you proceed, allowing you to change<br />

your selection criteria. As well as creating printed mailshots, the<br />

Customer Letter functionality can be used to send out email - and<br />

fax shots to selected groups of customers/ prospects/suppliers<br />

Reports and batch routines can be used to improve targeted<br />

Contact Management<br />

Enterprise has a single register for all organisations with which you<br />

do business, whether they are customers, suppliers, prospects,<br />

press, trade bodies or anything else. People at organisations are<br />

also stored in the same register. You can relate as many people<br />

as you want to a single company. Store data such as people’s<br />

multiple contact details, their job description and generic function,<br />

salutation information and the like. Contacts register is accessible<br />

by all parts of the system, so you can sell to your suppliers, buy<br />

from your customers, repair equipment for press contacts and the<br />

like. Enterprise supports a wide range of detail being saved against<br />

the Contact record, including main address details, main delivery<br />

address, switchboard numbers and other contact information.<br />

Interfaces exist to popular post code addressing software for fast<br />

data entry of addresses.<br />

Contact records can be categorised using Enterprise’s Category<br />

and Classification tables, which are defined by you. The<br />

Classification field supports more than 20 levels of such analysis,<br />

so you can break down these records by marketing source, region,<br />

industry, size, and whatever else is an important measure for you.<br />

The Category and Classification fields are available as selection<br />

criteria for reports (for example turnover/profitability for customers<br />

that replied to a particular marketing campaign), and batch routines<br />

such as mailshots/emailshots. In addition, Enterprise provides 11<br />

user-defined fields of different types.<br />

Quotations/Pipeline Management<br />

Quotations are entered to Enterprise in an identical fashion to sales<br />

orders. All details that can be stored for a sales order can also be<br />

stored for a quotation.<br />

Once created, quotations can be printed to a user-defined form,<br />

and to PDF or HTML using Enterprise’s email engine.<br />

At any time, new sales orders can be created from quotations,<br />

singly or in bulk, with the same details, using a simple menu<br />

command. Also a job/project can be created from a quotation and<br />

the budget for that project. If required, a pro-forma invoice can be<br />

printed directly from a quotation. Original quotations are retained<br />

even after conversion to a sales order for analysis and lookup.<br />

Quotations can be classified by type, and Enterprise allows<br />

analysis of which Quotations are open, accepted or rejected. In<br />

addition there are fields for expected decision date, next action<br />

date, and probability. Reporting includes all open quotations,<br />

conversion rates by salesperson and type of business, estimated<br />

value statistics, and information on the length of sales cycle and<br />

average values by various criteria.<br />

Time Management and Scheduling of Resources<br />

Enterprise’s Calendar functionality is centred around diary entries<br />

called Activities, which allow the user to record details of what to<br />

do when. Tasks can be given sub tasks, for management of more<br />

complex administration, and prioritised.<br />

Each Activity can be marked as to whether it will appear in the<br />

Calendar (date and time based graphical entries) or in the To Do list<br />

(simple list of tasks to perform).<br />

Enterprise’s Calendar is a team-based system, rather than<br />

personal - you can review other people’s diaries, and if necessary<br />

look at more than one diary at a time to see when several people<br />

are available.<br />

Different types of work can be colour-coded, so you can see how<br />

anyone is planning or spending their time. Entries can be made<br />

for planned time and compared to actuals, and separate budgets<br />

can be prepared to see whether enough time is being spent on<br />

particular types of work. The graphical nature of these features<br />

makes employee chargeability easier to monitor, as you can<br />

immediately see which of a group of people is performing best.<br />

There are views per day, week and month, and up to three people’s<br />

diaries can be reviewed simultaneously in the Calendar.<br />

If you have a group of employees (or subcontractors) who you<br />

need to schedule in advance, then multiple diaries can be viewed<br />

simultaneously from Enterprise’s Resource Planning module. You<br />

can create multiple views of who appears on which screen (by<br />

office, region, project etc), and you can drag and drop bookings<br />

between people (which reassigns who will be performing work).<br />

As with the Calendar, double-clicking on an entry in the Resource<br />

Planning module drills down to the underlying Activity, allowing<br />

review and editing. Activities can be allocated at any time against<br />

Projects, with Items also associated with the work - this allows<br />

information to be stored on rates, type of work and the like. When<br />

Activities are marked as done, these can post time directly to Job<br />

Costing, without the need for separate timesheets.<br />

To Do Lists<br />

Each person has a To Do list made up of Activities marked as To<br />

Dos. This allows genuine groupware functionality, since users can<br />

view the To Dos for other people (for example when they are off<br />

sick). Each To Do list can be filtered on multiple criteria, to allow you<br />

to work only with the tasks that are relevant: for example, you can<br />

run through your phone calls, or your Priority 1 tasks, or everything<br />

you need to do for a specific customer. To Dos are viewed from a<br />

central Task Manager, and drill-down is available to allow the user<br />

to open the underlying Activity.<br />

Activities can be connected to any other record in Enterprise by drag<br />

and drop. In most cases the activity gets linked automatically to<br />

the record from which it was created. As a result Activities become<br />

the triggers for doing anything within Enterprise: credit controllers<br />

can use Activities linked to Invoices to remind them what excuses<br />

a customer has already given; warehouse staff can use Activities<br />

linked to Picking Notes to include packing information; designers<br />

can use Activities linked to Projects for all the non-numeric Job Bag<br />

details. Reporting and cross-referencing links in Enterprise allow<br />

any user to see the full picture.<br />

Workflow<br />

Activities can be generated automatically as a result of sending a<br />

letter, quote or entering into a contract. Thus, for any customer, a<br />

complete history of transactions and communications is instantly<br />

viewable on screen including what has been done and what is yet<br />

to be done. True workflow management can be achieved with a<br />

feature which allows Activities to be generated automatically as<br />

a result of completing other Activities with a specified code. For<br />

example, marking a credit control Activity as completed with a<br />

“Cheque is in the Post” result might automatically create another<br />

Activity in three days time to check the post and chase the customer<br />

again if the cheque is not received.<br />

Knowledge Management<br />

Store copies of mails, whether internal or external, to multi-level<br />

personal archives if no one else needs access, or to Conferences,<br />

for secure archiving and quick access. Your company defines the<br />

folder structures in Conferences, creating logical places to store<br />

and retrieve any data worthy of sharing. Access rights can be set<br />

at the Conference level - for example at Board level for a Board<br />

conference containing minutes of meetings and key strategic<br />

decisions. Store external files against any mail at Archive or<br />

Conference level - creating a logical location for any of your data.<br />

Use Enterprise’s search engine to find any content in Conferences<br />

to which you have access.<br />

Integrated Telephony and Communications<br />

<strong>HansaWorld</strong> offers the ability to communicate with customers<br />

from inside the Enterprise application. You can select the Business<br />

Communicator from any customer- or supplier-facing record within<br />

Enterprise, which then allows you to initiate emails, SMSs and<br />

telephone calls with the company or individual, and even open a<br />

map of their location. Emails and SMSs open relevant records in<br />

Enterprise, where you enter details. Telephone calls interact with<br />

VoIP switchboards to make the call - these can include Skype,<br />

Asterisk and most switchboards with TAPI 2.0 drivers. Once the call<br />

is answered, Enterprise opens an Activity record to allow the user<br />

to record details of the call.<br />

Enterprise's integrated telephony also supports inbound intelligent<br />

routing. The switchboard passes Enterprise the telephone number<br />

of the caller, and the program instructs the switchboard how to route<br />

the call (for example to the salesperson in charge of the account, or<br />

to accounts if there is an invoice overdue from the customer). You<br />

can set rules for routing using HAL (Hansa Application Language).<br />

Enterprise is ideal for a Point of Sale environment (POS), such as<br />

a shop. Enterprise is loaded onto a PC connected to the network,<br />

which acts as the till. Various POS devices can be connected to the<br />

If the customer is unknown to you, it is possible to enter their details<br />

quickly from the invoicing screen. In some countries, interfacing to<br />

postcode addressing software can further speed up this process,<br />

and help to eliminate errors.<br />

Pricing<br />

Each customer can be given a price list, for setting their unit prices,<br />

and/or a discount matrix (for setting a percentage discount). Price<br />

lists can be tax-inclusive or exclusive, and set in any currency.<br />

Promotional price lists can be configured, that apply only for a<br />

given date range. Prices can be set in this way for all items in the<br />

database, or for any individual items or groups of items. Customers<br />

can be given “customer-specific” variations to a price list without<br />

needing to create a completely new price list. Prices and discounts<br />

can also be made dependent on the quantity of an item that is sold.<br />

Cash, Credit Cards, Gift Vouchers<br />

Payment terms will principally be cash, but can be any of the<br />

other terms in the database. For example, you may have trade<br />

customers that occasionally pick up their own items rather than<br />

requesting delivery and who want to be invoiced. These terms<br />

can be overridden for each transaction - for example if the above<br />

trade customer feels like paying cash anyway. <strong>Sales</strong> Ledger entries<br />

will be created automatically where payment in full has not been<br />

received.<br />

For cash transactions, Enterprise will support multiple payment<br />

methods even on the same transaction, such as when a customer<br />

pays partly with one or more credit cards and partly in cash. Also<br />

cashback transactions may be required, and these are calculated<br />

automatically.<br />

At the end of a shift, you enter a summary of payments received,<br />

split by payment type, and Enterprise reports on the comparison<br />

between takings booked and received.<br />

In many countries Enterprise offers internet services supporting<br />

automatic credit card processing.<br />

Enterprise also allows you to issue gift vouchers, and track who<br />

these were sold to. Gift vouchers can be redeemed as just another<br />

payment method, although serial numbers are verified at the same<br />

time to ensure the voucher is legitimate.<br />

Enterprise also supports deposit taking, both on a discretionary<br />

basis and as a percentage of the total invoice. Items rung through<br />

on the till can be shipped subsequently to the customer.<br />

Stock<br />

Enterprise has a fully integrated stock system. Refer to Enterprise<br />

and Stock and Warehousing and Enterprise and Purchasing for<br />

more details. Stock elements that can be unusual in other POS<br />

systems include:<br />

• serial number tracking<br />

• ability to take cash while issuing stock later<br />

(whether for customer collection or despatch)<br />

• multiple locations, and multiple positions at<br />

each location (for easier stock discovery)<br />

• detailed and automated stock counting features<br />

• multiple stock valuation methods<br />

• support for consignment stock<br />

• extensive reporting on sales, margins, item<br />

histories, warranties and much more.<br />

Interface and Searches<br />

Careful thought has been given to the user interface to ensure ease<br />

of use coupled with rapid data capture.<br />

• item warnings to assist users<br />

• user-definable buttons, at multiple levels<br />

• access to all other parts of the integrated database<br />

It's vital in many POS environments to have quick searches to<br />

find data, in particular customers and items. Enterprise supports<br />

searches on any string, with drill-through from lists of matching<br />

entries onto the point of sales invoice. Items can be given multiple<br />

classifications, and then selected by moving through multiple level<br />

menus. You can select using Coverflow - touchscreen or mousedriven<br />

selections of pictures of your stock items.<br />

Real-time or Batch<br />

Enterprise is a real-time, fully integrated system. Many of the POS<br />

users will want to benefit from this, by keeping stock control figures<br />

in real-time.<br />

Enterprise’s unique design allows use over wide-area networks,<br />

including slow speed networks, without the requirement for<br />

expensive, complex third-party software. As a result Enterprise is<br />

particularly simple to deploy real-time across multiple sites, allowing<br />

you to query stock in alternative locations where necessary.<br />

Project Overview and Phases<br />

The Project record controls much of the information for invoicing,<br />

reporting and for accounting. There is huge flexibility over the level<br />

of detail to present on invoices - with different settings for each<br />

project. For example, choose to present the time worked on the<br />

project as anything from a single row consolidating all days, to<br />

separate rows for each day by each person, with the date shown.<br />

Classify projects by business type, urgency or any other criteria,<br />

and provide analysis codes that feed right through to the accounts.<br />

Rules set on Projects and Project Budgets give huge flexibility on<br />

methods of invoicing, including:<br />

• fixed price: per project, per item or per item type<br />

• time and materials (per diem): with rates picked up from price<br />

lists that can be set per client or group of clients<br />

• milestones: this might be as simple as a single deposit, that<br />

gets automatically allocated against future invoices raised,<br />

or as complex as a series of milestones with amounts and<br />

expected invoicing dates<br />

• retentions: set these as absolute amounts or percentages,<br />

and <strong>HansaWorld</strong> reverses it automatically when the final<br />

stages have been signed off.<br />

Each budget line can be marked with a type, that indicates whether<br />

future invoices will be based on actual costs or a fixed amount, or<br />

even not recharged to the customer at all. You can also set blocks<br />

to prevent invoicing of specific items before given dates.<br />

Scheduling<br />

Assign one or more managers, and all team members, by entering<br />

their person codes on the Project record. Use Enterprise’s<br />

Resource Planning module to schedule each piece of work on<br />

the Project. You can filter the schedule to show just work being<br />

performed on a specific project, or all time entries, for each project<br />

team. You do not need to replicate scheduled tasks on timesheets:<br />

if you are using the schedule, ticking work as done makes the<br />

necessary job costing entries. Resource Planning supports drag<br />

and drop reallocation between different team members.<br />

Time Billing and Costing<br />

Set up as many employees as you want, each with their hourly<br />

rates and cost per hour for gross profit calculations. Employees<br />

can belong to groups, all with the same rates, for ease of entry and<br />

reporting. Job groups can themselves be associated with price<br />

lists, so different customers are recharged at different rates for the<br />

same person’s time. In addition, you can set up specific discounts<br />

or unit prices for individual customers and items (time or costs).<br />

Time sheet entries allow you to enter any quantity of items (usually<br />

hours of an employee’s time) against an employee and project.<br />

In addition, items can be non-stocked cost items, such as<br />

consumables, recharges and the like. To make things even easier,<br />

job groups can be restricted to a defined list of items that can be<br />

entered on time sheets.<br />

To speed up data entry, clicking Enter or Tab from a blank line<br />

copies data from the line above to the line below, which can then<br />

be edited. Posted entries can be amended easily by marking them,<br />

”red-lining” deletions, and adding amended lines.<br />

Time entries can even be given codes that relate to when on the<br />

day or in the week the work was performed. For example set<br />

overtime rates for weekdays after 5pm, double rates for weekends,<br />

and triple rates for state holidays.<br />

Expenses<br />

Enterprise provides simple expenses sheets to allow your<br />

employees to enter their expenses. The expenses input screen is<br />

headed by the employee and only books expenses against specific<br />

employee. Coding is simplified, so the employee only needs to<br />

enter intuitive codes describing the type of receipt (e.g. “CAB” for<br />

a taxi fare), and Enterprise takes care of the accounting entries and<br />

the tax treatment.<br />

Enterprise also provides the facility to have someone sign off an<br />

expense sheet. Expenses sheets can be in any currency, with a<br />

current rate being picked up automatically, by default.<br />

Enterprise provides reports to show what is owed to each<br />

employee. Payments can be made to each employee, as advances<br />

or repayments. These show company’s and the employee’s bank<br />

accounts and lists to be sent to your bank. Additional bank fees<br />

can be added to these payments.<br />

Way lists are also available for employees to enter information<br />

about travel time and distance which can also be allocated to a<br />

project.<br />

Purchase Orders and Invoices<br />

Each row of a Purchase Order or Purchase Invoice can be<br />

allocated to a project simply by putting the project code on it. The<br />

Project Purchase Orders Report shows, for each project, values<br />

or quantities of items allocated to the project on Purchase Orders,<br />

Purchase Invoices, and recharges on <strong>Sales</strong> Invoices - so you can<br />

quickly pick up missing accruals or recharges.<br />

Stock Transactions<br />

Depending on your type of business, you may choose to allocate<br />

stock entries against a project when purchasing, direct from stock,<br />

or by delivering to any project location.<br />

Invoicing<br />

Enterprise handles any schedule of invoicing, based on budgets,<br />

costs or any number of pre-set amounts at any date.<br />

Enterprise allows you to set up a default presentation for an<br />

invoice, which can be varied for any project. This determines the<br />

level of detail independently for entries from time sheets (time<br />

and consumables), and for purchases. Detail varies from every<br />

transaction to one line per project, but alternatively allows listing by<br />

item or by item group.<br />

Prior to invoicing, you may change the quantity or price of any<br />

time based item. Each Item can be associated with markups,<br />

so they can be re- charged from the job at the marked up price.<br />

Alternatively, you may change the mark-up percentage for any item<br />

prior to invoicing. Invoices can be raised for a client across jobs<br />

automatically.<br />

Enterprise provides an on-screen report for all items on a project<br />

yet to be invoiced. Like many key reports in Enterprise, the report<br />

has full drill-down, both for transactions and budget details. You<br />

can double-click down to the detailed transaction, and edit quantity,<br />

price, discount or mark-up figures to make final adjustments prior<br />

to invoicing. Billable entries can be marked as “invoice after date”<br />

and any number of interim down-payment or deposit invoices can<br />

be raised and set off against the final invoice.<br />

Multi-currency and Accounting<br />

Projects can be given a currency, and all invoicing will be in that<br />

currency. Costs incurred in that currency will be billed without<br />

translation, whereas costs in any other currency will be translated<br />

automatically to the billing currency. Price lists can be assigned per<br />

currency for any item.<br />

Enterprise supports real-time accounting of work-in-progress from<br />

all costing entries.<br />

Most transactions in Enterprise have two states of saving - there<br />

is an OK checkbox, which must be ticked for a record to be truly<br />

committed to the ledgers (and other registers). Records can be<br />

saved prior to “OKing”, and remain fully<br />

editable until OKed. Access to the OK checkbox can be controlled<br />

per user, for each screen type, so different users can enter and<br />

authorise transactions.<br />

Purchase Orders and Purchase Invoices also have a Signatory<br />

field, so you can see who has authorised them. Purchase Invoices<br />

can be put on hold, so they are not inadvertently paid.<br />

Enterprise is an Integrated Business Platform, offering solutions for<br />

<strong>HansaWorld</strong> is a major international software company specialising in<br />

business applications. The group employs around 300 staff in a strong<br />

network of daughter companies and distribution partners worldwide.<br />

There are 19 offices spanning all the major continents, allowing<br />

<strong>HansaWorld</strong> to offer international implementations with a single point of<br />

contact across many countries.<br />

The group was founded in Sweden in 1988, by Managing Director Karl<br />

Bohlin. While the group is now headquartered offshore, the largest<br />

offices and much of the development effort takes place in Scandinavia<br />

and around the Baltic Sea. The products are available in 29 languages<br />

and work with almost all computers and operating systems. The<br />

vast majority of the 74,000 <strong>HansaWorld</strong> installations are for small<br />

and medium sized businesses, but also many subsidiaries of large<br />

international companies.<br />

<strong>HansaWorld</strong> provides a local product manager for each market where<br />

it actively sells Enterprise. The product manager is responsible for<br />

translations (if required), localisation for statutory and commercial<br />

practices, and ongoing quality control.<br />

Product Strategy<br />

Enterprise’s advanced and successful user interface was first<br />

developed for Apple Macintosh in 1988. In 1994, when the program<br />

was ported to Windows, it had already been proved by thousands of<br />

users. <strong>HansaWorld</strong>’s experience with international sales and modern<br />

technology puts it in the perfect position to meet the challenges of the<br />

next decade.<br />

<strong>HansaWorld</strong> provides a wide range of technologies for e-business<br />

including internal and external email, several webshop solutions and<br />

PDA support. In addition, <strong>HansaWorld</strong> can help to build a corporate<br />

portal. Enterprise is developed using C++ as its programming<br />

language, and proprietary technology for database design and for<br />

network communication. This allows <strong>HansaWorld</strong> to have the same<br />

products available for several different operating systems, each version<br />

optimised for maximum performance.<br />

In depth analysis of financial information can be achieved quickly and easily using Enterprise.<br />

Budgets, Forecasts, Simulations<br />

Budgets can be set up for any company, account, analysis code<br />

and month. You do not need, however, to set up individual budgets<br />

for each month: you can set up annual budgets for accounts, and<br />

then have Enterprise deal with the seasonality automatically (see<br />

below).<br />

Enterprise also allows you to create revised budgets, so that you<br />

can keep existing budgets intact while still forecasting a more<br />

realistic figure based on results to date. Revised budgets are set<br />

up in an identical manner to budgets.<br />

Enterprise includes functions to make setting up budgets much<br />

easier. Budget keys exist to create monthly patterns across which<br />

to spread budget totals. For example, you can set up a budget<br />

key which has a value for months 1-11 of 1, and for month 12<br />

of 4. This might be the case if you sell four times as much in the<br />

run-up to Christmas as you do in the rest of the year. Budget keys<br />

can be set up for any number of months. When you use the key,<br />

your budgeting period must cover the same number of months<br />

as the key.<br />

Transactions can be posted as simulations, which allows you<br />

to derive a much more detailed picture of the short term future<br />

of your business than you could with budgets. Simulations are<br />

entered in the same way as transactions, but may be edited or<br />

deleted at any time. When you run most Nominal Ledger reports,<br />

you can choose whether or not to include simulations. As a result,<br />

you can perform detailed<br />

“what-if” scenarios.<br />

Enterprise can produce a liquidity (cash flow) forecast, using<br />

the due dates of purchase and sales invoices, and any nominal<br />

transactions posted as simulations.<br />

Repetitive Transactions<br />

Transactions can be saved as templates, for selecting<br />

automatically. For example, you can set up all the double entry<br />

for processing payroll. Creating a new Nominal transaction, with<br />

an account code of the automatic transaction brings in all entries<br />

set up in the template. Enterprise has several features which<br />

considerably extend the power of this module:<br />

• You can perform calculations rather than entering fixed amounts<br />

in the debit or credit columns.<br />

• You can cross-refer a calculation line to the previous line of the<br />

template, or to the previous line in the transaction into which<br />

you are copying the template.<br />

• You can associate an automatic transaction with an account<br />

on your chart of accounts, so that the automatic transaction<br />

appears whenever you enter a Nominal transaction using that<br />

account.<br />

• As with all other parts of Enterprise, you can use the Duplicate<br />

button to create an identical automatic transaction for editing -<br />

useful for reversing journals.<br />

Reporting and Presentation<br />

Enterprise has a user-definable report generator for presentation<br />

of financial reports, including Balance Sheets, Profit & Loss<br />

Reports, Tax reports and Key Financial Ratios. Create many<br />

different formats of each of these reports, with different levels of<br />

detail for your management reports, auditors and banks.<br />

Balance Sheet and Profit & Loss Reports give you considerable<br />

flexibility of presentation, so that you can create your own<br />

headings, subheadings, subtotals, and simple text lines.<br />

This allows you to perform detailed calculations on any account<br />

or series of accounts. These can be used for ratios as diverse as<br />

sales per square foot, chargeability percentages, and profit per<br />

employee.<br />

Create as many columns as you like, with comparisons of actual<br />

figures, budgets, revised budgets, and prior year figures. Set<br />

these up with columns per month, create separate columns for<br />

each analysis code (see Multi-Dimensional Analysis below), and<br />

even have columns for committed costs based on purchase<br />

orders not received, and fulfilled purchase orders not invoiced.<br />

Cashbook and Reconciliation Features<br />

You can create different payment modes for Payments and<br />

Receipts, linked to different nominal accounts (usually bank<br />

or cash accounts) - this is principally used to simplify bank<br />

reconciliation. You can specify bank record details against each<br />

supplier, and these will be applied by default to the purchase<br />

invoice - but may be overwritten. Payments can be made from<br />

any of your own bank or cash accounts. A batch routine exists<br />

to allow you to export a selection of payments as a Banking file,<br />

to be sent to your bank - for example in BACS format. This file is<br />

saved in common text format, which can be opened by almost all<br />

applications to reformat to the bank’s specification.<br />

Enterprise allows you to print remittance advices for any range<br />

of payments or receipts. This form can be customised to permit<br />

automatic cheque printing in certain circumstances.<br />

In other respects, payments work in the same way as receipts,<br />

allowing you to process bank charges and foreign exchange<br />

differences at the time of payment.Enterprise also has a separate<br />

Cash Ledger, allowing entry direct from Cash In and Cash Out<br />

screens. This is particularly useful when you want to restrict the Multi-dimensional Analysis<br />

This beginner’s guide has been designed to make it easier for you to begin<br />

working with Books by <strong>HansaWorld</strong>. For more detailed information, please<br />

refer to the pdf file of the Books by <strong>HansaWorld</strong> manual, which you will find on<br />

your installation CD.<br />

You can choose to sign an annual maintenance agreement that will offer you<br />

telephone support and the right to upgrade to the latest versions of Books by<br />

<strong>HansaWorld</strong>. For prices for maintenance please contact our support line on<br />

the number below.<br />

Installing your new Books software package<br />

In order to install your Books by <strong>HansaWorld</strong> software package you will need<br />

to follow the instructions relevant to your operating system (i.e. Windows or<br />

Mac OS X).<br />

Mac OS X<br />

Books by <strong>HansaWorld</strong> requires Mac OS X 10.5 or later.<br />

1. Open the CD and drag the Books application to your ‘Applications’<br />

folder.<br />

2. Start the application by double-clicking.<br />

Windows<br />

Books by <strong>HansaWorld</strong> requires Windows 2000/2003/Vista/XP.<br />

1. From the CD, launch the installer (named bks-install-test-client.msi) by<br />

double-clicking.<br />

2. Choose where you want Books to be installed: the default is to install<br />

it in a new directory in your ‘Program Files’ directory. Click the [Install]<br />

button.<br />

Buttons: New, Duplicate, Cancel, Save<br />

The generic buttons in the Books by <strong>HansaWorld</strong> button bar are present in<br />

every window.<br />

The [Save] and [Cancel] buttons serve to accept or reject changes to records.<br />

You can use the [New] button to create a new blank record for data entry, or the<br />

[Duplicate] button to create a new record by copying an existing one.<br />

For example, you can create a copy of a previous Invoice simply by finding<br />

the Invoice, clicking the [Duplicate] button and then amending any details in<br />

the new Invoice prior to saving. You can use this button to duplicate Items,<br />

Customer details, Accounts, etc. This will save you a vast amount of time.<br />

Operations Drop Down Menu<br />

The Operations drop down is one of Books by <strong>HansaWorld</strong>’s most powerful<br />

tools. The Operations drop down changes according to each screen that<br />

you are in. Every frequently executed but ‘special’ function will be found on<br />

this menu. Examples include being able to OK (post to the Nominal Ledger)<br />

Invoices and other transactions from the browse windows, and being able to<br />

write off outstanding amounts while receipting a customer payment.<br />

Visit the Operations drop down whenever you are in a new screen to appreciate<br />

fully the many powerful shortcuts that Books by <strong>HansaWorld</strong> contains!<br />

Looking Up Records (ʻPaste Specialʼ)<br />

You can use the -Enter (Mac OS X) and Ctrl-Enter (Windows) key combination<br />

to produce a list of allowed entries in many fields. Selecting the required<br />

entry by double-clicking will bring the selected entry into the current field.<br />

3. The Books application will be installed in your chosen location, and a<br />

shortcut will be added to your Start menu.<br />

4. Start the application by double-clicking, or from your Start menu.<br />

Changing the User Interface<br />

You can move and resize the windows in Books by <strong>HansaWorld</strong>. Having done<br />

so, use the Save Position (Mac OS X)/Save Normal Position (Windows) option<br />

on the Window menu to save the new position and size. The new settings will<br />

be used each time you open the window in future.<br />

The Books beginner's guide is used to be posted up on hansamanuls.com or to be used by Support to send to customers<br />

via email. This material does not go inside the Books box.<br />

Books Installation Guide<br />

If you agree with the terms of the license agreement, press ‘I Agree’. Enter the<br />

Activation Code for your copy of Books (you can find this in the box) and press ‘Next’.<br />

If you wish to enter your Activation Code later, press ‘Next’ without entering anything.<br />

You can always go back and do it later by going to Routines, then Registration and<br />

pressing the ‘Enter Activation Code’ button.<br />

Complete the information about your company<br />

To have all required company information (e.g. telephone number, address) printed<br />

on your documents (e.g. invoices), press [⌘ + 0] to choose the System module,<br />

click on ‘Settings’, then double-click ‘Company Info’ and complete your company<br />

information.<br />

Note: Don’t forget to fill in the bank account number. This information is used for<br />

invoicing your customers and other functions within the system.<br />

Installation<br />

Insert the Books installation CD. Drag the Books application into the Applications<br />

folder and then start it by double-clicking on it.<br />

Choosing the installation type<br />

Upon starting Books for the first time, a Welcome window with four options will<br />

appear:<br />

Demo Company: Choose this option if you would like to see what a small business<br />

database looks like. This demo database has sample data in it and it should not be<br />

used for your business!<br />

New Installation: Choose this option to create a new database for your business.<br />

Enter your company’s name, address and contact details. Then enter your log-in<br />

information and choose a password. We strongly recommend that you choose the<br />

‘Start with standard chart of accounts’ option. This will import our standard settings<br />

to your new database. This way you can avoid having to set up report definitions, a<br />

chart of accounts and other settings on your own. To continue, press ‘Create’ and<br />

log in.<br />

Note: You can leave the password field blank if you choose to, but it is not<br />

recommended.<br />

Books.hdf) contains all your settings and data for Books.<br />

Important: Whenever you start your Books application, it will always try to open<br />

Books.hdf, located in your home directory’s Library/Application Support/<strong>HansaWorld</strong><br />

folder. If you rename, move or delete the database file and then start Books, a new<br />

Books.hdf file will be created. If you chose the ‘Demo Company’ installation option<br />

when starting Books for the first time, the Welcome window will continue to appear<br />

each time you start Books: click the ‘Demo Company’ option each time. When you<br />

decide to create your own database, click the ‘New Installation’ option in the Welcome<br />

window. The Welcome window will continue to appear on startup, and you can click<br />

‘Existing Installation’ or ‘Demo Company’, depending on whether you want to work in<br />

your own database or try something new in the demo database. When you no longer<br />

need the demo database, remove the tick from ‘Show on Startup’ in the Welcome<br />

window. From now on, the Welcome window will no longer appear when you start<br />

Books.<br />

Registration<br />

To use the program to its full extent you need to register your Books license online.<br />

Note: You must register within a 30-day period or the application will go into<br />

Restricted Mode, preventing you from printing.<br />

Import backup: Choose this option if you have a back-up file from an earlier Books<br />

installation. When you select this option, you will be prompted to select the location<br />

of your back-up file.<br />

Connect to server: Choose this option if you wish to install a client for an existing<br />

Books server. Choose the server from the list if it is located within your local area<br />

network, or specify its IP address and port number if you want to connect to the<br />

server via the Internet.<br />

Where your data gets stored<br />

After choosing the installation type, a database file will be created in your home<br />

directory’s Library/Application Support/<strong>HansaWorld</strong> folder. The database file (named<br />

process. Pressing the ‘Registration’ button will show your current registration details.<br />

Then, press ‘Register this Product’. A new window will prompt you to choose your<br />

country. Press [⌘ + Enter] to bring up a list of countries and choose your country<br />

from the list. Then press ‘Next’.<br />

If you have registered Books before, you can enter your existing Customer and Tax ID<br />

number and press ‘Next’. If not, leave these fields empty, press ‘Next’ and fill in the<br />

rest of your company information.<br />

Note: The most important fields are Company Name, Invoice Address, Phone and<br />

Main Contact. Press ‘Next’.<br />

Ruigrok explains, “We conducted a selection process where we<br />

informally looked at 6 solutions on the market, then shortlisted<br />

and formally evaluated the final 3 solutions. Following a series<br />

of demonstrations and other investigations we concluded<br />

that Enterprise was broad enough to touch every area of our<br />

business with the added major bonus of being able to run native<br />

on the Apple platform.<br />

Another important factor is that we run our operation over multiple<br />

locations and it was a key requirement to have a lightweight<br />

client that was not network intensive. Many of the other software<br />

vendors offered solutions that were high bandwidth and low<br />

performance which, with our volume of transactions, just wasn’t<br />

worth the risk.<br />

Last but not least it was paramount that we felt the comfort that<br />

we were dealing with a like-minded company who understood<br />

our business needs. At the end of the day no CRM upgrade or<br />

migration is an easy task and the type of business you choose to<br />

Computers Now implemented <strong>HansaWorld</strong> between the months<br />

of July and November 2007.<br />

Ruigrok says, “It was refreshing to have the initial commitment<br />

and understanding to the way we do business and to see that it<br />

was followed through in every step of the project implementation.<br />

An implementation like this is full of challenges in every area of<br />

the business. It is never easy but having the right team on the job<br />

can make or break the challenge.<br />

The final result is that we currently run Enterprise with an average<br />

of 140 users across 8 retails stores with a suite of Full financials,<br />

Centralised purchasing, Full inventory management, Workshop<br />

service/repairs, Education and Corporate sales, CRM for<br />

opportunity tracking as well as sales and marketing departments.<br />

“With Enterprise we have dramatically reduced training time<br />

for retail operations by 75%. Despite considerable growth as a<br />

business, we have maintained the same number of people in<br />

the commercial accounts department through better control of<br />

information. Integration of our quoting and orders processing<br />

time reduced by 20%. This is a major efficiency improvement for<br />

us considering we do more than a 1000 transactions per day!”<br />

a month after we went live with the system! The big assumption<br />

is that if you are only 4 weeks into a new system then people are<br />

Intelligence tools and integration of more business workflow<br />

using the standard tools offered in the software.<br />

There are plans to increase the number of users as the<br />

organisation continues to increase in size.<br />

30. Automatic upload of exchange rates<br />

In some countries, <strong>HansaWorld</strong> offers a monthly service (deployed<br />

as Software as a Service) whereby exchange rates can be picked<br />

up automatically from central banks - removing data entry in this<br />

area, and the possibility of mistakes which require expensive<br />

resources to fix.<br />

Microsoft Dynamics NAV has no such feature.<br />

31. Shared registers<br />

In a <strong>HansaWorld</strong> Enterprise multi-company installation, each<br />

register is held separately in each company, so for example a five<br />

company installation would have five separate Contact registers.<br />

<strong>HansaWorld</strong> Enterprise offers the possibility to share the Contact<br />

register either across all companies, or just a selection of those<br />

five - and as a result a Contact whose details need to be in all five<br />

companies will appear there with a single entry.<br />

Microsoft Dynamics NAV has no such feature.<br />

32. International implementations<br />

<strong>HansaWorld</strong> is sufficiently small, with personal contact with all<br />

resellers, that it is possible to have a single project manager for any<br />

international implementation, and genuine interaction between all<br />

members of the team.<br />

Microsoft Dynamics NAV offers no such possibility; there will be<br />

multiple resellers involved, all competitive, with no central control.<br />

SECTION G: ANALYSIS AND REPORTING<br />

33. Analysis<br />

<strong>HansaWorld</strong> Enterprise offers up to 15 levels of analysis on financial<br />

transactions (Objects), and 30 levels on static data (customer and<br />

item classifications).<br />

Microsoft Dynamics NAV has four level of analysis.<br />

<strong>HansaWorld</strong> Enterprise offers Business Intelligence from within the<br />

application, launched directly from KPIs. Pre-existing BI templates<br />

ensure that deployment is immediate.<br />

Microsoft Dynamics NAV has no inline possibility, no standard partnerships<br />

with BI providers, and no pre-existing templates for BI. As<br />

a result there are hundreds of hours required to produce BI. Also<br />

the lower level of analysis within the product makes the end result of<br />

BI dramatically less effective than HWE.<br />

35. Real-time reporting<br />

All of <strong>HansaWorld</strong> Enterprise’s reporting is available real-time, right<br />

through to consolidated reports and business intelligence. Parallel<br />

reporting ensures this doesn’t impact scalability.<br />

Microsoft Dynamics NAV has no consolidated reports, and no realtime<br />

business intelligence options.<br />

36. Customisation<br />

<strong>HansaWorld</strong> Enterprise’s HAL language is simpler, and consequently<br />

cheaper to deploy and upgrade.<br />

Microsoft Dynamics NAV has reasonably strong tools for customisation.<br />

However, these are complex to deploy, and upgrading as a<br />

result takes time and requires careful management.<br />

37. Availability of source code<br />

All of <strong>HansaWorld</strong> Enterprise’s application logic is in HAL (Hansa<br />

Application Language), the customisation engine. <strong>HansaWorld</strong><br />

makes available all HAL Source Code to anyone who has successfully<br />

taken training on HAL - making it simple to tweak existing code,<br />

and to create new functionality that looks similar to any existing<br />

code.<br />

Microsoft does not offer Microsoft Dynamics NAV source code to<br />

anyone, even its accredited partners.<br />

SECTION I: INTERNET SERVICES<br />

38. Internet Services<br />

<strong>HansaWorld</strong> Enterprise has the technology to offer third-party services<br />

on a Software as a Service model, with subscription pricing,<br />

no software installed at customer site, no upgrade issues, and the<br />

ability to switch the service on and off at a moment’s notice.<br />

In different countries, these include:<br />

• credit checking, providing a full credit report on the prospect/<br />

customer<br />

• eInvoicing<br />

• postcode/address validation<br />

• eBanking<br />

• SMS handling<br />

• credit card processing<br />

• exchange rate pickup from central banks<br />

• mapping<br />

• interaction with shipping companies (e.g. Fedex)<br />

Microsoft Dynamics NAV has no internet services. All third-party<br />

services have to be connected using expensive interfacing written<br />

specifically for each customer and deployed separately at each<br />

site. Upgrades will be consequently much more complex and<br />

expensive.<br />

<strong>HansaWorld</strong> Enterprise offers a fully-configurable, style-sheet<br />

driven webshop that allows users to manage content, without<br />

technical skills in areas such as HTML. It is delivered as part of a<br />

complete web engine that is part of the ERP system, not a separate<br />

application requiring interfacing - and so users can interact with any<br />

driven webshop that allows users to manage content, without<br />

application requiring interfacing - and so users can interact with any<br />

web pages. For example, suppliers can be emailed URLs with each<br />

Purchase Order, that take them back to the Purchase Order record<br />

to allow the supplier to enter the expected delivery date. This gives<br />

the possibility of offering direct access to external partners from a<br />

web portal to place orders, track the status of the order, follow up<br />

on serial check stock levels for Items, subassemblies and components.<br />

While Navision was originally written also for small companies,<br />

the company was no longer selling to such companies even when<br />

Microsoft bought the product. Also the smaller customers were<br />

only in Denmark, and so the ease of use was not translated into an<br />

international product. Microsoft’s objectives as owners are primarily<br />

related to continuing sales of its other applications from SQL<br />

Server through to Sharepoint, removing all pretence of retaining the<br />

simplicity required by smaller companies that retains ease of use<br />

throughout the offering.<br />

Microsoft Dynamics NAV has no drag and drop, and no simple error<br />

correction (aside from reversing the offending entry and re-entering<br />

it, leaving no option for clean management reports). There is no<br />

drilldown.<br />

2. Future Safety<br />

<strong>HansaWorld</strong> is independently owned, and investing around 35% of<br />

turnover in product development. It has retained a significant lead<br />

on its competitors in releasing new technologies, and the strategy<br />

of not relying on third parties is a key component in continuing<br />

to deliver in this area. The Group Managing Director, Karl Bohlin,<br />

remains the visionary behind the product, and drives the adherence<br />

to strict architectural and design guidelines that ensure Hansa-<br />

World Enterprise continues to outperform.<br />

The original team behind the Navision product that is now Microsoft<br />

Dynamics NAV left Microsoft fairly quickly after the takeover. There<br />

are no senior developers or designers left from that team, leaving<br />

customers worldwide through word of mouth as a result of satisfied<br />

reference customers. In 2008 <strong>HansaWorld</strong> Enterprise got the<br />
