Online Services Make File Sharing a Snap<br />

What if you need to send someone a large file, such as a slide<br />

presentation? Email programs choke on file attachments that<br />

are several megabytes. In the past, you had to fuss with techie<br />

stuff such as FTP (file transfer protocol). Now you can choose<br />

from several services that handle large-file transfers for you.<br />

Most of these services have a free option for<br />

rel atively small files, while offering additional<br />

features and larger file sizes<br />

for a price. YouSendIt is one of the<br />

most popular file-transfer and file-sharing<br />

services around.<br />

Note: If you work on files with others,<br />

you can share folders using Drop -<br />

box (<strong>BetterInvesting</strong>, October 2012) or<br />

other cloud-based storage services such<br />

as Google Drive and SkyDrive.<br />

The basic concept for a file transfer<br />

service is simple, as YouSendIt illustrates<br />

(see screenshot, this page):<br />

■ 1. You upload the file or folder that<br />

you want to send to the service.<br />

(The file is stored on the service’s<br />

online servers.)<br />

■ 2. You choose the recipients you want to send the file<br />

or folder to.<br />

■ 3. Depending on the plan you choose, you select additional<br />

settings.<br />

■ 4. The service sends your recipients emails that contain<br />

a link that they click to download the file.<br />

YouSendIt offers several plans for sending and sharing<br />

files. The free service, YouSendIt Lite, gives you 2 GB of<br />

online data storage. You can send files as large as 50 mega -<br />

bytes. (You do have to sign up for an account to use it.)<br />

As you might expect, the free service doesn’t offer extra<br />

bells and whistles.<br />

If you spring for a paid YouSendIt plan, you get more<br />

storage, more users, larger files sizes and more features.<br />

YouSendIt Pro ($9.99/month) is ideal for small businesses.<br />

It offers 5 GB of storage and 10 e-signatures. (E-signatures<br />

are like users, so different people can send files through<br />

the account.) YouSendIt Pro Plus ($14.99/month) offers<br />

unlimited storage and unlimited e-signatures.<br />

YouSendIt Pro and Pro Plus transfer files up to 2 GB in<br />

size. If you need to transfer larger files, you can turn to<br />

other services, such as Egnyte, SendThisFile and SugarSync,<br />

which handle unlimited file sizes. Another YouSendIt lim -<br />

itation is that files you send are available for only 14 days<br />

before they expire. Egnyte keeps files around for an unlimited<br />

number of days.<br />

Recipients can download the files sent an unlimited<br />

number of times, although sharing is not unlimited.<br />

YouSendIt limits the total amount of data your recipients<br />

can download during a month (1GB for YouSendIt Lite,<br />

40 GB for YouSendIt Pro). If downloads exceed that limit,<br />

you can pay for more download bandwidth for that month.<br />

When you send files to others, you can set up a<br />

message containing your personal or company information<br />

(and logo). If other people send<br />

files to you (for example, if you’re a<br />

financial planner or bookkeeper), you<br />

can create a customized dropbox. You<br />

can include the link to that dropbox in<br />

an email message that you send to<br />

people or add the link to your website.<br />

People then click the link and can<br />

upload their files right to your customized<br />

dropbox.<br />

You can share and transfer files from<br />

the YouSendIt website or use your<br />

computer or smartphone. YouSendIt<br />

Express is a program that installs<br />

on your PC or Mac. With YouSendIt<br />

Express you can transfer files or folders to others without<br />

opening your browser. On the other hand, the YouSendIt<br />

DesktopApp is a file storage program that installs on your<br />

PC or Mac.You store files on your computer and they sync<br />

with your other devices. You can share folders with<br />

others, too. The YouSendIt Outlook Plugin lets you send<br />

files or folders directly from Outlook. But wait, there’s<br />

more: YouSendIt has apps for Windows 8 desktop com -<br />

puters, iPhones, iPads, Android smartphones, Windows 8<br />

phones and Windows 8 tablets.<br />

If you’re concerned about security (and who isn’t?),<br />

you might like YouSendIt’s security features. It uses 128-bit<br />

SSL encryption. The company has redundant, secure data<br />

centers in two locations. (The data centers have lots of<br />

phys ical and electronic security features, from biometric<br />

and video surveillance to construction that prevents<br />

dam age from fire, flooding, earthquakes or other natural<br />

disasters. It uses firewalls, network security and user<br />

authentication procedures to protect your data. You can<br />

YouSendIt does a great job of keeping track of your<br />

files. You get a confirmation message when you upload a<br />

file to send. You get another message when a recipient<br />

downloads a file.YouSendIt also tells you how many times a<br />

file you sent has been downloaded and who downloaded it.<br />

Another cool feature of YouSendIt is document signing.<br />
