Getting started<br />

Over the years our <strong>runners</strong> have come<br />

up with a range of ideas – traditional<br />

and wacky – to raise funds to <strong>support</strong><br />

children and young people with cancer.<br />

One big tip from <strong>runners</strong> is that<br />

the earlier you start, the easier and<br />

more enjoyable your fundraising<br />

experience can be. You don’t have to<br />

raise your whole target in one go.<br />

Other tips Keep it simple,<br />

achievable and fun!<br />

It may be much easier than you think.<br />

The words ‘minimum sponsorship’<br />

needn’t be daunting… even if you<br />

What is our vision<br />

Our vision is a world where all children and<br />

young people with cancer live life to the full.<br />

What do we do<br />

<strong>CLIC</strong> <strong>Sargent</strong> <strong>support</strong>s children and young<br />

people with cancer, and their families,<br />

from diagnosis onwards. We aim to help<br />

the whole family deal with the impact of<br />

cancer and its treatment, life after treatment<br />

and, in some cases, bereavement.<br />

Why we need your <strong>support</strong><br />

Every day, around 10 children and young<br />

people in the UK hear the shocking news they<br />

have cancer. At the moment, <strong>CLIC</strong> <strong>Sargent</strong><br />

can only help two out of three of them. With<br />

your <strong>support</strong> we can reach even more.<br />

About <strong>CLIC</strong> <strong>Sargent</strong> – in short<br />

<strong>CLIC</strong> <strong>Sargent</strong> is the UK’s leading cancer charity<br />

<strong>for</strong> children, young people and their families.<br />

How does <strong>CLIC</strong> <strong>Sargent</strong><br />

help everyday<br />

Nurses<br />

<strong>CLIC</strong> <strong>Sargent</strong> Nurses coordinate care <strong>for</strong><br />

children and young people with cancer,<br />

to reduce the time they spend in hospital<br />

and deliver treatments closer to home.<br />

Social Workers<br />

<strong>CLIC</strong> <strong>Sargent</strong> Social Workers meet families<br />

after diagnosis and provide ongoing<br />

<strong>support</strong> to ease the emotional and<br />

financial impact of cancer treatment.<br />

Play Specialists<br />

<strong>CLIC</strong> <strong>Sargent</strong> Play Specialists work on<br />

cancer wards with younger children,<br />

preparing them <strong>for</strong> treatment and<br />

helping them cope during their time in<br />

hospital through play and activities.<br />

Homes from Home<br />

Children are treated in specialist cancer<br />

hospitals, often miles away from home.<br />

<strong>CLIC</strong> <strong>Sargent</strong>’s ‘Home from Home’ service<br />

offers families free accommodation close<br />

to these hospitals, so that they can be<br />

close to their children during treatment.<br />

Services <strong>for</strong> Young People<br />

<strong>CLIC</strong> <strong>Sargent</strong> helps young people maintain as<br />

normal a life as possible outside of their<br />

treatment. We provide valuable<br />

in<strong>for</strong>mation, give them <strong>support</strong>,<br />

and help them to get back<br />

to school, college or work.<br />

You can set up your very own personalised sponsorship page online to<br />

enable quick, secure and easy donations towards your sponsorship target.<br />

Follow these simple steps to set<br />

up your JustGiving page:<br />

1. Visit www.justgiving.com/clicsargent<br />

2. Click Make a page<br />

3. Log in to your JustGiving account.<br />

if the charity is contributing to the cost of your<br />

fundraising and if you’d like to stay up to date<br />

with <strong>CLIC</strong> <strong>Sargent</strong>’s news and JustGiving’s<br />

news. We would love to be able let you know<br />

about all the ways you’ve helped us <strong>support</strong><br />

children and young people with cancer<br />

8. Choose your JustGiving web address –<br />

make it as easy to remember as possible<br />

so you can share it with everyone!<br />

9. Click Create your page.<br />

Other useful online tips<br />

There are loads of different ways<br />

to use the internet to tell all of your<br />

friends and family about your venture,<br />

and to boost your sponsorship!<br />

Once you have set up your online<br />

giving page, email the link to all of your<br />

email contacts; this often proves more<br />

personal (and there<strong>for</strong>e more successful)<br />

than a generic ‘message to all’<br />

Why not change your email signature to<br />

include the address to your online giving<br />

page That way people can click<br />

straight through and donate as soon<br />

as they get an email from you!<br />

Don’t be hasty – set your fundraising target<br />

higher than you are aiming – people will<br />

often donate more to help you reach a<br />

bigger target, and after all, you may even<br />

raise more than you first thought!<br />

Make sure you tell a really good story as to<br />

why you are fundraising <strong>for</strong> <strong>CLIC</strong> <strong>Sargent</strong>.<br />

It will keep people interested and willing<br />

to <strong>support</strong> you and <strong>CLIC</strong> <strong>Sargent</strong>. Why<br />

not use our ‘shopping list’ to show them<br />

how much their money could buy!<br />

Spread the word using social media<br />

Use your Facebook page to tell all of your<br />

friends about your fundraising. Make a<br />

Facebook event page <strong>for</strong> your event, launch a<br />

‘group’ where you can regularly update how<br />

your fundraising is going, or simply send a<br />

message to all of your Facebook friends!<br />

Twitter is a great way to update all your<br />

friends on your fundraising ef<strong>for</strong>ts. You could<br />

post a link to your fundraising page on your<br />

updates to encourage people to donate.<br />

Twitter is also great <strong>for</strong> sending reminders<br />

to those who promised a donation<br />

but haven’t quite got round to it.<br />

You could create your very own video<br />

blog through YouTube; people will be<br />

interested to hear how your training<br />

and your fundraising is going.<br />

but they could perhaps donate a prize<br />

that you could use in a raffle or auction.<br />

In return you could wear their logo on<br />

your vest, or pass on their details to all<br />

How your money helps<br />

<strong>CLIC</strong> <strong>Sargent</strong> depends almost entirely on voluntary donations from people<br />

like you, to fund our services <strong>for</strong> children and young people with cancer.<br />

Here’s how your money really does make a difference.<br />

£50 could pay <strong>for</strong> 20 copies of our<br />

Shout Out! magazine <strong>for</strong> children age seven<br />

to 13 – <strong>support</strong>ing them whilst they are in<br />

hospital and helping them feel less isolated<br />

£100 could pay <strong>for</strong> a <strong>CLIC</strong> <strong>Sargent</strong> Social<br />

Worker <strong>for</strong> four hours <strong>support</strong>ing children<br />

and young people with cancer cope with<br />

the impact of cancer on their lives<br />

£170 pays <strong>for</strong> a <strong>CLIC</strong> <strong>Sargent</strong> Care<br />

Grant to help a family deal with the<br />

financial impact of childhood cancer<br />

experiences, and share their views about<br />

the needs of young people with cancer<br />

£300 could fund a <strong>CLIC</strong> <strong>Sargent</strong> grant to<br />

help a bereaved family pay <strong>for</strong> a child’s funeral<br />

Gift aid is a fantastic and simple way <strong>for</strong> your<br />

donation to be worth more to <strong>CLIC</strong> <strong>Sargent</strong>,<br />

and it doesn’t cost you a penny!<br />

What is Gift Aid<br />

Gift Aid is a government scheme that allows<br />

charities or Community Amateur Sports Clubs<br />

(CASCs) to increase the value of monetary<br />

gifts from UK taxpayers by claiming back the<br />

basic rate tax paid by the donor. It is one of<br />

the simplest and most effective ways of giving<br />

to charity tax effectively; it can increase the<br />

value of donations by 25% at no extra cost<br />

to the donor.<br />

What you need to do…<br />

If you are using a <strong>CLIC</strong> <strong>Sargent</strong> paper<br />

sponsorship <strong>for</strong>m, you need to ensure that your<br />

sponsors fill out the <strong>for</strong>m in full and tick the<br />

‘yes to Gift Aid ‘ declaration box – they need<br />

to include their full name, home address and<br />

postcode in order <strong>for</strong> the claim to be made.<br />

If your sponsorship is online, then anyone<br />

who sponsors you will be asked about Gift<br />

Aid during their donation. This will then come<br />

through to us automatically. Gift aid amounts<br />

will not be included in your sponsorship total or<br />

contribute to your sponsorship target.<br />

If you are sending in your sponsorship with the<br />

paying in slips at the back of this guide, just<br />

make sure you tick the declaration box and<br />

make sure you fill in your contact details in full.<br />

Don’t <strong>for</strong>get to remind all of your friends and<br />

family not to <strong>for</strong>get to tick ‘yes to Gift Aid’ if<br />

they are a UK taxpayer!<br />

Matched giving<br />

Lots of employers are now offering matched giving<br />

schemes to their employees who are actively fundraising.<br />

This can provide a great boost to your fundraising, often<br />

doubling it!<br />

We recommend contacting your Human Resources department to see what type of scheme<br />

they offer. Some will offer a pound <strong>for</strong> pound scheme whereby they will match the total amount<br />

you raise even sometimes matching Gift Aid too! Whilst others may have a set amount they will<br />

contribute. If your work do not offer a scheme it may worth finding out if your partners work do.<br />

Get in early as you may need to confirm your fundraising from the start to be able to qualify <strong>for</strong><br />

the scheme. Some employers may not have a scheme in place, but powers of persuasion and<br />

negotiating skills can work a treat!<br />

Company sponsorship<br />

Approach all of your colleagues to sponsor you,<br />

and use your internal email system or intranet<br />

to keep them updated on your progress.<br />

Organise a casual clothes day. Check<br />

with your company first whether everyone<br />

can come in casual dress <strong>for</strong> a day in<br />

exchange <strong>for</strong> a small donation. Those<br />

who don’t take part pay a £2 penalty!<br />

Ask your colleagues to sponsor you to<br />

have your head shaved or see if your boss<br />

will volunteer to go under the razor! It’s a<br />

great way to fundraise and show your <strong>support</strong><br />

<strong>for</strong> many children and young people with<br />

cancer, who lose their hair during treatment.<br />

Ask all of your colleagues to bring in photos<br />

of themselves as a baby. Charge £2 <strong>for</strong> entry<br />

and run a ‘guess the baby’ competition.<br />

Place collection boxes (available from<br />

<strong>CLIC</strong> <strong>Sargent</strong>) in your reception or<br />

canteen with an explanation of what<br />

you are doing. Don’t <strong>for</strong>get to ensure<br />

these are safely put away at night.<br />

Use the Guess My Finishing Time game<br />

included in your fundraising pack. Ask<br />

everyone to make a donation to guess<br />

your finish time and the person closest<br />

wins a prize that has been donated.<br />

Make the most of any inter-departmental<br />

rivalry by organising a football or<br />

rounders match. Players pay <strong>for</strong> the<br />

privilege of showing off their sporting<br />

skills in front of their colleagues!<br />

Spread the word<br />

Local newspapers are often keen to feature people from the local area who<br />

take on running events. News articles can not only help raise awareness of<br />

<strong>CLIC</strong> <strong>Sargent</strong> and our services, but could also give your fundraising a push too!<br />

A press release which you can tailor and send to your local newspaper to shout about your<br />

ef<strong>for</strong>ts can be found by visiting www.clicsargent.org.uk/running<br />

We also recommend that you accompany the press release with a digital photo of yourself in<br />

your running gear.<br />

Especially For You funds<br />

If you’re running <strong>for</strong> a special reason, why not set up an<br />

Especially For You fund<br />

A fund is named after a person, becomes a permanent celebration of them and at the same<br />

time will help children and young people with cancer. Parents, friends or families can set up an<br />

Especially For You fund in their child’s, friend’s or relation’s name and all their fundraising and that<br />

of their family and friends can be attributed to this fund. You can give your fund a name, like Sam<br />

Smith’s Fund or Grandma’s Remembrance Fund or the Cooper’s Wedding Fund. Once set up, any<br />

fundraising you or your friends decide to do, will be allocated to your fund.<br />

Whenever you send money into us it is very<br />

important that you mark it clearly with your<br />

name and which event you are taking part in.<br />

1. Encourage your sponsors to complete their<br />

address details on the sponsor <strong>for</strong>m and tick<br />

the gift aid box. This will enable <strong>CLIC</strong> <strong>Sargent</strong><br />

to claim extra 25% on the donation.<br />

2. Complete a payment slip (see below)<br />

remembering to fill in the amount set.<br />

Is it legal<br />

Some methods of fundraising are restricted by local or charity law. If you are not sure<br />

whether your event is included, please contact <strong>CLIC</strong> <strong>Sargent</strong>.<br />

Collections: you must have a licence or permit from your local authority if you want to hold<br />

a street collection, house-to-house collection, or any other collection in a public place.<br />

Collections in pubs, factories and offices are counted as house-to-house collections, so you<br />

also need a permit <strong>for</strong> them.<br />

Raffles and lotteries: if your raffle or draw is held within a 24-hour period,<br />

is in one single venue and is part of another event, you can use cloakroom tickets.<br />

Tickets should never be sold <strong>for</strong> more than £1 each. If your raffle lasts longer<br />

than 24 hours you will need a local lottery licence and printed tickets,<br />

as there are a number of things that must be legally printed on each ticket.<br />

Selling alcohol and other <strong>for</strong>ms of entertainment at events: in general, <strong>for</strong> any charitable events<br />

to which the public is invited, a premises licence is required. For advice and help on this please<br />

contact <strong>CLIC</strong> <strong>Sargent</strong>.<br />

Food: whenever food is sold at events there should be adequate facilities to prepare and serve<br />

food safely. Food handling procedures should avoid exposing food to risk of contamination.<br />

Food handlers must also receive adequate training, instruction or supervision. For more<br />

in<strong>for</strong>mation please contact <strong>CLIC</strong> <strong>Sargent</strong>.<br />

Correspondence and publicity material: when you’re writing to anyone about your event<br />

or producing any publicity items as part of your fundraising, please remember to include<br />

<strong>CLIC</strong> <strong>Sargent</strong>’s registered charity number. Please use these exact words: Registered charity<br />

number 1107328 and registered in Scotland (SC039857).<br />

Collecting boxes<br />

The law requires that boxes should be sealed and numbered. This is to reassure people making<br />

donations that their money will find its way to the intended charity. Boxes without seals, or with<br />

damaged seals, also look extremely unprofessional and do not reflect well on<br />

<strong>CLIC</strong> <strong>Sargent</strong>. If you need replacement seals, contact your local <strong>CLIC</strong> <strong>Sargent</strong><br />

fundraising team.<br />

If you need to open a collecting tin, please make sure at least two<br />

people are present while the tin is opened and the money is counted<br />

and recorded using a <strong>CLIC</strong> <strong>Sargent</strong> counting <strong>for</strong>m.<br />

Health and Safety at <strong>Fundraising</strong> Events<br />

<strong>CLIC</strong> <strong>Sargent</strong> really appreciates everything you do to raise money <strong>for</strong> the charity, but we<br />

want you to do this safely. It is with this in mind that we advise you to identify any potential<br />

accidents or hazards be<strong>for</strong>e you decide to hold the event by completing a risk assessment.<br />

It’s a good idea to consider first aid facilities as part of the risk assessment process.<br />

These may range from having a first aid kit on hand at small events to having a person<br />

available with a <strong>for</strong>mal first aid qualification or ‘partnering’ with a voluntary first aid<br />

organisation such as St. John’s Ambulance or the British Red Cross.<br />

including their guide ‘Five Steps to Risk Assessment’ and a template <strong>for</strong> you to use. You can<br />

Always plan an event carefully and well in advance. Remember, your fundraising idea doesn’t<br />

have to be complicated to be successful, but it should always be fun!<br />

Make sure your venue is safe and decide whether you’ll need crowd control measures<br />

Consider carefully what security arrangements you’ll need, particularly if you’re carrying money<br />

around or if there will be large amounts of money at the event<br />

Do you have the right insurance cover <strong>CLIC</strong> <strong>Sargent</strong> suggests you contact your own insurance<br />

broker to check that you are covered to undertake your fundraising, alternatively see below <strong>for</strong><br />

If your event includes the supply of food to participants please make sure that people<br />

supplying or preparing the food are correctly qualified.<br />

<strong>CLIC</strong> <strong>Sargent</strong> strongly recommends that people undertaking fundraising events take out<br />

appropriate Personal Accident and Public Liability Insurance. <strong>CLIC</strong> <strong>Sargent</strong> cannot accept<br />

responsibility <strong>for</strong> claims, of whatever nature, that may arise from an event which is outside<br />
