How <strong>to</strong> book<br />
and other useful information<br />
Booking is essential even<br />
for self-conducted visits<br />
To book:<br />

and complete an online enquiry<br />
form. Please note that completing<br />
this form is not a booking. We<br />
will reply <strong>to</strong> your enquiry within 3<br />
working days.<br />

and information line is normally open<br />
Monday <strong>to</strong> Friday. Outside these<br />
hours, or if the phone is busy, please<br />

This phone line can get very busy.<br />
We advise that, if possible, enquires<br />
are made by email.<br />
Lunchroom<br />
Groups can book a 30 minute slot in the<br />
new lunch room. <strong>The</strong> lunchroom can<br />
accommodate a maximum of 30 pupils<br />
plus staff.<br />
Spaces are limited so please book in<br />
advance. <strong>The</strong> lunchroom is free but<br />
a voluntary donation of £5 per group<br />
would be very welcome.<br />
Coats and bags<br />
<strong>The</strong>re are pegs and boxes for bags and<br />
coats available in the Education Centre.<br />
Costs<br />
All our school sessions are FREE but<br />
if your school can afford it a voluntary<br />
donation for each activity helps us<br />
continue <strong>to</strong> develop and deliver our<br />
<strong>programme</strong>s. We make a charge for<br />
some of our teachers courses but many<br />
are offered free of charge<br />
Donations can be made on the day by<br />
cash or cheque (made payable <strong>to</strong> ‘<strong>The</strong><br />
<strong>Ashmolean</strong> Museum’) or by credit card<br />

Cancellation policy<br />
A cancellation fee may be requested<br />
if you fail <strong>to</strong> let us know you won’t be<br />
coming less than 2 weeks (14 days)<br />
before you visit.<br />
Special educational needs<br />
All our activities can be adapted for<br />
children with special educational needs.<br />
We are pleased <strong>to</strong> welcome special<br />
school groups and <strong>to</strong> support children<br />
with special needs who are integrated in<br />
<strong>to</strong> mainstream schools.<br />
Talk <strong>to</strong> us about your needs when you<br />
book.<br />
Two site visits<br />
Some groups may benefit from visiting<br />
more than one museum or site in<br />
Oxford e.g. Pitt Rivers Museum, Oxford<br />
University Museum of Natural His<strong>to</strong>ry,<br />
Museum of the His<strong>to</strong>ry of Science and<br />
the Botanic Garden. This can work well<br />
for exploring some themes e.g. Image<br />
and Identity, Pattern Shape and Form,<br />
Colour, World Religions, Animals,<br />
Ancient Egypt, Materials.<br />

Adult Supervision<br />
All children must be supervised at all<br />
times by a responsible adult. We ask<br />
for a minimum of 1 adult <strong>to</strong> 10 children.<br />
Please bring 3 adults for our Taught<br />
Gallery Activities.<br />

Code of Conduct<br />
A copy of the museum rules will be sent<br />
with your booking confirmation. This is<br />
also available <strong>to</strong> download on our web<br />
pages. Please make sure you share this<br />
with your accompanying adults and<br />
children.<br />
Risk assessment<br />
A generic risk assessment for group<br />
visits will be sent with your booking<br />
confirmation. This is available on<br />
our web pages <strong>to</strong> download. This is<br />
intended as a framework for groups <strong>to</strong><br />
create their own risk assessment <strong>to</strong> meet<br />
the specific needs of their group.<br />
Art materials in the galleries<br />
Children are welcome <strong>to</strong> draw in the<br />
galleries. To protect objects on open<br />
display we ask that only pencils are<br />
used. No pens are allowed.<br />
Shop<br />
School groups are welcome <strong>to</strong> use the<br />
shop but because of space restrictions<br />
we ask for no more than 10 students<br />
in the shop at once. Children must be<br />
supervised at all times.<br />
