Getting started
Over the years our runners have come
up with a range of ideas – traditional
and wacky – to raise funds to support
children and young people with cancer.
One big tip from runners is that
the earlier you start, the easier and
more enjoyable your fundraising
experience can be. You don’t have to
raise your whole target in one go.
Other tips Keep it simple,
achievable and fun!
It may be much easier than you think.
The words ‘minimum sponsorship’
needn’t be daunting… even if you
haven’t fundraised before!
This guide is here to help you get
started. If you need to talk through
any ideas, simply get in touch with
CLIC Sargent – we’re always here to help.
Useful facts
The following are some useful facts about CLIC Sargent, to help
you explain what we do while you’re fundraising for us.
What is our vision
Our vision is a world where all children and
young people with cancer live life to the full.
What do we do
CLIC Sargent supports children and young
people with cancer, and their families,
from diagnosis onwards. We aim to help
the whole family deal with the impact of
cancer and its treatment, life after treatment
and, in some cases, bereavement.
Why we need your support
Every day, around 10 children and young
people in the UK hear the shocking news they
have cancer. At the moment, CLIC Sargent
Online sponsorship
You can set up your very own personalised sponsorship page online to
enable quick, secure and easy donations towards your sponsorship target.
Follow these simple steps to set
up your JustGiving page:
1. Visit www.justgiving.com/clicsargent
2. Click Make a page
3. Log in to your JustGiving account.
If you do not have an account, click
No – I’m new to set one up
4. Select CLIC Sargent as the
cause you want to support
5. Choose what you’re doing to raise
money – are you taking part in an organised
event, celebrating a personal occasion,
raising money in memory of someone or
taking on your own personal challenge
6. Select or search for your event
(this step is only if you’re creating a
page for an organised event)
7. Finalise your selection – detail if you’re doing
an event or challenge in memory of someone,
if the charity is contributing to the cost of your
fundraising and if you’d like to stay up to date
with CLIC Sargent’s news and JustGiving’s
news. We would love to be able let you know
about all the ways you’ve helped us support
children and young people with cancer
so you can share it with everyone!
9. Click Create your page.
Other useful online tips
There are loads of different ways
to use the internet to tell all of your
friends and family about your venture,
and to boost your sponsorship!
Once you have set up your online
giving page, email the link to all of your
email contacts; this often proves more
personal (and therefore more successful)
than a generic ‘message to all’
Why not change your email signature to
include the address to your online giving
page That way people can click
straight through and donate as soon
as they get an email from you!
Don’t be hasty – set your fundraising target
higher than you are aiming – people will
often donate more to help you reach a
bigger target, and after all, you may even
raise more than you first thought!
Make sure you tell a really good story as to
why you are fundraising for CLIC Sargent.
It will keep people interested and willing
to support you and CLIC Sargent. Why
not use our ‘shopping list’ to show them
how much their money could buy!
Spread the word using social media
Use your Facebook page to tell all of your
friends about your fundraising. Make a
Facebook event page for your event, launch a
‘group’ where you can regularly update how
your fundraising is going, or simply send a
message to all of your Facebook friends!
Twitter is a great way to update all your
friends on your fundraising efforts. You could
post a link to your fundraising page on your
updates to encourage people to donate.
Twitter is also great for sending reminders
to those who promised a donation
but haven’t quite got round to it.
You could create your very own video
blog through YouTube; people will be
interested to hear how your training
and your fundraising is going.
Top tips
Dress up and run
for even more fun.
1
Start as early
as possible
The more time you have, the
more sponsorship you can
get. Simple.
3
Be creative
Sometimes it can be difficult
to rely on just donations for your
sponsorship so think about holding
an event. It doesn’t have to be
complicated; you could contact
your local pub/social club and hold
a karaoke night, charging a small
amount per entry.
2
Get clued up
Be prepared to answer
questions from your sponsors
about the charity. You can
also use your knowledge to
persuade those sponsors to
dig a little deeper.
4
Rally your
troops
Get your friends and family to
help you with your fundraising.
They can ask their friends,
colleagues and business contacts
to sponsor you – you will soon
see that total rising.
5
Business buddies
Local businesses may not be
able to offer you any sponsorship
but they could perhaps donate a prize
that you could use in a raffle or auction.
In return you could wear their logo on
your vest, or pass on their details to all
of your sponsors for promotion.
How your money helps
CLIC Sargent depends almost entirely on voluntary donations from people
like you, to fund our services for children and young people with cancer.
Here’s how your money really does make a difference.
£50 could pay for 20 copies of our
Shout Out! magazine for children age seven
to 13 – supporting them whilst they are in
hospital and helping them feel less isolated
£100 could pay for a CLIC Sargent Social
Worker for four hours supporting children
and young people with cancer cope with
the impact of cancer on their lives
£170 pays for a CLIC Sargent Care
Grant to help a family deal with the
financial impact of childhood cancer
£860 could pay for a CLIC Sargent
Social Worker for a week
£1,000 could pay for a family to stay for a
month in a Home from Home - close to where
their child is receiving cancer treatment
£2,500 could pay for 14 young people
to take part in a residential weekend
where they can meet others with similar
experiences, and share their views about
the needs of young people with cancer
£300 could fund a CLIC Sargent grant to
help a bereaved family pay for a child’s funeral
5
“I just wanted to say a great big thank
you to you guys at CLIC Sargent for
all the support through the marathon
on Sunday! The cheer stations were
excellent!” Delaine, CLIC Sargent Runner
“Wonderful day, wonderful memories
and so far I’ve raised £2,288 – hoping
for another £20 to come in and make it
over £2,300!” Sarah, CLIC Sargent Runner
Gift aid is a fantastic and simple way for your
donation to be worth more to CLIC Sargent,
and it doesn’t cost you a penny!
What is Gift Aid
Gift Aid is a government scheme that allows
charities or Community Amateur Sports Clubs
(CASCs) to increase the value of monetary
gifts from UK taxpayers by claiming back the
basic rate tax paid by the donor. It is one of
the simplest and most effective ways of giving
to charity tax effectively; it can increase the
value of donations by 25% at no extra cost
to the donor.
What you need to do…
If you are using a CLIC Sargent paper
sponsorship form, you need to ensure that your
sponsors fill out the form in full and tick the
‘yes to Gift Aid ‘ declaration box – they need
to include their full name, home address and
postcode in order for the claim to be made.
If your sponsorship is online, then anyone
who sponsors you will be asked about Gift
Aid during their donation. This will then come
through to us automatically. Gift aid amounts
will not be included in your sponsorship total or
contribute to your sponsorship target.
If you are sending in your sponsorship with the
paying in slips at the back of this guide, just
make sure you tick the declaration box and
make sure you fill in your contact details in full.
Don’t forget to remind all of your friends and
family not to forget to tick ‘yes to Gift Aid’ if
they are a UK taxpayer!
Matched giving
Lots of employers are now offering matched giving
schemes to their employees who are actively fundraising.
This can provide a great boost to your fundraising, often
doubling it!
We recommend contacting your Human Resources department to see what type of scheme
they offer. Some will offer a pound for pound scheme whereby they will match the total amount
you raise even sometimes matching Gift Aid too! Whilst others may have a set amount they will
contribute. If your work do not offer a scheme it may worth finding out if your partners work do.
Get in early as you may need to confirm your fundraising from the start to be able to qualify for
the scheme. Some employers may not have a scheme in place, but powers of persuasion and
negotiating skills can work a treat!
Company sponsorship
Approach all of your colleagues to sponsor you,
and use your internal email system or intranet
to keep them updated on your progress.
Organise a casual clothes day. Check
with your company first whether everyone
can come in casual dress for a day in
exchange for a small donation. Those
who don’t take part pay a £2 penalty!
Ask your colleagues to sponsor you to
have your head shaved or see if your boss
will volunteer to go under the razor! It’s a
great way to fundraise and show your support
for many children and young people with
cancer, who lose their hair during treatment.
Ask all of your colleagues to bring in photos
of themselves as a baby. Charge £2 for entry
and run a ‘guess the baby’ competition.
Place collection boxes (available from
CLIC Sargent) in your reception or
canteen with an explanation of what
you are doing. Don’t forget to ensure
these are safely put away at night.
Use the Guess My Finishing Time game
included in your fundraising pack. Ask
everyone to make a donation to guess
your finish time and the person closest
wins a prize that has been donated.
Make the most of any inter-departmental
rivalry by organising a football or
rounders match. Players pay for the
privilege of showing off their sporting
skills in front of their colleagues!
7
Spread the word
Local newspapers are often keen to feature people from the local area who
take on running events. News articles can not only help raise awareness of
CLIC Sargent and our services, but could also give your fundraising a push too!
A press release which you can tailor and send to your local newspaper to shout about your
efforts can be found by visiting www.clicsargent.org.uk/running
We also recommend that you accompany the press release with a digital photo of yourself in
your running gear.
Media tips for runners
The following tips have been put together
to help maximise your chances of getting
your story printed in your local newspaper:
Download our template release
and fill in all the highlighted areas
with your own personal details.
Remember to include your contact details
at the end of the media release or your
cover email so journalists can get in touch
with you if they need more information.
If you have an online fundraising page
then feel free to include the web address
Make sure your digital photo is
a good quality jpeg image
Give your local newspaper a call and
ask for the newsdesk email address
to send your release and photo to.
Especially For You funds
If you’re running for a special reason, why not set up an
Especially For You fund
A fund is named after a person, becomes a permanent celebration of them and at the same
time will help children and young people with cancer. Parents, friends or families can set up an
Especially For You fund in their child’s, friend’s or relation’s name and all their fundraising and that
of their family and friends can be attributed to this fund. You can give your fund a name, like Sam
Smith’s Fund or Grandma’s Remembrance Fund or the Cooper’s Wedding Fund. Once set up, any
fundraising you or your friends decide to do, will be allocated to your fund.
You can set up a fund for anyone you like, for whatever reason you like. Here are a few ideas
If your child has been
supported by CLIC Sargent
In memory of someone
that has died
In honour of someone
who’s special to you
To celebrate a special occasion
like a wedding, birthday,
anniversary or christening
What do I get
Once set up, you’ll have a personalised web page that you can share with friends, relatives and
colleagues. You can do lots of different types of fundraising, like runs and challenges, then all
your donations will be linked to your online page with a running total, all under your special
person’s name.
Guidelines for fundraisers
We want to do all we can to help your fundraising. So before you start,
please check these guidelines.
Is it legal
Some methods of fundraising are restricted by local or charity law. If you are not sure
whether your event is included, please contact CLIC Sargent.
Collections: you must have a licence or permit from your local authority if you want to hold
a street collection, house-to-house collection, or any other collection in a public place.
Collections in pubs, factories and offices are counted as house-to-house collections, so you
also need a permit for them.
Raffles and lotteries: if your raffle or draw is held within a 24-hour period,
is in one single venue and is part of another event, you can use cloakroom tickets.
Tickets should never be sold for more than £1 each. If your raffle lasts longer
than 24 hours you will need a local lottery licence and printed tickets,
as there are a number of things that must be legally printed on each ticket.
Selling alcohol and other forms of entertainment at events: in general, for any charitable events
to which the public is invited, a premises licence is required. For advice and help on this please
contact CLIC Sargent.
Food: whenever food is sold at events there should be adequate facilities to prepare and serve
food safely. Food handling procedures should avoid exposing food to risk of contamination.
Food handlers must also receive adequate training, instruction or supervision. For more
information please contact CLIC Sargent.
Correspondence and publicity material: when you’re writing to anyone about your event
or producing any publicity items as part of your fundraising, please remember to include
CLIC Sargent’s registered charity number. Please use these exact words: Registered charity
number 1107328 and registered in Scotland (SC039857).
Collecting boxes
The law requires that boxes should be sealed and numbered. This is to reassure people making
donations that their money will find its way to the intended charity. Boxes without seals, or with
damaged seals, also look extremely unprofessional and do not reflect well on
Health and Safety at Fundraising Events
CLIC Sargent really appreciates everything you do to raise money for the charity, but we
want you to do this safely. It is with this in mind that we advise you to identify any potential
accidents or hazards before you decide to hold the event by completing a risk assessment.
It’s a good idea to consider first aid facilities as part of the risk assessment process.
These may range from having a first aid kit on hand at small events to having a person
available with a formal first aid qualification or ‘partnering’ with a voluntary first aid
organisation such as St. John’s Ambulance or the British Red Cross.
including their guide ‘Five Steps to Risk Assessment’ and a template for you to use. You can
download these resources from: www.hse.gov.uk/risk/fivesteps.htm
Always plan an event carefully and well in advance. Remember, your fundraising idea doesn’t
have to be complicated to be successful, but it should always be fun!
Make sure your venue is safe and decide whether you’ll need crowd control measures
Consider carefully what security arrangements you’ll need, particularly if you’re carrying money
around or if there will be large amounts of money at the event
Do you have the right insurance cover CLIC Sargent suggests you contact your own insurance
broker to check that you are covered to undertake your fundraising, alternatively see below for
independent insurers who can give independent insurance advice.
If your event includes the supply of food to participants please make sure that people
supplying or preparing the food are correctly qualified.
CLIC Sargent strongly recommends that people undertaking fundraising events take out
appropriate Personal Accident and Public Liability Insurance. CLIC Sargent cannot accept
responsibility for claims, of whatever nature, that may arise from an event which is outside
our control.
