by appointment only. Please contact the substitute office for further information.
Accepting an Assignment
Substitutes can accept assignments via the phone or internet in “Real Time” on a 24 hour basis.
Once you have been processed into Aesop you will receive a Welcome Letter with your ID
Number and PIN Number. The Welcome Letter will explain how to access the AESOP system.
An overview of the Aesop procedures is included in the Aesop Quick Start Guide.
Assignments in Your Child’s Class
Substitutes are prohibited from substituting in their child’s room and are discouraged from
working in a relative’s room. Failure to comply with this policy will result in a block from
the substitute list for that campus and/or the district.
Canceling an Assignment (Requires contacting the campus AESOP contact via phone
and email)
Call the Campus Aesop Contact (Page 34-35). Do not call the HR Office.
1. Only the campus can cancel assignments. There is no way for you to do this yourself
in Aesop, and HR cannot cancel it for you. You must call the campus
Make sure you are calling the Campus Aesop Contact number supplied on the Campus
Aesop Contact page found in this Substitute Handbook, not the main campus phone
number.
Try to give as much notice as possible so you can be removed from the assignment and
someone else can pick it up.
Make sure you give them the reason you are unable to keep your assignment.
Make every effort to speak to the campus Aesop contact person, otherwise make sure
you can leave a voice message. If you call and do not get a person or a voice mail please
continue calling until a person or a voicemail is reached.
2. E-mail the Campus Aesop Contact. (Not the HR Substitute Office)

Note in the e-mail when you called (date and time) and who you spoke with.
Reiterate your reason for canceling.
NOTE: The e-mail is to be used in addition to the phone call. It does NOT replace the phone
call.
Substitute Discipline Management Plan and Evaluation of Performance
Concerns regarding substitute conduct or job performance are reported to and resolved in the
office of Human Resource Development.
13

Guidelines
Campus concerns regarding substitute conduct or performance are forwarded for review
along with the documentation of the concern. Documentation includes an overview of the
concern along with the supporting statements from the substitute, teacher(s), staff or
students as appropriate.
• Initial concerns must be sent to the District Aesop Coordinator (Tina
Riechers) via e-mail as soon as possible. (preferably the same day of the
concern)
• Once a concern has been raised, substitutes are temporarily deactivated
from AESOP and notified to contact Venetia Sneed, Director of HR
Development.
• Campus administration must investigate the incident and forward
subsequent documentation in a timely manner.
• Based on the nature and timing of the concern, substitutes may be asked to
meet with the campus administration to secure their statement.

A conference will be held with the substitute and the Director of Human Resource
Development (via phone or office visit) regarding the campus concern.
Depending on the nature of the concern, the statements provided, the substitute
input and conference with the Director of HR Development, one of the following
courses of action will take place:
o The concern can be simply noted in the substitute file and the substitute reinstated
to full active status.
o The substitute can be given a warning and then reinstated to full active substitute
status.
o The substitute can be blocked from the campus submitting the concern.
o The substitute can be blocked from an entire campus level (i.e. all high schools).
o The substitute can be blocked from all MISD campuses and removed from the
active substitute list permanently.
o The concern can be dismissed.
Documentation of all concerns and subsequent consequence are filed in the Substitute’s
Personnel File.
Note: The office of HR Development works collaboratively with the campus administration to
resolve concerns regarding substitute performance. Consequences resulting from subsequent
investigations are under the direction of the office of HR Development.
General Evaluations
An optional electronic evaluation process is available for both substitutes and teachers to
complete. You may access the form on-line feedback form from your Aesop home page
following the completion of each assignment.
Your feedback is sent to the Human Resource office for review.
General Evaluations should not be used to report Campus Concerns. Please email
Campus Concerns to the Substitute Specialist.
Best Interest Letter
Substitutes that are permanently deactivated for inappropriate behavior will receive a “Best
Interest” Letter in the mail. This letter contains the following non-negotiable statement. “After
review, it has been determined, in the best interest of the district, that your name be
removed from the substitute list and you not continue to substitute for the Mansfield
School District.” Please note that a Best Interest Letter can be sent at anytime during the
substitute application or employment process.
Change of Status
Once an Active Employment Status and a substitute file has been created, written notification
must be made to the HR Office of any change of address or phone number. Substitutes must
also give written notification to the HR Office if the individual desires to be removed from the
substitute list temporarily or permanently.
Classroom Policies and Procedures
Substitutes can expect to find a Subfolder prepared by the classroom teacher outlining specific
duties and responsibilities to govern the day. In the event that a Subfolder is missing or lesson
plans/activities for the day are not identified, the substitute needs to notify the campus
administration of the missing information and check with the department head, team leader or
neighboring teacher for assistance.
See Helpful links on Page 40 of this handbook for websites containing instructional information
and tips for successful substituting.
Computer Access and Use
Due to the confidential information that is contained on the teacher’s computer, access to
technology is limited for regular substitutes. Substitutes are not permitted to access district
employee’s computers unless the substitute has completed the Substitute Technology Training
and signed the Districts Acceptable Use of Technology Policy.
Substitutes are also prohibited from bringing their own Laptops, I-Pods, I-Pads or other
such devices.
Limited access reduces the risks of mistakes, misuse, inappropriate student behavior and
unacceptable or accidental situations occurring.
*All substitutes will sign the Districts Acceptable Use Technology Policy located in the
Substitute New Hire Packet as part of their hiring paperwork. Failure to comply with the policy
will result in the termination of substitute employment.
Continuation of Employment
Mansfield ISD will afford substitute employees the opportunity to return for continuation of
employment for each succeeding year by signing a Letter of Reasonable Assurance issued by
the District at the end of the year and by participating in the Emergency Operations Procedures
Training.
18

This opportunity is available to all substitutes who have performed their duties in an
acceptable manner during the course of the year and have ended the year with an active
status.
Emergencies
All individuals seeking substitute employment must participate in the annual Mansfield
Emergency Operations Procedures Training (EMOP) before they can be activated in the Aesop
system. This training is a standard part of the New Substitute Orientation and offered several
times during the summer as a refresher course for Returning Substitutes.
Administrators and the MISD Police Department conduct emergency drills designed to ensure
the orderly movement of students and personnel to the safest areas available. All substitutes
should become familiar with the evacuation plans posted in their area. Each person should
know the location of the fire extinguishers and be familiar with how to use them. (Handouts
regarding the emergency training are given out by the MISD Police during the training session.)
HIPPA Privacy
Individually identifiable health information that relates to an individual’s past, present or future
physical or mental health or condition to the provision of health care to that person is
confidential. Substitutes are expected to maintain confidentiality and limit disclosure to those
individuals who have an “educational need to know.”
ID Badges
All substitutes are required to visit the Mansfield ISD Police Department following the completion
of their Substitute New Hire paperwork to obtain an official district badge. An authorization
clearance form will be given to you in HR to take to the Police Department for processing. Do
not go to the Police Department without first completing your paperwork in HR and receiving the
ID Badge Authorization Form. ID Badges are required and are to be worn every day at work.
A Lanyard will be provided for use with the badges/keys (free of charge) to all active substitutes.
Items Requiring School Approval
Students are not excused to leave school under any circumstance without school
approval.
No written communication should be sent to parents without permission from the
principal.
Accidents involving students must be reported to the office immediately.
Students cannot be kept after hours.
Job Availability
Since substitutes are able to set the parameters of their job availability when they create their
Aesop Profile, Mansfield assumes substitutes are available and willing to work within the
schedule they generate for themselves. Therefore, substitutes who are consistently unavailable
for work or who do not pick up jobs when called by the system will be purged from Aesop and
considered inactive substitutes.
19

Key Exchange Policy
To provide another level of security and to ensure that all staff are able to secure their door in
case of an emergency, substitutes are given a key to the classroom door(s) of their assignment
for the day in exchange for their car keys. All keys are stored in a portable, secured, lock-box
and redistributed to the substitute at the end of the day.
Substitutes who fail to return the campus room key at the end of the day will be
deactivated until the key has been returned. It is possible that a fine for a replacement
room key may also be assessed.
Parking on Campus
Substitutes at the high school level (which includes the Ben Barber Career Tech Academy and
AEC/BIC) are required to have a parking permit for their vehicle prior to reporting to a job. There
is no fee for a staff permit.
Clearance forms for obtaining the permit will be given to substitutes when they bring their new
hire forms to HR for processing. The MISD Parking Rules and Guidelines will be discussed
during the substitute orientation and substitutes will be given a hard copy of the district
guidelines. Questions regarding parking on campus may be addressed to the MISD Police
Department at 817-299-6000.
Payroll
In order to ensure the accurate reporting of days worked, substitutes must sign in and out on the
campus sign-in sheet with their name and employee number (which in most cases is their Aesop
pin number as assigned by HR). Failing to do so could result in a substitute not being paid for
that day. All signatures must be legible.
In order to be paid at the correct pay scale you must have valid documentation on file. If you are
a certified teacher your certificate must be valid. Expired or invalid teaching certificates will result
in being placed on the degreed pay scale.
Payday is the 20 th of each month. When the 20 th falls on a weekend or a holiday, substitutes will
be paid on the work day preceding the weekend or holiday.
The pay cycle is from the 21 st of one month to the 20 th of the next month.
Security
Principals are responsible for the security on their campus and are required to contact proper
authorities should any problems arise on a school campus. Criminal history investigations are
made on all employees and picture identification badges are supplied for substitutes when they
are processed into the district.
Sexual Harassment
It is the official policy of this school district that students and employees should be treated
honorably and with respect at all times. Students and employees should conduct themselves in
a manner that encourages and promotes positive, wholesome relationships with others. The
Board of Trustees recognizes that all persons should be free from unwelcome, offensive or
otherwise inappropriate sexual advances, or activity. Such conduct is not appropriate in an
educational environment, and the Board of Trustees will not tolerate sexual harassment or
sexual abuse (verbal, non-verbal or physical) of students or employees.
20

Student Code of Conduct
The Student Code of Conduct identifies a broad range of behaviors that disrupt learning and are
not acceptable in the Mansfield Independent School District. The behaviors are listed in Levels I,
II, and III. When a student is found to have engaged in misconduct which may be classified into
any of the three levels, that student will be subject to disciplinary action by the classroom
teacher, assistant principal and/or principal. The policies and administrative procedures
concerning student conduct apply to actions of students during school hours, before and after
school while on school property/school transportation, at all school-sponsored events/activities,
field trips, sporting events, assemblies, evening school-related activities, and when the actions
affect the missions or operations of MISD.
Substitutes are encouraged to review the Student Code of Conduct prior to reporting to work and
familiarize themselves with the MISD Progressive Discipline Management Plan.
http://www.mansfieldisd.org/uploaded/main/departments/student-services/assets/SCOCfinal.pdf
Workers Compensation
All district employees, in accordance with laws of the State of Texas, are covered by the district’s
workers’ compensation fund. Only injuries occurring in the course and scope of the substitute’s
job duties are covered. In the event of an injury while on duty, the substitute must notify the
campus nurse. An incident report will be completed at that time and forwarded to the Mansfield
ISD Benefits Office. All substitutes will complete the Employee Acknowledgement of Workers’
Compensation Network, which governs the Workers Compensation benefits, as part of their
hiring packet.
457 FICA Alternative Plan
457 refers to a section of the IRS Code that allows you to save part of your earnings on a PRE-
TAX basis. This lowers your current taxable income and helps your long term savings grow faster.
The 457 FICA Alternative Plan is a savings program for employees who are not eligible to
participate in the State Employees’ Retirement System. These individuals are normally parttime,
seasonal, and temporary employees.
Enrollment is automatic; 7.5% of your gross pay is deducted from your paycheck and invested for
you with American United Life, a OneAmerica Company.
25

Professional Ethics
The substitute has a professional responsibility even though he/he is not a contracted
teacher.
Caution should be used in expressing personal opinions about what is seen or heard in the
classroom or on the campus.
Comments comparing one school with another or comparing the students in one
neighborhood or campus with another are discouraged.
Under no circumstances should a substitute criticize the curriculum, classroom procedures,
campus teachers or administration in front of the students.
The substitute is responsible for carrying out the lesson plans left by the teacher
A substitute’s personal views on subjects that can create controversy (religion, politics, drugs,
sexuality, race relations) should not be brought into conversation with students.
The substitute teacher is expected to perform all of the duties of the regular teacher unless
the principal releases the substitute from a particular duty.
The substitute teacher is not expected to perform the extra curricular or co-curricular duties of
the regular teacher. (football practice, band practice, after school club meetings, etc.)
A substitute should NEVER leave a class/classroom unattended or leave the campus during
regular school hours without checking with the school staff.
A substitute teacher is looked upon as a professional; therefore he/she should exercise
discretion and good judgment in their choice of apparel.
Classroom Instruction
The substitute should endeavor to preserve the regular routine of the classroom. He/She is
to follow the daily class schedule and lesson plans provided by the teacher. If lesson plans
are not available, please check with another teacher, team leader, department chair or
campus administration for assistance.
The substitute teacher is to be an active part of the classroom instruction. Reading personal
materials, sleeping, working on personal work, etc. is unacceptable and reasons for
deactivation from the substitute system.
The substitute teacher should not assign written work and leave it to be graded except at the
request of the teacher.
The substitute teacher has the same responsibility (as the regular teacher) for the students,
equipment, and materials assigned to his/her care. All materials and equipment used by the
substitute teacher are to be returned to the proper authority or location before the substitute
leaves the campus.
When individual students cause behavioral problems which are disruptive to the learning
environment, the substitute teacher should refer those students to the campus administration
with a discipline referral or note explaining the circumstances. NEVER administer corporal
punishment or physical contact of any kind.
The substitute should leave the regular teacher a brief summary of the day’s activities by
class period. The teacher needs to know what portion of the lesson each individual class was
able to complete.
26

Classroom Management
Classroom management can be the most challenging aspect of a substitute’s job. The
following suggestions may be helpful to you.

Learn the names of the students as quickly as possible.
Exhibit enthusiasm and confidence. These are visible indicators to students and often set
the tone for student behavior.
Start the day promptly, firmly and concisely.
Be fair, friendly, and consistent.
Be sure students understand what is expected of them.
Remind students that their regular teacher expects them to be successful and so do you.
Use praise generously and show respect for students.
Take an active interest in the instructional focus of the day.
Treat students with dignity. Sarcastic or belittling remarks are inappropriate and reasons
for deactivation from Aesop (Substitute System).
Vocabulary should be appropriate for the classroom.
Remain calm and relaxed. Don’t lose your cool.
FAQ’s: Frequently Asked Questions
and Answers
1. What do I do if I have accepted an assignment but need to cancel?
Aesop does not give the option to cancel an assignment after you have accepted it.
Proper procedure to cancel an assignment is to call the Campus Aesop Contact and let
them know the reason you must cancel. Next, follow up with an e-mail to that person. The
phone number and e-mail address for individuals is listed on the Aesop Campus Contact
Page (32-33). It is advised that you contact the campus as soon as you know you need to
cancel.
2. How much notice should I give when I need to cancel an assignment?
As soon as you know you cannot honor your commitment you should contact the
campus. The longer you wait to cancel the harder it is for the campus to get someone to
replace you. The day before is preferable. A delay in canceling can cause you to be
blocked from that campus.
3. What should I do if I need to cancel an assignment but I cannot contact the Aesop
person by the phone?
If you cannot talk to the Aesop contact person then you should leave a voice message
on their answering machine or with an adult that may answer the phone. ALWAYS get
their name, the time you called and follow up with an e-mail to the Aesop contact.
4. What do I do if I am going to be late?
Call the campus Aesop contact person as soon as you can to let them know you are
on your way and why you are late.
5. I created a Non-Work day in Aesop but now would like to work on that day. How do
I delete it from the system?
When you log into Aesop you will see your calendar on the left top corner of the screen.
Click on the day you have marked as a Non-work day. You will see a small trash can next
to the non-work day information. Simply click on the trash can, confirm your section and
it will be deleted. See the Aesop Quick Start Guide for more information.
6. Is it really necessary to wear my substitute ID badge?
Yes. All district employees are required to wear their ID badges at all times. This is a
safety measure we have in place to show who we are and that we are current employees
of the district. Failure to wear your badge to an assignment could result in you being
dismissed without pay for the day.
7. What do I do if I lose my badge?
If you have lost your badge contact the MISD Police office at 817-299-6000 for a
replacement. (There is a $5.00 replacement fee).
37

8. When is the best time to look for assignments?
Aesop is in real time so assignments are posted and can be accepted 24 hours a day, 7
days a week.
9. Why can’t I log into Aesop?
If you cannot log into Aesop, after you have been activated into the system, please call
the substitute office. There may be technical problems or you may have been
deactivated for a call in. This basically means someone has brought an issue to our
attention that affects you and we need to speak with you before you pick up any more
assignments. All Aesop related issues should be directed to the Substitute Office.
10. Is it ok for me to talk on my cell phone or text message during class time?
No. Please see the Use of Technology Policy in substitute new hire packet.
11. Am I allowed to use the computers at school or bring my own, anytime during the
day to look for assignments, check my e-mail, or do my own school work?
No. Please see the Use of Technology Policy in substitute new hire packet.
12. What do I do if I need to use the technology in the classroom?
Only substitutes that are technology trained and have successfully completed the MISD
Substitute Technology Training can use the classroom technology.
13. What if the teacher leaves her Technology access codes for me to use?
Teachers are not permitted to share their access codes. Substitutes are to utilize the User
ID and Password to access Technology, and fulfill the requirements of the assignment.
14. Can I leave campus for lunch?
Yes. Please check the allotted time for lunch prior to leaving. If you do leave you must
check out and leave your classroom key in the office and check back in when you
return.
15. Will I be given a conference period?
There is no expectation for a conference period. The conference period is not an off
period/block. This time is set aside for teachers to create lesson plans, set up
conferences, return parent phone calls or complete other activities related to their
professional duties. On a day to day basis a substitute would not be doing these things.
You may be asked to substitute in other classrooms during that time if there is a shortage
on that day.
16. How and when do we get paid?
The pay period is from the 21 st of the one month to the 20 th of the next month. Payday is
on the 20th of the month. If the 20th falls on a weekend, holiday, or break substitutes will
be paid the Friday before or the day immediately prior to the 20th.
All substitutes are required to have direct deposit or could be deactivated until direct
deposit is established.
38

17. What do I do if I have a problem or concern about a campus or
assignment?
Please contact Tina Riechers in the substitute office as soon as you can (preferably the
same day) so the problem can be investigated and resolved.
18. How often do I have to work to avoid being deactivated for inactivity
and how do I get back on the active list?
You must work at least once every 90 days to keep from being purged
from the list. Anything less than this is considered sporadic.
Contact the substitute office for a review of your status if you want to return following
deactivation due to inactivity.
19. What do I do if I no longer wish to substitute?
Please submit in writing (or e-mail) a request to be removed from the substitute list and
turn in your badge to the Substitute Office.
20. Once I am no longer substituting, when am I eligible, and how do I
obtain the money from my 457 FICA account?

If you terminate from your employer without any intention of
returning to work for them in the next 12 months following.
If you retire, and are no longer working for your employer, you are
eligible for a distribution.
If you become permanently disabled
If you have not made any contributions to the plan for at least 2 years, have a balance that is
less than $5,000, and have not had any previous distributions from the plan.
You may transfer your account balance to purchase permissive service credit from your state
retirement plan.
If these statements apply then you may obtain a distribution form from the MISD HR substitute
office.
