2. <strong>Minutes</strong>:<br />
Motion: The minutes of the last executive meeting be accepted as presented.<br />

3. Financial report:<br />

4. Old Business:<br />
a) Track Uniforms:<br />
o In preparation for the upcoming Track & Field Provincials, as well as<br />
the transition into the “new” QVDA/PVSD Darcy McKeown will<br />
complete an up-to-date inventory of ALL QVDA Cross-Country/Track<br />
singlets by <strong>Jan</strong>uary 30, <strong>2006</strong> in consultation with Karen-Ann Lee and<br />
Terry Lynd.<br />
o There is no report at this time on the status of returned singlets from<br />
the SHSAA Cross-Country Provincials in October.
a) Activity Reports:<br />
Soccer: reports from Kipling were submitted and accepted as presented. A<br />
reminder Junior Soccer will take place in the spring.<br />
A concern was raised in regards to the decline of soccer teams within the rural<br />
areas of the province. Schools are encouraged to try and promote soccer<br />
programs within their school and community.<br />
Volleyball: all reports listed below were submitted and accepted as presented.<br />

An incident at the 4A Boys Volleyball District Playoff involving the<br />
inability of the Moosomin Senior Boys team to travel brought a great deal<br />
of discussion around how to handle inclement weather situations.<br />
The <strong>Executive</strong> discussed the difficulty in developing guidelines and<br />
procedures in regards to inclement weather situations, as there is generally<br />
a great deal of “grey area” involved in these situations.<br />
A statement regarding inclement weather and contact people will be<br />
posted on the QVDA website.<br />
Early and open communication between the commissioner and the teams<br />
involved in the playoff is still the best method in avoiding potential<br />
problems.<br />

Host Commissioners are reminded to book their officials early, as there<br />
are very few basketball officials within our district. Due to the large<br />
number of playoffs taking place at the same time it may be very difficult<br />
to get officials. Host Commissioners are also reminded to contact Randy<br />
Clark for approval once their basketball officials are booked.<br />
Schools need to be aware that because we have so few basketball officials<br />
within our district, this will have a significant impact on the number of<br />
SHSAA Regional basketball playoffs we are awarded.<br />
Motion: The Junior Girl’s basketball co-op between Robert Southey and Earl Grey, as<br />
well the Junior Girls basketball co-op between Bert Fox High School and Fort<br />
Qu’Appelle Community Elementary School be accepted and approved for the <strong>2006</strong><br />
district basketball playoffs.<br />

<strong>2006</strong> Newsletter on the SHSAA website to CONFIRM the information<br />
regarding as to a one or two team qualifying playoff for the District<br />
Championship.<br />
Mixed Curling Commissioner’s, both junior and senior, are reminded<br />
to create a POOL OF SUBSTITUTES in the event that any team<br />
requires a substitute.<br />

o The QVDA is currently waiting to hear confirmation from the City of<br />
Regina regarding these dates.<br />
o ALL SCHOOLS are reminded to check the workers list for this year’s<br />
track & field meet and report any changes to their division<br />
representative prior to the May <strong>Executive</strong> meeting.<br />
o The QVDA 3000M is TENTATIVELY scheduled for Wedenesday,<br />
May 24, <strong>2006</strong> at Grenfell.<br />
6. Officials Commissioner’s Report:<br />
o Randy Clark will look into conducting a Track & Field Officials Clinic on<br />
May 3, <strong>2006</strong> in conjunction with the QVDA May <strong>Executive</strong> <strong>Meeting</strong>.<br />
o Randy Clark gave a brief report commenting on some of the activities at the<br />
SHSAA Official’s Commissioner’s meeting held in Saskatoon on December<br />
3, 2005.<br />
o Fred Jerred will be conducting a basketball official’s clinic on Monday,<br />
<strong>Jan</strong>uary 16, <strong>2006</strong> at Esterhazy.<br />
7. District President’s <strong>Meeting</strong>:<br />
o Darcy McKeown gave a brief report commenting on some of the activities at<br />
the District President’s <strong>Meeting</strong> in Saskatoon on December 3, 2005.<br />
o A document was circulated which dealt with new proposed playoff structures<br />
for the SHSAA. <strong>Executive</strong> members are encouraged to take this back to their<br />
respective divisions and share the document.
8. Other:<br />
o Host Commissioners for the upcoming District Playoffs are to contact either<br />
Fred Jerred (Wapella), Mark Edmonds (Kipling), or Darcy McKeown (Regina<br />
Beach) in dealing with inclement weather as it relates to the cancellation of<br />
playoffs for their activities.<br />
o Nominations for the SHSAA Coaches Award and the QVDA Service Award<br />
should be in by the May meeting.<br />
o Any one wishing to attend the SHSAA AGM in Estevan should make their<br />
intentions known at the next executive meeting.<br />
o Resolutions need to be in to SHSAA before May 10, <strong>2006</strong>. Please note any<br />
resolutions need the support of the district executive.<br />
o Any one interested in hosting a Regional Play-off for basketball should<br />
contact D. McKeown at Regina Beach A.S.A.P.<br />
o There is $600.00 available from the District for anyone interested in attending<br />
the SHSAA Coaches Symposium August 21 and 22, <strong>2006</strong> at Saskatoon.<br />

Centre.<br />
