Thank you for your interest in substitute opportunities within the <strong>Mansfield</strong> <strong>Independent</strong> <strong>School</strong><br />
<strong>District</strong>. We are excited that you have chosen to become a part of our Professional Learning<br />
Community.<br />
Substitutes are needed on a daily basis for both our teacher and paraprofessional staff when<br />
students are in school. The 2013-2014 school year begins August 26, 2013 and ends June 5,<br />
2014. (June 6 th if a bad weather day becomes necessary)<br />

Any substitute can be hired for one-half (1/2) day at half the above stated daily rates. A half-day<br />
consists of four hours of work. The standard ½ day hours are as follows:<br />

Long Term Substitute<br />
The district goal is to fill all Long Term assignments with current substitutes who are fully<br />
certified in the appropriate subject area. Available positions are posted online and applicants<br />
must submit an updated resume to the Principal’s contact information listed for the assignment.<br />
Long Term substitute eligibility is based on fully certified status and highly qualified in the subject<br />
area of the teaching assignment. All Long Term substitutes must be approved by HR. An e-mail<br />
from the substitute office is sent confirming their approved status.<br />
Long Term Substitutes are paid $100.00 after the 10 th day in an approved consecutive<br />
assignment.<br />
Mandatory Technology Training<br />
Effective for the 2013-2014 school year, substitutes must complete the online Substitute<br />
Technology Training course. Upon the successful completion of the course, substitutes will<br />
receive a User ID/Password and access to basic computer services. Please note: The usage of<br />
technology is still limited to the requests outlined in the teacher’s lesson plan.<br />

The Substitute Orientation<br />
The purpose of the <strong>Mansfield</strong> <strong>ISD</strong> Substitute Orientation is to review prospective substitutes of<br />
the application process, the duties and responsibilities of the substitute and the district substitute<br />
expectations. In addition, training for emergency operations procedures are provided by the<br />
M<strong>ISD</strong> Police Department during the orientation. Attendance is required for all New Substitutes<br />
or those who have been Inactive for at least one year and would now like to return.<br />
After completing the Substitute New Hire Packet and bringing your forms and items to<br />
the Substitute Office for processing, you will be able to register for the upcoming<br />
orientation session in the substitute office.<br />

New for 2013-2014 Certified Teachers: If you are a Certified Teacher, you are eligible to<br />
attend the mini-orientation as outlined on the Substitute Orientation schedule.<br />
Make sure you have reviewed the Substitute New Hire Process. You must bring your<br />
completed forms and items to the Substitute Office FIRST and then sign up for a specific<br />
orientation to attend.<br />
M<strong>ISD</strong> Center for the Performing Arts – 1110 W. Debbie Lane<br />
<strong>Mansfield</strong>, TX 76063 (Located next to the Ben Barber Career Tech Academy)<br />
M<strong>ISD</strong> Observation Requirement<br />
Substitute applicants are required to obtain 6 hours of classroom observation at a <strong>Mansfield</strong><br />
<strong>ISD</strong> campus before attending the Substitute Orientation.<br />
You will be given the appropriate Observation Verification Form to complete when you bring<br />
your completed Substitute New Hire forms and items to the Substitute Office for processing.<br />
DO NOT REPORT TO A CAMPUS FOR OBSERVATION HOURS UNTIL YOU RECEIVE YOUR OBSERVATION<br />
VERIFICATION FORM FROM THE SUBSTITUTE OFFICE.<br />

Applicants must obtain 6 hours in the following categories:<br />
2 hours at the elementary level (Pre K-4 th )<br />
2 hours at the mid level (5 th -8 th )<br />
2 hours at the high school level (9 th -12 th )<br />
We highly recommend that you visit a variety of classes including general education, special<br />
education, career technology programs, fine arts programs and elective courses.<br />
Note: If you are applying to substitute at only one campus level, all 6 of your hours can be at<br />
that level. Example: An applicant wanting to substitute at the high school level only would<br />
obtain all 6 of their hours at the high school level. If you only want to substitute at two levels<br />
your observation hours will be split evenly between the two levels. (Ex. 3 hours at elementary<br />
and 3 hours at mid-level)<br />
*Exceptions to the observation requirement: (No observation hours required.)<br />
Certified teachers may substitute in the area of their certification level without observing<br />
first.<br />
M<strong>ISD</strong> Student Teachers may substitute at the campus level of their internship experience<br />
without observing first.<br />
All other applicants for substitute teaching must complete the observation hours.<br />
Observation Requirement Steps:<br />
1. Turn in Substitute New Hire completed forms and required items<br />
2. Receive the Observation Verification Form from the Substitute Office<br />
3. Contact desired campus to schedule observation time<br />
4. Complete classroom observation hours<br />
5. Obtain campus verification signatures from either a campus administrator or the<br />
campus Aesop navigator on the Observation Verification Form<br />
6. Bring Observation Verification Form to the Orientation<br />
Please bring your completed New Hire Packet and the required items to our office between 8:30<br />
and 11:00 or 1:30 and 3:30 for processing.<br />
Returning Substitute Application Process<br />
Substitutes who have performed their duties in an acceptable manner during the course of the<br />
year and have ended the year with an active status are eligible to return.<br />
Reactivation Steps<br />
1. Complete the Reasonable Assurance Letter available at the end of the school year and<br />
return it to Tina Riechers in HR. mailto:tinariechers@misdmail.org<br />
2. Attend one of the summers Returning Substitute Training Sessions.<br />
3. Update badge (if necessary).<br />
4. Return handbook acknowledgement form.<br />
5. Complete online Technology Training<br />

Successful completion of the Returning Substitute Training Sessions and the return of<br />
your Reasonable Assurance Letter will warrant reactivation into the AESOP Substitute<br />
System for the upcoming school year.<br />
Returning Substitutes missing the summer sessions will need to attend during a new substitute<br />
orientation, in order to reactivate their status. Attendances at these sessions are limited and are<br />
by appointment only. Please contact the substitute office for further information.<br />
Accepting an Assignment<br />
Substitutes can accept assignments via the phone or internet in “Real Time” on a 24 hour basis.<br />
Once you have been processed into Aesop you will receive a Welcome Letter with your ID<br />
Number and PIN Number. The Welcome Letter will explain how to access the AESOP system.<br />
An overview of the Aesop procedures is included in the Aesop Quick Start Guide.<br />
Assignments in Your Child’s Class<br />
Substitutes are prohibited from substituting in their child’s room and are discouraged from<br />
working in a relative’s room. Failure to comply with this policy will result in a block from<br />
the substitute list for that campus and/or the district.<br />
Canceling an Assignment (Requires contacting the campus AESOP contact via phone<br />
and email)<br />
Call the Campus Aesop Contact (Page 34-35). Do not call the HR Office.<br />
1. Only the campus can cancel assignments. There is no way for you to do this yourself<br />
in Aesop, and HR cannot cancel it for you. You must call the campus<br />
Make sure you are calling the Campus Aesop Contact number supplied on the Campus<br />
Aesop Contact page found in this Substitute Handbook, not the main campus phone<br />
number.<br />
Try to give as much notice as possible so you can be removed from the assignment and<br />
someone else can pick it up.<br />
Make sure you give them the reason you are unable to keep your assignment.<br />
Make every effort to speak to the campus Aesop contact person, otherwise make sure<br />
you can leave a voice message. If you call and do not get a person or a voice mail please<br />
continue calling until a person or a voicemail is reached.<br />

Note in the e-mail when you called (date and time) and who you spoke with.<br />
Reiterate your reason for canceling.<br />
NOTE: The e-mail is to be used in addition to the phone call. It does NOT replace the phone<br />
call.<br />
Substitute Discipline Management Plan and Evaluation of Performance<br />
Concerns regarding substitute conduct or job performance are reported to and resolved in the<br />
office of Human Resource Development.<br />

Guidelines<br />
Campus concerns regarding substitute conduct or performance are forwarded for review<br />
along with the documentation of the concern. Documentation includes an overview of the<br />
concern along with the supporting statements from the substitute, teacher(s), staff or<br />
students as appropriate.<br />
• Initial concerns must be sent to the <strong>District</strong> Aesop Coordinator (Tina<br />
Riechers) via e-mail as soon as possible. (preferably the same day of the<br />
concern)<br />
• Once a concern has been raised, substitutes are temporarily deactivated<br />
from AESOP and notified to contact Venetia Sneed, Director of HR<br />
Development.<br />
• Campus administration must investigate the incident and forward<br />
subsequent documentation in a timely manner.<br />
• Based on the nature and timing of the concern, substitutes may be asked to<br />
meet with the campus administration to secure their statement.<br />
<br />
<br />
A conference will be held with the substitute and the Director of Human Resource<br />
Development (via phone or office visit) regarding the campus concern.<br />
Depending on the nature of the concern, the statements provided, the substitute<br />
input and conference with the Director of HR Development, one of the following<br />
courses of action will take place:<br />
o The concern can be simply noted in the substitute file and the substitute reinstated<br />
to full active status.<br />
o The substitute can be given a warning and then reinstated to full active substitute<br />
status.<br />
o The substitute can be blocked from the campus submitting the concern.<br />
o The substitute can be blocked from an entire campus level (i.e. all high schools).<br />
o The substitute can be blocked from all M<strong>ISD</strong> campuses and removed from the<br />
active substitute list permanently.<br />
o The concern can be dismissed.<br />
Documentation of all concerns and subsequent consequence are filed in the Substitute’s<br />
Personnel File.<br />
Note: The office of HR Development works collaboratively with the campus administration to<br />
resolve concerns regarding substitute performance. Consequences resulting from subsequent<br />

Automatic Deposit<br />
Substitutes are paid via Automatic Deposit and will complete the Automatic Draft Deposit Form<br />
as part of their employment paperwork. Please bring a voided check or a letter from your bank<br />
with your savings account information on it for payroll deposit information. Direct deposit is<br />
required for substitutes to remain active in the substitute system.<br />
Bad Weather Days<br />
The closing of schools due to inclement weather is the decision of the district administration. The<br />
decision to cancel school will be made as early as possible and the radio and TV stations listed<br />
below will be notified. They, in turn, will announce the closure. The Aesop calendar will be<br />
closed for inclement weather after the district has made the official announcement. Please do<br />
NOT call school offices or teachers for such information.<br />
Weather and road conditions can vary greatly from area to area. As a result, you, as parents, are<br />
the final decision makers regarding your son/daughter's attendance. Please notify the school<br />
office if your son/daughter will not be in school or should be dismissed early due to weather<br />
conditions.<br />
In the event of inclement weather <strong>Mansfield</strong> <strong>ISD</strong> will announce school closing or delay using the<br />

Best Interest Letter<br />
Substitutes that are permanently deactivated for inappropriate behavior will receive a “Best<br />
Interest” Letter in the mail. This letter contains the following non-negotiable statement. “After<br />
review, it has been determined, in the best interest of the district, that your name be<br />
removed from the substitute list and you not continue to substitute for the <strong>Mansfield</strong><br />
<strong>School</strong> <strong>District</strong>.” Please note that a Best Interest Letter can be sent at anytime during the<br />
substitute application or employment process.<br />
Change of Status<br />
Once an Active Employment Status and a substitute file has been created, written notification<br />
must be made to the HR Office of any change of address or phone number. Substitutes must<br />
also give written notification to the HR Office if the individual desires to be removed from the<br />
substitute list temporarily or permanently.<br />
Classroom Policies and Procedures<br />
Substitutes can expect to find a Subfolder prepared by the classroom teacher outlining specific<br />
duties and responsibilities to govern the day. In the event that a Subfolder is missing or lesson<br />
plans/activities for the day are not identified, the substitute needs to notify the campus<br />
administration of the missing information and check with the department head, team leader or<br />
neighboring teacher for assistance.<br />

Computer Access and Use<br />
Due to the confidential information that is contained on the teacher’s computer, access to<br />
technology is limited for regular substitutes. Substitutes are not permitted to access district<br />
employee’s computers unless the substitute has completed the Substitute Technology Training<br />
and signed the <strong>District</strong>s Acceptable Use of Technology Policy.<br />
Substitutes are also prohibited from bringing their own Laptops, I-Pods, I-Pads or other<br />
such devices.<br />
Limited access reduces the risks of mistakes, misuse, inappropriate student behavior and<br />
unacceptable or accidental situations occurring.<br />
*All substitutes will sign the <strong>District</strong>s Acceptable Use Technology Policy located in the<br />
Substitute New Hire Packet as part of their hiring paperwork. Failure to comply with the policy<br />
will result in the termination of substitute employment.<br />
Continuation of Employment<br />
<strong>Mansfield</strong> <strong>ISD</strong> will afford substitute employees the opportunity to return for continuation of<br />
employment for each succeeding year by signing a Letter of Reasonable Assurance issued by<br />
the <strong>District</strong> at the end of the year and by participating in the Emergency Operations Procedures<br />
Training.<br />

This opportunity is available to all substitutes who have performed their duties in an<br />
acceptable manner during the course of the year and have ended the year with an active<br />
status.<br />
Emergencies<br />
All individuals seeking substitute employment must participate in the annual <strong>Mansfield</strong><br />
Emergency Operations Procedures Training (EMOP) before they can be activated in the Aesop<br />
system. This training is a standard part of the New Substitute Orientation and offered several<br />
times during the summer as a refresher course for Returning Substitutes.<br />
Administrators and the M<strong>ISD</strong> Police Department conduct emergency drills designed to ensure<br />
the orderly movement of students and personnel to the safest areas available. All substitutes<br />
should become familiar with the evacuation plans posted in their area. Each person should<br />
know the location of the fire extinguishers and be familiar with how to use them. (Handouts<br />
regarding the emergency training are given out by the M<strong>ISD</strong> Police during the training session.)<br />
HIPPA Privacy<br />
Individually identifiable health information that relates to an individual’s past, present or future<br />
physical or mental health or condition to the provision of health care to that person is<br />
confidential. Substitutes are expected to maintain confidentiality and limit disclosure to those<br />
individuals who have an “educational need to know.”<br />
ID Badges<br />
All substitutes are required to visit the <strong>Mansfield</strong> <strong>ISD</strong> Police Department following the completion<br />
of their Substitute New Hire paperwork to obtain an official district badge. An authorization<br />
clearance form will be given to you in HR to take to the Police Department for processing. Do<br />
not go to the Police Department without first completing your paperwork in HR and receiving the<br />
ID Badge Authorization Form. ID Badges are required and are to be worn every day at work.<br />
A Lanyard will be provided for use with the badges/keys (free of charge) to all active substitutes.<br />
Items Requiring <strong>School</strong> Approval<br />
Students are not excused to leave school under any circumstance without school<br />
approval.<br />
No written communication should be sent to parents without permission from the<br />
principal.<br />
Accidents involving students must be reported to the office immediately.<br />
Students cannot be kept after hours.<br />
Job Availability<br />
Since substitutes are able to set the parameters of their job availability when they create their<br />
Aesop Profile, <strong>Mansfield</strong> assumes substitutes are available and willing to work within the<br />
schedule they generate for themselves. Therefore, substitutes who are consistently unavailable<br />
for work or who do not pick up jobs when called by the system will be purged from Aesop and<br />
considered inactive substitutes.<br />

Key Exchange Policy<br />
To provide another level of security and to ensure that all staff are able to secure their door in<br />
case of an emergency, substitutes are given a key to the classroom door(s) of their assignment<br />
for the day in exchange for their car keys. All keys are stored in a portable, secured, lock-box<br />
and redistributed to the substitute at the end of the day.<br />
Substitutes who fail to return the campus room key at the end of the day will be<br />
deactivated until the key has been returned. It is possible that a fine for a replacement<br />
room key may also be assessed.<br />
Parking on Campus<br />
Substitutes at the high school level (which includes the Ben Barber Career Tech Academy and<br />
AEC/BIC) are required to have a parking permit for their vehicle prior to reporting to a job. There<br />
is no fee for a staff permit.<br />
Clearance forms for obtaining the permit will be given to substitutes when they bring their new<br />
hire forms to HR for processing. The M<strong>ISD</strong> Parking Rules and Guidelines will be discussed<br />
during the substitute orientation and substitutes will be given a hard copy of the district<br />
guidelines. Questions regarding parking on campus may be addressed to the M<strong>ISD</strong> Police<br />
Department at 817-299-6000.<br />
Payroll<br />
In order to ensure the accurate reporting of days worked, substitutes must sign in and out on the<br />
campus sign-in sheet with their name and employee number (which in most cases is their Aesop<br />
pin number as assigned by HR). Failing to do so could result in a substitute not being paid for<br />
that day. All signatures must be legible.<br />
In order to be paid at the correct pay scale you must have valid documentation on file. If you are<br />
a certified teacher your certificate must be valid. Expired or invalid teaching certificates will result<br />
in being placed on the degreed pay scale.<br />
Payday is the 20 th of each month. When the 20 th falls on a weekend or a holiday, substitutes will<br />
be paid on the work day preceding the weekend or holiday.<br />
The pay cycle is from the 21 st of one month to the 20 th of the next month.<br />
Security<br />
Principals are responsible for the security on their campus and are required to contact proper<br />
authorities should any problems arise on a school campus. Criminal history investigations are<br />
made on all employees and picture identification badges are supplied for substitutes when they<br />
are processed into the district.<br />
Sexual Harassment<br />
It is the official policy of this school district that students and employees should be treated<br />
honorably and with respect at all times. Students and employees should conduct themselves in<br />
a manner that encourages and promotes positive, wholesome relationships with others. The<br />
Board of Trustees recognizes that all persons should be free from unwelcome, offensive or<br />
otherwise inappropriate sexual advances, or activity. Such conduct is not appropriate in an<br />
educational environment, and the Board of Trustees will not tolerate sexual harassment or<br />
sexual abuse (verbal, non-verbal or physical) of students or employees.<br />

Student Code of Conduct<br />
The Student Code of Conduct identifies a broad range of behaviors that disrupt learning and are<br />
not acceptable in the <strong>Mansfield</strong> <strong>Independent</strong> <strong>School</strong> <strong>District</strong>. The behaviors are listed in Levels I,<br />
II, and III. When a student is found to have engaged in misconduct which may be classified into<br />
any of the three levels, that student will be subject to disciplinary action by the classroom<br />
teacher, assistant principal and/or principal. The policies and administrative procedures<br />
concerning student conduct apply to actions of students during school hours, before and after<br />
school while on school property/school transportation, at all school-sponsored events/activities,<br />
field trips, sporting events, assemblies, evening school-related activities, and when the actions<br />
affect the missions or operations of M<strong>ISD</strong>.<br />

Workers Compensation<br />
All district employees, in accordance with laws of the State of Texas, are covered by the district’s<br />
workers’ compensation fund. Only injuries occurring in the course and scope of the substitute’s<br />
job duties are covered. In the event of an injury while on duty, the substitute must notify the<br />
campus nurse. An incident report will be completed at that time and forwarded to the <strong>Mansfield</strong><br />
<strong>ISD</strong> Benefits Office. All substitutes will complete the Employee Acknowledgement of Workers’<br />
Compensation Network, which governs the Workers Compensation benefits, as part of their<br />
hiring packet.<br />
457 FICA Alternative Plan<br />
457 refers to a section of the IRS Code that allows you to save part of your earnings on a PRE-<br />
TAX basis. This lowers your current taxable income and helps your long term savings grow faster.<br />
The 457 FICA Alternative Plan is a savings program for employees who are not eligible to<br />
participate in the State Employees’ Retirement System. These individuals are normally parttime,<br />
seasonal, and temporary employees.<br />
Enrollment is automatic; 7.5% of your gross pay is deducted from your paycheck and invested for<br />

All faculty and staff members shall maintain a neat, clean and professional appearance. Employees will<br />

Professional Ethics<br />
The substitute has a professional responsibility even though he/he is not a contracted<br />
teacher.<br />
Caution should be used in expressing personal opinions about what is seen or heard in the<br />
classroom or on the campus.<br />
Comments comparing one school with another or comparing the students in one<br />
neighborhood or campus with another are discouraged.<br />
Under no circumstances should a substitute criticize the curriculum, classroom procedures,<br />
campus teachers or administration in front of the students.<br />
The substitute is responsible for carrying out the lesson plans left by the teacher<br />
A substitute’s personal views on subjects that can create controversy (religion, politics, drugs,<br />
sexuality, race relations) should not be brought into conversation with students.<br />
The substitute teacher is expected to perform all of the duties of the regular teacher unless<br />
the principal releases the substitute from a particular duty.<br />
The substitute teacher is not expected to perform the extra curricular or co-curricular duties of<br />
the regular teacher. (football practice, band practice, after school club meetings, etc.)<br />
A substitute should NEVER leave a class/classroom unattended or leave the campus during<br />
regular school hours without checking with the school staff.<br />
A substitute teacher is looked upon as a professional; therefore he/she should exercise<br />
discretion and good judgment in their choice of apparel.<br />
Classroom Instruction<br />
The substitute should endeavor to preserve the regular routine of the classroom. He/She is<br />
to follow the daily class schedule and lesson plans provided by the teacher. If lesson plans<br />
are not available, please check with another teacher, team leader, department chair or<br />
campus administration for assistance.<br />
The substitute teacher is to be an active part of the classroom instruction. Reading personal<br />
materials, sleeping, working on personal work, etc. is unacceptable and reasons for<br />
deactivation from the substitute system.<br />
The substitute teacher should not assign written work and leave it to be graded except at the<br />
request of the teacher.<br />
The substitute teacher has the same responsibility (as the regular teacher) for the students,<br />
equipment, and materials assigned to his/her care. All materials and equipment used by the<br />
substitute teacher are to be returned to the proper authority or location before the substitute<br />
leaves the campus.<br />
When individual students cause behavioral problems which are disruptive to the learning<br />
environment, the substitute teacher should refer those students to the campus administration<br />
with a discipline referral or note explaining the circumstances. NEVER administer corporal<br />
punishment or physical contact of any kind.<br />
The substitute should leave the regular teacher a brief summary of the day’s activities by<br />
class period. The teacher needs to know what portion of the lesson each individual class was<br />
able to complete.<br />

Substitutes are encouraged to accept assignments for both General and Special Education.<br />
We ask, however, that you review the list of Special Education Acronyms and the course<br />
description of the related class before accepting SPED positions so that you are familiar with<br />

AP – (Adaptive PE) A diversified program of developmental activities, games, sports, and<br />
rhythmical movements suited to the interests, capabilities, and limitations of students with<br />
general disabilities.<br />
CM/Resource – (Content Mastery) An instructional support service for identified special<br />
education students who receive their primary instruction in the general education setting.<br />
(Resource Classes) For students who need remediation and/or more intensive, individualized<br />
instruction, resource services are available. The emphasis is on core academic areas with the<br />
focus directed towards skill acquisition, acceleration, and or remediation.<br />
Specialized Special Education Classes<br />

FALS – (Functional Academic Life Skills) A self contained life skills program designed for<br />
students who demonstrate global moderate to severe developmental delays in all areas<br />
including cognitive, developmental, academic, and adaptive skills.<br />
FLS - (Functional Life Skills) Designed for students with profound cognitive impairments who are<br />
medically fragile.<br />
PPCD – (Preschool Program for Children with Disabilities) A school-based early intervention<br />
service for children age three through five.<br />
Star/Success – (Success) For students whose primary deficit is demonstrating appropriate<br />
behavior. Teachers assist the students in transitioning back into less restrictive placement<br />

The daily rate of pay for a teaching assignment is based on your educational background on file.<br />
48+ hours $75.00, degreed with a bachelors or higher $80.00, active teaching certificate $85.00<br />
per day. A para-professional or aide assignment is $55.00 per day, specialized Special Education<br />
paraprofessional assignments are $75.00 and half-day assignments are half of the designated<br />
daily rate.<br />
If you’re going to be late to an assignment, call the campus.<br />
If you need to cancel an assignment, call the campus.<br />
If you accept an assignment late, call the campus to tell them you are coming.<br />
No tobacco products/alcoholic beverages on campus.<br />
Do not leave campus without notifying the Campus Substitute Coordinator.<br />
Always follow the teacher’s instructions.<br />
Leave a note for the teacher – good or bad.<br />
Familiarize yourself with the department head or team leader; contact him/her with any<br />
questions/problems.<br />
DO NOT USE school computers, telephones, radios, electronic mail, internet access, VCR’s,<br />
DVD’s, etc., unless it is specified in writing by the teacher.<br />

FAQ’s: Frequently Asked Questions<br />
and Answers<br />
1. What do I do if I have accepted an assignment but need to cancel?<br />
Aesop does not give the option to cancel an assignment after you have accepted it.<br />
Proper procedure to cancel an assignment is to call the Campus Aesop Contact and let<br />
them know the reason you must cancel. Next, follow up with an e-mail to that person. The<br />
phone number and e-mail address for individuals is listed on the Aesop Campus Contact<br />
Page (32-33). It is advised that you contact the campus as soon as you know you need to<br />
cancel.<br />
2. How much notice should I give when I need to cancel an assignment?<br />
As soon as you know you cannot honor your commitment you should contact the<br />
campus. The longer you wait to cancel the harder it is for the campus to get someone to<br />
replace you. The day before is preferable. A delay in canceling can cause you to be<br />
blocked from that campus.<br />
3. What should I do if I need to cancel an assignment but I cannot contact the Aesop<br />
person by the phone?<br />
If you cannot talk to the Aesop contact person then you should leave a voice message<br />
on their answering machine or with an adult that may answer the phone. ALWAYS get<br />
their name, the time you called and follow up with an e-mail to the Aesop contact.<br />
4. What do I do if I am going to be late?<br />
Call the campus Aesop contact person as soon as you can to let them know you are<br />
on your way and why you are late.<br />
5. I created a Non-Work day in Aesop but now would like to work on that day. How do<br />
I delete it from the system?<br />
When you log into Aesop you will see your calendar on the left top corner of the screen.<br />
Click on the day you have marked as a Non-work day. You will see a small trash can next<br />
to the non-work day information. Simply click on the trash can, confirm your section and<br />
it will be deleted. See the Aesop Quick Start Guide for more information.<br />
6. Is it really necessary to wear my substitute ID badge?<br />
Yes. All district employees are required to wear their ID badges at all times. This is a<br />
safety measure we have in place to show who we are and that we are current employees<br />
of the district. Failure to wear your badge to an assignment could result in you being<br />
dismissed without pay for the day.<br />
7. What do I do if I lose my badge?<br />
If you have lost your badge contact the M<strong>ISD</strong> Police office at 817-299-6000 for a<br />
replacement. (There is a $5.00 replacement fee).<br />

8. When is the best time to look for assignments?<br />
Aesop is in real time so assignments are posted and can be accepted 24 hours a day, 7<br />
days a week.<br />
9. Why can’t I log into Aesop?<br />
If you cannot log into Aesop, after you have been activated into the system, please call<br />
the substitute office. There may be technical problems or you may have been<br />
deactivated for a call in. This basically means someone has brought an issue to our<br />
attention that affects you and we need to speak with you before you pick up any more<br />
assignments. All Aesop related issues should be directed to the Substitute Office.<br />
10. Is it ok for me to talk on my cell phone or text message during class time?<br />
No. Please see the Use of Technology Policy in substitute new hire packet.<br />
11. Am I allowed to use the computers at school or bring my own, anytime during the<br />
day to look for assignments, check my e-mail, or do my own school work?<br />
No. Please see the Use of Technology Policy in substitute new hire packet.<br />
12. What do I do if I need to use the technology in the classroom?<br />
Only substitutes that are technology trained and have successfully completed the M<strong>ISD</strong><br />
Substitute Technology Training can use the classroom technology.<br />
13. What if the teacher leaves her Technology access codes for me to use?<br />
Teachers are not permitted to share their access codes. Substitutes are to utilize the User<br />
ID and Password to access Technology, and fulfill the requirements of the assignment.<br />
14. Can I leave campus for lunch?<br />
Yes. Please check the allotted time for lunch prior to leaving. If you do leave you must<br />
check out and leave your classroom key in the office and check back in when you<br />
return.<br />
15. Will I be given a conference period?<br />
There is no expectation for a conference period. The conference period is not an off<br />
period/block. This time is set aside for teachers to create lesson plans, set up<br />
conferences, return parent phone calls or complete other activities related to their<br />
professional duties. On a day to day basis a substitute would not be doing these things.<br />
You may be asked to substitute in other classrooms during that time if there is a shortage<br />
on that day.<br />
16. How and when do we get paid?<br />
The pay period is from the 21 st of the one month to the 20 th of the next month. Payday is<br />
on the 20th of the month. If the 20th falls on a weekend, holiday, or break substitutes will<br />
be paid the Friday before or the day immediately prior to the 20th.<br />
All substitutes are required to have direct deposit or could be deactivated until direct<br />
deposit is established.<br />

17. What do I do if I have a problem or concern about a campus or<br />
assignment?<br />
Please contact Tina Riechers in the substitute office as soon as you can (preferably the<br />
same day) so the problem can be investigated and resolved.<br />
18. How often do I have to work to avoid being deactivated for inactivity<br />
and how do I get back on the active list?<br />
You must work at least once every 90 days to keep from being purged<br />
from the list. Anything less than this is considered sporadic.<br />
Contact the substitute office for a review of your status if you want to return following<br />
deactivation due to inactivity.<br />
19. What do I do if I no longer wish to substitute?<br />
Please submit in writing (or e-mail) a request to be removed from the substitute list and<br />
turn in your badge to the Substitute Office.<br />
20. Once I am no longer substituting, when am I eligible, and how do I<br />
obtain the money from my 457 FICA account?<br />
