13. Building MapsOVERVIEW AND PURPOSEPurpose:The purpose of this guide is to outline procedures for the Argosy University, Nashville CrisisManagement Plan, define terms, and delineate responsibilities for the Crisis ManagementTeam.Overview of Crisis Management:Argosy University, Nashville recognizes the need to be as prepared as possible for crises andcontroversies. This document is designed to act as a resource in times of crisis and also areminder of the importance of preparing for a possible crisis situation. The procedures contained in this document reflect the fact that combination goals can be asvital to address as the physical components of crisis. Experience shows that companies mustnot only do the right thing, but must be seen doing the right thing, for example, crisismanagement teams need facts to address the situation in which they find themselves, yet areoften as preoccupied with addressing the physical crisis that fact gathering becomes impossible.Advance preparation and training can help alleviate this problem. For the purpose of the guide, the definition of a crisis or emergency is any incident occurring onArgosy University, Nashville property, at a campus-sponsored event, or involving staff, faculty orstudents that jeopardizes the safety or security of the Argosy University, Nashville community.Examples of emergencies may include: bomb threat, sexual assault, death of student/employee,major fire or power outages, suicide, natural disaster, legal claims against the college orirreparable harm to the college’s reputation and business prospects or any situation that, in thejudgment of others, poses a threat of life in danger or property damage.2

Nashville employee, upon learning of or suspecting a crisis situation, should contact a member of the Crisis Management Team immediately. Members are asfollows:ChancellorCraig SwensonCampus PresidentRoger WidmerDoSSStacy WaddellTawana FinchReceptionistSDoAErica BligenDAFS & Lead Crisis Mgmt MemberJosh YarbroughAsDSFSGina JonesHR CoordinatorAmelia ArbuckleITScott Foster (ATL)3

DEFINITION OF A CRISIS/EMERGENCY LEVELSFor the purposes of this plan there are three types of crisis. They are defined below. Type #1does not involve the coordination of the Crisis Management Groups while Types #2 and #3 willrequire their coordination.Any member of Argosy University’s faculty or staff is authorized to make a decision to call 911.When in doubt, it is the campus’s policy to err on the side of caution. After reporting an incidentto the 911 operator, the caller should contact a member of the CMT and then as the situationmerits, EDMC legal council and department managers. The President or his/her designate will assess the elements of the crisis and determine whatlevel of crisis faces Argosy University, Nashville based on the following criteria:Type 1 – Minor EmergencyThis is a minor department or building crisis that can be resolved with existing campusresources or limited help. A Type #1 crisis is usually a one-dimensional event that has a limitedduration and has little or no impact on Argosy University, Nashville personnel or operations.Type 2 – Major EmergencyThis is a major incident that involves more than one department or building, and impacts sizableportions of the campus community. A Type #2 crisis may be a single or a multi-hazard situation, and often requires considerable coordination with external jurisdictions. Type #2 emergenciesalso include imminent events on campus or in the general community that may develop into amajor campus crisis or a full disaster.Type 3 – DisasterThis is a catastrophic emergency event involving the entire campus and surroundingcommunity. Immediate resolution of the disaster, which is usually multi-hazard, is beyond theemergency response capabilities of campus and local resources.4

EMERGENCY NOTIFICATION SYSTEMStep One: Channel the InformationAny Argosy employee, upon learning of or suspecting a crisis situation, should contact amember of the Crisis Management Team immediately (but after 911 is contacted when needed).Because time is of the essence in crisis situations, employees must be especially persistent intracking down a member of the Crisis Management Team (CMT). Upon learning of an incident, the CMT calls an emergency meeting. The CMT immediately contacts EDMC with news of thecrisis.Step Two: Assemble Crisis Management TeamThe CMT will be activated by any member of the Executive Committee upon notification that anemergency situation has developed which warrants a coordinated response by ArgosyUniversity.Once notified, the CMT will meet at the designated time, or no longer than two hours from thetime first notified. The location should be central and have easy computer and phone accesswhich permits on/off campus and long distance calls. For the Nashville campus, the team willmeet in the president’s office. In the event it is not possible to meet at the campus because ofthe type of crisis Cracker Barrell on Stewart’s Ferry will serve as an alternate meeting place. The CMT will oversee the management of the crisis by taking the following steps:Step Three: Define the CrisisThe CMT will rely on the support of the entire organization to quickly gather informationpertaining to the crisis; the CMT should research the following before making any publicstatements. What happened?Develop chronology of events. Why did it happen? What is the University going to do about it?What past actions has Argosy University taken to prevent such a crisis? What is the status of official investigations?Names and contact information of those involved.5

Step Four: Prepare the MessageThe CMT will discuss appropriate response alternatives for the campus, developing severalcourses of action, and then select the best as determined by consensus.Important Elements:Concern for the victim(s) and their families.Communicate how the college is handling the situation.Demonstrate a solid track record.Demonstrate preventative measures that Argosy has taken to prevent such a crisis.Communicate what measures the college will take to prevent such an occurrence fromhappening in the future.Speed of response and completeness of information.Tool:Media spokespersonFact sheet/press releasesAlertFind Emergency Notification SystemPR Emergency Alert System for main site and student portalStep Five: Establish Communication SystemsIn times of crisis, the University must be seen by its constituents as actively managing thesituation. For this reason, it is especially important that the college keep its many audiencesapprised of how it is handling the crisis. The CMT should take care to utilize the communicationsystem that will most effectively reach each audience.Internal Audiences:- Employees- Students- Parents of students- Alumni- Board of Trustees- Advisory Boards- EDMCCommunications systems: meetings, e-mail, communication coordinators, department directors, telephone, fax, newsletters, Send Word Now Emergency Notification System and website.External Audiences:Media Tools: press release, campus website, Send Word Now system, press conference, media visits, telephone, fax, newsletters and website.- Employers- Business partners- Industry leaders- Government- Neighbors- Accrediting bodiesTools: visits, fax, telephones, websites, e-mail and letters.6

Step Six:Crisis AuditIn the aftermath of a crisis, the usual response is a strong desire to move forward and resumethe normal activities of the campus. However, in order that the campus is best prepared tohandle the next crisis, the CMT must evaluate how the crisis plan was effective and useful, where the plan fell short and what changes should be made to the planFollow-up CombinationOnce the CMT determines that the crisis situation has passed, the campus should communicatethe news to both its internal and external audiences. The message can be disseminated in theform of a letter, newsletter, or meeting and should outline how the crisis was handled, what welearned and how we plan to move forward.7

UPDATES, DRILLS AND TRAININGThe Crisis Management Team has overall responsibility for the coordinating and implementingof the Crisis Management Plan. The team will meet annually to evaluate the emergencyprocedures outlined in the plan and to consider revisions and updates.Josh Yarbrough who serves as the lead Crisis Plan team member, will ensure that each campusbuilding has appropriate building safety monitors assigned and that emergency evacuationprocedures are posted throughout each facility. S/he will also ensure that the appropriate firstaid and other relevant supplies are accessible in each building.Josh Yarbrough will also ensure that the Crisis Management Team, as first responders for thecampus, trains internally and with outside units as available and appropriate.Fire drills and other planned evacuations will occur twice yearly to ensure that staff, faculty andstudents are comfortable with the emergency process and to minimize chaos, confusion andpossible harm in the event of a real crisis.RESPONSIBILITIES OF ACADEMIC AND ADMINISTRATIVE UNITSCrisis PlansTo prepare for their unique roles and responsibilities in an emergency, the academic andadministrative units listed below will prepare a unit-specific written emergency plan thataddresses how each will prepare for and respond to an emergency. Each plan must besubmitted to the Crisis Management Team annually for inclusion in the overall CrisisManagement Plan.Administrative and Financial Serviceso Accountingo Financial Aido Facilities/SecurityAcademic Affairso Each program, to include online and general studieso Registraro LibraryAdmissionsCommunicationsStudent ServicesInformation TechnologyDepartment Phone TreesEach department manager shall maintain a current list of his or her employees’ home telephonenumbers and a departmental phone chain.
